The Lupon Secretary also maintains individual records of cases. Each folder contains file copies of
the complaint form, notices of hearings, summons wih officer’s return form, minutes of hearings
and others records while the case is in progress.

and study the nature of the case. This technique helps the mediator in dealing with the
parties and in handling the case.
2. Some of the usual practices done during hearing/mediation;
- Prayer and brief introductory message of the Punong Barangay
- Reading of the complaint
- Presentation of the mediation/conciliation rules
- Both parties are given time to express their sentiments
- There were times that Ex-party dialogue or conference were considered best way to get
the bottom line of the problem

B.SYSTEMATIC The Lupon Secretary in her effort to keep a systematic maintenance of records established the following
MAINTENANCE practices and records management system in which records could be accessed in just two minutes.
OF RECORDS
1. Make sure that resources are available such as folders, Filling Cabinets and other Office Supplies
and Equipment.
2. Make sure that all KP Forms are property filled-up and signed.
3. Records of cases are filed in an individual folder numbered consecutively. Enclosed in these
folders are the complaint form, notices of hearing, summons, minutes of mediation/conciliation
proceedings and contact numbers of the complainant(s) and respondent(s), amicable settlement
agreements and other KP documents.
4. If cases were already disposed and recorded in the record book, the folders will be complied and
be kept in the cabinet and make sure that records be kept and preserved for 10 years.
5. Encoding of barangay cases in the computer (Computerized Records of Cases & Minutes)
6. For the year under review, the barangay has installed a software for the recording of cases
The Lupon Secretary also kept and maintained the following records:

2. Minutes of the Lupon Meetings w/attendance sheets
3. Complete file of copies of reports submitted to the court and to the DILG.
All these records and files are kept in filling cabinets exclusively for KP use only.

This accomplishment is attributed to the skills and techniques of the Lupon Chairman in
mediating cases plus the innovative techniques practiced by the Lupon Tagapamayapa.
