HOSTEL ROOM ALLOTMENT POLICY FOR 2019-2020

This is to inform you that Hostel Room Reservation for next-academic year
(2019-2020) will be held on 25th March, 2019. The Hostel Rooms for the academic
year 2019-20 will be allotted based on the academic performance of the hostel
students.

Room Allotment Policy

 Hostel accommodation for Third Year and Second Year of study is based on
the academic merit (individual CGPA) only .

 The Mess fees, Accommodation charges will be treated as Fixed Charges as


per policy.

 For the purpose of Hostel Room Allotment Counseling, the hostel students
will be categorized into two groups namely, G1 and G2 based on year of
study as follows:
Group I (G1):
 III Year- B.Tech /M.Tech Integrated
Group I (G2):
 II Year- B.Tech/M.Tech Integrated/BBA

Counselling Process:
 It is compulsory for all the students who are not residing with their
parents to continue their stay in the hostel. Day-boarding is not
permitted.
 CGPA Ranking of the students taking part in the counselling process
will be notified three days before the counseling.
 Student, who is not in a position of attending the room counselling
process due to any unavoidable circumstances, may nominate a friend to
attend the counselling on his behalf and the written authorization has to
be given to the nominee which will be verified and signed by the
concerned Hostel Manager well in advance (at least three days in
advance).

 For allotment of rooms, students will be called as per their CGPA


ranking in descending order (higher to lower). The highest CGPA of the
student in the group will be considered as the CGPA of the group in the
shared room allotment. In the shared room, room allotment will be done
only if the group has full room strength (Ex: For a 4 bedded room, 4
students should be identified by the group to reserve the room).

 Room vacancy details will be displayed on screen in the counselling


halls (LH- Einstein Hall and MH-Newton Hall) to enable the students to
decide on the room to be chosen.

Room-Sharing policy:
The percentage of beds (for students in each group) will be allotted as
follows.

Roommates:

 The students can select their roommates as per their choice.


 Only the topper in the group will be allowed to enter the counselling
hall for selecting the room. During the counselling, the topper
should bring the original student ID card of all the intended
roommates and their signatures in the hostel counselling application
form and get the room allotment for all of them.
 Group leader decides on a particular room type, Mess type during
counselling, that is considered final. No student belonging to that
group can later ask for change of room/mess.
 Group2 are allowed to select Group 1(seniors) as their roommates
but Group 1 (seniors) are not allowed to select juniors as their
roommate.
 If Group2 are interested to take Group1 as their roommate, then the
Group1 student needs to skips his/her hostel room counselling and
he/she needs to undergo Group 2 Counselling.
 Students have to come prepared for the counseling in all aspects.

Note:
1 For each apartment there will be a living room which will be
provided with refrigerator, microwave oven and sofa set in common
area.
2 Exclusive bathrooms and toilets will be available in each apartment.

Online Payment Mode:

 The students can pay their Hostel Advance fee Rs.20000 online through
their student VTOP login using Internet Banking / Debit Card / Credit
Card. Student paying online can generate their fee receipt online from
their student login and get it printed.

 Students are requested to pay Rs. 20,000 as Hostel advance to attend


the Hostel Room Counselling on or before 23rd March 2019 ,5 PM.

 No Demand Draft is accepted.

 Payment link will be made available in V-Top on 06 March 2019, 11


AM onwards.

 Rank List will be displayed in respective students VTOP Login three


days before the commencement of hostel counselling.

 Allotted rooms should be accommodated immediately on the commencement


of Fall Semester 2019-2020.

The balance charges shall be paid on or before 10th June 2019 to avoid
penal charges.

NO CHANGE OF ROOM WILL BE ENTERTAINED AFTER COUNSELLING
