Document Changes
The following table lists the plug-in versions documented in each manual revision. To determine
which plug-in versions you use, select Administration > About. If a manual documents multiple plug-
ins, use the manual revision associated with the most recent plug-in version you use.

A number following the revision letter indicates changes since the previous revision are non-substan-
tive: style, pagination, and so on. Thus, revision a.1 contains the same substantive material as
revision a.

This document describes the updated Yardi Client Central.

Login

The Client Central login screen appears when you access the Client Central URL.

Yardi provides login credentials to your organization’s Client Central administrator. Your Client Central
administrator or any other member of the Admin group can use the User Management feature to add
and manage users.

For information about the Admin group, see “Adding and Editing Groups” on page 17.

Forgotten Password
If you forget your password, click Forgot Password to open the Password reset screen.

After you enter your email address and click Send, the system sends you a link you can use to reset
your password.

User menu Provides access to two menu items:


Profile Opens the User Profile screen, which you can use to update your name or mobile-phone
number, and to specify whether you want to receive email updates about Client Central and Yardi
Systems.
Logout Logs you out of Client Central and opens the login screen.

Site menus Home Opens the Welcome to Yardi Client Central page (the page that appears when you log in
to Client Central).
Cloud Provides access to Yardi Cloud applications and support.
Product Resources Provides access to general, product-specific, and module-specific resources
like manuals and training videos, and to information about events. You can access many of the
same resources from the Home screen, but selecting Product Resources page limits the displayed
resources to those matching the selected product or module.
Support Provides access to screens for adding and reviewing cases, as well as to the Yardi
Knowledge Base.
Licensing Displays license information for the Voyager installation in use.
User Management Provides access to screens for adding and editing user credentials and user
groups.

Site search Finds documents, videos, and web pages that match the search criteria. For more information, see
“Using Site Search” on page 14.

Updates and notices Information about updates to Client Central, and notices of upcoming events.

Document filter Determines which documents appear in the Documents list. For more information, see “Finding
Documents in the Document Library” on page 6.
The filter includes three fields:
Type Resource category:
 Archived Manual Manuals prior to the current revision.
 Conference Materials Handouts, PowerPoint slide shows, and other documents from YASC
and other conferences.
 New Features Documents describing changes associated with a plug-in release.
 Newsletter
 Other Documents that don’t fit any of the other categories.
 Product Manuals Formal documentation like user’s guides, setup guides, and so on.
 Release Notes
 Sample Reports
 TechNotes White papers and other informative documents.
 Videos & Webinar Recordings Videos and recordings from conferences and webinars. For
training videos, see the Video Library, further down the Home page.
Product Product category.
Module Product subcategory.

Document search Finds documents that match the search criteria.

Documents Documents that match the document filter or document search criteria. In the absence of
document filter and search criteria, this section displays the documents most recently added to
Client Central.

Video filter Determines which videos appear in the Video list. Current options include Voyager 6 and
Voyager 7s. For more information, see “Finding Training Videos in the Video Library” on page 9.

Video window Initial screen for the video selected from the video filter list. When you click the play button, the
video plays here. If no video is selected, this area is empty.

Video list Video categories and titles.


Categories are indicated by an oval containing the number of videos in the category. In the
preceding graphic, the RENTMaximizer category has two (2) videos. Click a category to view a list
of the category’s videos.
Titles are indicated by a greater-than sign (>). Click a title to view the video in the video
window.

This section describes how to find resources on Client Central.

You can reach most manuals, release notes, other documents through the Document Library section
of the Home page.

You can reach most training videos through the Video Library section of the Home page.

Many Yardi products and modules have a dedicated Product Resource page that displays only
resources pertinent to that product. These pages are useful for browsing resources associated with a
product or module.

You can also find resources by using the Site Search feature.

This section describes how to find resources using all of these methods.

Finding Documents in the Document Library


The simplest way to find a specific document is through the Document Library section of the Home
page.

The following procedure describes an order for using the filter and search features. You can, however, use these features
in any order. This is especially useful if you want to see all of the documents available for a product or module. You could,
for example, select Voyager 7S from the Product list and Affordable from the Module list to view all Voyager 7s
Affordable documents: archived manuals, release notes, new features, and so on.

To find a document in the Document Library


1 On the Home page, in the Document Library section, select the Type of document you want to
view.

For the most recent manuals, choose Product Manuals. For descriptions of other types, see “Document filter” on
page 4.

