1 Introduction
This section describes the following:
Theory of Operation on page 1
Customized User Fluids on page 2
Analytical Units on page 2
Application Libraries on page 2
Comprehensive Water Solution on page 3

Overview
The FluidScan 1000 Lubricant Condition Monitor is a hand-held fluid analyzer that delivers
instant fluid condition assessment based on ASTM Standard Practice D7889. It can be used
entirely as a stand-alone device or used in tandem with other Spectro Scientific devices.
It can also be connected to a computer and managed using Fluid Manager. Fluid Manager
software and documentation is provided on the disc shipped with the FluidScan.

Theory of Operation
FluidScan measures the oil absorbence spectrum in mid IR range of 2.5 μm –12 μm. Instead of
using FTIR technology, which was more widely used in oil analysis laboratories, a diffraction
grating based optics with detector arrangement was used for better portability and durability.

A patented flip top cell uses one drop of oil or a smear of grease, takes less than one minute and
does not require any chemicals or solvents to clean. There is an integral database with asset
information and preset alarm limits utilizing a traffic light color system so that maintenance
personnel can make immediate decisions right after the measurement.

1
Key infrared signatures of fluid condition, established by the Joint Oil Analysis Program Technical
Support Center (JOAP-TSC) and established norms for predictive maintenance and fluid quality
control are used to obtain fluid status in real time (see ASTM.org). Status and supporting fluid
condition parameters are determined and displayed and the information can be stored locally or
exported.
FluidScan has algorithms for many of the world’s most common lubricant types stored in
memory. These algorithms provide a calibration for most lubricant types so it is not necessary to
physically measure a sample of untainted fluid to provide a baseline for comparative analysis.

Customized User Fluids

Due to the large number of lubricant types and individual lubricants throughout the world, the
device allows the end user to create a custom User fluid. Customers using a fluid that does not
already have an algorithm stored in memory are invited to contact Spectro Scientific about the
process of creating an additional algorithm.
These "User Fluids" can be customized to suit the application. For example, the default Water
alarm threshold can be raised so an oil can be used in a marine environment without tripping the
alarm thereby allowing the water content to get closer to the point of protection breakdown
before tripping the alarm.

Analytical Units
Analytical results are given in physical units as follows:
• TAN (mg of KOH per g)
• TBN (mg of KOH per g)
• Water (parts per million)
• Glycol (percent by weight)
• Soot (percent by weight)
• Alien Fluid (percent by weight)
• Antioxidant Depletion (percent remaining)
• Anti-wear Depletion (percent remaining)

Application Libraries
The FluidScan oils and other lubricants database is organized into functional categories like high-
pressure gear oil, engine oil, and transmission fluid. Then these categories are grouped into one
or more libraries and licensed to customers based on their testing requirements.
Refer to Fluid Categories, Tests, and Libraries on page 115 for a table describing each category,
and which libraries are created from which categories. This table also describes what kind of
tests are appropriate for each fluid category. For example, fluids in the Hydraulic category are
routinely tested for Water, Oxidation and Total Acid Number (TAN).
The following individual libraries plus the FL360 - All Libraries option are available to all licensees.
FluidScan 1000 users select a library and have the opportunity to add the Comprehensive Water
Solution at the time of purchase (see below).
Grease is included with all libraries, but be aware that Oxidation and Water are measured in
Units of Absorbence rather than in Parts/Million (ppm).

Comprehensive Water Solution

The lubrication systems in industrial machinery typically run above the saturation point of water,
meaning free water can accumulate in the oil reservoir. This licensed option extends the range of
measuring water contamination beyond the traditional dissolved water measurement for
industrial machinery lubricants. It provides a quantitative measurement of free water present in
key classes of lubricants, including turbine, gearbox, pump, hydraulic and compressor oils.
See Comprehensive Water Solution on page 66 for more details.

and you must start over.
9. Using a clean pipette, smear a thin film of grease or
place 2 drops of oil on the bottom half of the test cell glass
until it is just covered:
10. Close the cell. Do not lift the cell so the halves meet
in the middle or the oil could run off the glass. Instead,
fold the top half of the cell over until it meets the bottom
half and let the magnets close the cell correctly.
11. Return the test cell to the slot and press OK to start
the sample measurement.

Based on your license(s) and other configured options,

results will display similar to this example:

Power-Up and Proper Power-Down Procedures

Disconnect ALL USB cables and devices on power-up.
FluidScan is designed as battery powered device and it is strongly
recommended that the power supply/charger is used to charge the battery only.
We do not recommend connecting the FluidScan to a computer via a USB
cable while the battery is being charged at the same time.
If both charger and USB cable MUST be connected to the FluidScan at the
same time, we recommend you take the precaution of isolating the USB cable
from the computer using a USB isolator device available from Spectro
Scientific. See FluidScan USB Isolation on page 69 for details.
We recommend you keep the FluidScan powered on when connected to the
power supply/charger - avoid power-cycling ON/OFF/ON wherever possible.
We recommend you replace the battery every 2 years. See Battery Appears
Defective on page 58 for details.

1. Plug the 18 VDC connector from the power supply/battery charger into the connector on
the bottom connector panel.

Use the power supply/battery charger that was provided with the FluidScan. If you
do not, you risk blowing the internal fuse.

7
2. Plug the AC connector from the power supply/battery charger into a utility outlet and turn
on the power to charge the battery. A two-color LED shows green when charged.
3. Disconnect the power supply/battery charger.
4. Press the Power button on top of the FluidScan to boot the device to the Main Menu:

A 3-segment battery condition meter will display three green bars when fully charged:

A fully charged battery will last 4-6 hours depending on usage.

Power-Down Procedure
Do not simply power down a FluidScan with the power button. Follow these steps to shut down a
FluidScan properly:
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to Shut Down Device and press Select; then press Shut Down.

Navigating the User Interface

The FluidScan is totally self-contained, and all commands and other options can be accessed by
using the directional pad to scroll up and down the menu options and one or more of the four
command buttons to control functions like Select, Save, Next or Back.
Some screens need alphanumeric input - creating sample labels, for example. Any time you see
an Edit button, you can press it to open a software keyboard in case you need to enter data.

You can also connect a USB keyboard (not supplied) to the USB port on the device.

Scroll around the keyboard using the directional pad and press Select to enter a character. When
you are finished, press Done to continue to the next screen.
Some screens have multiple fields in which you can enter new or edit existing text or numbers, as
in this example of two Wave Number (WN) fields:

8
In this example, press the Tab button to jump between the WN From and WN To fields.
To change characters in a field, use Left and Right on the directional pad to highlight the
character, then use Up and Down to change it.
Wherever operational circumstances allow it, we recommend that you connect your device to a
laptop using the USB cable (supplied) and manage your device using Fluid Manager.
Fluid Manager is a free tool that can be used to:
• Manage Descriptor Levels, Asset Descriptors and Assets
• View Test Results
• Maintain Databases
• Update FluidScan software

Selecting the Interface Language

Follow these steps to change the language from the default (English):

Including Viscosity and/or Fuel Dilution Test Results

Users who maintain equipment may measure viscosity or fuel dilution using other tools such as a
3000-Series MiniVisc Viscometer or 6000-Series Fuel Dilution Meter and want to record these
single parameters with the fluid condition data produced by the FluidScan. This data may be
synced to Fluid Manager and trended by asset.

If you enable this option, viscosity results can be displayed with fluids from all
categories. However, fuel dilution results can only be presented if you are testing
fluids found in the Engine, Engine - Heavy Duty, Engine-HFO, and Engine -
Natural Gas categories.

