CHAPTER I

PROJECT OVERVIEW

Project Background
An online reservation system is a must-have for hotels these days. The booking
process must be flawless and user-friendly to attract more customers and increase
sales. Consider getting an online reservation system because it will give you many
benefits such as reservation system saves time and cuts cost, it automates the booking
process, it reduces errors, maximize efficiency, online payment management and
reservation system increases customer satisfaction.

Anfa Royale Hotel came from the acronym of “An” and “Fa” it means An for
Antonio and Fa for Faltado. Antonio Faltado is the owner of the Anfa Royale Hotel has
two buildings. Building A was established in february 2003 and building B was
established in 2006. Anfa Royale Hotel is geographically located in Barangay San
Carlos, Lipa City, Batangas. The hotel has seventy seven rooms namely (2) superior
suite, (1) premiere suite, (1) deluxe suite, (1) family room and (1) premiere deluxe
where you can located in building A and in buildng B has (17) standard room A, (29)
standard room B, (5) superior twin and (1) family room. The hotel has amenities such as
bathubs on selected rooms, hot and cold shower, personal care kit, high speed internet
and flat screen television. The hotel has facilities such as plunge pool, royale palm spa
services, grand ballroom, spacious exquisite looby, qube cafe bar and car service. The
resort is well equipped for all receptions such as debuts, parties, weddings and
corporate events using grand royale banquet with the capcity of (100-200) persons and
royal banquet is for seminar and meeting with capacity of (50-80) persons. Anfa Royale
Hotel has three kind of discounts Senior citizen or Person with disability have 20%
discount and for VIP card 10% discount. Vip card can avail for 400php this card is a life
time. Anfa Royale hotel is using computer to records the information of the guest.

Anfa Royale Hotel is using a manual file base system for their online reservation
process and the company already have database that can records all the information of
the guests such as name, age, contact number and birthday. Anfa Royale Hotel also
renting an online reservation system for other website like trivago, tripadvisor, agoda,
travelbook and HoteCombined the disadvantage of this hotel need to pay every month
for the online reservation. Anfa royale hotel also using these website of online
reservation as an advertisement and also facebook as well and to know the contact
numbers of the hotel. Hotel do not have their owned website and online reservation.

With the aforementioned problems, the proponents’ main solution is to develop

an online reservation and billing system that will improve the resort’s processes and

data manipulation covering all the business process done in the hotel, starting from

reservation to guest check-out. The system to be developed will provide remedies which

can obtain advantages such as less time consuming, short process of reservation,

fewer papers transactions, fast generation of reports, space wastage, avoid the double

reservation in the same room or cottage and accurate computation of billings. This

solution will not just eliminate the problems but also improve customer service by

developing a website which is efficient as they can view the information about the hotel,

the services offered and also, process reservation online.

OBJECTIVES OF THE PROJECT


General objective
The general objective of our project is to develop and implement a Web-Based
Reservation for Anfa Royale Hotel that will facilitate the business processes of the
resort. This project will also replace the manual process of reservation and accurately
generate essential reports.

Specific objectives
The specific objectives of the project are as follows:
To design a system that gives assistance to the user to easily operate and to
understand the information and the process that website provides. It will reduce
misplacing data, duplication of information and makes reservation easier and faster.
To develop a system that refashions the process of reservation and billing to
eliminate delays in manual system.
To test and evaluate the adequacy of the system in terms of functionality,
usability, dependability, accessibility and maintainability by gathering data from users
and technical experts.

STATEMENT OF WORK

This section discusses the scope and limitation of the project and identified the

various deliverables intended to be accomplished for the development of Web-Based

Reservation and Billing System for Anfa Royale Hotel.

Scope of the Project

The study focuses on the development of Web-Based Reservation for Anfa


Royale Hotel. The proponents will develop an integrated system that is simple, precise,
and with user-friendly interface to be able to improve the hotel’s business operations.
The company's official website will contain all of the necessary information about the
company; it will also include an online reservation and online payment

The following modules are included in the proposed system:

Front Desk Module

This module will serve as a homepage to be used by the front desk. Front desk

must be log in her/his account to prove his/her is duty on that time.The front desk officer

that could modify and access the information, checkability of rooms and transactions
recorded.It will enable the management to monitor how many guests had stayed within

the resort and how many are to be expected.

Expected Guest Module

The front desk officer will use this module to confirm if the guest is reserved on

that day. If the guest call on that day guest should pay 50% of a rooms rate they want to

guarantee the rooms If the guest did not show on the date of reservation, guest can not

refund the cash.

System Settings Module

This module allows to adding, editing, modifying and updating the maximum

number of person, prices, and reservation period by the IT and authorized personnel

that will meet the hotel’s needs.

Check-in Module

In check-in module when an expected guest arrives at the resort, the front desk

officer will get the ID of the expected guest to verify the information of expected guest

on the expected guest module and click the check-in button.

For walk-in guest, the authorized personnel should get the information of the

guest to register his/her new account in Anfa Royale Hotel and check the available

rooms can be distinguished from unavailable rooms.

If a guest requests for extras such as towels, pillows and blanket, the front desk officer

will have to proceed to the charged log to show how much and see all the available

extra service.
Check-out Module

In this module, the front desk officer will be alerted before a guest must proceed

to check-out. It will compute for the guest’s amount due throughout their stay within the

hotel and also include all the necessity of the guest if the guest want to extend their time

just need to pay 200 per hour. Check-out module can generate a receipt with 12% vat

Reports Module

This module is intended for the use of authorized personnel and will help

generate printable reports such as (1) booking list, (2) shift audit, (3) list of transactions,

(4) unpaid invoices, (5) housekeeping report, (6) invoice details report (7)list of

Checked-in customers (8) list of Checked-out customers.

Payment Module

This module will be essential to monitor and generate the guest’s total outlay.

Official receipt will be included in this module.

Content Module

This module allows the IT and authorized personnel to control, modify and

automate significant aspects of the user interface. The homepage will contain the

company’s profile, all the information about the resort such as amenities, rooms,

facilities and services that will attract potential guests and also provide them a

walkthrough about the whole illustration of the resort. It must be clear, concise,

responsive, consistent and attractive.

Extras Module
On this module, administrator may define extras, which are services that need

additional charge. These are frequently requested items with standard pricing such as

extra bed/pillow etc. To add extras, there will be a dropbox in the system where the item

will be added immediately to the guest account.

Amenities Module

In this module, guests can see the complete list of different amenities that the

hotel can offer and also rooms for receptions such as weddings/debut etc. Both public

and private amenities will be enumerated with a brief description.Rules and regulations

for the amenities are also included here so that guest will know when and how they can

use it.

List of Deliverables

This section covers the list of all expected output based on the company

requirements. The list was also accompanied with a detailed description of these

deliverables.
User’s Manual - It is a document intended to give support to the resort

staff and management of Anfa Royale Hotel that will use the web based

reservation and billing system. It includes all procedures needed to install the

software, descriptions of certain operations and the results it will do.

User's Training - This training will manage the hotel staff who are

assigned to operate the system, the program will enable them to fully

comprehend each functions and the process of using the system. The users will

be trained and the system orientation will be conducted.

Deployment Plan - is a document stating all procedure and requirements

of the implementation of the reservation system. This plan also contains the set

up of necessary peripherals with specifications mandatory in the deploying the

system. Once the client's requirement is met, the proponents will deploy the

system.
