1. INTRODUCTION

A Learning Management System is focused in creating an expert learning course and it

offers its users with complete sets of features. This Learning Management System is for College of

the Holy Spirit Manila for keeping track of the organization teachers or students. Anyone can use

the Online Learning Management System easily. A Learning Management System can be used to

discuss important matters and sharing documents through the internet that improve the quality of

communication. The most interesting features of a Learning Management System are mutual

delivery of data, documents, and special catalogues for students for their learned courses. One of

the main features of a Learning Management System is its functionality. There are many similar

programs but none are as effective as a professional LMS. Learning Management System is the

best way and tool to form an e-learning environment you have always dream of having. It works

without any problems for students, teachers and corporate executives as well as people that work in

large organizations. There are no security issues with LMS and it has become an integral part of

the learning environment. Learning Management System is a way by which you organize and

manage the training of the people and it can be introduce to different types of courses and even

send existing courses to your teachers or classmates.

2. OVERVIEW

The Learning Management System is intentional for College of the Holy Spirit Manila in

recording and assesses the student performance, and monitor student participation. A Learning

Management System is a web-based application through which learning content is delivered and

managed. Typically, a Learning Management System provides an instructor with a way to create

and deliver content. An LMS may also provide students with the ability to use interactive features

such as threaded discussion and discussion forum. An LMS is tied on performance management

and it includes functionality for course catalogs, launching courses, tracking learner progress and

assessments. Also, LMS is a combination of a front-end of the learner with a back-end for the

teachers and administrators. This Learning Management System is a seamlessly displays, in a

browser interface, a real-time information that is drawn in a database. It also allows for a

competency-driven assessment and course associations. It integrates online quizzing and

automated reporting. The LMS is designed and develop to guide learners through a simple process

intended to achieve the goal of assessing and maintaining competencies and registering for

recommended courses.

2.1. System/Situation Description

The Learning Management System has the following modules namely: Login

module, Importing/Exporting module, Creations of subject’s module, Online Assessment

module, Uploading files module, Announcement module, Message module, Notification

module, Grade book module and Audit Trail module including the use of database where all the

data will be stored. The system should be viewable online and all the modules must be

functioning and working properly with all the validations for every module. By its nature, an

LMS makes all types of training content, developmental content, and performance content

available to individuals 24/7 from any location with web access. Multiple users can access the

LMS at any given point in time.

The students of the College of the Holy Spirit Manila can view all the records of

results to determine success levels and actual time taken to complete each course and its

components.

2.2. System/Situation Organization

College of the Holy Spirit Manila was started by first five sisters in 1913. Other

administrators continued the work they began. In line with the Congregation’s thrust to

empower more lay people to take on greater responsibilities as mission partners in its ministries,

CHSM introduced a new management team in 2011. Dr. Felina Co-Young, an alumna, was

appointed as First Lay President of the College.

Learning Management System are composed of all regular, irregular, transferees students

and regular, part-timer professors of the College of the Holy Spirit Manila. Learning

Management System is for administration, documentation, tracking, reporting and delivery of e-

learning education courses or training programs. Corporate training departments use LMSs to

deliver online training, as well as automate record-keeping and track the student performance.

Learning Management System is used by educational institutions to enhance and

support classroom teaching and offering courses to a larger population of learners. The key to

understanding the difference between LMS and other computer education terms is to understand

the systematic nature of LMS. LMS is the infrastructure that delivers and manages instructional

content, identifies and assesses individual and organizational learning or training goals, tracks

the progress of the students, collects and presents all the data for supervising the learning

process of organization as a whole.

3. ASSUMPTIONS/CONSTRAINTS/RISKS

3.1. Assumptions

As the project will be implemented to the client, there are issues that must be consider

such as various features that could cause accessibility problems for students and teachers with

disabilities if they are not designed with accessibility in mind. Depending on the features

enabled for a course, a student with a disability could find that participating independently and

effectively is nearly impossible. Upon the implementation of the system, there are software that

must be installed to the client’s computer in order to use the said system such as Internet

Explorer, Mozilla Firefox or Google Chrome as a web browser and some text editor.

Like many of the products we use every day, most Learning Management Systems

were not originally designed to work universally to work for all users, regardless of ability.

Though the situation is improving rapidly, there is still a considerable lack of understanding and

applying the concepts of universal design during the development process in product design.

Most often, developers make assumptions that include users can see the screen, the mouse is the

main tool for navigation, visual alerts can be used as signals, and that skimming the screen in a

random fashion will result in logical associations to facilitate easy, intuitive use of online

learning environments.

3.2. Constraints

In view of the fact that the system is online, the unavailability of internet connection in a

workspace completely disables the user from accessing the system. The system is also restricted to

those users whose workspace have limited web browser, otherwise, they will not be able to access

the system. There are some concerns, in terms of the web browser compatibility. The system will

be best viewed in Mozilla Firefox and Google Chrome.

