The study accessed by the BSICT 3 Students at CEBU TECHNOLOGICAL


UNIVERSITY Daanbantayan Campus, during the Second semester of the academic year
2018-2019. Changes in Information and Communication Technology (ICT) allow school
to utilize databases and application such as student data management system thus,
making the accessing of records centralized. One of the changes that came about is the
local-based application. This application improved that traditional-transaction processing
system thus, most universities prefer to the local-based system enhancement because of
its effectivity to acquire process, store and retrieve information that fast access to
database, user friendly interface, less error, more storage capacity. More over the system
is accessible to all student information. Philippine best training system colleges is still
using manual system and paper-based student information. Stop finds it tedious in
searching in preparing reports on student information also laborious due to repetition of
processes than in filling and updating of records. As main goals of the school” to generate
and disseminate and enrich the competent and effective services geared towards
efficiency and economy” the current system is inconsistent with assorted school’s main
goals.
Student Data Management System is software for which is helpful for students as
well as the school authorities. In the current system all the activities are done manually.
It is very time consuming and costly. Our Student Data Management System deals with
the various activities related to the students.

In the software we can register as a user and user has of two types, students and
administrator. Administrator has the power to add new student information and can edit
and delete a student. A student can register as user and can view his profile and print
grade. The administrator can add edit and delete marks for the student. All the users can
see the marks.

As whole, the proposed system and the existing system have a remarkable
distinction. The BSICT students are capable enough to execute such program to the
CTU Daanbantayan Campus. The difference from the manual to the proposed system
was truly beneficial to the school, faculty, student and the future researchers.

CHAPTER I

THE PROBLEMS AND ITS BACKGROUND

In this chapter we will discuss the background, purpose, problems significance,


objectives scope and limitation of the study. We will also include the theoretical and
conceptual framework that the study will be based on and different terms in related study.

Rationale of the Study

Student Data Management System deals with all kind of student details, academic
related reports, college details, course details, curriculum and other resource related
details too. It tracks all the details of a student from the day one to the end of his course
which can be used for all reporting purpose, progress in the course, completed semesters
years, coming semester year curriculum details, grade details, final exam result; and all
these will be available for future references too.

A Student Data Management System (SDMS) is a software application for


education establishments to manage student data. It is also known as Student Records
System (SRS), Student Management System (SMS), Campus Management System
(CMS) or School Management System (SMS).

In today’s generation most people use modern technologies to be able to serve


their clients fast and efficient, this make their job easier. Modern technologies not only
use by employees and professionals but also in different kind of people especially student
for their study and research.

For ICT (Information and Communication Technology) students and professionals,


they use modern technology to simplify life to help create a new technology for improving
lives within their society, seeking new ideas in order to help. The importance of technology
in society is demonstrated by use of it in our daily lives.

As for school industry, many schools turning towards automated systems whether
small or big to perform everyday task instead to manual systems because automated
system can replace the cost and time consumed in processes that their wants completed
by hand while providing companies with more accurate data.
For all schools serving their students efficiently is one of the top priorities of a
business regardless of school type. Any school whether it’s small, medium, large can
achieve in modern technology. i.e. SDMS (STUDENT DATA MANAGEMENT SYSTEM).
It is proven that using SDMS can drastically increase in school efficiency in inputting
student’s information rather than using a manual system like paper-based works as it can
serve the students.

The Cebu Technological University (CTU) Daanbantayan Campus, Cebu, is one


of the ten (10) campuses of CTU that belief in the mission of providing in effective
transaction upon the MIS for the industrial, agricultural, fishery, information
communication technology, hospitality management, engineering, education and provide
special program for advancement of technology; address efforts on the environment
problems in the area collaboration with appropriate agencies(Adopted CSCST SYSTEM,
1983).

It also believes that the role of the Student Data Management System in
responding to individual and society needs is to improve one’s quality of life which must
be founded on the respect for the diversity of interests of the students as well as for the
faculty and staff the existence of conditions for security, progress and for adaptation for
modernized technology.

Theoretical Background

Here, we will discuss about different theories about the system that the researchers
gathered to guide them for development for the propose system (SDMS).