Follow these steps to include these measurements:

1. If the device is not already at the Main Menu, press the Back, Cancel or Main Menu
button from any screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to User Settings, and then press OK.
4. Press Allow Manual Data Entry and press OK to display this screen - the Allow Viscosity
Entry field will be circled by default, like this:

5. Use the Toggle button to check the check-box to be prompted to enter the viscosity test
results.

6. Press the Tab button to select the Allow Dilution Entry field.
7. Use the Toggle button to check the check-box to be prompted to enter the fuel dilution
test results.
8. Press the Update button to return to the User Settings menu.
If you elect to enable this feature, after you have measured a sample, but before the res-
ults are displayed, you will be able to enter the viscosity test result at 40C and/or the fuel
dilution result.
The results are then displayed along with the fluid chemistry results similar to this
example:

Hiding Unused Fluid Categories with the Category Display

Filter
The work space in the FluidScan color display is limited, so you need to limit what you see to only
what you need to see. The Edit Category Display Filter option provides a means to hide all the
fluid categories that you do not use. For example, if you are only interested in testing engine oils,
there is no need for you to see the gear oil or compressor oil categories.
The unwanted categories will be hidden from view, but they will not deleted from the database.
You can select Show All to restore them at any time.
Follow these steps to hide unused fluid categories:
1. If the device is not already at the Main Menu, press the Back, Cancel, or Main Menu
button from any screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to Manage Fluids, and press Select to open the Manage Fluids Menu.
4. Scroll down to Edit Category Display Filter.
5. Press the Select button.

11
6. Press the Uncheck All button; then use the directional pad and the Check button to select
only categories that you will use. For this example, select only the engine oil categories,
then press OK:

Hiding Unused Fluids

Just as there are fluid categories that you will not use, the Edit Fluid Display filter provides a
means to hide all the fluids that you do not use.
For example, if you are only interested in engine oil categories, you might only ever use Chevron
products, so you can hide every other oil type from the engine oil categories that you just
selected.
Follow these steps to filter unused oils:
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to Manage Fluids and press Select.
4. Scroll down to Edit Fluid Filter Display and press Select to display the fluid categories.
5. Select the category that has the fluids you want to filter out. For this example, scroll down
to Engine and press Next.
This will display all the oils in the Engine category, like this:

12
6. Press the Uncheck All button to clear all the check-boxes. Then use the directional pad
and the Check button to scroll down the list to check off only the oils you will use.
7. Repeat the process for each of the Engine categories, then press OK.

Updating FluidScan Software
You can only update FluidScan software with Fluid Manager. Refer to the "Fluid Manager User's
Guide" on the CD accompanying the FluidScan for more information.
After the update is over and synchronization is finished, you will be prompted to delete the old
measurements. We recommend you choose Yes to free up storage space internally.

The first time you are prompted for a Background measurement after a
software update, you will be prompted to run a measurement first with the
test cell in the sampling head slot, then again, but this time with the cell out of
the sampling head slot.

15
4 Measuring Fluid Samples
Follow these steps to establish the condition of an oil sample as a "snapshot" of its condition in the
moment. If you are interested in using fluid analysis to help establish the running condition of the
machinery from which the sample came, or if you want to measure a series of samples to monitor
developing trends over elapsed time, refer to Testing Samples Within an Asset Structure on
page 21 for details.

You must validate the analyzer every month as part of a regular maintenance
program by running the Check Cell Integrity test from the Main Menu.
Additionally, you will be prompted to run the test after every 100 samples.
See Cell Integrity Test Required Message on page 60 for details.
If you are testing grease samples, be aware that the results for Oxidation and
Water are given in Absorbence Units and not in Parts/Million (ppm).

Measuring a Sample
1. Return to the Main Menu from any FluidScan screen by pressing the Back button, the
Cancel button or the Main Menu button.

1. Measure Fluid is selected by default. Press Select to open the Select Fluid screen:

16
2. Use the directional pad to scroll down to the category to which your fluid belongs; for
example, Gear Oil.

You must always check the fluid database because there are oils that are
marketed with a lubricant type on the bottle when the actual chemical properties
identified in the FluidScan database are those of a different type of lubricant.
For example, something marketed as engine oil could have the chemical
properties of a gear oil.
See Fluid Database on page 71 for the updated list.

3. Scroll down to highlight the fluid category and press Next.

4. Scroll down to your brand name to highlight it.

5. Optional: you can create a Sample ID for this sample by pressing the Edit button. This
will open a keyboard. Use the directional pad to scroll around the software keyboard and
use the Select button to select letters and numbers.

Press the Tab button to jump to the Sample Date field. The date defaults to today’s date
or use the arrows to enter a new date, and then press Tab.
Leave the Calculate Using Subtraction Method box blank.
6. Press Next. Depending on how much time has elapsed since the last sample, you may be
prompted to run a new Background measurement as shown below; otherwise skip to
Step 8:

17
You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

7. Press OK to start the Background measurement. You may see a message that the
spectrometer windows are still dirty. If you wait a few seconds, the message will change
to "Clean." Press OK again to resume the Background measurement.

When the Background measurement is complete, press OK to confirm that

YES, you will use the new background measurement data BUT do not press
OK a second time to start the measurement until after you complete Steps 8 -
10. Otherwise you will start the measurement on an empty test cell and you will
have to cancel the test and start over.

8. Flip open the test cell so one half is held by the magnets, and the other half rests against
the FluidScan body and clean it with a fresh wipe.

Do not prepare a pipette (Step 9) until you are ready to use it in order to
minimize the amount of time the lubricant is in contact with the plastic. This
applies to both disposable pipettes and PDP tips.

9. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:

10. Fold the top half of the cell over until it meets the bottom half and let the magnets close
and seal the cell correctly. Never lift both halves of the test cell to meet in the middle as
there is a high likelihood of the oil running off the cell glass before the cell closes.
11. Return the test cell to the measuring slot.

18
12. Press OK to start the sample measurement:

13. Based on your license(s), the fluid category, and other configured options, results will
display similar to this example:

All fluid categories test for the presence of dissolved water. Results >100 ppm up to the
saturation point will be reported as actual ppm - 165 ppm in the above example.
If you have the Comprehensive Water Solution license, FluidScan will report the presence of
both dissolved water and free water, as in this example:

The "Total Water" results for oils in the Turbine category will be between 300 and 65000 ppm.
The "Total Water" results for all other categories will be between 1000 and 65000 ppm.
Comprehensive Water Solution on page 66 for details.

The previous results were obtained from a test on a sample of Mobil Terrestic,
which is from the Turbine Oil category. All oils in this category are routinely tested
for Oxidation, Total Acid Number (TAN) and Water. You can check which tests
are run for fluids in any fluid category by referring to Fluid Categories, Tests, and
Libraries on page 115.
Optional: Press Save. Saves results to review and possibly re-measure (if previous
measurements exist).
Optional: Press Discard. Discards the result and returns to the Main Menu.
Optional: Press << to open a sub-menu where you can add notes or view a graph of the
absorbence spectrum.
To add a note, press the Notes button. Press the Edit button to display the keyboard.
Use the directional pad and the Select button to enter the note, and then press Done.

19
To view a graph of the result, press the Graph button.

Interpreting the Absorbence Spectrum Graph

Spectra displays are primarily used by expert users to "eyeball" different fluid
signatures and confirm if fluid identities look similar or not. Spectrum plots by
FluidScan are low resolution and therefore not provided for very close
analysis.

Press the Graph button to open a graph similar to this one. Measurements are in cm^-1.

To zoom in on any area of interest, press the Tab button to place the cursor in the WN From field
and change the start position anywhere above 750 nm.
Then press Tab again to shift to the WN To field and adjust that number for the end position
anywhere below 4000 nm. Then press Refresh to zoom in on the area you just selected.