EXAMPLE Selecting Product Manuals from the Type list limits display to the most recently
uploaded product manuals.

2 Select the Product for which you want to view documents.

EXAMPLE Because the Type is still set to Product Manual, selecting Voyager 7S from the Product
list limits display to the most recently uploaded product manuals for Voyager 7s.

3 Select the Module for which you want to view documents.

EXAMPLE Because you previously selected a Type and Product, selecting Financials limits display
to Voyager 7s product manuals in the financials category.

4 To further limit the results, type a few characters, a word, or a phrase in the Document Library
Search field.

EXAMPLE Typing seg limits the results to two versions of the Segment User’s Guide.

When the Type is set to Product Manuals, the Document Library typically displays only the most recent revision
of a manual, but it may sometimes display one prior revision. For older manuals, select Archived Manuals.

5 If you want to view a different type of document, select a different Type.

EXAMPLE Selecting Conference Materials from the Type list while leaving the other filter fields and
the search field as-is limits display to conference materials about segments in Voyager 7s.

Finding Training Videos in the Video Library

The simplest way to find a training video is through the Video Library section of the Home page.

To find videos other than training videos—for example, videos from conferences or webinars—search the Document
Library using the Videos & Webinar Recordings Type filter, or use Site Search. For more information, see “Finding
Documents in the Document Library” on page 6 or “Using Site Search” on page 14.

To find a training video in the Video Library


1 On the Home page, in the Video Library section, select the Voyager version for which you want to
view videos.

EXAMPLE Selecting Voyager 7S from the Select an Option list limits display to categories
containing Voyager 7s videos.

2 Click the oval for the category containing the videos you want to view.

EXAMPLE Because the Voyager version is set to Voyager 7S, clicking Investment Management
causes Client Central to display the quantity of titles indicated by the number on the category oval—
in the following graphic, nine (9).

3 Click the title of the video you want to view.

EXAMPLE Clicking Essential G/L Accounts Part 1 causes the initial screen for the video to appear to
the right of the Video Library list.

To view the video, click the Play button.

Using Product Resource Pages


Many Yardi products and modules have a dedicated Product Resource page that displays resources
pertinent to that product. Links to these pages appear in the Product Resources menu. These pages
are useful for browsing resources associated with a product or module.

Product Resource pages use the same filter and search features as the Document Library. For more information about
these features, see “Finding Documents in the Document Library” on page 6.

To use a product-resource page to find a resource


1 From the Product Resources menu, select the menu item for a product.

The screen for that product appears, with a list of resources. Client Central sets the Product filter and,
if your selection was a module, the Module filter.

EXAMPLE Selecting PAYscan displays the PAYscan Software Resources page with the Product set
to Procure to Pay (P2P) and the Module set to PAYscan.

2 To further limit the results, type a few characters, a word, or a phrase in the Search field.

EXAMPLE Typing 12 limits the results to documents with “12” in the title, like release notes for
PAYscan Plug-in 12.

3 Change the Type selection to view different types of resources for the product.

For more information about the Type filter, see “Document filter” in the table in “User Interface” on page 3.

EXAMPLE Selecting Archived Manuals limits the display to earlier revisions of PAYscan
documentation with “12” in the title.

Using Site Search


You can use the Site Search feature to find documents, videos, and web pages. The search features
associated with the Document Library and Video Library find only those resources stored in the Docu-
ment Library and Video Library, but Site Search finds any kind of resource from anywhere on Client
Central.

To use Site Search to find a resource


1 In the Site Search field that appears near the top right of the Home page, type a word or phrase
and then either press Enter or click the magnifying-glass icon at the right end of the field.

Client Central displays the search results, which may include both documents and videos.

2 If you want to limit the display by category, click an item in the Categories section.

Category options are the same as the Type options described in “Document filter” on page 4.

3 If you want to limit the display by type or module, click items in the Products and Modules sec-
tions.

4 If you want to view only web pages pertinent to the filter and search criteria, click items in the
Pages section.

This section describes how to add and edit Client Central user records, and how to add and edit user-
group records.

Client Central users who are members of the Admin group can add and manage users.

By default, menu security for the Admin group includes access to the User Management menu and its three menu
items: Groups, User Management, and User Profile. Group settings are configurable, so members of other groups
may also have access to the User Management menu and all or some of its menu items.

