CHAPTER 1

THE PROBLEM AND ITS BACKGROUND

A. INTRODUCTION

In today’s modern age where computer has become a way of life, it is evident that a
majority of the country’s business still do not adapt the high technology. Particularly
in most enterprise, daily transactions are done in paper. Modern enterprises are now
operating at great pace striving to serve and satisfy as many customers as possible with
the best their abilities. A point of sale system allows a business owner to have more
than one business location and adequately keep track of transaction at each without
being present. Point of sale system take care of those problems when management is
not present. A POS (Point-Of-Sale) system is a computer system typically used to
manage the sales in retail stores. It includes hardware components such as a computer,
a bar code scanner, a printer and also software to manage the operation of the store.
(Shadid, 2016).

Pick ‘n Pay in South Africa and leading fashions brands such as Prada in Europe. The
software offers a full-range of integrated commerce solutions across a number of
selling touchpoints, includes an award-winning that can operate in any retail and
hospitality format, deliver a point of service wherever required: tablet, kiosks, weigh
scales, self-checkout, support multiple languages, date and time formats, and
currencies, allow language to be set based on a store’s preferred language, be
configured to a prompt customers to select language of their choice, deliver a common
brand experience appropriate for the geographic location (PCMS). Ravi (2014) pointed
out that manual sales systems are time consuming. It is very tedious in paper work and
data processing. In an early age when the most of the enterprises are still using the
manual system in these sales they have encountered so many problems and this is
because of the process of the existing system is too slow and too long. (More, 2013)

To overcome the deficiencies of manual system, many enterprises have automated their
point of sale system. This system is used to track or monitor the transaction and sales
report. With an automated system, business rely on computers to do tasks that were
once performed manually, such as reports and product sales. Automated sales process
can be handled in a timely manner and also be more accurate and reliable than ever
before (Hartman,2015). It provides greater accuracy and more flexibility in the types
of information and reports that can be generated by the system. Point of sale system
have replaced traditional cash registers, largely for functionality reasons. POS systems,
as they are sometimes called, are relatively easy to use and help provide valuable data
for important decision makers. In order to keep up with the record keeping needs of
small and midsized business, a good point of sale system is a must (Carter,2013)

RERB Enterprise is the subject of this project. The business is located at Panapaan
Bacoor City. The business was started in the year 2006 and the owner is Mr. Rhey R
Bucag. The enterprise has a huge number of a customer but it has also increased
problems due to manual system in sorting the information of the service. This study is
concerned in converting the manual sales of the company into a computerize sale
system to ease out the problems. Thus, by enhancing the process the transaction will
become efficient, fast, and accurate through the aid of computer, the store may certainly
increase its production and can compete with other enterprises.

The proponents choose to create a system for RERB Enterprises to help the
company to be on top and align with the fast-growing enterprise in the province, to
promote quality of service, and avoid waste of time. The proponents will develop a
computerized-based system that will minimize all paper works and manual records
keeping, therefore allowing owner and staffs ease in keeping track of customers
transaction, reducing customer’s waiting time for payment and increasing the number
customers

Organizational Background

The RERB Enterprise is a sole preparatory business. The RERB Enterprise have
(2) two branches in Cavite, located at Malagasang and Bacoor.
Mr. Rhey B. Bucag is the owner of the RERB Enterprise. It was established year 2006.
They have (20) Twenty employees in the enterprise..
The aim of this enterprise is to give satisfaction in selling of goods to the customers.

Project Constraints

The constraints of the developers in developing the project were the developers’
lack of knowledge in window-based system and the lack of time given to them in order
to create the system that meets the project beneficiary needs.

C. PROJECT GOAL

The developers’ goal in creating this project is to improve the RERB Enterprise in
terms of service, sales reports, and transaction. To easily update the product’s information
and to organized the payment which can produce precise receipts to customers that leads
to better transaction.

D. PROJECT OBJECTIVE

Project Overview

The RERB Enterprise is a transaction processing system that provides window based

transaction, First the administrator and the manager manage each records., employees

account, point of sale, supplier information system, category of products, items and sales

reports. Next, the staff will manage the incoming products by the supplier. And lastly, the

cashier will manage the transaction or the point of sale.

E. SCOPE AND LIMITATIONS

This window-based platform will have following important features that will be
defined as the scope of the proposed system. First is the Administrative Module
allowing the business administrator to manage sales, products, services, and prices.
The administrator is the only authorized user of the system who can access all the
features of the proposed POS software. It will have a database that can be updated
and maintained by the administrator. Followed by the Manager Module allows the
manager staff to manage sales reports, view list of sales, view customer records and
customer transactions. And finally, the Cashier Module allowing the cashier to view
customer statistics, customer complete details, record payments, manage fees and
customer ledger.

The following is the limitations of the system. The proposed system is not capable
in using barcode reader to capture and read information contains in a barcode of
each products. The online payment feature is only limited to cash payment and
cheque payment, credit card payment is not included. The system is not also capable
in using SMS technology to notify administrator in returning the products. Also,
the study is only limited to what the RERB Administrator told the developers. It is
prohibited for the developers to include features on the system which the
administrator does not want. Maintenance and development of the proposed system
will be in the care of the developers.
