Before You Start
Introduction
This user guide describes Cars Plus, the new rental car reservation module
integrated in Amadeus Selling Platform. It explains how to use Cars Plus from an
end-user point of view.
Audience
This user guide is intended for travel agents who use Cars Plus to book rental
cars for their corporate or leisure travellers.
Prerequisites
To benefit most from this guide, you should be familiar with Amadeus Selling
Platform.
Objectives
After you have read this guide, you will be able to:
• Search for car rental providers close to an airport or city, an address or a
landmark
• Compare car rental offers
• Choose and book a car, using either corporate or prepaid leisure rates
• Issue an e-voucher
• Modify or cancel a car reservation

What Is Amadeus Cars Plus?
You access Amadeus Cars Plus by clicking on the Cars Plus module .
Corporate Rates
Corporate rates are intended for corporate customers and provide reliable, real-
time car rental information as well as easy booking with instant confirmation.
These rates are particularly flexible when you have to modify or cancel a booking.
Searching for these rates is described in How to Search for Corporate and/or
Leisure Rates on page 15.
ACRISS Code
An ACRISS code is a four-letter code that allows you to specify any combination
of category, type, transmission/drive and fuel/air conditioning. This is the most
detailed search option when searching for a rental car.
You can use up to five 4-letter ACRISS codes during a search, with each one
separated by commas. You can use * as a wildcard. Example: ECMN,CC**

Pseudo Code
Pseudo codes are used to group sets of car features to make a more specific
search of car types. One pseudo code can be selected from the pseudo code
drop-down list. Example: All hybrid vehicles.

IATA Codes
An IATA code is a unique three-letter code that is used to identify an airport or
city. The codes are assigned and governed by the International Air Transport
Association (IATA).
In Cars Plus, you can easily find car rental stations within a city or around an
airport without any prior knowledge of IATA codes, just by entering the name.

Point of Reference
A point of reference or landmark is a building, monument, or any other type of
landmark considered important enough to be used as a criterion when searching
for car rental stations. Each point of reference is assigned to a category
according to its nature, for example, an airport, a university, a sports stadium, or
a tourist attraction.
In Cars Plus, you can search for car rental stations that are less than a certain
distance from a point of reference in the Address/Landmark search option.
The graphical user interface of Amadeus Cars Plus is designed to guide you
through the complete booking flow.
Arrows at the top of the screen represent the consecutive steps of a car
reservation and show you where you are in the booking process at any time.
The booking flow for a typical car booking consists of the following steps:

For prepaid rates, fill in the payment details in the Payment page.
To confirm the car reservation, you now need to go to the PNR module and enter
all required PNR elements (Contact, Received From, etc.) and then save the
PNR.

Click on the Cars Plus module to search for and book rental cars.

Note: If you enter a location that is not found, you cannot use this search
option. Use the Landmark/Address option instead.
3. If you want to search only in a specific area, select an area from the list.
Example: 'East of city centre' for a city or 'Terminal' for an airport.
If no area is selected, all areas will be included in the search.
3. Enter the radius around the selected landmark or address within which you
want to search for car rental stations.
3. Select a rental station from the list or map, then click on Choose Station to
save the selection and return to the Search page.

Pseudo Code
Pseudo codes regroup sets of car features and allow an easy selection.
Select this option, then select one pseudo code from the list. Example: All
hybrid vehicles.
ACRISS Code
An ACRISS code is a four-letter code that allows you to specify any
combination of category, type, transmission/drive and fuel/air conditioning.
This is the most detailed search option.
Select this option, then enter up to five 4-letter ACRISS codes, separated by
commas. You can use * as a wildcard. Example: ECMN,CC**
If you are not sure about a code, click on to display a comprehensive list
of codes.

Repeat these steps for any other rate or discount you want to search for.
For each car provider, you can enter the following maximum number of discounts:
• Any combination of up to four corporate discounts, customer IDs and
frequent traveller numbers. Example: three corporate discounts and one
customer ID)
• One promotional code, one inclusive tour code and/or one rate code
Note: If profiles are active, the availability displays can either show policy-
compliant cars only, or show all available cars, but highlight the ones
that are policy-compliant. Refer to How to Recognise Preferred Cars in
the Availability Displays on page 43 for more information.

To display more information on car provider and policies, click on the logo or the
address link of a car provider.
To display more information on rate rules, rate details and policies, click on a rate
or on a Conditions link.
To book a car from this display, click on Book next to the rate you want to book.
The Traveler page is displayed, allowing you to continue with the booking. Refer
to Entering Traveller and Payment Details on page 28 for details.