There are more examples of spectral plots that you can use to troubleshoot issues
with cleanliness or noise problems; see Repeated Noise or Cell Cleanliness
Issues on page 61 for details.

5 Testing Samples Within an Asset
Structure

You can manage an asset structure from the FluidScan display, but we highly recommend that
you use the free utility Fluid Manager; see the "Fluid Manager User's Guide" on the enclosed CD
for more information.
This section describes the following:
Overview: Descriptor Levels, Asset Descriptors, and Assets on page 21
Creating Descriptor Levels on page 23
Adding Asset Descriptors to Descriptor Levels on page 25
Adding Assets on page 26
Analyzing a Fluid Sample from a Physical Asset on page 28
Retiring an Asset on page 32
Reinstating a Retired Asset on page 33
Deleting an Asset on page 34

Overview: Descriptor Levels, Asset Descriptors, and

Assets
"Measure Asset" in the Main Menu does not literally mean “measure an asset.” It means to
measure a lubricant or other fluid from a physical asset - an engine for example.
In particular, you are looking for clues to the operating condition of the machinery from which the
fluid was taken.

If you want to measure a fluid sample as a snap-shot of the fluid condition, but
you are not interested in the actual operating condition of the machinery from
which it came, see Measuring Fluid Samples on page 16 for an example.

If you want to measure assets and set up an asset database, it is critically

important that you plan your structure carefully and you define the structure on
a clean database.
Once the structure is defined, you may not delete or add fields once data is
present.
If you are testing grease samples, be aware that the results for Oxidation and
Water are given in Absorbence Units and not in Parts/Million (ppm) as they
are for other lubricants.

21
Measure Asset must be an option visible in the Main Menu:

If Measure Asset is not in your Main Menu:

1. Scroll down to Utilities and press OK to open the Utilities Menu.
2. Select User Settings.
3. Press the Enable Assets button.
4. Press the Toggle button to select Enable Assets.
5. Press the Update button. Measure Asset will now appear in the Main Menu.
Asset management is a layered structure with Level 1 at the top and up to nine more levels for a
total of 10. This example is a fairly complex structure, but still only uses 6 levels. Three or four is
usual for most users - including users who may already be familiar with the common A/E/P
(Area/Equipment/Point) structure.

22
Use the information in this table to complete the examples that follow for a fictional mining
company called Copco:
Level Descriptor Asset Descriptor Asset
Level

Level 1 Company Copco Mining

Level 2 Location Wellington Mine
Level 3 Equipment Excavator
Level 4 Model Daihatsu K-8 VIN
123A12345
Level 5 Sub Engine Cummins D-18 s/n
Assembly 098765A
Level 6 Sample Port Drain

Other than Level 1 - a monolithic company - each asset descriptor can support many entries. For
example, there could be more than one location at Level 2, and there are many different
equipment types at Level 3: bulldozers, cranes, trucks, excavators, pumps, centrifuges etc.
Level 4 is where you identify excavator model, bulldozer model, etc. You need to come up with a
unique identifier for each piece of equipment you have in each model. For example, an identifier
for a vehicle could be a VIN number.
Level 5 is where bulldozers and excavators break down into smaller sub-assemblies: engines,
gearboxes, transfer cases etc, These are the all-important hard assets from where the used fluid
samples are taken. For this example, the identifier for an engine will be a serial number.
Level 6 is a sample port; a drain plug in a truck oil reservoir for example.

Creating Descriptor Levels

1. If the device is not already at the Main Menu, press Back, Cancel or the Main Menu
button from any screen:

2. Scroll down to Utilities and press Select.

to re-name them to match those in the table for your fictitious company:
Level Descriptor Level

Level 1 Company
Level 2 Location
Level 3 Equipment
Level 4 Model
Level 5 Sub Assembly
Level 6 Sample Port

5. Level 1 is highlighted by default. Click Edit to open the keyboard and enter Company.

16. Click Save to return to the Manage Assets screen.

Analyzing a Fluid Sample from a Physical Asset

Before you can run a successful analysis, you need to clean the test cell thoroughly.

Cleaning the Test Cell

Part of the analysis includes a background measurement: an infrared scan of an empty cell. If the
cell is not thoroughly clean, you will receive an error message telling you to clean the cell again
before the background measurement can begin.
Follow these steps to clean the test cell:
1. Grasp the test cell with two fingers and pull straight up from its measuring position inside
the housing.
Lay the cell down until it is held by the magnets:

28
2. Open the cell by flipping the top half away from the bottom half. The bottom half will be
locked in the loading position by the magnets:

3. Use a clean non-abrasive pad to thoroughly clean the test cell. Electron-22 or kerosene
are preferred solvents. Only in cases of the most severe contamination use a solvent like
IPA or Heptane to clean the cell. Leave the cell open for 1 minute after using a solvent
otherwise vapors will contaminate the sample.

Measuring the Sample

1. If the device is not already at the Main Menu, press Back, Cancel or the Main Menu
button from any screen:

2. Highlight Measure Asset and press Select.

3. Begin drilling down to the asset starting with the Company Level.
4. Depending on how much time has elapsed since the last sample, you may be prompted
to run a new Background measurement as shown below; otherwise skip to Step 8:

You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

29
6. Flip open the test cell so one half is held by the magnets, and the other half rests against
the FluidScan body and clean it with a fresh wipe.

Do not prepare a pipette (Step 7) until you are ready to use it in order to
minimize the amount of time the lubricant is in contact with the plastic. This
applies to both disposable pipettes and PDP tips.

7. Using a pipette (supplied), apply 2 drops of oil or a smear of grease to just cover the glass
on the bottom half of the cell:

Close the cell by slowly lowering the top half until it rests on the shock
absorber. Never lift both halves of the test cell to meet in the middle as there is
a high likelihood of the oil running off the cell glass before the cell closes.

8. Allow ~2 seconds for the magnets to properly close the cell and form a seal. Lift the cell
vertically and lower it into the housing.
9. Press OK to start the test.
You will see a progress bar display telling you how the measurement is progressing.
When the measurement is complete, the FluidScan starts to analyze the results.
10. Based on your license(s), the fluid category, and other configured options, results will
display similar to this example:

All fluid categories test for the presence of dissolved water. Results of more than 100 ppm to the
saturation point will be reported as actual ppm - 165 ppm in the above example.

30
If you have the Comprehensive Water Solution license, FluidScan will report the presence of
both dissolved water and free water, as in this example:

The "Total Water" results for oils in the Turbine category will be between 300 and 65000 ppm.
The "Total Water" results for all other categories will be between 1000 and 65000 ppm. See
Comprehensive Water Solution on page 66 for details.
Optional: Press Discard to discard the results.
Optional: Press Save if you want to save the results.
You can upload them for further analysis in Fluid Manager. Refer to the "Fluid Manager User's
Guide" on the enclosed CD.
You can export them as .csv files.
You can also compare up to three saved results using the Detail button. Scroll to the parameter
you want to compare and the parameter will pop out with multiple results similar to this example
for Nitration:

Press Summary to return to the normal view.

Optional: Press << to add notes or view a graph of your results similar to this example, where
the graph shows the infrared spectrum in absorbance vs wavenumbers in cm^-1.

Spectra displays are primarily used by expert users to "eyeball" different fluid
signatures and confirm if fluid identities look similar or not. Spectrum plots by
FluidScan are low resolution and therefore not provided for very close analysis.

