CCTV POLICY

1. The property is installed with CCTV System with a central dedicated control
room. The control room is manned by qualified staff on 24 hours basis along
with Quick Reaction Team (QRT).

2. The location of the CCTV cameras are as under:-

3. Excess to the control room will be restricted and the all records kept strictly
confidential. No unauthorized individual will be allowed entry/access to the
monitor or the recorded material without written/specific clearance of the
property GM. Those authorized will be specified in the property orders in
following category:-
a) For monitoring and QRT.
b) For access to recorded material.

4. Authority for copying of recorded material and its removal from the Control
Room will be strictly vested with the property GM. This authority will not be
delegated to anyone else other than for the period that the GM is a away from
his station. In which case his EAM/CSO, will be nominated. However access
to recorded material and its removal will be cleared on mobile telephone from
the GM by his nominee.

5. Control Room Operations - SOP


a) Control Room (CR): Every property will have a separate dedicated
room (minimum size 12’ x 12’), centrally located, designated as CCTV
System Control Room.
b) Dedicated Staff: CR will be manned by selected, qualified, well
trained staff, dedicated for the specific purpose of monitoring, storing
and retrieving information as well as maintaining it.
c) 24 Hours Manning : The CR will be manned on 24 hours basis. The
system will not be left unattended at any time.
d) Accessibility to CR: Access to the CR will be restricted to authorized
staff. Property GM or on his behalf EAM/ CSO to designate / authorize
CR accessibility.
e) Code of Ethics: Code of Ethics will be strictly observed by the system
handlers. Unethical surveillance of females is strictly prohibited.
Defaulters will be taken to task.
f) Reporting;
g) CCTV System handlers will ensure safety / privacy of the guests and
their belongings and will detect and immediately report any untoward
happening to the CSO/ACSO.
h) Any incident anticipated / suspected / or on occurrence to be reported
to the Property GM / EAM Chief Security Officer /Duty Security
officer/Human Resource Manager/Duty Manager at once.
i) Hotel Rules/Regulations: CCTV system handlers will strictly follow
the hotel rules and regulations and will not indulge in wrong practices
which may violate the very basics of the Hospitality / Industry.
j) Entry to CR: Not allowed. Only designated security staff be allowed
casual entry the Control Room.
k) Duty Rooster: Proper rooster to be maintained by the Chief Security
Officer and duly approved by GM / Human Resource Manager.
l) Access to Tapes: The access to recorded cassettes will be restricted to
GM, EAM and CSO only or any other officer so authorized by the
Property GM.
m) Communications: One Telephone / Walkee Talkie and Wireless to be
Placed in the control room for emergent communication with the Hotel
security staff.
n) Log Books: Proper control room logbook will be maintained and
initiated by Duty Security Officer and CSO daily and by the GM on
daily / weekly basis as deemed appropriate.
o) Storage of Record: A minimum 30 days record of each CCTV camera
will be maintained.
p) Response on Unusual Activity: On detection of any unusual activity/
incident the Security Officer will immediately inform / alert the CSO /
Security Officer / Duty Manager. They will inform the Property GM
about the activity/ incident and the action taken.
q) Inspection of CR: Monitor room will be inspected daily by the CSO.
r) Fire Extinguisher: One CO2 type fire extinguisher will be kept in the
monitor room. The CR staff to be made familiar on its use in
emergency.
s) Cleanliness; Control Room will be kept clean at all times.
t) Smoking not allowed; Smoking will not be allowed in the Control
Room.
u) No Eatables; Eatables will not be allowed in the Control room.

6. Technical Aspects:-
a) Standby Power: Emergency lights to be installed in the control room
along with standby power generator backup for the CCTV system and
IT Dept. Head.
b) Error in CCTV System: In case of any error in the CCTV system,
CSO and IT Dept Head and GM Property will be informed
immediately.
c) Technical Failure: In case of any emergency / technical failure CSO
and Shift in Charge will be contacted.
d) Optimum Failure; Property IT Dept. to ensure technically the system
is without fault and functioning with optimum efficiency / output.
e) Surprise Checks; Property HRM / IT Dept. Head to carry out a
surprise visit / checks of Control Room to see whether the system is
being utilized for its basic purpose.
f) Daily Maintenance and Cleanliness; this should be assured for
CCTV system and the Control Room under supervision of the property
IT Dept.
g) Technical Log Book; to be maintained by control room staff /
supervisor on duty .This should log relevant technical observations for
information of the higher management.
h) Certification; Technical Log Book being maintained must certify the
operational and technical fitness of the equipment. The Log Book to be
initialed by the Property General Manager on daily basis.

7. Repairs: -Daily Routine Repair / Maintenance: By the operating staff of the


Control Room in conjunction with Property IT staff.
