4.

Justification for and Nature of Changes


Happy Animal company is using the manual or paper-based system for storing the information
and records of animal but the existing is very inadequate as the number of animals is increasing
day by day and it was getting difficult to maintain a large amount of information.

4.1. Justification for Changes


Company existing system required the update because the method was not suitable with modern
and latest trends for data and information saving or storing. Also, the current method is not
secure there will be a chance of data loss and theft as well as it was very difficult to search the
information in the paper-based system as it is time-consuming and inadequate.

On the other hand, the company doesn't have front-end or interface and no computer system
where they can perform their company daily operation and process of data storing and retrieval.
Company goals and objectives for efficient and effective data storing is achieved by the successful
implementation of the information system.

4.2. Description of Desired Changes


There are two changes which are desired include:

1. Replacing the manual system of Happy Animal to automated system by implementing or


developing an information system.
2. Migrating the existing data into the information system when developed.

4.3. Priorities Among Changes


Changes Priority
To overcome the problem of the company regarding the data and information 1st
storing because the old system is very difficult to maintain and manage as it
involves several kinds of risks i.e. data loss etc.
To migrate the data into a newly developed information system 2nd

Changes Considered for the later or future are given below but they are not included yet.

 Implementing the Mobile Based Information of Company.


 Providing online services for animal care in the city.

4.5. Assumptions and Constraints


The proposed information system must be supported by experts،as it aims to meet the needs of
Happy Animal Company, and for a relatively small project. The information system must run on
a different operating system, and it should require technical support. It must be secure from
unauthorized users and be easily accessible by the authorized users or employee of the company.

5. The concept for the Proposed System


5.1. Background, Objectives, and Scope
Information system is developed to facilitate the operation and process of the Happy Animal
Company and Princeton Center. System would be developed using the latest programming
language C Sharp and modern database technology MySQL database.

The main objective of the project is to implement an interactive and attractive information
system. The information system will maintain all current and future of adopter's profiles which
includes details about their information, background check, interviews, etc. The system will also
include pet profiles which include name, age, immunization records, chip number, medical
records, and pictures). The system will track adoptions by keeping records that include when and
who adopted the animal. Project objectives include are:

 To develop a system to replace the manual system.


 Develop a database to store details and records.
 Users, administrators, and adopters should have their separate accounts.
 Attractive and effective user interface in order to navigate through the system with a
friendly user environment.

To achieve goal and objectives of project, main thing is to identify the main functionality involve
in project. By viewing this scenario, there will be different types of users, shelter staff, adopters
and database administrator and company top management. All users have access to the system
using their personal login id and passwords. New users can register by using their email. The
database is developed to store all information and records.

5.2. Operational Policies and Constraints


Operations Policies
Operational policies are used to address the operational implication of information which is
sharing among the Happy Animal Company. The operation serviced discussed can discuss can
address the operational model for the software services, monitoring, and planning. The
Operation policies include are:

 System cannot provide the email facilities to customer or clients.


 System cannot make the calls to mobile phones.
 System don’t provide the currency exchange options.
 System doesn’t support video call or conferencing.

Constraints include for the project are:


 System development must be completed under the timeframe of 3 months.
 Development team can complete project within the assigned resources.
 C Sharp and MySQL database is used for system development.
 Agile Methodology will be used for the system development.
 Only authorized and authenticated peoples has right to access the system.

5.4. Description of the Proposed System


The main focus of the company is to develop the information system which can perform the daily
operation and process of the company because the current method company is following is very
problematic because there is no current exiting storage and computerized work in the company
which can manage all company information. Company face many problems regarding the security
of data because some financial and financial records may be stolen and leaked by someone in
company. System can overcome the problem by providing the separate login to the user of
system and high level security is implemented to prevent the unauthorized access and only
authenticated person can access the company financial and confidential details. Also, the
company is expanding to a new center in Princeton, so there will be need of new information
system because the company is providing the adopting animal facilities to the peoples and in
future if animals got sick, they can easily get the previous medical record and treatment of pet
to cure. This method can increase the productiveness concept and approach in the company and
fully automate the process and operations. The system can manage and maintain the user’s
profiles which include detail of company employees, future, current and previous adopters’
profile as well as pet profiles. The system implemented in such a way that it can be easily
expandable with the increase in technology trends. System prepared can also contain the online
functionality because when Princeton Center is open there is need of website or online system
to find the social presence of pets. By using the people can find the animal for adoption they
don't have to visit the center or company for an interview and other operation of adopting pets.

5.4. Modes of Operation


This section can describe about the different modes of operation for the proposed information
system and that includes:

 System testing and maintenance will be performed after every month.


 System training will be provided after updating and implementing change in the system
and training period will be 15 days.
 When system is not working and or underwork or maintenance then alternative
application is provided to user.
 System recovery time is 10sec after failure.
 System can be automatically logout from the user account if user doesn’t perform any
action till 5 minutes.

