Introduction

This study aimed to improve the student management records in Jesus the Exalted
Name (JTEN) School.

Introduction

In schools, student’s records are very important since it represents the identity of
that students as well as their performance in the school and it holds a large number of
important data.

This Section outlines Background of the Study, Conceptual Framework, Statement of


the Problem, Objectives of the Study, Significance of the Study, Scope and Delimitation and
Definition of Terms.

Background of the Study

The school, Jesus the Exalted Name (JTEN) School is a private educational institution
that provides excellent academic program in line with Christian core values. It was
established in 1995, since they used Microsoft Excel for recording the student’s data, and
they rely on manual system of recording, storing, computing, filling and managing student
records until now. The said system is very slow since it requires a lot of time and effort.

Notably, student management information system or SMIS acquire such application


software designed for educational establishments to manage student data. Student
management information systems provide capabilities for entering student test and other
assessment scores, building student schedules, tracking student attendance as well as
managing many other student-related data needs within the institutions. Thus, many of

these systems applied in the Philippines can be scaled to different levels of activity and can
be configured by their home institutions to meet local needs.

The researcher proposed Students Management Information System for JTEN


School, to make the students data more manageable and have an electronic storage so that
they can store and look for the student file in an easiest way.

1.2 Conceptual Framework

The Conceptual Framework shows the development of system is divided into three phases:
Input, Process, Output, and Feedback. The figure 1.1 shows the procedures and ways to
evaluate the requirements of this project, Students Management Information System.

The researchers used methods to gather the data such as internet browsing,
interviews and by conducting surveys. These methods will help the researchers to work on
this project.

The researchers used internet to find information needed to gather data for the
requirements of the system and to enhance the program. And though interview the
researchers were able to know the conflicts and suggestions for proposed system.

The researchers used Cascading Stylesheet, JavaScript and PHP for the program
design, and used the PHPmyadmin with the MySQL for the Database Management of the
proposed Students Management Information System. Then the researchers were able to
develop the software, Students Management Information System.

Statement of the Problem

A. General Problem

In schools, student’s records are very important since it represents the identity of
that students as well as their performance in the school and it holds a large number of
important data. There are some problems encountered by the Accounting Department; (1)
it is difficult to identify the list of every student records by reason of lack of proper storage,
(2) lack of shelves by sorting out the student files, (3) the Accounting Department where
having a hard time to distribute the student records to the Registrar.

Objectives of the Study

A. General Objective

The researchers are motivated to make a Students Management Information System


to support the existing system. This LAN Based Students Management Information System
aims to help the Jesus the Exalted Name (JTEN) School to make the students data more
manageable and have an electronic storage so that they can store and look for the student
file in an easiest way. Furthermore, the researchers inspired to make an accounting system
so that the payments of the students are more manageable and provision to help the
existing system.

B. Specific Objective

1. To design a user-friendly LAN Based Students Management Information System for JTEN
School.

2. To create an electronic storage of every student records and secure them via LAN
database management system.

3. To make a registration system so that the students are encoding their data using a
computer, this system will improve the existing system which was manual registration.

Significance of the Study

This study envisions the development of the Students Management Information


System of JTEN School. The study can bring benefits to the following:

School

Students Management Information System is a way of improving the school


specifically in the field of documentation process. It ensures more reliable, efficient and
timely sorting of every documentation for JTEN School.

Accounting Department

Students Management Information System would improve the monitoring


capacities of those who maintain the student records. It would be easier to determine
whether a particular document is on-stored or not. Furthermore, the Accounting
Department would be much guided when it comes to recognizing new documents, letting
them arrange it promptly and accordingly.

Registrar

Students Management Information System would improve the monitoring


capacities of those who maintain the student records.

Researchers

It helps integrate certain processes gathered by the researchers to create solutions and
implement acquired knowledge for the students of Asiatech College.

Future Researchers

It provides relevant ideas, knowledge and information in conducting related research.

Scope and Limitation

The system covers the development and implementation of the Students


Management Information System which promotes a registration system and proper storing
of documents for every student in JTEN School. The system also enables the System
Administrator in adding and editing student records. The Registrar enables only to view
the records not add nor edit some student files. It is certainly reliable as the human effort
required in managing the student files; it can be drastically reduced because the major
processes such as storing and sorting of documents are properly managed by the system. It
can be access through computer in Registrar Department and Accounting Department by
searching and viewing for documents of the students in JTEN School. The proposed system
also covers the accounting system; in this phase only the administrator are allowed to add,
edit and update such documents of every student.

Back-up and Recovery

Back-up and Recovery is the process, policies and procedures related to preparing for
recovery or continuation of technology infrastructure critical to an organization after a
natural or human-induced disaster. Disaster recovery is a subset of business continuity.
While business continuity involves planning for keeping all aspects of a business
functioning in the midst of disruptive events, disaster recovery focuses on the IT or
technology systems that support business functions.

Plan A:

Main database will be located on the area that is water proof, fire proof, and a have
maximum security for the system and database that can only be access solely by an
administrator. This is to prevent any forms of loss, leakage, corruption and tampering of
the data’s due to other uncontrollable and unforeseen circumstances.

Plan B:

The Students Management Information System for JTEN School must be stored in at least
(1) 32GB USB Flash Drives (3 pieces) or My Passport Portable Hard drives, (2) in
administrators desktop/laptop. Uploading in a cloud is safe but expensive.

B. Delimitations of the Study

The system is mainly focus on recording, storing, computing, filling and managing
student records of every student. It does not cover any downloading and uploading
documents to avoid lost file. The administrator is the one who can add and edit documents
of students. It does not cover the result of any exams, quizzes and students violation.
Students will have the copy of the document by having permission request from the
registrar, accounting and from the administrator. It cannot perform in android devices.

Definition of Terms

The following are defined operationally and technically for clear understanding of the
terms used.

A. Operational Terms

Department – One of the major parts of a school. (Ex. Accounting Department)

Document – An official paper that gives information about something or that is used as
proof of something. (Document refers to the Student’s Information)

Sort – The act of separating things and putting them in a particular order.

Storage – The act of putting something that is not being used in a place where it is available,
where can be kept safely

B. Technical Terms

Administrator – A person whose job is to manage the system.

Data - individual facts or items of information

Database - a systematically arranged collection of data

Entity Relationship Diagram (ERD) – chart that visually represents the relationships
between database entities. ERDs model an organization’s data storage requirements with
three components: entities, attributes, and relationships.

Gantt Chart – illustrates the start and finish dates of the terminal elements and summary
elements compromise the work breakdown structure of the project.

RAD – Rapid Application Development, is a software development methodology that uses


minimal planning in favor of rapid prototyping

Software - the programs, symbolic languages that organize the performance of the
hardware and through its process

System - an assembly of computer hardware, software and peripherals working together.