• Aerial view
Click on Aerial in the navigation bar to display an aerial photograph of the
location.
- Click on one of the arrows on the compass to scroll the map into
that direction.
• Zoom in and out
Click on and to zoom in and out by one level. Alternatively, click and
hold down your mouse button to zoom continuously.
Double-clicking on the map also lets you zoom in by one level.
The bird's eye view only provides two zoom levels.
• Maximize the map
To see more of the map, you can:

How to Check Rate Rules, Rate Details and Car Provider Policies
To display more information on a car provider's policies, click on the logo or the
address link of a car provider in any of the results displays.
To check rate rules, rate details and policies, click on a rate or on a Conditions
link in any of the results displays. In the window that appears, click on the Rate
Details, Rate Rules or Policies tab to display more information.
Click on to display the filter options, then select or clear the options. The list of
car rental offers is immediately updated. Click on to hide the filter options.
The filter settings are applied in all three views: Listing View, Category View and
Map View.
To add a rental car offer to the Preview panel, select the check box to the left of
the offer description in the Listing View, Category View or Map View.

To remove an offer from the Preview, clear the check box in the main view or
click on in the Preview.
To compare all the offers in the Preview, click on Compare. In the window that
appears, click on to print or on to email the details of all the offers.

information.
2. Fill in any other fields if required. For help about a specific field, place the
mouse over the field to view the tooltip.
3. Click on Confirm.
When the booking is successful, the Confirmation page is displayed, showing the
car provider's confirmation number.
Note: You now need to enter all required PNR elements (Contact, Received
From, etc.) and then save the PNR.

information.

A car element is added to the PNR and displayed in the PNR summary:
• COR for a car booking with a corporate rate.
• LEI for a car booking with a prepaid leisure rate.
If you created a new traveller during the car booking, a Name element is also
added to the PNR.
Note: To confirm the car reservation, now save the PNR.
2. Click on the links in the PNR entry screen to complete the PNR with any
remaining mandatory elements.
- Contact element
- Received From element
- Ticketing Arrangement element
3. Click on next to the Save icon and select the ET or ER option to end
transact the PNR and confirm the reservation.
The PNR is assigned a record locator which you can use to retrieve the PNR
if required.

Post-Sales Actions
Once you have completed your car booking, you can issue an e-voucher or
modify or cancel the booking.

• Confirmed booking
If you have saved the PNR after you have made the car reservation, the
booking is confirmed.
Note: Before you cancel a confirmed car reservation, make sure that you
have read the car provider's cancellation policies to check if any
penalties apply.
To cancel a confirmed car reservation:
1. Retrieve the PNR if it is not yet open.
2. Select the car segment and click on the arrow next to to open the
Cancel window.
3. To cancel just the selected car segment, select the Cancel Element(s) -
XE check box.
To cancel the whole itinerary, select the Cancel Itinerary - XI check box.

How to Use Profiles and Policies with
Cars Plus
Using profiles with Cars Plus helps you at the following stages in the booking
process:
• Search criteria are prefilled with traveller preferences.
• The car availability displays can be biased to show cars that comply with
company and agency policies and traveller preferences.
• Traveller information and contact data are prefilled in the Traveller page.
Payment information is prefilled in the Payment page. Email addresses are
prefilled when you send an email.
Company Profiles
Company profiles contain information about the company, for example, contact
details, billing address and details, account information and corporate travel
policies.
A company profile can be linked to other company profiles within the same
organisation structure, and inherit travel policies.
Traveller Profiles
A traveller profile contains information related to one specific traveller, such as
contact information, passport details, frequent flyer number and travel
preferences. For Cars Plus, travel preferences can include preferred providers,
discount codes and vehicle types.
Traveller profiles can be associated to company profiles.
When a customer is travelling for business purposes, Cars Plus allows you to
combine the travel policy stored within a company profile with the individual
traveller's personal preferences defined in the traveller profile.
Agency Profiles
An agency profile contains your agency's contact information and travel policies
that you can apply when you perform a search.
An agency profile can be linked to other agency profiles within the same
organisation structure, and inherit travel policies.
Travel Policies
A travel policy is stored within a company or agency profile and consists of a set
of booking rules. The booking rules that are applied when you search for rental
cars depend on the person who is travelling, the reason for the trip, the
destination, and the presence of any preferential rates for example.
Each travel policy can be assigned with a level of priority: the lower the number,
the higher the priority.
• Only one traveller profile per PNR can be retrieved. If there are multiple
passengers in the PNR, the profile of the first traveller who has an active
profile is retrieved.

