This chapter provides an overview of research on knowledge sharing and it
introduces the framework for the case study that compromises the main focus of the
research. This presents the related literature and generalization, the local and foreign. It
is the discussion of the similarities and differences of each related system to the
capstone project and record management system of the students.

Related Literature

Records are evidence of what an institution does. The evidence captures the
institution's activities and transactions and are assets. Effective records management
ensures that the information of value and importance is retrievable, authentic and
accurate. Records come in many different forms: paper, electronic, websites and
databases. Files can contain memos, contracts, emails, digital images, reports, and
graphics among others. Files can reside in file drawers, on desktops, servers and flash
drives.

Records and the information contained in them are everyone's responsibility!


Each employee has an important role to play in protecting the students and ensuring its
future by creating, using, organizing, retrieving and disposing of records according to
established guidelines.

MySQL

(Pratt, 2012) said that SQL provides users with the capability of querying a relational
database. However, you must enter commands to obtain desired results rather than
complete an on-screen from as you do in Access and QBE, SQL uses commands to
create and update tables and to retrieve data from tables. The commands used to
retrieve table data are usually called queries. There are several ways to interface with a
MySQL database server to access and manage your database, including MySQL
monitor, phpMyAdmin, and PHP database functions.

Many database-driven websites that use MySQL also use a Web scripting language
like PHP to access information from the database. MySQL commands can be
incorporated into the PHP code, allowing part or all of a Web page to be generated from
database information. Because both MySQL and PHP are both open source (meaning
they are free to download and use), the PHP/MySQL combination has become a
popular choice for database-driven websites.

Database

A database is a collection of information that is organized so that it can be easily


accessed, managed and updated. Data is organized into rows, columns and tables, and
it is indexed to make it easier to find relevant information. Data gets updated, expanded
and deleted as new information is added. Databases process workloads to create and
update themselves, querying the data they contain and running applications against it.

Database Management System

(Mannino, 2008) said that database is a collection of components that supports the
creation, use and maintenance of database. Initially DBMS provided efficient storage
and retrieval data.

DBMSs have evolved to provide abroad range of features for data storage,
dissemination, maintenance, retrieval and formatting. The evolution of these features
has made DBMSs rather complex. It can take years to study and use to know the
particular DBMSs.

The DBMS is perhaps most useful for providing a centralized view of data that can be
accessed by multiple users, from multiple locations, in a controlled manner. A DBMS
can limit what data the end user sees, as well as how that end user can view the data,
providing many views of a single database schema. End users and software programs
are free from having to understand where the data is physically located or on what type
of storage media it resides because the DBMS handles all requests.

IMS (Information Management System)

(Heidarkhani, 1968) IMS is a database and transaction management system that


was first introduced by IBM in 1968. Information Management System is a general term
for software designed to facilitate the storage, organization and retrieval of information.
Since then, IMS has gone through many changes in adapting to new programming tools
and environments. IMS is one of two major legacy database and transaction
management subsystems from IBM that run on mainframe MVS (now z/OS) systems.
The other is CICS. It is claimed that, historically, application programs that use either (or

both) IMS or CICS services have handled and continue to handle most of the world's
banking, insurance, and order entry transactions. is basically concerned with the
process of collecting, processing, storing and transmitting relevant information to
support the management operations in any organization

Complete Student Information System

The software has complete database system, but there are some other panels
in the software that the user can develop by you like staff registration panel etc. He
develops this software to help our student association in India-Hyderabad. The TSAH
SIS used the Visual Basic 6 platform, Microsoft Access for the database and Crystal
Report v8. T for printing of reports. It allows the user to search, delete and view the full
profile of the student. The Staff Registration Panel and the Graduates Student
Information Panel are under maintenance.

Community resources, Credit recovery and an Anti-bullying article.

Student Management System-PHP

Student management system is a sleek web database application that is very
responsive and runs seamlessly on a wide range of devices. With this system school
administrators can easily manage students marks, attendance records and courses.
You can generate reports with system and be able to analyze or export as CSV data or
print. You can also import CSV data on the go and get started with your application
quickly.

Synthesis

Similarities and differences between the related researches and build system are
herein discussed. Our system entitled Guidance Recordkeeping System provides
appropriate information that will secure access to information system anywhere. The
proponents gained additional knowledge on how to accomplish the system conceptually
and operationally. The researchers used a database to increase the efficiency of
registration procedures. They also used it for purposes such as storing records or
information of students and access in manipulating data in an easy way.

Locally, there are proposed systems at different institutions to help improve
efficiency and productivity of work to shorten processing cycle. Example are the
guidance information system of Sibugay Technical Institute, and the Student Guidance
System of Memorial State College Fortune Towne Campus. Data are transferred to one
process to the other, which shorten the length of time in process. Data security is also
guaranteed because the system only allows access to authorized users. It also provides
a better tracking of history.