31
Low and high limits are 750 and 4000 cm^-1 by default. If necessary you can adjust the WN
(Wavenumber) parameters and recalculate the graph to zoom in on a particular peak by
widening the display.
Peaks of interest in the above example are at about 950 -1840 and 2590 - 3810 cm^-1. To adjust
the WN, press Tab to move the cursor between fields and use the directional button to adjust the
digit values.
Then press Refresh to display the adjusted plot.
There are more examples of spectral plots that you can use to troubleshoot issues with
cleanliness or noise problems; see Repeated Noise or Cell Cleanliness Issues on page 61.

6 Validating Commercial Fluids

For this example, a user has a quantity of what he believes to be Mobil Super 2000 5W-40 engine
oil, but has no way to know for sure. The validate fluid feature allows users to test a fluid to
establish a match score:
• 7.0 -10.0 means the fluid is highly likely to be what it is believed to be.
• 5.0 - 6.9 means the fluid is likely to be what it is believed to be.
• Below 4.9 means the fluid is not what it is believed to be
FluidScan forms matches based on chemistry and class of product (engine or gear oil for
example) and cannot differentiate brand from brand, but the information gleaned from the
sample test can help the user decide how to proceed.

Identifying a Fluid
1. Refer to the Fluid Database on page 71 and scroll down to the entry for Mobil Super 2000
5W-40. The database confirms that this fluid belongs in the Engine category.

You must always check the database because there are fluids that are
marketed with one fluid type on the bottle when the actual chemical properties
identified in the FluidScan database are of a different fluid type - a gear splash
oil for example.

2. From the Main Menu, scroll down to Identify Fluid and press Select.
Depending on how much time has elapsed since the last sample, you may be prompted
to run a new Background measurement as shown below. Otherwise, skip to Step 4.

You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

3. Press OK to start the Background measurement.

You may see a message that the spectrometer windows are still dirty. If you wait a few
seconds, the message will change to "Clean."
Press OK again to resume the Background measurement.

When the Background measurement is complete, press OK to confirm that

YES, you will use the new background measurement data BUT do not press
OK a second time to start the measurement until after you complete Steps 5 - 7.
Otherwise you will start the measurement on an empty test cell and you will
have to cancel the test and start over.

35
4. Flip open the test cell so one half is held by the magnets, and the other half rests against
the FluidScan body and clean it with a fresh wipe.

Do not prepare a pipette (Step 5) until you are ready to use it in order to
minimize the amount of time the lubricant is in contact with the plastic. This
applies to both disposable pipettes and PDP tips.

5. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:

6. Close the cell by folding the top half down to meet the bottom half and allow the magnets
to seal the cell properly.
7. Return the test cell to the measuring slot and press OK to start the measurement timer.
8. When the measurement is done, the Select Fluid to Validate screen opens:

9. Scroll down to the Engine Category and press Next.

10. Scroll down to Mobil Super 2000 5W-40 and press Next.
11. The software now determines the fluid match and presents the result in the Validate Fluid
screen similar to this example:

36
The match is based on a “score” but it is not necessary to get a “perfect 10” to be a
strong match.
A different sample from the same tank might come up with a different score, or it
might match 5W-40 oils from Shell and Texaco with a higher score than Mobil. Oil
formulations change regularly, even though it is marketed as the same brand. The
match may differ due to formulation change, or if the new oil is adulterated or mixed
with another fluid, or contaminated in some other way.

Highly Probable Match

A score of 7 or higher is considered a “highly probable” chemical match with the fluid you thought
it to be - in this case Mobil 5W-40. Using the previous example, if you consider a 9.0 score
acceptable, you need do no more.

Probable Match
A score between 5.0 and 6.9 is considered a “probable” match, and it is up to the user to decide if
a result within this band is suitable.

You could also opt to use the Subtractive Method for results in this range -
see Measuring a Fluid Using the Subtraction Method on page 53 for details.

For results in this band, the user can consider these two options:
1. Will the FluidScan find a match with another fluid in the database. The database
is being updated all the time, but not all fluids are in there yet. If there is no match for any
other fluid based on chemistry, there is the option to add it as a custom User Fluid (see
Customizing User Fluids on page 40 for details).

Users may find it preferable to create a new User Fluid because it allows them
to customize some parameters and alarms. They are also encouraged to send
clean samples to us for a full laboratory analysis as a User Fluid.
A customized User fluid would be expected to return consistently very high
match scores of ~10.0.
2. Can you use the match as the base chemistry for a new User Fluid. This depends
on the test parameters for the matched fluid. For example, suppose FluidScan finds a
match in the database, but it is not in the Engine category - it is in the Engine - Heavy Duty
category.
If so, the match is acceptable because all engine oils include the TBN parameter regard-
less of category. If you are measuring for TAN, then you can’t use any engine oil,
because none of them measure the TAN parameter.

See Fluid Categories, Tests, and Libraries on page 115 if you need to know
which tests are appropriate for each category.

37
No Match
A score below 5.0 is not considered a match at all. In this case, you have the option to see if
FluidScan can find any kind of match based on chemistry.
1. Press the Match button in the Validate Fluid screen. FluidScan will search the database
for the closest match to any other fluid. This might take a while to complete.
2. For this example, FluidScan comes up with a match for the test fluid, but it finds the
sample is not engine oil - the chemistry places it in the Gear - Splash category:

3. Press OK to view details of the highest scoring fluid(s):

You have been able to establish that what you thought was Mobil engine oil turns out to be a gear
oil with a chemistry that closely matches product from several companies. If this is all you wanted
to know for a quality control test, press Cancel to return to the Main Menu.
Otherwise, you may want to know if you can use this fluid as the basic chemistry for a customized
User Fluid.
1. Click the top-scoring fluid (or click any brand if there are multiple top-scoring fluids) and
press Select for full parameter details:

You cannot use this fluid as the chemical basis for a User Fluid based on an
engine oil, because it is from the Gear-Splash category and no gear oils
measure the TBN parameter.

38
2. Either press OK to return to the Main Menu, or press the User Fluid button to create a
new User Fluid and refer to Customizing User Fluids on page 40 for more information.

7 Customizing User Fluids
This section describes the following:
Overview on page 40
Creating a Customized User Fluid on page 40
Editing Alarm Limits on page 45
Adjusting the FluidScan Measurement Value on page 46
Slope and Offset Settings on page 47
Exporting User Fluids to a Data Stick on page 50
Importing User Fluids from a Data Stick on page 50
Deleting User Fluids on page 50

Overview
A "User fluid" is one where a user can take a fluid in the FluidScan database and customize the
default alarms and properties and/or apply calibration offsets so the fluid becomes a more
accurate fit for the user's particular application.
For example, the default water alarm limit for Synlube WS 460 gear oil might be fine when used
in a locomotive, but you might want to raise the water alarm limit for use in a marine environment
where you might reasonably expect a higher level of water contamination before protection
breaks down.
The FluidScan fluid database is divided into categories. The device has the ability to match your
lubricant sample with the chemistry of fluids in the database and identify it by category.
For example, there are fluids in the database that clearly market themselves as "engine oil" when
proper chemical analysis clearly shows they are formulated as light gear oils with parameters
unsuited to the user's projected application for an engine oil - although it might work perfectly well
as an "engine oil" in a different application: a 3-hp trolling motor, for example.

Users are also encouraged to send us a clean sample of any lubricant they are
contemplating using and we will analyze it in our laboratory and apply any
calibration and offset parameters.

Creating a Customized User Fluid

For this example, create a User fluid based on a heavy duty engine oil.
1. From the Main Menu, scroll down to Utilities and press Select.
2. Scroll down to Manage Fluids and press Select.
3. Scroll down to New User Fluid and press Select.
4. Scroll down to the correct category. For this example, use Engine - Heavy Duty and
press Select to start the background measurement.
5. Place a sample in the test cell and press OK to start the measurement.
6. After the measurement, FluidScan tries to find a match:

40
In this example, it comes up with a “highly probable” (9.0) match for Terpel Marino TBN 70:

A check of the Fluid Database on page 71 confirms that this is a heavy duty engine oil, so it will be
OK to use this as the basic formula for the User fluid.