A student data management system (SDMS) manages students record and


information. A SDMS may handle course management, scheduling, personal records,
grades/comments, room/resource management and more. They can be used to run
complex enrollment reports, admissions, course schedules, grades and more. A SDMS
helps schools manage various operations including student data. Administrative and
fundraising operations. Many SDMS are web-based allowing access from any computer
with an internet connection with no additional software installation. This management
web-based software is much more centralized and easier to keep updated. By
implementing a SDMS to manage daily school needs, teachers and administrators can
save time and have immediate access to a variety of student data. This system are
needed for all parties involved in education-parents, children, teachers, administrators
and etc. SDMS allows parents a quick and easy way to communicate with their children’s
teachers or school administration. Parents are more involved when they receive up-to-
date information about the school events, grades, school attendance, home works etc.
teachers receive automated grade-books, report, links to parent info. Student may access
assignment and grades.

THE PROBLEM

Statement of the Problem

In this study, the researchers planned to propose a Student System Information for
convenience use to Cebu Technological University-Daanbantayan Campus. There are
due problems which are identified of present manual method of keeping files and records
has been found by research to be disadvantageous which are recognize as follows:

1) Loss of files and records by theft.


2) Loss of files and records by the disaster such as fire, floods or even earthquakes
that could possibly occur without giving a chance to retrieve these files or record.
3) The old system of filling is not portable.
4) Difficulty in the search for data and information about every student.
5) Accessibility problem experienced by a staff or data administrator.
6) Difficulty in getting relationship(s) between data for an individual.

The everchanging trend in technology brought the necessity for the automation of
everything from paper-and-pen based to absolute computer domination. The
overwhelming emergence of computers paved way to easier access of information
that leads to increased production, efficiency and reliability.
Significance of the Study
Student System Information using this system school staff can store student’s
academic records, schedules, keep a check on student’s grade and take better of various
student specific data. A large-scale system can be use for taking care of various aspect
of school management. School can increase the capability of their SIS (Student
Information System) by adding various modules to the already existing system, an
institutions have to manage the huge amount of student data and it can be troublesome
sometimes due to its complex nature. Offering number of functionalities which helps
administrator to makes task easy and error free.

The main objective of this documentation is to improve the existing system of CTU-
Daanbantayan, helps to manage student data, allowing parents to be an active part of
their children’s daily academic season. Parents can check grades of their children’s,
reduces manual workload and paperwork. Generating various reports and check student
progress.

Administrators/Supervisors

With this study, it would help them to lessen their time and efforts as they find or
add student in the system or even updates regard on their academic records.

Students
Through a Student Information System, they can perceive and recognize as they
go to the MIS or Student Information System Office without going through the common
way of using a manual system and paper works.

Community
This study would contribute the community by implementing the system which is
the student information system. Such as in the other school, it is effective and efficient
to implement this kind of system which rely on the students that many schools require it.

Future Researchers
It will use to find the information needed in their study regarding about Student
Information System that they can use for their future reference. So that they have an
idea on what to do and what is the best.

The importance of computer application is increasing day by day. In
the latest decades of the Millennium winning organization are those which
are willing to integrate business strategy. The use of computer information
technology results for them to be able to develop products fast and make
decisions fast, ability to have fluid organization structures. Using
information system confirms the company’s mission vision.
Schools or Universities use information systems in the way of
implementing a Student Information System (SIS). This results for them to
make the information of every individual makes easier and hassle free.
Students are capable and feel to ease when going to the SIS office
Because the use of the said system makes the transactions faster and
easier.
“Lack of Student Information System in school or universities can
lead to havoc and agitation”. Students will be demented on what they
should do to be able to have an information data of their academic records
that is why such systems is significantly useful in the way that it gives and
ease on working on student information system processes. Student
Information System is very useful in retrieving essential information of the
students.
Foreign Literature
Information systems are increasingly being used in organizations with
the objective of providing competitive advantage. The information system is
used by organizations can be grouped into different types such as
transaction processing system, management information system, decision
support system, executive information system, expert systems and office
information system. Information technology has heralded the advent of the
information society. The information society may be a ‘virtual society’. The
concepts of the electronic classroom, the electronic office and electronic
library have been explored. Information system poses a number of issues
on society in general, including: archiving, and bibliographic control,
security and data protection, intellectual property.
WAMP5(WAMP means Windows Apache MySQL PHP) is a platform
of Web development under Windows. It allows you to develop dynamic
Web sites with Apache server, PHP5 script language, and the database of
MySQL release 5. It also possesses PHPMyAdmin and SQLite manager to
manage more easily your databases.
Windows 7 is an operating system produced by Microsoft for use on
personal computers, including home and business desktops, laptops
netbooks, table PCs, and media center PCs. It was released to
manufacturing on July 22, 2009, and became generally available for retail
worldwide on October 22, 2009, less than three years after the release of
its predecessor. Windows Vista, Windows 7’s server counterpart, Windows
Server 2008 R2, was released at the same time. Windows 7 is succeeded
by Windows 8.

