As the event technology and event apps markets are

the event app market.

The world has changed.

Most of you reading this document had some experience with event apps or
event technology. Event apps themselves have stepped up their game and offer
a lot of content and support to implement successful event programs.

for new players are definitely higher. (This is true of every technology life cycle.)
As apps are not a new thing anymore, we can expect the market saturation to
subside and to have even less choice next year, as the big companies get bigger
and it becomes harder for smaller, newer ventures to compete.

the most chosen features and the most creative uses.
Here is a summary of the trends defining apps as event
professionals implement them.
1. ENGAGEMENT AND INTERACTIVITY
14
THE EVENT APP BIBLE 2019

ARE A MAJOR FOCUS.

Engagement was a top priority across all industries.

60-70% of the features most commonly used across the industries were engagement-focused. In half the industries we analyzed,
polling is in the top three most popular features. Polling is an easy, interactive way for attendees to remain engaged during sessions and share
their thoughts and opinions in anonymity.

2. EFFICIENT NETWORKING REPLACES
16
THE EVENT APP BIBLE 2019

SERENDIPITOUS OCCASIONS.

Networking is one of the main reasons people attend events, and many apps are now pulling their weight to bring people together. 2019
is seeing a rise in targeted networking, either by matching people and making networking suggestions based on both shared interests and
proximity. These advanced networking features were present in 41% of the apps we analyzed.

It is interesting to reconcile this high number with a slightly underused ‘Attendee’ section in the app provider
research. That may signal that event apps think of networking as just listing attendee profiles. There are still
massive opportunities for event apps to do a better job in connecting attendees.

3. MESSAGING IS A FAN
4. GAMIFICATION DRIVES

Some events, like CES and the Detroit Auto Show, are monstrous in their attendance numbers and exhibits. Wandering the floor can be

INFORMATION.
25
THE EVENT APP BIBLE 2019

Making all information and documents for the event (agenda, map, sponsor and speakers info, slides etc) available
in the event app simplifies the attendees’ experience as they don’t have to carry all kinds of documents. A side
benefit is that planners save on printing and their events are more ecologically friendly. To ensure this works
seamlessly, device agnosticism and some provisions for offline functionality are essential.

Interoperability is another factor. Event apps integrated to registration platforms, check-in apps or CRMs will make
the management of this information much more efficient. And don’t penalize yourself for having a successful event;

one event app should suit events of all kinds and all sizes without any additional cost, solution or logistics needed.

the shift towards paperless events. Using an event app instead of a printed programme is not only reducing an
event’s carbon footprint while saving budget, but attendees also have to carry around far fewer programme books,
exhibitor flyers, or notepads. Plus, they get to experience a more tech-friendly event. A win - win!

DATA SECURITY.
The EU’s General Data Protection Regulation (or GDPR) has been a buzzword in 2018 and will continue to gain
importance in 2019. Data security concerns will not only affect the way that organizations work, they also greatly
impact event planning and technology. Both process a lot of personal data on a daily basis, and event professionals

Event app data is a valuable addition to any marketing program as well. Live events are a critical part of marketing
and engagement programs, and tying event activity into marketing automation and CRM platforms can drive value
and demonstrate event ROI.

SECURITY.
Make sure your attendees are protected and that their privacy is respected. Your event app should give you a
variety of features for managing security, like the ability to password-protect searchable events, or simply hide
them from search results entirely.

Require attendees to log in on the app’s home screen before they gain full access to the app, or restrict access
to the attendee list and profiles to only those users you’ve invited. For even more control over the access,
authentication, and authorization to your app and data, require your employees to log in using your organization’s
single-sign on (SSO) SAML 2.0-supported authentication process.

And finally, your mobile event app provider should be committed to protecting the privacy and security of
customer and attendee information, including processes and safeguards relevant to personal data. GDPR
compliance is critical as we strongly believe it is the wave of the future, and we all need to be prepared.

With this said, it’s important to note that event technology should be used to enhance the meeting experience and

Start by planning the onboarding process for your participants. Are there hoops to jump through, or can they sign in

registered or purchased their ticket? Is there a web app and can they begin engaging with the app easily from their

APPS The Event App Bible has been the first initiative to

mobile event apps. We have gathered unprecedented
research from event planners and event app providers to
help you make better decisions.

While researching what event professionals want from event apps, we have
discovered that the answers to questionnaires do not necessarily reflect the
implementation event professionals will carry for their event.

In most cases, this pattern is the result of a gap between what we would like to
do with an event app and what we actually do when we face the reality of tough
deadlines, unresponsive stakeholders and limited budgets.
Therefore, for the research component of the Event App Bible 2019, we have In this section of the Event App Bible, we’ve collected and analyzed the

Adding a human touch can make a big difference when

CREATIVE CHATBOT
Chatbots can sometimes feel robotic, and for good reason. While they may have
a smart component or use AI training to learn constantly, they are essentially

OF THE APP

Web apps are written in HTML5, Javascript, CSS or other languages, and run in an internet browser, like Safari or Chrome (for iPhones and Androids, respectively).

This allows a single app to operate across multiple platforms, operating systems and devices. The device agnostic nature of web apps is one reason planners prefer
them over native apps, which require a different, separate app for each brand of device.
WEB-BASED APP
While some content can be downloaded and stored locally for offline access, web apps require WiFi for full functionality. However, since the app is not stored
locally on a user’s device, users don’t have to worry about storage being too full to download it.

Web apps are also less of a privacy and security risk, as they do not require the permissions of a native app.