The FluidScan matches on chemistry only, so you should always select the
fluid that has the best score as long as it has the appropriate properties. If
there are multiple top scores with the same properties, you can pick any of
them, because the brand makes no difference.
You also need to be aware of the application. An oil in the Engine - Natural
Gas category will return a measurement for TBN, but it would not be
formulated for protection against soot buildup. This would make it unsuitable
as the User fluid base for an engine oil used in a heavy diesel engine running
24/7.
7. Press Terpel Marino to highlight it and press Select to open the Matching Substance
screen.
8. Press Select to open the Specify New Fluid Name screen:

Substance ID field: This is generated automatically. If you need this Substance ID later - to
search for a fluid in the table Fluid Database Sorted by Substance ID on page 89 you can retrieve
it later; see Editing the User Fluid Name on page 44 for details.
9. Press the Edit button to open the software keyboard and create a fluid name. For this
example, call the fluid Copco Mining #1.
10. Press Next to open the Select Properties screen:

We recommend you leave all properties in this screen checked as you may not
want to edit them now, but you might well want to later.

41
11. Press Next to open the Alarm Limits - Specify screen.
This shows the default alarm settings for all properties similar to this screen. For this
example, edit the TBN property, as follows:
1. Scroll down to TBN:

2. Press Edit to open the Edit Alarm Limits screen:

The alarm limits should be edited according to your oil analysis program.

42
Limits may be determined by consulting the equipment manufacturer service
manual, or in consultation with the oil supplier.

For this example, change the TBN low limit alarm from 4.00 to 4.10, as follows:
1. Press Tab to highlight the Check Lower Limits field and press Check to put a check mark
in the box. Then tab to the Lower Limit field and use the directional pad to change the
number to 4.1:

2. Press Done and confirm the new alarm is in effect:

3. Press Next to open the Edit Properties screen where you will find the TBN reference
value is 9.0 mgKOH/g:

It is strongly recommended you have a certificate of analysis for the new oil in
question with the test value in question and consistent with the ASTM test
method used by Spectro to develop the FluidScan algorithm. Call your
technical sales representative with any questions.
Do not rely entirely on oil supplier product data sheets as official references for
modifying this value. These are usually nominal specfications. For this
example, use 9.2 mg KOH/g.

4. Select TBN and press Next to open the Edit Property screen.

43
5. Press Tab to the FluidScan Measurement Value field and use the directional pad to
change the value to 9.2:

6. Press Done.
7. The Spectra Match screen opens with the new fluid spectrum in red. The graph shows
the infrared spectrum in units of abs/0.1 mm vs wavenumber (cm^-1).

The new red line has slightly lower intensity than the black line of the reference fluid so it will have
the offset adjusted automatically.
Optional: You can zoom into specific regions of interest by using the Tab button and the up and
down buttons on the directional pad to change the Wavenumber scale and zoom in.
Low and high limits are 750 and 4000 cm^-1 by default. If necessary you can adjust the WN
(Wavenumber) parameters and recalculate the graph to zoom in on a particular peak by
widening the display. Peaks of interest are at about 950 -1840 and 2590 - 3810 cm^-1
To adjust the WN, press Tab to move the cursor between fields and use the directional button to
adjust the digit values.
8. Press Save to commit the new User Fluid to the database.

• Upper Limit 8000
1. Press Check to add a check mark to the Check Lower Limits checkbox.
2. Press Tab to put the cursor in the Lower Limit field then use the directional pad to change
the value to 1000, then use the same method to enter the other values so the screen
looks like this:

3. Press Done to return to the Alarm Limits - Specify screen and confirm the new values are
in effect.

when you created the User Fluid, which is why we recommended you leave them all
selected.
7. Press Next to open the Alarm Limits > Specify screen.
8. Press Next to open the Edit Properties screen.
9. Scroll down to Water and press Edit:

It is strongly recommended you have a certificate of analysis for the new oil in
question with the test value in question and consistent with the ASTM test
method used by Spectro to develop the FluidScan algorithm. Call your tech-
nical sales representative with any questions.

Do not rely entirely on oil supplier product data sheets as official references for
modifying this value. These are usually nominal specfications. For this
example, use a value of 1200.

10. Refer to the laboratory data or the data sheet supplied with the fluid that you used as the
base formula for the User Fluid. For this example, that would be Terpel Marino 70. Check
for the water specification. For this example, assume that this value is 1200.
11. Press Tab to place the cursor in the FluidScan Measurement Value field, then use the
directional pad Left and Right to select the necessary digit, and use Up and Down to
change the values to 1200.
12. Press Done to return to the Edit Properties screen and confirm the new value is in effect.

Slope and Offset Settings

Slope and offset settings are available for advanced users to fine tune the User Fluid spectrum.
Access can be restricted by password; see Creating Passwords on page 13 for details.
Spectro Scientific calibrates properties with our in-house methods. However, results do vary
from laboratory to laboratory and sometimes customers choose to reference a different analysis
method entirely.
For this reason, it may be necessary for customers to further post-process their results for better
correlation to reference data.
In the following example, a slope and offset is applied to the FluidScan TBN results to correlate
better to an independent laboratory's titration values.
For this example, use the Copco Wellington #1 User Fluid from the Engine - Heavy Duty
category.

47
You also need a comparative sample of the deteriorating fluid over time measured by both the
FluidScan and lab titration. A minimum of five samples is required.
For this example, use the comparative test results from the following table:

1. Titrate a new, unused sample in the laboratory to determine the TBN. For this example,
make this value 7.6 as indicated by the table.
2. Run a sample of the same fluid through a FluidScan and make this value 7.7.
3. From the Main Menu, scroll down to Utilities and press Select.
4. Scroll down to Manage Fluids and press Select.
5. Scroll down to Edit User Fluid and press Select.
6. Scroll down to Engine- Heavy Duty and press Select.
7. Scroll down to Copco Wellington #1 and press Next to open the Edit Fluid Name screen.
8. Press Next to open the Select Properties screen.
9. Press Next to open the Alarm Limits > Specify screen.
10. Press Next to open the Edit Properties screen.

48
11. Scroll down to TBN and press Edit to open the Edit Property screen for TBN:

12. Tab to the Measurement Value screen and use the directional pad to enter the titrated
value (7.6) and press Done.
The TBN values from the tests fit to a linear regression in the form y=mx+b where m is the Slope
and b is the Offset as seen in this scatter plot:

49
13. Tab to the Advanced Mode checkbox and press Toggle to activate the Slope and Slope
Offset fields:

14. Using the Tab button and the directional pad, enter 0.8470 in the Slope field and 1.1589
in the Slope Offset field.
15. Press Done to commit the changes to the database.
The values obtained by the Fluidscan using a slope and offset now correlate to the titrated TBN
values.

50
8 Testing With the Subtraction Method
This section describes the following:
Overview on page 51
Updating a Fluid Spectrum on page 51
Measuring a Fluid Using the Subtraction Method on page 53

Overview
Oil condition analysis by IR spectroscopy has two methods for trending, both of which are
supported by Spectro Scientific.
The first is direct trend analysis, where values are recorded directly from absorption spectra and
reported in units of absorbence per 0.1 mm pathlength - the default method for FluidScan and the
most widely used by JOAP, Caterpillar and oil analysis laboratories worldwide.
The second is differential trend analysis, or the subtraction method. In this approach, values are
recorded from the differential spectra (i.e. the spectrum obtained by subtraction of the absorption
spectrum of the reference oil from that of the in-service oil) and reported in units of
100*absorbence per 0.1 mm pathlength (or the equivalent absorbence units per centimeter).
This approach is sometime used by oil companies who have access to new oil references.
The spectrum from a clean, uncontaminated sample of the in-service fluid is then subtracted from
that of the used fluid and the resulting graph shows the difference(s) between the two spectra.

