TOPIC 1: PROBLEM STATEMENT
Background:

UiTM Kuala Terengganu’s library started to operate on 1st January 2008.


Before UiTM took over the library, originally the library belongs to Kolej Yayasan
Terengganu. Previously, this library, under Kolej Yayasan management used
manual system for borrowing and returning the books process. Right after UiTM
took over the buildings, the library implemented ‘system ILMU’ which stands for
Integrated Library Management Utility until 2017 where ‘WILS system’ (Web-Based
Library Management System) was introduced.

Generally, UiTM’s library’s mission is to enhance the knowledge and expertise


of Bumiputeras in all fields of study through professional programmers, research
work and community service based on moral values and professional ethics.

Its vision is to establish UiTM as a premier university of outstanding


scholarship and academic excellence capable of providing leadership to
Bumiputeras’ dynamic involvement in all professional fields of world-class standards
in order to produce globally competitive graduates of sound ethical standing.

Here’s is the list of the problems that occur before implementing the system:

1. It is complicated to search for the data of the specific book


2. Take time to find the status of the book
3. More staff is required to manage library’s manual system
4. The changes data of record may take some times to find all data
in different registers.
5. It is difficult to detect which librarian who hold accountability if
there any mistake occurs on particular time.
6. It takes a lot of time for the librarian to manually calculate the
total fine for every late submission.
7. It’s burdensome for the librarian to make the monthly report as
all of the record must be done manually.

TOPIC 2: OBJECTIVES
By developing our library management system, we might solve the problems
which affecting the library system. We honestly hope this project will achieve:

1. To keep and store information of user, books, transaction and staff in more
efficient and effective way.
2. To cut time taken for the librarian to retrieve specific data from 1 week to 10
minutes.
3. To automatically generate specific report required by the librarian for only
around 5 minutes.

TOPIC 3: SCOPE AND LIMITATION
This project’s scope of work covers borrowing and returning of books’ process
where the borrowers includes the students, the lecturers and all of UiTM’s staffs, as
our main objectives are to keep and store information of user, books, transaction and
staff in more efficient and effective way, to cut time taken for the librarian to retrieve
specific data from 1 week to 10 minutes and to automatically generate specific report
required by the librarian for only around 5 minutes..

The user will be the librarian which will manage the process. The main task of
the project is to organize the data, to calculate the fine, to display the status of
certain books and most importantly, to help the librarian to do their work more
effectively and efficiently.

Hardware needed includes two sets of PCs and a magnetic strip scanner. The
PC is mainly for the documentation and record while the scanner is to input the
details of the books into the system and to validate the borrowing process.

Meanwhile the software needed includes Adobe Dreamweaver and HeidiSQL


for the documentation and database. Any Operating System that supports internet
browser also will be used.

TOPIC 5: INTENDED USERS

Our intended user for this beginner project only for librarian and the
user for this time. The user includes UiTM Kuala Terengganu’s students, staffs and
also lecturers.

For the user scope for online system, they can search and check the status of
certain books, they also can do the specific book booking online. Besides, they can
check their fine status with the library system and their past book
lending/borrowing. The borrower can be the students, the lectures and also the
staffs of UiTM Terengganu.

For the Librarian, they can generate monthly report based on data stored in
the system, to access user and books information and to check any transaction
information including the librarian involved.

The physical return and borrowing system involving the user and sometimes
the librarian, where all the actual and physical business happens here, since the
user can’t get the physical book through online system.

CONCLUSION
In conclusion, based on what we figured out, we have decided to implement the
library management system because there are few problems that occur. We already list
of all the problems in Chapter 1. As examples, it is complicated to search for data of the
specific book, take time to find the status of the book, need more staff to manage library
manual system and so on.

Then, we create our own objectives as we want to solve the problems that occur
in library system. By this system, we hope that it can work with more efficiency and
effectively, can saves time for librarians to retrieve data and generate report. The project’s
scope covers borrowing and returning of books’ process and the librarian who is manage
all the process. For this project, surely the main user are librarian and users which
includes student’s of UiTM Kuala Terengganu and lecturers.

For this project, we divided it into four phases which are analyst, design,
development and testing. We do the first phase during week two and submit it on week
three. Then, we continue our second phase on week four until week nine. Next, on week
10 until week 12, we do two phases which are development and testing, but we shift the
testing phase until week 13. During testing, we can analyse the issues found and correct
it. On week 14, we can submit it to our lecturer. We already decided the budget needed
is RM4264.

We hope that our project will make this system become easier to search for the
data of the specific book. At the same time, within this project we hope it will reduce time
for user to find the status of the book, to calculate the total fine for every late submission
and to find all the changes data of record in the different registers. Besides, we are also
hoping that this system will help the librarian to generate specific report in a short time.

With all of this new system, we hope it will improve the UiTM system become a
good and advance system.