3.3. Risks

There is a lot of effort required to implement a Learning Management System (LMS),

such as analyzing requirements, engaging a vendor and getting the LMS online. The potential

for failure during the early stages of a LMS project is obvious. An often unrecognized risk to

LMS projects is the sustain phase of the LMS implementation.

Implementing a Learning Management System is a commitment for life. It requires

ongoing maintenance. It requires the LMS team to be business savvy and forward focused. It

requires the LMS administrators to do menial activities, such as regular monitoring, reporting

and testing platform updates. Be sure to leverage your LMS as an ongoing strategic driver of

organizational learning.

Due to the rapid progression of technology and web-based platforms, and the rapid

change of internal business and learning focus, the developers’ current view that LMS has a 3

year shelf life before it requires a significant upgrade or change to a different LMS.

4.1. Implementation Description

The intended operation of the Learning Management System will be deployed online for

security and ease of access of the system. It will be managed by the administrator of the client

through training and also provided with user manuals.

4.3. Major Tasks

The system is known as the Learning Management System for the College of the Holy

Spirit Manila (CHSM) it is a system where the end users such as the administrator, teacher and

the student can freely navigate the system based on their tasks. The proponents decided to

propose a system such as a learning management website because the client have their websites

like a student portal hence, they do not have their own learning management website which

makes file storage, communication between the students and the teachers, online exam,

submission of activities and etc. difficult for them.

The following are the tasks required for the implementation of the system.

Clients’ Approval. The developers should request and talk to the client about the

system proposal and the features also of the system to be approved by the client. The developers

should conduct a meeting to the client to discuss the scope of the proposal.

Review / Develop Process Models. The requirements set by the developers should be

accomplish and analyze and apply the clients’ requirements and rules in the system.

Test and Validate. The system should be tested and validated through alpha and beta

testing to test any flaws of the system. The developers should also conduct a User Acceptance

test (UAT) to test the system including the client for the approval of the system or any revisions

that the client wants. This also includes the Test Scripts in order to list all the features either

failed or pass, the results will be tested by the other developers or the users.

User Training. The developers must conduct a user training in the college of the holy

spirit manila which is the client of the system. The end users are the administrator, teachers and

students or faculty members in the school.

User Instructions or Procedures. The developers should provide a presentation for

the set of instructions provided by the step on how a user will manage his accounts and files and

to be guided on the flow of the system.

Online Availability. The system should be available online with its own hosting and

a proper domain name for the site. It should be accessible by all users of the school provided an

account by the administrator.

Installation of the System. The system must be uploaded to the hosting where the

file manager is used and its own account to access the uploaded system online. The database of

the system is also uploaded in the system to further access the system without errors.

4.5. Security & Privacy

The security of the system is ensured in terms of the rules used by the current

website portal of the college of the Holy Spirit manila. The Learning Management System

is a bridge for connecting students and professors for their communication for school

purposes, file storage management and submission of documents on a certain class. The

privacy of the system priors on the group or a class a student is enrolled upon. The data

used in this system is from the college of the Holy Spirit manila itself which was given by

the assistant of the dean as we requested the copy of a students’ certificate of registration

(COR). The data was confidential that is why the registrar didn’t gave us much data as

what we have needed but as the developers assure that the system is flexible and capable of

handling such data.

The password of the users are encrypted which is inserted in the database to avoid

conflicts and to provide security to every users. The system also provides its database

accounts to be able to manage the system by the user maintenance team. The domain

accounts and the database accounts will be given to the schools’ administrator who handles

their websites and maintenance. The developers will also provide an offline copy of the

system for in case of emergency purposes.

5. IMPLEMENTATION SUPPORT

To support the system during the implementation process, the system only needs a

domain and hosting for the system to be accessible online and computers for the users so that

they can manipulate the features in the system. The personnel or users needed during the

implementation can be students and professors in the school to test the features of the

system. The link of the system will be included on their portal so that the students or the

professors can visit the system. Furthermore, the browser compatibility of the system is best

viewed on browsers like Mozilla Firefox, though it can be used on the other browsers but

some of the designs are not functioning or slow to the other browsers.

5.1. Infrastructure & Data Support

The systems is best viewed and requires to have a Mozilla Firefox for the users to

fully access or appreciate the systems’ design and features because some other browsers do

not supports programming languages or functions that the system produces. The only

hardware the developers will be using is the computers (desktop or personal computers).

The developers will conduct using training for the users of the system so that they can fully

understand the features of the system and to guide them how the system works functions or

operates. Furthermore, the proponents will also provide a users’ manual so that they can

access the system or to be guided by the manual on operating the system also the manual

can help them understand more about the system and its usage.

