MIHUP - Leave Policy for the Executive Staff Members

Objectives

The MIHUP – Leave Policy intends to:

1. Enable its workforce to strike an appropriate balance between personal and professional
life, fulfill their social obligations and take some time off from work to rest and relax.
2. To ensure that the organization meets all obligations as mandated by the statutes of the
states.
3. Define processes for claiming leaves and calculations of entitlements so that the policy is
workforce friendly and also ensures that appropriate checks and balances are in place to
avoid any misuse.

Effective From

The MIHUP – Leave Policy version 2017.01 is effective from 1st January, 2017.

Applicability

Entire workforce (Confirmed employees, Probationers and Trainees) of MIHUP.

Leave Year

The leave period to be considered for calculation will be from 1st of January to 31st of December
of same calendar year. All leaves would be tracked with reference to the Leave Year. New hires
who have worked for part of a year will be eligible for leaves on a pro rata basis.

Types of Leave

Following types of leaves are available for the employees*.

1. Casual/Sick Leave
2. Privilege Leave
3. Medical Leave
4. Maternity Leave
5. Company Holidays
6. Leave Without Pay

* None of the unutilized leaves would be encashable for the Probationers.

Leaves in Detail

1. Know more about MIHUP – Casual/Sick Leaves (C/S L)

 Eligibility: Confirmed employees, Probationers and Trainees.


 Casual/Sick leave is intended for urgent personal work, unforeseen circumstances or
health conditions.
 An employee is entitled to a total of 12 working days of Casual/Sick Leave per year.
 The no of Casual/Sick Leaves cannot exceed 2 working days in a month.
 The new hires are entitled to C/S L on a pro rata basis in a given Leave Year.
 Public Holidays/Week off falling within the leave period shall NOT be counted as a part of
the leaves availed.
 All unutilized C/S L will lapse at the end of the year.

 The employee must always obtain prior permission for a casual leave. In case of any
unforeseen circumstances where the employee is not able to take prior approval, it will
be the responsibility of the employee to inform the reporting manager about the absence
over the phone. In such case the person must take the formal approval from the
reporting manager within 24 hours from the time she/he resumes work or else the days
on which she/he was on leave will be considered as absent and no salary will be paid for
these days.

2. Know more about MIHUP – Privilege Leave

 Eligibility: Confirmed employees.


 Employees are entitled to a maximum of 10 working days in a leave year.
 Maximum 5 consecutive days of privilege leave can be taken by an employee with due
permission from the management.
 All unutilized Privilege Leave will lapse at the end of the year.

3. Know more about MIHUP – Medical Leave

 Eligibility: Confirmed employees.


 Employees are entitled to a maximum of 45 working days in a leave year.
 Medical Leaves can only be availed in case of an accident, surgery, serious and
prolonged illness, hospitalization etc. This leave can also be availed in case the person is
bedridden or is in no condition to attend office.
 Approval of these leaves is at the sole discretion of the organization.
 The employee must furnish all the relevant medical certificates and reports while
applying for this leave.
 The organization will pay half of the salary for a maximum period of 15 days in case of
Medical Leave.

4. Know more about MIHUP – Maternity Leave

 Eligibility: Confirmed Employees.


 A maximum of 12 Working Weeks of paid maternity leaves will be allowed.
Saturdays/Sundays and Company Holidays will be part of this period.
 The applicant for maternity leave shall give notice to the company of her expected
delivery date not less than 8 weeks in advance supported by a Medical Certificate.
 Maternity leave may be combined with accrued Earned and Casual leaves with prior
approval.
 In case additional leave is required, 4 weeks of additional leave can be availed as „Leave
without Pay‟ with the prior approval of the reporting manager.
 Employees are suggested not to` avail too many leaves prior to the beginning of
Maternity Leave.
 In case of any complications during pregnancy, part of this leave may be availed;
however the total period of such maternity leave will not exceed 12 Working Weeks in
any case.
 One can enjoy flexible reduced working hours for two months after joining back from the
maternity leave. During this period one can stay only for 6 hours for work.

5. Company Holidays

 The company observes gazetted holidays as notified by the government. A list of official
holidays is circulated by the HR department at the onset of every calendar year.

6. Know more about Leave without Pay (LWP)

 Leaves without Pay are approved leaves which can be sanctioned only when all types of
leaves – Privilege and Casual leaves are exhausted.

Basic Thumb Rules

 All leaves must be applied well in advance and need to be approved by the reporting
Manager.
 Only “emergency” situation can be accepted for leaves with out prior approval and the
Management may treat the day as “absent” if the reason is not found as grave where a
prior intimation was not possible.
 Special LWP (Leave without Pay) would be considered by the Management in certain
unavoidable circumstances provided the leave is applied well in advance.
 Employees are expected to be present in the office for the customers on time. MIHUP
STRICTLY DOES NOT encourages late reporting to office.
 More than 2 late marks in a month would lead to review meetings of the Leadership
Team with the concerned employee.