Updating a Fluid Spectrum

FluidScan is delivered with a library(ies) of fluid spectra; however, you have the option to update
them with the results of your own tests on a clean sample of whatever is the in-service fluid. For
example, you might want to do this if you know your supplier consistently delivers a product that is
different from the "normal" chemistry - one containing severe weather additives, for instance.

There is no guarantee that the clean sample used to derive the new spectrum
is not contaminated. For example, if the "clean" fluid contains 300 ppm of
water, then the zero point for water for all subsequent tests will be 300 ppm -
not 0 ppm.
Follow these steps to update the spectrum for an existing fluid; for example, Mobil 1 10W-30:
1. From the Main Menu, scroll down to Utilities and press Select.
1. Select Manage Fluids, and then press Select.
2. Select Update Fluid Spectra and press Select.
3. Scroll down to the appropriate fluid category. For this example, scroll to Engine and press
Select.
4. Scroll down to the fluid you want to update. For this example, scroll to Mobil 1 10W-30
and press Select.
5. Remove the test cell from the head and press OK. Depending on how much time has
elapsed since the last sample, you may be prompted to run a new Background
measurement as shown below; otherwise skip to Step 7:

51
You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

OK a second time to start the measurement until after you complete Steps 7 -
10. Otherwise you will start the measurement on an empty test cell and you will
have to cancel the test and start over.

7. Flip open the test cell so one half is held by the magnets, and the other half rests against
the FluidScan body and clean it with a fresh wipe.

Do not prepare a pipette (Step 8) until you are ready to use it in order to
minimize the amount of time the lubricant is in contact with the plastic. This
applies to both disposable pipettes and plastic PDP tips.

8. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:

9. Fold the top half of the cell over until it meets the bottom half and let the magnets close
and seal the cell correctly. Never lift both halves of the test cell to meet in the middle as
there is a high likelihood of the oil running off the cell glass before the cell closes.
10. Return the test cell to the measuring slot.
11. Press OK to start the sample measurement:

52
After the measurement, the new spectrum will display similar to this example:

12. Press Save to overwrite the old spectrum; otherwise click Cancel.

Measuring a Fluid Using the Subtraction Method

1. From the Main Menu, Measure Fluid is the default; press Select.
2. Select a category from the Category List - for this example select Engine.
3. Press Next.
4. Select a fluid from the Select Fluid list. For this example, select Pennzoil 10W-30.
Optional: Press Tab to place the cursor in the Sample ID field and use the directional pad to
create a Sample ID. As this is a one-time measurement, this is not really necessary unless you
think you might want to save the result for further analysis.
Optional: Press Tab to place the cursor in the Sample Date field and use the directional pad to
change the entry.
5. Press Tab to focus the Calculate Using the Subtraction Method field
6. Press Check to place a check in the Calculate Using the Subtraction Method box.

8. Remove the test cell from the head and press OK. Depending on how much time has
elapsed since the last sample, you may be prompted to run a new Background
measurement as shown below; otherwise skip to Step 10:

53
You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

OK a second time to start the measurement until after you complete Steps 7 -
10. Otherwise you will start the measurement on an empty test cell and you will
have to cancel the test and start over.

11. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:

12. Fold the top half of the cell over until it meets the bottom half and let the magnets close
and seal the cell correctly. Never lift both halves of the test cell to meet in the middle as
there is a high likelihood of the oil running off the cell glass before the cell closes.
13. Return the test cell to the measuring slot.
14. Press OK to start the sample measurement:

54
15. Press OK to start the sample measurement.
16. A results screen similar to this example opens - note that it confirms in the top part that
this was attained by the Spectral Subtraction method:

Optional: Press Discard.

Optional: Press Save. You can recall and export results of tests you save by accessing the
Manage Measurements menu.
Optional: Press << to see a graph of the infrared absorbence spectra for the reference fluid
compared with that of the used sample where the black line is the reference fluid.
The graph shows the infrared spectrum in units of abs/0.1 mm vs wavenumber (cm^-1).

Low and high limits are 750 and 4000 cm^-1 by default. If necessary you can adjust the WN
(Wavenumber) parameters and recalculate the graph to zoom in on a particular peak by
widening the display. Peaks of interest are at about 950 -1840 and 2590 - 3810 cm^-1.
To adjust the WN, press Tab to move the cursor between fields and use the directional button to
adjust the digit values.

The "About FluidScan" Screen

If you need to call Technical Support, they may ask for some monitoring information from this
screen.
1. From the Main Menu, scroll down to Utilities and press Select.
2. Scroll down to About FluidScan and press Select to see various parameters like the
operating temperature:

Battery Appears Defective

We strongly recommend you replace the battery every 2 years. Battery
replacement is also part of the Factory Preventive Maintenance program.

If the battery fails to charge, fails to hold a charge, or fails in any other way it will need to be
replaced. Contact Spectro Scientific to obtain a replacement.
Follow these steps to replace the battery:
1. Flip the device over; take care that the test cell stays in the housing.
2. Remove the three screws securing the battery compartment cover.
3. Lift the cover to expose the battery.
4. Lift the battery out of the compartment and pull the plug straight up to disconnect it.
5. Replacement is the reverse of removal.

58
FluidScan will not Power Up
1. Make sure the battery charger is plugged into a utility outlet that is "live" and that is turned
on.
2. Push the FluidScan power plug firmly into the battery charger:

3. If the charger appears to be working, and there is no reason to suspect that the battery is
defective, you need to check the on-board fuse and replace it if necessary.

Testing and/or Replacing the Internal Fuse

Use a grounding strap when working inside the plastic case to prevent static
electricity damage.
The fuse is an SMD 1.5A 125V Fast-Blow. The Spectro Scientific
replacement part number is P-10739.

Follow these steps to test/replace the fuse:

1. Remove the strap handles.
2. Make sure the sample cell is securely supported or temporarily taped in place, then turn
the device over.
3. Remove the five screws around the perimeter.
4. Turn the device right-side up.
5. Separate the front assembly from the body starting at the head (the test cell end). Once
separated, slide the top half away from you to ensure the power and USB connections on
the bottom edge of the device will clear the bottom casing.

59
There are five connectors on the board (circled in red). One of them is empty by design;
take care that the connectors or the wiring for the other four do not get damaged or dis-
connected:

6. Test the fuse with a continuity tester. If it fails, install a replacement fuse.
7. Re-assemble the device in reverse order and power it back on.

Cell Integrity Test Required Message

You must perform this test monthly as part of a regular maintenance program to verify the device
is operating within factory specifications.
The test is largely similar to the test in Test Results Appear Seriously Abnormal on page 63,
except the Cell Integrity Check does not save any data - and data are useful if you need to
contact Technical Support to help you troubleshoot issues.
You will also see this dialog box appear after every 100th sample test:

We strongly recommend you do NOT skip this test.

The purpose is to confirm that the cell is still capable of giving good results. If the cell is found to
be significantly scratched or the pathlength has changed compared to the last time the baseline
information was collected, the cell integrity check may fail.

60
In addition, the cell integrity check updates the baseline information stored in the device to
account for gradual cell changes over time.
1. Remove the test cell and clean both sides thoroughly.
2. If the FluidScan is not already at the Main Menu, press the Cancel, the Back or the Main
Menu button from any screen to return to the Main Menu.
3. Scroll down to Check Cell Integrity and press Select.