5.1.1. Hardware

 Computer Monitor – is a device where it gives displays or outputs on the

screen

 Server - is a software program, or the computer on which the program runs, it

also

provides the system to function, operate and process the needs of the

websites.

5.1.2. Software

 Operating System – is the most important program that runs on a computer.

Every

general-purpose computer must have an operating system to run other

programs. It performs basic tasks, such as recognizing input from the

keyboard, sending output to display on the screen, keeping track of files and

directories on the disk, and controlling peripheral devices such as disk drives

and printers as defined in the

 Xampp (Apache Web Server) - It is an open-source web server platform on

which

we can create programs which supports many programming languages.

 MySQL (My Sequel) - is the world's most widely used open source relational

database management system that runs as a server providing multi-user

access to a number of databases as defined in the

5.1.3. Data

The gathered data in the system from the College of the Holy Spirit are needed

specifically the Student’s Id number and the Teacher’s Id number for the identification of

each user log on in the system. Also, the data from the schools subjects and sections for the

features of the system and the format of the user’s name.

The data that are needed in the system are the following:

 Users Personal Information - the system needs the personal information of the

user which is provided once all the users information is imported in the system

by the administrator.

 Username – The administrator will set the username as their student number for

the students number and the teachers identification number for the teachers to

avoid bogus accounts.

 Password – The administrator will set a default password that the users may

change once they have logged on in the system.

 Subjects – the list of the subjects is needed to provide or to create class groups

in the system

 Sections / Class – it is required to have these data so that it is easier to process

all files in the sections they belong to. The students cannot join any class with

the same subject once they have joined already. All classes or sections are

assigned by the administrator to the professors.

 Exams – which is needed on the processing or assessment of students' in each

class.

 Activities – is needed for the graded tasks of each students.

 Lessons – is also needed in the system for file storage and reading

comprehension of students and also guide for the teachers during class hours or

teaching hours.

 Announcements – is a specified day of a month where the administrator and

teachers can post announcements on the specific groups which they belong to.

The administrator announce details generally on the first page of the website

which is the index.

 Events - – is a specified day of a month where the teacher and the administrator

can post current events in the system.

5.1.4. Facilities

In the implementation conducted in the College of the Holy Spirit Manila, the

proponents used the office of the College Dean to conduct the presentation as well as the

demonstration of the system. The implementation was conducted 2-3 hours with the

assistant of the Dean, Sir Michael.

5.1.5. Materials

The materials needed in the implementation are the computers (laptop, desktop), flash

drives, CD-ROMs, cartridge media, and disk packs.

5.2 Personnel

System Administrator – they are the one who monitors, maintain and operate the system.

They are commonly an IT or Electronics and Computer Engineers. The System Admins are

usually in charged in supporting and maintaining the system and servers to plan and solved

existing problems.

Administrator, for this system, are regarded as a personnel who give class keys, assign

professor in their respective class, post general announcements, news and events, send

private messages and oversees the whole system.

Network administrator – they are the responsible people who are to develop efficient

networking solutions that will benefit best on the system. The network admins are incharge

in monitoring the best bandwidth required for the system that will be implemented and use

by hundreds of users in the university.

Client – they are the one who test and resolve the system, the upgrade and other issues of

the system.

5.2.2 Training of Implementation Staff

For the implementation of the system, administrators should be knowledgeable and

are able to support and monitor the system efficiently. They must know how to supervise

the frustrated users and must know how to answer their different technical questions.

Since our client has already a team and department that are capable to support the users,

such as student and teachers, the training that will be provided is for the Content

management, which is also handled by the system administrator. The training is as follows:

 System hardware/software installation

The system will be place in an installation CD or flash drive. First of all, the

administrator should bear in mind that the system will not run if there is no XAMPP

program installed on the server. This program is one of the application requirement

needed for the implementation of the system.

In the installation process, instructions and other requirement are situated on

the installation box. After it was installed, the system will go on the Local Drive C.

Only the administrators and IT personnel are allowed to access the local host. The

network administrator then will take care of the online uploading of the system on

the own domain of the client.

 System Support

Support, by the definition, is to keep from weakening or failing. As a

developer, offer their full support to the client to ensure the continuous operation of

the system.

5.3 Performance Monitoring

Since we will be conducting Alpha and Beta testing, we will monitor the

performance of the system by having user training and user acceptance. User training was

conducted with a monitoring sheet that will provide all the flaws and poor performance the

client will see in the system. He may record bugs and other error that he may encounter

when they are already trying the whole system. All users will be monitored: Administrator,

Teacher, Students.