Adding and Editing User Records


Each person with access to Client Central must have a user record. The user record contains the user’s
name, email address, and phone number, and identifies the user as a member of a user group. Group
membership determines which menu items the user can see and use. (If the menu or menu item is vis-
ible, it is usable.)

For information about adding and editing groups, see “Adding and Editing Groups” on page 17.

This section describes how to add and modify user records.

To add a user
1 From the User Management menu, select User Management. The User Management screen
appears, listing existing users sorted by Group.

If you do not see a User Management menu or menu item, you are logged in as a member of a group that does not
have access to that menu or menu item.

To sort by a different category, click the column heading for that category. For example, to sort by last name, click
Last Name. Clicking twice sorts in reverse (Z, Y, X instead of A, B, C).

2 Click +Add User. The User Management Detail screen appears.

3 Complete the screen.

The Group setting determines which menus and menu items the user can see and use. For information about
adding and editing groups, see “Adding and Editing User Records” on page 15.

4 Select Active to indicate the user should be able to access Client Central.

5 Click Save.

To edit a user
1 From the User Management menu, select User Management. The User Management screen
appears.

To change the sort order, click a column heading. For example, to sort by last name, click Last Name. Clicking twice
sorts in reverse (Z, Y, X instead of A, B, C).

2 If you want to make the user inactive, clear the Active check box.

3 If you want to change the text of another field, do so.

4 Click Save.

Adding and Editing Groups


Each Client Central user record associates the user with a group. Group membership determines which
menu items the user can see and use. (If the menu or menu item is visible, it is usable.)

Client Central has six Default Groups, which, like any other group, you can edit and even delete.
Default Groups, however, have one unique characteristic: you can return them to their original menu-
security settings. The following table shows the original menu-security settings for these groups.

Black Group has access to menu and all menu items.

Gray Group has access to menu and some menu items. To see the specific menu items group mem-
bers can access, view the Menu Security tab for the group. For instructions, see “To edit or delete a
group” on page 21.

White Group does not have access to menu, which does not appear, or to any of the menu’s menu
items.

For information about resetting all or individual Default Groups to their original security settings, see
“To edit or delete a group” on page 21.

This section describes how to add and modify group records.

To add a group
1 From the User Management menu, select Groups. The Group Management screen appears.

If you do not see a User Management menu or a Groups menu item, you are logged in as a member of a group
that does not have access to that menu or menu item.

2 Click Add Group. The Group Management Detail screen appears.

3 Complete the Name and Description fields.

The system completes the remaining fields. The Menu field is for future development.

4 Click Save. Users and Menu Security tabs appear at the bottom of the screen.

Because a new group has no members, the Users tab is empty.

5 Click the Menu Security tab.

6 Select the menus that should be accessible to members of this group.

7 If you want to make some menu items from an accessible menu inaccessible, clear the check boxes
for those items.

Clicking the triangle to the left of a menu expands the selection to show that menu’s available menu items. For
example, to view the available menu items for the Cloud menu, click the triangle to the left of Cloud. The preceding
graphic shows the menu items for the User Management menu.

EXAMPLE To make the User Management and User Profile menu items accessible on the User
Management menu, but the Groups menu item inaccessible, select the User Management menu
and then clear the Groups menu item.

To edit or delete a group


1 From the User Management menu, select Groups. The Group Management screen appears.

If you do not see a User Management menu or a Groups menu item, you are logged in as a member of a group
that does not have access to that menu or menu item.

2 If you want to reset all Default Groups to their original menu-security settings:

This feature does not affect user-created groups.


If you deleted a Default Group, this feature re-adds it.

a Click Rebuild Default Groups. The system asks you to confirm the command.

b Click OK. The system displays a confirmation.

3 If you want to reset a specific Default Group to its original menu-security settings:

You cannot reset a user-created group.

a Click the edit button for that group. The Group Management Detail screen appears.

b Click Rebuild Default Group. The system asks you to confirm the command.

c Click OK. The system displays a confirmation.

4 If you want to edit the name or description, or change the menu-security settings for a group:

a Click the Edit button for that group. The Group Management Detail screen appears.

b Change the Name or Description field, or change settings on the Menu Security tab.

c Click Save.

5 If you want to delete a group, click the Delete button for that group.

You cannot delete a group that has members. If you want to delete a group that has members, edit the member
records to assign the members to different groups. When no members remain in the group, the delete button
appears.