The Profile and Policy box will also be displayed on the right-hand side of the
Search page.
Availability Display
- In Policy
Select this option if you want to display only cars that match company
and/or agency policies. Traveller preferences are only taken into account
if they comply with company and/or agency policies, or if a car provider is
defined but no policies are found at company or agency level.
- All Options
Select this option if you want to display all available cars, and highlight
which cars comply with company or agency policies and traveller
preferences.
- No Policies
Select this option if you want to see an unbiased display, without applying
policies and preferences. All available cars will be displayed, without any
policy information.
Trip Reason
The trip reason determines if company policies should be applied or not in the
search (In Policy or All Options display).
- Business
If you selected In Policy, the company policies take priority over agency
policies and traveller preferences when the system searches for available
cars. Agency policies and traveller preferences are only shown if they
comply with company policies.
If a car provider is defined at company level, but if some criteria, such as
vehicle type or discount number, are not defined, Cars Plus will first look
for agency policies and then for traveller preferences.
Example: Hertz is defined at company level as preferred car provider.
There is no preferred vehicle type at company or agency level, but EC**
is defined at traveller level. The availability display will only show Hertz
cars with vehicle type EC**.
If you selected All Options, the recommendations from company and
agency profiles and from the traveller preferences will be highlighted.
If you retrieved a company profile, the default trip reason will be
Business.
If you retrieved a traveller profile which is associated to a company
profile, the default trip reason will be Business but can be changed to
Personal for example.
- Personal
An existing company profile will not be considered as the traveller does a
private trip. Only agency policies and traveller preferences are checked.
If you selected In Policy, the agency policies take priority over the
traveller preferences. Traveller preferences will only be shown if they
comply with agency policies, or if no agency policy is found.
If you selected All Options, the recommendations from the agency
profiles and from the traveller preferences will be highlighted.
If there are other trip categories in the retrieved profile (Conference or
Training, for example), these are also available for selection in the Trip
Reason field.
5. Click on Search to search for available cars.
The Cars page is displayed, showing available cars that match your search
criteria and your display settings.

Note: Each time you change settings in the Profile and Policy box, you
have to click on Search again to update the display.
6. Continue with your booking process as usual.

The Rules and Traveller Preferences window is displayed, showing the policies
and preferences stored in the loaded profiles: all traveller preferences are
displayed but only the company and agency policies that are relevant to the
location and date are shown.

Listing View
A column is added to the Listing View that helps you identify which cars are within
company and agency policies and which cars comply with the traveller's
preferences.
To display more explicit policy information about a car, place the mouse over the
policy icons.
Category View
If you want to check in the Category View if a car complies with the policies, place
the mouse over the car to open a pop-up window with summary policy
information.
Map View
If you want to check policies from the Map View, place the mouse over a car to
open a pop-up window with summary policy information.

In Policy Display
If you select In Policy in the Profile and Policy box and then click on Search, only
cars are displayed that fulfil at least one policy in the company or agency profile.
The rules are as follows:
• Business trip
Company policies take priority over agency policies. A car is displayed in the
Cars page if it meets at least one rule in the company policies.
Agency policies and traveller preferences are only shown if they comply with
company policies.
If a car provider is defined at company level, but if some criteria, such as
vehicle type or discount number, are not defined, Cars Plus will first look for
agency policies and then for traveller preferences.
Example: Hertz is defined at company level as preferred car provider. There
is no preferred vehicle type at company or agency level, but EC** is defined
at traveller level. The availability display will only show Hertz cars with vehicle
type EC**.
• Personal trip
An existing company profile will not be considered as the traveller does a
private trip. Only agency policies and traveller preferences are checked.
A car is displayed in the Cars page if it meets at least one rule in the agency
policies.
Traveller preferences will only be shown if they comply with agency policies,
or if no agency policy is found.
No Policies Display
If you select No Policies in the Profile and Policy box, all available cars are
shown, without applying policies and preferences.
No profile and policy information is displayed in the availability displays.
Depending on which view settings you chose in the Profile and Policy box, you
can use the following filter options to further narrow down the search results in
the display:
• You selected 'In Policy' in the Profile and Policy box:
You can only apply the in-policy filters.
• You selected 'All Options' in the Profile and Policy box:
Any of the policy filters can be applied to the display.
• You selected 'No Policy' in the Profile and Policy box:
Policies were not applied in the search. Therefore the Policy filter option is
not available.
Note: The filter settings are not saved. You need to reapply them after you
have performed a new search.

Suggestions from the active traveller, company or agency profile are grouped
per profile.
Note: If the PNR has already been saved (EOT) and a record locator
exists, you cannot add new passengers, so you do not need to
display the suggestions from the profile.
2. When you have completed the traveller details, click on Go To Payment to
display the Payment page.
3. Enter the payment details, if required, to complete the reservation.
If you select Credit Card as form of payment, you can select one of the credit
cards already defined in the profile or PNR from the list of suggestions, or you
can enter a new credit card.
4. Click on Confirm to complete the booking process.
Refer to Entering Traveller and Payment Details on page 28 for more information.