RESEARCH METHODOLOGY

We individuals living in this society are challenge with a plenty of


problems such as in education, mental aspect of life,
sociophysiology, physiologic.

In orderly to solve this kind of complication, we have to make a strong


conclusion, following to methods and steps of solving the various
problems. To be able to make progress we need to conduct research.
Consequently, research is a contemplate as the process of
approaching at a dependable solution to a given problem through the
systematic collection, data analysis and interpretation of data.

Population and Local of the Study


Environment. The research was conducted at Cebu Technological
University Daanbantayan Campus, Agujo, Daanbantayan, Cebu. The
University is within the municipality located at the nethermost part of Cebu
province. Specifically, the school is situated beside the national road in
Barangay Agujo, 138 km from the Capitol Site (0 km). A map of Cebu
Province, with an inset of the location map of CTU Daanbantayan campus,
is shown in Figure No. 4

Historical Background of Daanbantayan Cebu

Daanbantayan was believed to be once ruled by a local chieftain or


Datu called Datu Daya who was known for his good deeds and bravery by
driving away invading foreigners and marauding moros. To help strengthen
his defenses, he built strategically placed watchtowers dubbed as
“bantayan” which is constantly manned by the natives/residents keeping
watch, or in the dialect “daan bantayan”, and so the present name
“Daanbantayan” originated. But before the town took on the name
Daanbantayan, it was then called Kang Daya, in brief Kandaya, named
after Datu Daya, in his honor. Not much has been known as to the actual
date of the town’s establishment but as was the custom during the Spanish
times, the friars or prayles decided to construct the church, now the Sta.
Rosa de Lima Parish Church way back in 1886, hence the establishment of
the church marked the establishment of the town as well, being at the
center of most settlements at that time. The name Daanbantayan was
derived from two words: the word "Daan" (which means "old" in the
Cebuano language, and the word "Bantayan" which refers to a place that
served as a "look-out-station" for Moro raiders before the Spaniards
obtained control of the Philippines. The original site of the town might have
been located at an elevated vantage point near Punta which is situated in
Tapilon. Some older maps and publications use both words independently
from one another, as "Daan Bantayan". In 1942, the Japanese Imperial
forces occupied in the town of Daanbantayan. Built of the Japanese military
garrisons and concentration camps here in the town of Daanbantayan. In
1942 to 1945, Cebuano guerrilla groups was fall of four year main conflicts
and insurgencies in the town of Daanbantayan and attacking Japanese.
After the conflicts, the Cebuano resistance groups goes to retreating by the
Japanese and start the liberated and the Battle of Daanbantayan on 1945
by the local Filipino forces of the Philippine Commonwealth Army units and
aiding the Cebuano guerrillas and defeats Japanese. In 1945, the
Philippine Commonwealth Army troops of the 3rd, 8th, 81st, 82nd, 83rd,
85th and 86th Infantry Division of the Philippine Army entered the town of
Daanbantayan, supported by the Cebuano guerrillas, and were attacked by
the Japanese forces in the Battle of Daanbantayan during World War II.

Respondents. There are two sets of respondents for this research. First,
we have the students of Cebu Technological University Daanbantayan
Campus who are taking Bachelor in Secondary Education – Major in
Mathematics and Technology and Livelihood Education/ Bachelor in
Elementary Education, Bachelor of Science in Fisheries, Bachelor in
Science in Hospitality Management, Bachelor of Science in Industrial
Technology – Major in Electronics, Automotive, & Comp. Tech, Bachelor of
Science in Information and Communications Technology, and Senior High
School. Secondly, we have the college professors from the different
departments of the university.
Respondents. There are two sets of respondents for this research. First,
we have the students of Cebu Technological University Daanbantayan
Campus who are taking Bachelor in Secondary Education- Major in
Mathematics and Technology and Livelihood Education/ Bachelor in
Elementary education, Bachelor of Science in Fisheries, Bachelor in