4. Remove the test cell from the slot in the head and press OK to start the spectrometer
window cleanliness check. Do not put the cell back in the slot.
The first dialog box will probably tell you the windows are still dirty. If you wait for a few
seconds, this will change to the Clean message.
5. Press OK to start the Background measurement.

After the measurement, press OK to accept the background measurement

values.
Do not press OK again until after you add the fluid to the cell and return the
cell to the measuring slot.

6. Using a disposable pipette, put two drops of FL-310 check fluid on the cell glass, close the
cell, return it to the slot and press OK to start the test measurement timer.
7. After the test, the Validate Fluid window will open briefly. This screen is quickly replaced
with a message that the test has either passed or failed.
If the test passed, press OK to return to the Main Menu and continue testing fluid samples.
If the test failed, press OK and follow the prompts to run three complete background
measurements, this time with the cell in and the cell out. Then retry the test with fresh FL310
Check fluid.
If the test still fails after this, contact Technical Support.

Repeated Noise or Cell Cleanliness Issues

If you are getting repeated errors such as too much noise or repeated cleanliness check failures,
you can open a fluid spectra graph.
1. From the Main Menu, scroll down to Utilities and click OK.
2. Scroll down to Test Cleanliness and click OK.
3. Select Graph.

61
A normal, clean cell graph would look very similar to this. The intensity of the y axis may vary from
unit to unit:

A persistent Cell is Dirty error message even after multiple cleanings would have a graph similar
to this:

This indicates that the pre-amp version setting is not where it is supposed to be (often cause by
updating an older unit to newer software version). You will need to contact Technical Support for
assistance.
A cell cleanliness graph like this, with jagged peaks, is due a chipped optic. You will need to
contact Technical Support for assistance.

If you experience a Measurement Exceeds the Noise Threshold error, there are two possible
graphs.
This graph indicates that one of the lamps is no longer working properly - the device may have
been dropped, for example. When this occurs this will require a bench repair as the unit will need

62
to be opened up and the lamp replaced.

The next graph is very similar to the graph for a clean cell measurement shown above, except it
has very jagged peaks. You will need to contact Technical Support for assistance, as this graph is
usually caused by a bad preamp cable.

Test Results Appear Seriously Abnormal

A vial of FL-310 Check fluid is included with your FluidScan. It gives you a fluid with known
parameters that you can analyze with a FluidScan to confirm that it is measuring fluids correctly.
If this test passes, then any user fluid test results that at first glance seem exceptionally abnormal
are actually correct.
The Cell Integrity Check is essentially the same process as this, but it does not save any data that
might indicate a trend while this procedure does. Therefore, this is the preferred procedure if you
need to contact Technical Support.

You should also plan on performing a regular check fluid test based on how
heavily you use the device, but at least weekly is highly recommended. See
Cell Integrity Test Required Message on page 60 for details.

1. From the Main Menu select Measure Fluid. If you need to update the Background
measurement, you will be prompted. Remove the test cell from the slot and press OK to
continue the background measurement.
2. When you see the Spectrometer window is Clean message, press OK.

63
3. The Fluid Categories screen opens. Scroll down to Check:

4. Press Next to open the Select Fluid screen. Check Fluid is the only option; press Next.
5. Optional: Press Edit to display the keyboard and enter something appropriate for the
Sample ID. The Date field defaults to today's date, although this can be changed by
tabbing to the date field and using the directional pad to change digits.
6. Using a pipette, add a few drops of FL-310 fluid to cover the test cell window and return
the test cell to the measuring position in the FluidScan housing.
7. PressOK. An elapsed time indicator shows the measurement progress - analysis time is
approximately one minute.
8. Press Next.
This is a simple pass/fail test. If it passes, the result is displayed in a green bar similar to
this example:

64
If it fails, it will display in a red bar similar to this example. A red bar and a green bar con-
stitutes a fail.

9. If the check fluid measurement fails, run the check fluid test again. If it fails repeatedly,
refer to Backing up the FluidScan Database on page 65 and send the database to
Technical Support for analysis.

Backing up the FluidScan Database

You should periodically back up the FluidScan database based on usage, but
at least weekly. Delete the data from the FluidScan after backup.
Do not overflow the FluidScan memory space. To check how much space is
available, see The "About FluidScan" Screen on page 58.
We strongly recommend that you use Fluid Manager to do this. Fluid Manager is provided at no
charge on the documentation CD. Refer to the "Fluid Manager User's Guide" for information
about synchronizing and backing up the database.
You can also copy the database to a USB memory stick, as follows:
1. Plug a USB memory stick into the USB connector on the bottom of the FluidScan.
2. From the Main Menu, scroll down to Utilities and press Select:
3. Scroll down to Device Maintenance and press Select.
4. Scroll down to Export Database and press Select.
5. Confirm that you want to overwrite any database that might already be on the memory
stick and wait for the device to finish processing. Note that there is no message
confirming the database has been overwritten.

Compacting the FluidScan Database

You should compact the FluidScan database periodically to prevent it getting too large.
1. From the Main menu, select Utilities.
2. From the Utilities menu, select Device Maintenanance and press the Select button.
3. Select Compact Database and press the Select button.
This might take a few minutes depending on the database size. The process is complete
when the hourglass symbol disappears; there is no other confirmation message.

Updating the FluidScan Software

The only supported method to update the FluidScan software is with the Fluid Manager utility.
Fluid Manager is provided at no charge on the documentation CD. Refer to the "Fluid Manager
User's Guide" for information about updating software on a FluidScan.

A Comprehensive Water Solution

The lubrication systems in industrial machinery typically run above the saturation point of water,
meaning free water can accumulate in the oil reservoir. This licensed option (available to
FluidScan 1000 users at the time of purchase) extends the range of measuring water
contamination beyond the traditional dissolved water measurement for industrial machinery
lubricants. It provides a quantitative measurement of free water present in key classes of
lubricants, including turbine, gearbox, pump, hydraulic and compressor oils.

The standard FluidScan range provides a dissolved water measurement from 50 - 100 ppm up to
the point of saturation.
The extended range takes the dissolved measurement and adds a free water measurement from
300 ppm to 65,000 ppm for turbine fluid categories, and 1,000 ppm to 65,000 ppm for other
industrial fluid categories like gear oil.

This is an improvement over the regular test results for FluidScan because without the extended
option, the device just reports the dissolved water peak.
For example, with some very hydrophobic fluids, the dissolved water might be zero ppm, but
there could be significant amounts of free water in the reservoir, which would appear in the
output similar to this:

This might indicate a problem like a cracked head gasket exists.

Method
Sample preparation for the test requires the precision high-speed homogenizer that is provided
by Spectro Scientific. The homogenizer has been specified to ensure a uniform distribution and
size of water droplets.
Shaking the sample will not ensure uniform distribution, nor will it create the small (<10 micron)
droplet size required to repeatably measure free water even though the samples might outwardly
look the same.

66
Please refer to the homogenizer user manual for general operating instructions.
Note: Although you can use the homogenizer hand-held, we recommend you use a stand.
1. Collect an oil sample and shake it well for 30 seconds.
2. Fill a 20 ml bottle (supplied) to a depth of 4 cm (1.5 in). The bottle geometry has been
selected to provide the most uniform sample homogenization to ensure the best
measurement repeatability.
3. Insert the homogenizer tip into the sample maintaining a 5 mm (3/16 in) gap between the
tip and the bottom of the bottle:

4. Set the homogenizer to maximum speed and run for 1 minute.

The hole in the tip (arrowed in the above picture) must remain below the fluid
level during homogenization.
Do not remove the probe from the sample bottle during homogenization.