In addition, the developers will actually monitor the adding and joining of class for

teacher and student entity because they are the majority users of the system. They will be

focusing on the area where the system might experience difficulty in handling modules

because of the number of users that might use the system simultaneously. This will include

the module in joining the class, posting announcements and passing of activities in the

class of the student entity. In the same way, the role of the administrator must not be set

aside, for the administrator handles all the privileges that other users might not experience.

The administrator is the one who will supervise the arrangements of every user that will

use the system. On all the users, the administrator has a very wide range of authorization in

the system because it has a content management system that provides special option to

manage all the users. In some aspects, administrator is the one who is in-charge to take care

of the system when the turn-over is done.

System bugs that will be notice, must immediately be replace or fix by the

developers. Every suggestions or negative reactions are greatly appreciated by the

developers, not to weaken the team’s will, but to better improve the system that they have

work so hard.

5.4 Configuration Management

For the configuration management, the administrator was the one entitled for configuring all

necessary updates of the system. She/he has the access to the control panel, where he/she can

modify any specific configuration that must be change in the system.

Other users, like student and teachers, must report on the administrator if there are

certain areas to improve and to configure. Changing of passwords, forgotten of passwords,

class lists and other common changes are also included in the control panel module of the

administrator.

6. IMPLEMENTATION REQUIREMENTS/PROCEDURES BY SITE

6.1. Site Identification

6.1.1. Site Requirements

The developers are not responsible for any hardware or software problems

resulting from the installation of third party tools, including Web browsers, plug-

ins, or materials and software required.

Since the LMS is primarily based online, the installation process is only being

taken by the administrator, to upload it online, and be used by the end users.

To meet the expected output of the system, the system must acquire the following:

"Cookies" and "JavaScript" must be enabling on all browsers. These features

are usually on by default but can be modified in your browser’s security and

privacy settings. If set to disable, the system will not provide the expected output,

for the reason that the most of the functions in the system is created using jQuery

and Javascript.

6.1.2 Site Implementation Details

The address of the Learning Management System will be separated by the

official website of the client. The domain address for the system is www.elearning-

chsm.com. The client wants to separate the system due to the bandwidth problems of

their own system. They want us to link the LMS to their website for locating the

system efficiently.

1. Turn on the computer.

2. When the computer has been turned on, open the browser like Google

Chrome, Internet Explorer, or Mozilla Firefox, etc.

For the implementation procedure for the software:

1. When a particular browser has been opened, just type the link of the

system in the address bar.

2. After that, you`ll be directed to the home page of the Learning

Management System of College of the Holy Spirit Manila.

3. The administrator will give a default username and password for you

to be able to log in.

4. When you are already at home page, just type your username and

password to access the system.

5. When you`re already logged in, you`ll be given a privilege as a

student or teacher.

6.1.2.4 Database Environment

For the database environment of the system, we created databases for the

administrator entity, student entity, and for the teacher entity as the storage of

data and information of every user. Database is a structured collection of records

or data that is stored in a computer system. There are different types of database

but the most popular is the relational database that stores data in tables where

each row in the table holds the same sort of information. In database terms,

a table is responsible for storing data in the database. Database tables consist

of rows and columns. For storing the data, we created the some tables for the

administrator, students, and teacher entity. And because of the database, we can

easily manage the data and information of every user and it will be more

organize.

6.1.2.5 Operations Procedures

The operations procedures for the implementation to be successful are the

following:

1. Must have equipment like the internet and server.

2. Access on the Learning Management System for the College of the Holy

Spirit Manila.

3. The deployment of the system.

4. Demonstration of the Learning Management System for the College of

the Holy Spirit to the administrator.

5. User training for the personnel’s who will be using the system.

6. Testing of the system for the users.

6.1.3. Site Implementation Verification

During the implementation of the Learning Management System for the

College of the Holy Spirit Manila, we need to ensure to our client that all the

requirements and objectives of the system are successfully working and it

functions properly. During the user testing and the training of the system to the

personnel, all the necessary procedures needed was met because of their

cooperation. The system was successfully worked properly during the user

testing and training of the system. Aside from that, all the objectives and

requirements were successfully met too, especially the proposed system.

If there were any technical problems and discrepancies, we taught the

administrator on how to solve a particular problem or issue regarding the system.

If a particular problem can`t be solved by the administrator, he can contact or

email us so that we can assist and we can teach them on how to solve the

problem itself.

6.1.4 Site Rollback Plan

In restoring the system to its original condition upon some technical

problems the administrator must do these following steps:

1. The administrator will uninstall the system.

2. Upon uninstalling the system, the administrator must install the

system with the CD that was given to her.

3. After the installation, the system will go back to normal.

If the problem was not solved on these steps you may contact anyone of us to

solve the current situation of the system.

Learning Management System - is a software application for the administration,

documentation, tracking, reporting and delivery of education courses or training programs.

procedures may be derived to interpret or solve different problems within the scope of a

particular discipline.
