1.0 PURPOSE

The purpose of this policy is to define conveyance entitlements and provide


guidelines for conveyance authorization.

2.0 SCOPE

This policy is applicable to all the employees of the company under taking out
door official work and are not provided with official vehicle.

3.0 DEFINITIONS

3.1 “Company” means Telecom Networks Solutions Private Limited and its
offices, factories and branches in Delhi or any other place in India.

3.2 “Employees” mean all employees of the company who are appointed to
positions that are of permanent or on probation and Trainees or on fixed term
contract.

4.0 CONVEYANCE APPROVAL

· Employees should get the conveyance approved in conveyance claim


form as attached in Annexure - I by the Supervisor.
· The claim form, duly verified by project manager shall be submitted to
accounts for the reimbursement.
· Claim forms shall be submitted in two cycle for reimbursement, first cycle
shall be from 1st to 15 th of the month and second cycle from 16 th to 30/31 st
of the month.
· Imprest advance is given to the project managers to take care of the cash
needs of the conveyance for the staff working under them. In such cases
employees shall take advance from the project manager and conveyance
voucher shall be submitted to them. Project Manager shall maintain the
account and shall submit the conveyance vouchers after duly signed to
the accounts department. Another advance equivalent to the amount of
submitted vouchers will be given against authorized imprest advance.
· Incase of hiring of taxi for local conveyance , Form No. 2009 (Travel /
Taxi) requisition form shall be filled by requisitioner and submit it to admin
department of TNS after getting duly sign by authorized signatory.

· Taxi requirement for outside projects, PM shall justify the case and
provide approval.

5.0 CONVEYANCE

Expenses on local conveyance will be reimbursed at actual as per entitlements


Specified below:

Grade Entitlement

VIII & above Public Taxi Service (A.C.)


III-VII Public Taxi Service / Auto-Rickshaw / Public
Transport / Metro
II – I, A, B, C, D Auto-Rickshaw / Public Transport / Metro

If employee has its own conveyance arrangement, following charges are


applicable for claiming conveyance:

Grade Entitlement

IV & above Car @ Rs. 7.50 per Km


III & below Scooter / Motorcycle @ Rs. 3 per Km

Note: Own Conveyance can be used only if there is no Public Transport / Metro
available for local use (for a distance of less than 100 km) only. Beyond 100 km,
only Public Transport is to be used.

Any employee called for duty in holidays shall be paid to and fro charges for car
or scooter/motorcycle depending upon the grade as mentioned above. If
employee does not avail car or scooter / motorcycle facility, he / she shall be paid
auto charges from home to office and back irrespective of grade.

6.0 AMENDMENT OF POLICY

The Company reserves the right to amend, abrogate, modify and revise any or all
clauses of this policy depending upon market practices, exigencies of business.

7.0 INTERPRETATION OF POLICY

Human Resources will interpret the contents of this policy.