A sample with water contamination looks similar to this example:

5. Turn the homogenizer off, remove the tip from the sample, and dry it with a lint-free pad.

If you are testing samples of a similar oil type, wiping the tip and blotting it
dry with a lint-free pad is sufficient cleaning.
If you are testing different oil types, or if you are storing the homogenizer
(even if only overnight) rinse the tip with alcohol before blotting it dry.
If the sample viscosity is ≥320 cSt, or it has a lot of particulate, insert the
probe tip into an empty bottle and run the homogenizer dry for 3 seconds.

67
6. Let the sample sit for ~1 minute but not more than 30 minutes before analysis. Samples
left over 30 minutes must be homogenized again.

68
B FluidScan USB Isolation
When the FluidScan was originally designed, it was it was intended to be a portable device
powered by an internal battery. The power supply was to charge the battery and USB connection
was to synchronize the result onto PC at the end of the session.
There are still good portion of our customer base use FluidScan as a desktop device – that the
FluidScan is plugged in and charged all the time, and the USB is connected to PC all the time.
Although this is not recommended, this section describes a reliable setup to avoid any potential
FluidScan failure due to noisy ground.

It is always a good practice to plug the FluidScan power supply and the PC
power supply into the same power strip.
Always use high quality USB cables. If in doubt, measure the shield resistance
from one end of the cable to the other end and it should be very small (< 1
Ohm).

In an industrial environment, it is possible that there will be a big load difference between day time
power usage and night time power usage, the power ground might not be very clean, and the PC
power supply might be noisy. In these environments, it is highly recommended to add additional
protection to the FluidScan USB port.
We recommend is a USB isolator from Spectro Scientific (Part Number 200-00204). It isolates
the grounding between the USB host and slave device and protect both the host and slave from
damages due to ESD, ground loop, and other electrical shocks. It is recommended for USB
communication in an industrial environment:

The USB cable is normally connected directly to the computer. You need to unplug the USB
cable from the PC, and plug the isolator into the USB port on the PC.
Then plug the USB cable into the isolator, like this:

69
The connections should look like this:

70
C Fluid Database

Application libraries are created from lubricants in the Spectro Scientific database. You can look
up a lubricant in this section, note the category, then look up the category in the table in the
sectionFluid Categories, Tests, and Libraries on page 115. This will tell you what tests are
routinely performed on fluids in this category and to which libraries categories are assigned.
For a list of fluids sorted alphabetically, see Fluid Database Sorted Alphabetically on page 72.
For a list of fluids sorted by the Substance ID, see Fluid Database Sorted by Substance ID on
page 89.

D Fluid Categories, Tests, and Libraries
If you look up your oil in the Fluid Database on page 71, you can find the Category for any
product, then look here for the tests applied to that category of fluid.

Category Description Tests Libraries

Transmission Automotive transmission Water (ppm) Automotive
applications use a series of fluids Oxidation Industrial
such as DEXRON, MERCON ATF (Abs/mm2) Marine
fluids, and only water and oxidation
are measured. The oxidation of the Railroad
fluid will affect shifting and shorten
clutch and gear life. Water
ingression indicates seal issues.
This category is primarily for
determining drain interval
extensions and troubleshooting.
Hydraulic-Fire Phosphate esters are a class of Water (ppm) Industrial
Resistant functional chemical fluids used in TAN (mgKOH/g) Aviation
electrohydraulic control systems Military
to where high temperatures are
possible. TAN and Water are the
primary measures of fluid health.
Oxidation is not tested, as the
TAN is more informative. These
fluids can be restored to normal
conditions in the field by use of
active ion exchange filtration
techniques.
Hydraulic - Hydraulic fluids used in aircraft Water (ppm) Aviation
Aero applications are concerned with Oxidation Military
water, oxidation and fluid mix-up. (Abs/mm2)
These predominantly synthetic Alien Fluid (MIL-H-
fluids are susceptible to fluid mix- 2104) (%)
up, particularly where fire resistant
Alien Fluid (MIL-H-
and mineral base fluids of equal
23699) (%)
viscosity be mixed. Alien fluid is
aiming at looking for two specific
fluids, mineral (2104) and 23699
engine oil.

Category Description Tests Libraries
Hydraulic The hydraulic category is a large Water (ppm) Automotive
category for the most common Oxidation Aviation
fluids used for hydraulic (Abs/mm2) Industrial
applications. Predominantly made TAN (mgKOH/g) Marine
up of mineral oil base stocks, all
these oils share similar Railroad
characteristics, with similar
additive packages for long life and
reduced wear on cylinders and
pumps.
Heat Transfer Heat transfer fluids are designed Water (ppm) Industrial
specifically to absorb heat, and Oxidation
are designed to operate up to (Abs/mm2)
650F. Water ingression inhibits TAN (mgKOH/g)
heat transfer, and as the fluids
degrade, sludges and
polymerized oil coats cooling
tubes. Oxidation and TAN are
used to determine serviceability
for further use.
Turbine- General oils used in turbine and Water (ppm) Industrial
Steam bearing applications. These oils Oxidation Marine
are highly refined, API Group I (Abs/mm2)
and hybrid Group II oils with TAN (mgKOH/g)
additives designed for full film
bearing lubrication. Water and
Acidity are closely monitored in
these products.
Turbine- This category focuses on oils used Water (ppm) Industrial
CCGT in high temperature, geared Oxidation Marine
turbine applications. These are (Abs/mm2)
typically composed of Group 11 TAN (mgKOH/g)
and Group 111 with an
antioxidant. These turbines often
have additive packages for Water,
TAN and oxidation.
Turbine-Aero These synthetic fluids (polyol Water (ppm) Aviation
esters, disaster blends) have TAN (mgKOH/g) Industrial
exceptionally high resistance to AntiOxidant (%) Military
oxidation, and do not form sludge
or varnish. Water, TAN and
Antioxidant remaining % are
reported.

116
Category Description Tests Libraries
Slideway Oils used in slides and spindle Water (ppm) Industrial
applications. These fluids have Oxidation
extra additives for friction. Water, (Abs/mm2)
TAN and oxidation are reported. TAN (mgKOH/g)
Compressor Fluids used in compressor Water (ppm) Aviation
applications. These are commonly Oxidation Industrial
Polyalkyl glycol/Polyol Ester (Abs/mm2) Marine
blends for rotary screw TAN (mgKOH/g) Military
compressor applications, and
Railroad
diester blends. Water, TAN and
Oxidation parameters help
determine if a change is
warranted.
Chiller Fluids used in refrigerated Water (ppm) Industrial
compressor applications, Oxidation Marine
additives and naphthenic (Abs/mm2) Military
basetocks are chosen because of TAN (mgKOH/g)
low pour point, low floc point and
miscibility with refrigerant such as
R22. Freon or Ammonia.
Note: Refrigerant such as
ammonia or Freon that has not
been outgassed from sample may
interfere with sample analysis in
the fliptop cell, resulting in
FluidScan not reporting values
due to high noise.
Gear-Splash Geared systems with a pitch line Water (ppm) Industrial
velocity of less than 1000 m/s, Oxidation Marine
high load boxes common in (Abs/mm2) Military
industrial applications. Bath TAN (mgKOH/g)
lubricated. Water, TAN and
Oxidation are offered.
Gear- Geared systems with a pitch line Water (ppm) Industrial
Pressure velocity greater than 1000 m/s. Oxidation Marine
This includes high speed boxes, (Abs/mm2) Military
drives, heavy duty transmissions. TAN (mgKOH/g)
These gear oils are frequently
pumped in large applications (e.g
wind turbines). Water, TAN and
oxidation are offered.
