GUIDELINES FOR THE ASSTT. SUPERINTENDENT (C.B.S.E. EXAM)

Dear Teachers
(a) Detailed guidelines for Asstt. Suptd. issued by CBSE for Board Examinations
have been mailed at your ERP accounts. Kindly go through them and follow them
word by word and brief of these guidelines is also given below.
(b) Teachers are to maintain regularity during all examinations and absenteeism will
not be appreciated.
(c) On the day of Board examination, one of the invigilator will collect the packet of
question paper at 10 : 00 a.m. sharp from Exam room.
The Assistant Superintendent is the most important functionary in the smooth and fair
conduct of any examination. It is expected that they perform their duties judiciously :
1. (a) To ensure proper administration and discipline inside the examination room/hall.
(b) To complete all formalities relating to question papers and ensure proper
documentation.
(c) To ensure free and fair conduct of examination.
2. The Assistant Superintendent must explain to the Candidates how to fill in details in the
OMR sheets, attendance sheet and Supplementary Answer Books. The following
instructions should be given daily to the candidates by the Assistant Superintendent
in each room :
(a) Any candidates having in possession papers, books, notes, old question papers,
mobile phones, wallet, Bluetooth, scanners or any other material or information
not relevant to the examination paper or not permitted, shall be liable to be
punished according to the regulations/Bye-Laws of the Board;
(b) Only blue black or royal blue ink/ball point/gel pen be used;
(c) Check answer book to see that it is not defective and that it has correct number
of pages.
(d) Write Roll No., (in figures as well as in words) other details and question paper
code no. in the space specified on the OMR sheet of the answer book and all
entries must be verified immediately after the commencement of exam.
(e) Check that they have received the correct question paper, count the no. of
pages of the question paper and ensure that they are correct. In case any
page of question paper is missing, the same should be brought to the
notice.
(f) Name / Roll no. should NOT be written on maps, graphs papers etc :
(g) DO NOT WRITE NAME, ROLL NO. OR MAKE ANY DISTINGUISHABLE
SIGN OR MARK ANYWHERE IN OR OUTSIDE THE ANSWER-BOOK.
(h) Write the Supplementary Answer Book Serial No. in the Attendance sheet in the
identified column; and
(i) Supplementary Answer Books, maps, graph papers etc. must be securely
tied to the Main Answer Book with only white tags.
3. On the first day of the examination, Asstt. Suptd. should check/tally all
subject(s) written on the Admit Card of the candidate with the list of candidates supplied
by the Board. Any discrepancy, if noticed, should be reported immediately. FROM 2019
examination, MOTHER/FATHER/GUARDIAN HAS ALSO BEEN DIRECTED TO SIGN
ON THE ADMIT CARD FOR GIVING UNDERTAKING THAT THEY HAVE VERIFIED
THE DETAILS OF THE CANDIDATE AND THERE IS NO MISTAKE. THIS ALSO
NEEDS TO BE CHECKED BY THE ASSISTANT SUPERINTENDENT(S) AND
STRICTLY COMPLIED WITH.
4. The identity of candidates must be verified by checking their admit card issued by the
Board and by tallying their photos and signatures put on the attendance sheets with the
signature on their admit cards. In case of private candidates, identity should further be
verified from the photograph affixed and countersigned on the admit card. In case of
doubt, candidate may be questioned and matter should be reported to the Centre
Superintendent.

5. Assistant Superintendent should check that the seals are intact and should also
carry a blade to cut open the envelope in the examination room. The Assistant
Superintendent will open sealed envelope containing 24 question papers in the room
itself in the presence of 02 candidates appearing in the examination from the same
room.
6. Both the Assistant Superintendents and 02 candidates will give the certificate of opening
of the packet of question papers.
7. One candidate should be used as a witness only once. It is expected that this provision
will be announced in the examination room before every exam, before taking a
candidate as witness.
8. Answers shall be written on both sides of the page of the answer book and no leaf from it
shall be torn/any special remark put on it.
9. In the attendance sheet, the subjects/paper in which candidate remains
absent be encircled with RED INK and word ABSENT written by the Assistant
Superintendent in the column meant for the signature of the candidate.
10. Assistant Superintendents are required to sign in the space provided in the slip on the
Supplementary Answer Book(s) also.
11. In the allotted room/hall, the Assistant Superintendents will ensure that :
(a) In case, any candidate is sitting idle for unusually long period and not
writing the answers, same candidate may be watched carefully.
(b) No candidate should be allowed to leave the examination centre before the
exam is over.
12. One of the Assistant Superintendents should always accompany a candidate wishing to
make use of urinal/ toilet while the examination is going on.
13. All exists to the Examination Room except one should be closed ten minutes before the
expiry time of the examination. One of the Assistant Superintendents should then stand
at the open door and see that no candidate leaves the room without handing over the
answer book. In case a candidate leaves the examination room without handing over the
answer book, the Assistant Superintendent(s) should make all efforts to recover the
answer book and also report the matter to the Centre Superintendent.
14. Cases not covered under the above rules should be referred to the Centre
Superintendent for obtaining his guidance and necessary instructions.
The following schedule may be adhered to at the centre in respect of Examinations :
(i) Entry inside the Examination Centre by the candidates 9.00 AM 10.00 AM
(ii) Start of entry by candidates in examination rooms 9.45 AM 10.00 AM
(iii) Opening of sealed Question Papers Parcels in Control Room 10.00 AM
(iv) Last Entry in the Examination Centre 10.00 AM (Long Bell)
(v) (a) Checking of Admit Cards by the Assistant Superintendents. 10.00 AM 10.15 AM
(b) Announcement to ensure that candidates have occupied
correct seat only, candidates are not in possession of any
barred item and other important instructions.
(vi) (a) Opening of packets of Question Paper in examination room 10.10 AM
(b) Distribution of the Question Papers to the candidates 10.15 AM (Single Bell)
(vii) Collection of Question Papers of absentee candidates in the 10.30 AM (Long Bell)
examination room by the Assistant Superintendent
(viii) (a) Exam Commences 10.30 AM
(b) Return of unused Question Papers alongwith envelopes by 10.30 AM
the Assistant Superintendent to Centre Superintendent
(ix) Sealing of unused Question Papers packets received from 10.45 AM
examination rooms by the Centre Superintendent
(x) After 1 hour 11.30 AM (Single Bell)
(xi) After 2 hour 12.30 AM (Single Bell)
(xii) After 2½ hour 01 : 00 PM (Single Bell)
(x) Closing of examination rooms doors
(10 MINUTES BEFORE THE EXAMINATION IS OVER) 01.20 PM (Single Bell)
(xi) Exam concludes
(AS PER TIME ALLOTTED IN THE QUESTION PAPER(S) 01.30 PM (Long Bell)
AND AS PER EXTRA TIME PERMITTED FOR
DISABLED CANDIDATES
