CHAPTER II

ORGANIZATION AND MANAGEMENT

This chapter presents the form of business, name of the business, business logo,

vision, mission, goals and objectives. The organizational structure, job title, job

description, staffing requirements, salaries, wages and benefits and project schedule

are integrated.

Form of Business

The propose business choose sole proprietorship as their form because it will

owned by one person since it is the simplest type of business to start and is the least

regulated form of organization.

Name of the Business

The propose name of the business will be Nutri-Delights House that offers a

nutritious polvoron name Polvoringa. Polvoringa came from the word “polvoron” and

“moringa”. Moringa Oleifera is the scientific name of malunggay. Every business should

have a business name to serve as an identity to the market.

Business Logo

Our business logo is simple yet quickly catch viewers or customer’s attention and

communicate a company’s core values uniquely. It provides the kind of image no other

attribute of the propose business can provide.

The Nutri-Delights House choose business profile logo serves as a trademark of

Polvoringa malunggay polvoron. The proponents use circle shape because it

symbolizes continuous and extensive cycle of business. Also, they put polvoron in the

middle part as the main product of the business. The malunggay leaves in the

background represents the main ingredient of the polvoron. Also, the green background

represents the color of life, nature, freshness and safety of this product. Since

malunggay has a healing power and color green is the most restful and relaxing color

for the human eye to view.


Vision, Mission, Goals and Objectives of the Business

To continuously penetrate to the market, each business must have a vision,

mission, goals and objectives to create awareness and opportunities to attain success.

Thus the proponents identified it as stated below:

Vision

The company envisions of becoming one of the leading brands of Polvoron

Nationwide.

Mission

The company’s mission is to satisfy the needs of the customers for producing a

healthy quality product at a reasonable price.

Goals and Objectives

1. To establish business that will gain profit and ensure its competence in the

market.

2. To provide quality product to fill the satisfaction of customers.

3. To contribute progress to the community by providing employment and by

paying taxes.

Organizational Structure

Under this study, the proponents would like to create and take a simple

organization into effective and efficient business structure.

In business, there must be specific task to assure daily operations that carried

out efficiently and effectively. Manpower is one of the most important factors to consider

in venturing business in order to provide good working conditions.

Position: Manager

Job Description: The manager of the business will be the one responsible for the

overall operation and supervision of the business. He or she manages business and

direct, coordinates and evaluate the performance of employer’s work, responsible for

maintaining the good business relationships and customers. Handle financial systems,

inventory and financial budget.


Job Qualificatons

1. Must be 25 years old and above; male and female;

2. Must be at least a Bachelor’s degree in Business Management or any related

course;

3. Must have experience in managing production company;

4. Must be excellent in oral and written communications;

5. Must be patient and hardworking; and

6. Must not be engaged in any form of gambling and any vices.

Duties and Responsibilities

a. Responsible for the efficient and effective operation of the business;

b. Formulates, implements and monitor policies to maximize revenue and minimize

operational cost;

c. Responsible for marketing the product;

d. Responsible for leading or coordinating the strategic plan of the company;

e. Responsible to command and give advices to his/her employees; and

f. Responsible of interviewing hiring and firing employees.

Position: Bookkeeper

Job Description: The bookkeeper is responsible for the running the accounting and

financial activities of an organization. Analyze the economic stability of the company

and provide financial information to other departments, enabling these departments to

make budgeting and investment decisions.


Job Qualifications

1. Must be 25 years old and above; male and female;

2. Must have a degree and experience in the financial field;

3. Must have negotiable skills, analytical mind and ability to develop strong working

relationships;

4. Must have good communication skills both written and verbal; and

5. Must not be engaged in any form of gambling and any vices.

Duties and Responsibilities

a. Records the daily business transaction;

b. Prepares payroll every 15 and 30th of the month;

c. Responsible for posting journal entries to ledger accounts;

d. Responsible for preparing trial balances and financial reports; and

e. Handles bank deposits and prepares files for local taxes.

Position: Production Worker

Job Description: People who responsible in all the products to be made and to be

served. The production worker who work on a production line in a manufacturing

environment and perform a variety of duties to ensure production are need for an

organization.

Job Qualifications

1. Must be a senior high school graduate;

2. Must be 18 years old and above; male and female;


3. Must be neat and flexible;

4. Strong work ethic and organizational skills;

5. Physically able to work under pressure; and

6. Must have the ability to follow instructions.

Duties and Responsibilities

a. Responsible in the production of Polvoron Malunggay;

b. Assemble good on production lines;

c. Organizing the storeroom;

d. Responsible for the cleanliness of the production area; and

e. Pack goods to be sold.

Position: Cashier

Job Description: The cashier is responsible in getting customer’s payment in the form

of cash, check and credit card in exchange of the product they purchase.

Job Qualifications

1. Must be a senior high school graduate; female;

2. Must have the ability to handle transaction accurately and responsibly;

3. Must know the basic math and computer skills;

4. Must helpful and courteous approach to resolving complaints;

5. Must be honest and have pleasing personality; and

6. Must not be engaged in any form of gambling and any vices.


Duties and Responsibilities

a. Take the customer order;

b. Receives cash payments from customers;

c. Ensure balance of the register at the end of the shift or working hour;

d. Responsible to prepare daily sales report; and

e. Prepares cash to be deposited.

