SOP FOR DEMONSTRATION TRACTORS HANDLING AND STORAGE

Invoicing of Capitalized Tractors:

1. Tractor identified for Capitalization will be stock transferred to the respective Depot from
Noida Plant.
2. If the desired variant is available in Depot then it will be invoiced from Depot.
3. The tractor will be billed / Invoiced from Respective Depot under capitalization.

Storage of Capitalized Tractors:

1. Capitalized Tractors will be stored at Depot in separate Demarcated area.

2. Maximum of 4 Tractors will be stocked at any point of time at the Respective Depot under
capitalization.
3. Area required for storage of 4 tractors will be 500 Square Feet.
4. Budget for space required will be informed by Transport logistics and borne by Marketing
head office.

Registration of Capitalized Tractors:

1. Registration of Capitalized Tractors at Local Depot level will be applied. For this purpose the
Depot address will be used.
2. Insurance of these tractors will be provided by Marketing Head office. ( As being done at
present)
3. Till the time the registration is not completed, Depot will provide Trade certificate -
Temporary registration numbers for as per season / requirement, for usage of these units in
field.

Movement of Capitalized Tractors:

1. E way bill will be provided by Depot for first movement to dealership.

2. Thereafter for movement within dealerships, E way Bill will be provided by respective
dealerships who will use these tractors for demonstrations.
3. For movement from dealership to Depot, E way Bill will be provided by last dealership using
this tractor for demonstration.

Documentation of Capitalized Tractors:

1. Invoicing of Tractor to be done at Depot.

2. Forms 21, 22 and TRC to be provided for applying Registration.
3. Insurance of these tractors will be provided by Marketing at Head office every year. ( As
being done at present)
4. Fitness and Road tax will be renewed by PMG / Field team every year and debited to
Marketing account.
5. Maintenance and repairs of these capitalized tractors will be done at CBU level in
consultation with Marketing at Head Office.
6. In the event of Accident by demo tractor, all claims will be raised locally at CBU level and
settled in consultation with Insurance & Legal team at Head office.
7. For liquidation of these capitalized tractors after 4 years ( as per legal team ), these will be
auctioned at Local CBU level.
8. The process of providing NOC to the new purchaser will be done at CBU level.
9. Delivery challan, Acknowledgment form will be arranged by PMG / Dealerships concerned
for movement of tractors.