5.5. User Classes and Other Involved Personnel


There user classes and other involved personnel for the new information system are:

Database Administrator: Manage the system backend and database of information system.

Adopter: Use the system to search for animal, adopt the animal and find the medical details of
the animal.

Top Management: View company financial records, confidential information and other
operations and process as well as all detailed associated with organization.

Shelter Staff: Update details about the pet, save medical details, retrieve details to cure pet when
they got sick.

Information System Administrator: Manage the operations and process of the backend for the
information system and maintain IS.

Development Team: Develop and implement the information system by using their software
development skills and experience.

Testers: Test the information system to verify and validate the requirements when development
is completed.

5.6. Support Environment


The information system requires the hardware environment and server environment for the
information system. Hardware environment includes the computer systems or laptops where the
information system runs and server environment include the online server or server where data
of the company is stored and database of the information system is deployed. Also, the
information system supports sustainable environmental management for the decision-making
process. The system can utilize the impact of the environment in order to collect and process
data on all of the organization impacts. Maintenance of system will be performed after every
month to overcome any kind of bug, error and virus from system. System backup is generated
after every week and stored on online server in case of any damage or crashing of system that
may be recovered and restored.

6. Operational Scenarios
Currently, there are two operation scenarios are identified:
6.1. Scenarios 1- Storing Adopter Details
Background: In this scenario, the administrator of the information system can store the details
of the adapters which include the details of name, background checks, interviews, etc.

 IS Administrator or user can log in to the system.

Operation Flow

To store the records or details of adopter the details must be valid and the records will be initially
stored by the IS administrator but later when the website or online system is developed then the
record is filled by the adopter by using their login account.

6.2. Scenario 2: Store Pet Records


Background: In this scenario, the user can store the records about the pet to get the social
presence of the pet.

Post Conditions

 User or IS Administrator can log in to the system.

Operational Flow

To store the records or details of adopter the details must be valid and the records will be initially

6.3 Adopter Want to Adopt the Animal


Background: In this scenarios adopters can adopt the animal or pet by using the online system.

Operational Flow

To adopt the animal adopted should provide the valid details to the organization then top
management and shelter staff can review the details and provide the decision to give the pet or
animal to adopter.

7. Summary of Impacts
Naturally, an employee in an organization behaves differently at the workplace among the social
setting which is largely due to the structure of an organization. The different factors influence
the behavior of organizational behavior can include the structure, policy, and process,
management interactions and effectiveness of the organization. All of the discussed elements
can inspire and encourages the employee to work hard to contribute to the organization success.
From the development of an information system, three primary impacts are developed among
the user classes and the impacts include:

7.1. Operational Impacts


With the implementation and development of a new information system for the company,
process and operation for data management are enhance and the maximum time is saved. These
impacts can reduce the operation cost of the organization. High effectiveness and productivity in
an organization can result in the minimum cost of services provided. A process which can waste
the effort of the organization tends to sustainably impact on the organization operating
profitability in a negative way.
7.2. Organizational Impacts
The implementation of an information system can help the company to grow and automate the
process of the organization as well as increase the organization revenue and profit by providing
different type of services to the people related to animals or pets. Technology impact in the
organization include the qualitative changes i.e. how managers can oversee the employee within
a culture of an organization. As employee gain more access to the decision of policy made by top
management in organization and organization impact can manifest the more accountable
relationship.

7.3. Impacts During Development


Involvement of customer or client is maximum during the development to verify and validate the
requirements because after when each module is developed then it can be show to the customer
and customer can provide the feedback to development team if there is need of any changes.
Also, during the project testing is performed after the development of each module so the
maximum error and bugs are overcome before the deployment of information system and quality
will be high.

8. Analysis of the Proposed System


8.1. Benefits
The primary benefit of implementing an information system is to provide the ability to a user
with the required information to perform any task efficiently and effectively. Computer database
and paperwork can provide the data, but an information system can provide the details about
the appropriate data related to the tasks of users in the best-suited format. However, the benefit
is:

 Company process and operations are automated


 The manual system is replaced with a new information system
 Check the social presence of pets.
 Provide real-time information.
 An information system is flexible and re-programmed according to business need and
growth.
 Data is easier to use because IS represents data in the custom formats.
 Provide the information which users need to make the corrective actions and decisions.
 Adopters can search their favorite pet and animal easily.
 Adopters can get the medical details of the pet using the system for treatment when pet
got sick.

8.2. Disadvantage and Limitations


 System supports only 100 users at a time.
 User can register to the system by using valid email only.
 Information system may not function properly and affects business functioning.
 Sometime may be wrong information will be delivered to users.
 System ill be vulnerable to frauds and hackers.
 The system requires high speed internet connection for running.
8.3. Alternatives Considered
Alternative considered are:
 Mobile application will be developed for the organization to manage the operations and
process.
