These guidelines are arranged following the flow of materials as they are seen by the delegates. This branding schedule provides
focal points a reference to materials to help them prioritize tasks. These guidelines are not intended to limit materials or branding
opportunities for the Annual Meeting. It serves as a guidebook to show what has been done in the past Annual Meeting, what can be
done in the upcoming Annual Meeting, and open the process of cooperation and discussion in terms of branding.
Queries on Annual Meeting logo and ADB logo application are directed to ADB Department of External Relations who is the focal

8 BRANDING GUIDELINES
The e-newsletter is sent to all invitees and registered participants. It features information on logistics, such as guidance on
visa application, hotel and accommodations, transportation from airport, and tour information for delegates as they prepare
for the Annual Meeting. The e-newsletter also features articles on seminars, topics to be discussed, and profiles of key
speakers and guests. During the week of the event, the e-newsletter features highlights of the previous day and a summary
of the day’s schedule.
The e-newsletter is issued about once a month starting early February to April, and daily during the Annual Meeting. It is
produced and distributed by the Annual Meeting Seminars team.
The Annual Meeting and ADB logos are found in all official Annual Meeting communications. This is an indication that
information comes from a reliable and authorized source. Unauthorized use of the logos is prohibited.

The Department of External Relations coordinates international media participation in the Annual Meeting. This
includes media outreach coordination to promote the Annual Meeting; invitation and registration of international and
local media; and media partnerships with regional and international media.
EXTERNAL BRANDING
AIRPORT
The airport plays an important role in the branding of the Annual Meeting. Effective branding at the
airport provides an impression that the country gives due importance to hosting the Annual Meeting.
The minimum branding for the airport are welcome signs and banners in the following areas in order of
importance: 1) baggage claim, 2) arrival gate, 3) transport areas exiting the airport (pick-up foyers, taxi or
bus terminals, airport train stations), and 4) departure areas.

A more comprehensive branding of the airport includes information or hospitality desks where staff
(1) welcome the participants, (2) assist the participants with inquiries relating to their hotel
accommodations and airport shuttle arrangements, (3) provide information on the Annual Meeting, and
(4) direct participants to shuttle services. A more comprehensive list of possible airport services can be
found in the e-Green Book: Chapter 2. Airport: Arrival and Departure Arrangements (section 2.1.6).
HOTELS
For ADB accredited hotels, the following are recommended: a) welcome banner at the desk or entrance,
b) transportation and information desk, and c) a shuttle bus schedule. For details on hotels, refer to
e-Green Book, Chapter 8: Hotels.

ADJOINING ESTABLISHMENTS
At times, the Annual Meeting venue is connected to adjoining retail or commercial establishments via
direct walk or bridgeway. The event provides a good business opportunity for these establishments;
delegates will naturally visit them before, during, and after the Annual Meeting. Branding in these areas
adds to the overall hospitality and atmosphere created for the delegates.

TRAIN STATION
Delegates explore the city once the business day or week is done. Branding transit and relevant transport
vehicles is another way to express the hospitality the city extends to its guests. The following are
suggestions of branding opportunities inYokohama’s internationally renowned public transport system.

External branding in the vicinity of the Annual Meeting venue is extremely important. It not only establishes
the venue as the location for the Annual Meeting but also serves to guide delegates toward the direction of
the venue.
STREET SIGNS
Street-level branding and directional signs
provide guidance to delegates walking to
the venue. This is especially important
since the venue has multiple entry points
and separate buildings. Delegates need to
be informed that they need to register first
before entering any other venue entrance.
Entering the venue from one entrance only
to be told to walk a far distance to another
to register must be avoided.
DIRECTIONAL SIGNS
Banners and streamers help brand the area and assist delegates to spot
the venue from a distance. Banners usually line the streets leading to
the venue.
DIRECTIONAL DIRECTORY
Directional directory gives directional
instructions to locations around the
venue. When possible, this is also
accompanied by a proximity map. Small
“you are here” stickers are placed on the
map to show where the material is
in reference to the vicinity.

BANNER-UPS
Banner-ups, sometimes called roll-up
banners, are used in many ways such as
office signs, welcome banners, and where
needed, additional directional signs.
BACKDROPS
Annual Meeting event backdrops are a combination of print and digital materials. Rather than print backdrops for every
event, it is recommended to print generic branded backdrops and have event titles projected on large screens.

To reduce printing of event materials, the use of digital screens within the venue is encouraged. These screens
are either used as event backdrops, event schedules, event reminders, map locators, media partners’ and
seminar sponsors’ logos, relevant videos, and live broadcast of select events.
Digital screens can either be stand-alone TV screens that can play media via USB port, an LED screen display
that is controlled by a media player, or a projected screen usually connected to a computer. These types of
screens are not centrally controlled and content is individually controlled and replaced.
IPTV screens are TV screens connected through a network that is centrally controlled through a content
management system or, at the very least, a playback system that can queue content. Content for the digital
and IPTV screens is approved by ADB Department of External Relations, while video and media content is
covered under e-Greenbook Chapter 11: Media and Outreach Activities.
Event schedule is the daily schedule of events, while event reminders are single-event notices to remind
delegates of an upcoming key event.

PROJECTED BACKDROPS
Projected backdrops are screens within
the seminar event itself. These not only
show what the ongoing event is but can
also be used by seminar speakers for
presentation materials. Some key events
use the projected backdrops to show a
close-up shot of the speakers.
STANDBY SCREENS
Standby screens are images that are
used as projected backdrops before an
event begins or as standby images on live
feeds before the broadcast starts. These
images are used to replace the usual
blank blue screens, or the standard color
bar images.

Application Guidelines
Though the layout artist is given creative license in choosing which logo variation to use, below are some basic guidelines on
logo application to ensure all materials remain consistent.
1. The ADB logo must be present in all materials at all times, either next to the Annual Meeting logo or somewhere within
the layout. When placing the Annual Meeting logo next to the ADB logo or within a horizontal layout, the scale reference is
as follows: A

2. While the Annual Meeting logo should ideally be next to the ADB logo every time, the ADB logo can appear in other
locations within the layout as well.
ONGOING EVENT
3. The Annual Meeting logo can be applied with or without the background motif, but the logo with white text cannot
be applied on any other background or image (knockout text). To apply on any other dark-colored backdrop or image the
Annual Meeting logo is placed within a white box or a box of background and motif.
4. The background color and motif can be applied without the logo to extend the branding in some areas or materials.

5. The scale reference between the icon and the motif should always be followed. To ensure the scale remains accurate,
logo files in Ai, EPS, and Tiff of all variations are available upon request. All logo file and format requests are sent to ADB
Department of External Relations.

7. The logo grid layout used for interview/photo backdrops and on the seminar backdrops must always use the vertical
with complete wordmark variation.
8. The official font of the Annual Meeting is Ideal Sans, which is an ADB-licensed graphic font. This font should only
be used in graphic applications and should not be used as system fonts on documents, presentations, memos, or news
releases.
10. Event details are placed on select materials, usually at public spaces such as hotels and airports.
11. ADB uses Adobe Creative Suites, specifically InDesign, Illustrator, and Photoshop version CS6. All ADB graphic
files can be shared upon request. For consistency, artists are requested to only use the Annual Meeting logo and font set
(downloadable from: www.adb.org/annualmeetingfiles).