Position: Salesperson

Job Description: People who sells goods and services either in a shop or directly to

customers on behalf of a company.

Job Qualifications

1. Must be a senior high school graduate;

2. Must be 18 years old and above; male and female;

3. Excellent in selling, communication and negotiation skills;

4. Good in advertising and have a pleasing personality;

5. Must be honest, patient, hardworking and trustworthy; and

6. Must not be engaged in any form of gambling and any vices.

Duties and Responsibilities

a. Welcomes customers by greeting them; offering them assistance;

b. Present, promote and sell products or services using solid arguments to existing

and prospective customers;

c. Demonstrate product knowledge.


Salaries, Wages and Benefit

The Nutri-Delights entitled the employees to the following benefits mandated by law:

a. 13th Month Pay

Promotes goodwill, loyalty, stability, loyalty among employees and also

provides a means of sharing some of the company’s income during the

prosperous times. The hour equivalent to the average monthly basic salary of

each employee shall be given on or before December 15.

b. Social Security System (SSS) and Employees Compensation (EC)

Contribution

SSS and EC contributions shall be based on their monthly basic salary

using the SSS payment schedule.

c. PhilHealth Contribution

PhilHealth shall be based on the monthly salary using the PhilHealth

payment schedule.

d. Leave Benefits

A day-off is given to an employee every week. An employee is entitled to

15 days sick and vacation leave every year with pay provided that he/she is an

employee of the company for at least one year.

e. Maternity Leave

A female employee is entitled to maternity leave of 60 days with pay if she

gives birth through normal delivery or 78 days if she gives birth through

caesarean section. The requirements to be submitted are: Certificate of

Employer and notification duly received and approved by SSS.


f. Paternity Leave

A male employee is entitled to 7 days paternity leave with pay when his

legal wife gives birth.

Company Policies

Company policies are defined as the program that serves as general of the business

and a basis of prompt and consistent decision of top management. It is very important

to promote discipline, order and harmony among employees, in order to achieve

effectiveness, efficiency and the operation of the Polvoringa Malunggay Polvoron.

a. Remuneration

Employee benefits include basic salaries, SSS contribution, Philhealth and

bonus. Pay day will be every 15th and 30th day of the month.

b. Case of Disciplinary Actions

 Tardiness. Employees shall strictly follow their scheduled time of

reporting to work. Tardiness applies when the employee reports for work

in 15 minutes after the start by the schedule. Accumulated tardiness and

absences shall be subject to salary deduction.

 Absence without Official Leave (AWOL). When an employee is absent

without any reason and fails to call or notify his/her immediate superior

within 24 hours, it considered as AWOL. One week suspension is the

prescribed sanction. When AWOL from work extends beyond ten working

days this shall be considered as an abandonment of work shall be

immediately terminated.
 Theft or Stealing. Any employee caught on the act of stealing, removing

or attempting to remove from company premises without authority or

permission to do so, tools, materials and or supplies owned by the

company, regardless of the condition or value of such property or caught

stealing personal belongings of co-employees shall be punished and be

subjected to disciplinary action.

Project Schedule

This part of the study shows all the activities needed to be performed from

planning up to the opening of the business.

Activity 1: Project Conceptualization

Period of Work: 4 weeks

This activity is important because the management will look into plans and

different techniques and strategies in anticipating the needs and wants of the people. It

assesses if there is a demand for the product to be offered and to ensure if the business

to be established is feasible enough and also if it has the opportunity to grow.

Activity 2: Selecting Location

Period of Work: 2 weeks

This part of the activity focuses in finding and selecting the accessible location for

the business.

Activity 3: Legal Registration and Permits

Period of Work: 3 weeks

The activity referred to the process of completing all the business legal

requirements. This includes registration to BIR, DTI, application for Mayor’s Permit and

other fees.

Activity 4: Arrangement/Supervision for Operations

Period of Work: 3 weeks


This activity focuses on the acquisition and canvass of materials and equipment

needed in the business. It also includes the arrangement of canvassing form and

transaction between the suppliers and business owners. Furthermore, this part includes

the purchasing of materials and equipment.

Activity 5: Constructing of the Stall

Period of Work: 1 week

The building of stall is the focus of this activity. It includes the planning and site

improvement and designing the stall that must be accomplished.

Activity 6: Hiring and Screening of Manpower

Period of Work: 3 weeks

This activity refers to selecting employees that suits to their skills and abilities to

work. The screening for qualified applicants is important because it ensures a quality

workforce for the business operation.

Activity 7: Market Test

Period of Work: 3 weeks

This part of the activity is the preparation for the normal operation of the

business. Testing and familiarizing with the equipment are parts of this activity. It also

involves promotional activities like distributing leaflets, flyers and outdoor advertising

through tarpaulins.
Activity 8: Grand Opening

Period of Work: onwards

This part of the activity is the operation, the grand opening of the business. After

conducting all the activities, the business starts the operation to serve and provide the

needs and wants of the customers.
