Warranty
Spectro Scientific warrants to the original purchaser only, that all Spectro Scientific portable
instruments will be free from defects in material or workmanship for a period of one year from
date of invoice.
SPECTRO SCIENTIFIC'S SOLE OBLIGATION AND YOUR EXCLUSIVE REMEDY under
this Limited Warranty and, to the extent permitted by law, any warranty or condition implied by
law, shall be the repair or replacement of parts, without charge, that are defective in material or
workmanship and that have not been misused, carelessly handled, abnormal conditions or
operation, accidents or acts of God, or mis-repaired by persons other than Spectro Scientific or
Authorized Service Provider.

To make a claim under this Limited Warranty, you must return the complete portable instrument,
transportation prepaid, to Spectro Scientific Factory Service Center or Authorized Service
Location.
The determination of whether any product has been subject to misuse or abuse will be made
solely by Spectro Scientific. If a hardware defect arises and a valid claim is received within the
limited warranty period, at its option and to the extent permitted by law, Spectro Scientific will
either
(1) repair the hardware defect at no charge, using new parts or refurbished parts that are
equivalent to new in performance and reliability,
(2) exchange the product with a product that is new or refurbished that is equivalent to new in
performance and reliability and is at least functionally equivalent to the original product, or
(3) refund the purchase price of the product.
Spectro Scientific may request that you replace defective parts with user-installable new or
refurbished parts that Spectro Scientific provides in fulfillment of its warranty obligation. A
replacement product or part, including a user-installable part that has been installed in
accordance with instructions provided by Spectro Scientific, assumes the remaining warranty of
the original product.
After an issue with the unit has been verified, the offending module where the issue originates
should be returned to the factory for repair by authorized Spectro personnel.

The safe and proper operation of the device is our highest priority. The device must be used by
trained operators, according to the instructions presented in this manual. Improper usage may

End User Licensing Agreement (EULA)
1. Definitions
"Software” means computer programs provided to Licensee by SPECTRO SCIENTIFIC directly
or indirectly, and any related materials, including, but not limited to, Documentation related
thereto, and any subsequent revisions, improvements or updates.
"Documentation" means any information which is provided to Licensee in writing or fixed in other
tangible form, including, but not limited to, logic diagrams, manuals, lists, schematics, drawings
and marketing, development, maintenance, pricing and/or product information.
“Spectro Instrument” means the Spectro instrument on which Software is first installed or with
which the Software is provided by Spectro.

5. Limited Warranty: Warranty Disclaimer
SPECTRO SCIENTIFIC warrants that all Software will substantially conform, for a period of
thirty (30) days from shipment, to SPECTRO SCIENTIFIC's specifications prevailing at
shipment. SPECTRO SCIENTIFIC does not warrant Software will be error free or that all errors
will be remedied.
SPECTRO SCIENTIFIC's entire liability and Licensee's exclusive remedy under this warranty
shall be for SPECTRO SCIENTIFIC to make reasonable efforts to remedy, in a manner deemed
suitable to SPECTRO SCIENTIFIC, any non-conformance reported in writing within the
warranty period.
NEITHER SPECTRO SCIENTIFIC NOR ITS THIRD PARTY VENDOR (IF ANY) MAKE OR
GIVE, AND SPECTRO SCIENTIFIC HEREBY DISCLAIMS, ANY OTHER
REPRESENTATION OR WARRANTY REGARDING THE SOFTWARE, INCLUDING
EXPRESS OR IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A
PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
6. Limitation of Remedies
IN NO EVENT SHALL SPECTRO SCIENTIFIC OR ITS THIRD PARTY VENDOR (IF ANY)
BE LIABLE FOR SPECIAL, INDIRECT, INCIDENTAL OR CONSEQUENTIAL DAMAGES
OR ANY LOST REVENUES OR LOST PROFITS ARISING OUT OF OR IN CONNECTION
WITH THE USE OR PERFORMANCE OF SOFTWARE OR UNITS.
LICENSEE ACKNOWLEDGES AND AGREES THAT THE SOFTWARE AND UNIT IT
OPERATES ON ARE BEING PROVIDED HEREUNDER FOR OIL ANALYZING ACTIVITIES
ONLY AND SPECTRO SCIENTIFIC HAS NO LIABILITY OR RESPONSIBILITY TO
PROVIDE INFORMATION OR DATA RELATED TO THE OPERATION OR CONDITION OF
EQUIPMENT OR MACHINERY BEING OPERATED.
7. Infringement Indemnity
SPECTRO SCIENTIFIC disclaims all liability for copyright, patent or other infringement,
including any incidental or consequential damages.
8. Termination
8.1 Licenses shall become effective upon Software shipment and terminate at such time as
Licensee discontinues use of Software, or upon sale, lease or transfer by operation of law or
otherwise, of the Spectro Instrument.
8.2 If Licensee breaches any of the terms of this Agreement which are not capable of cure, or if
Licensee breaches any term of this Agreement that is capable of cure, including failure to pay any
required initial, monthly, or other license fees, and fails to cure such breach of this Agreement
within (10) days after receipt of written notice of such breach , the license(s) for the Software
related to such breach shall automatically terminate.
8.3 Upon termination of any license, Licensee shall immediately terminate use of such Software
and immediately return or destroy at SPECTRO SCIENTIFIC’s direction all copies of such
Software and other proprietary materials and certify in writing as to such destruction or return.
Sections 3, 5, 6, and 7 shall survive termination of this Agreement.
9. Miscellaneous
9.1 This Agreement shall be governed by the laws of the Commonwealth of Massachusetts,
excluding choice of law provisions and Licensee agrees that the exclusive proper venue for all
actions arising under the Agreement shall be only in Boston, Massachusetts, USA, provided that

SPECTRO SCIENTIFIC may seek equitable relief in any court of competent jurisdiction.. This
Agreement states the entire understanding between the parties as to Software licensed
hereunder.
9.2 Licensee agrees not to export Software, or re-export Software from or in country of
installation, without first complying with all applicable export laws and regulations.
9.3 This paragraph applies to all acquisitions of the Software by or for the United States
Government, or by any prime contractor or subcontractor (at any tier) under any contract, grant,
cooperative agreement or other activity with the United States Government (collectively, the
“Government”).
The Government hereby agrees that the Software and the Documentation are respectively
“commercial computer software” and “commercial computer software documentation” within the
meaning of the acquisition regulation(s) applicable to this procurement. This Agreement alone
shall govern the Government’s use of the Software and the Documentation and shall supersede
any conflicting contractual terms or conditions.
If this Agreement fails to meet the Government’s needs or is inconsistent in any respect with
Federal law, the Government must return the Software and the Documentation unused to
SPECTRO SCIENTIFIC.
The following additional statement applies only to acquisitions governed by DFARS Subpart
227.4 (October 1988): “Restricted Rights – Use, duplication and disclosure by the Government is
subject to restrictions as set forth in subparagraph (c)(1)(ii) of the Rights in Technical Data and
Computer firmware and software clause at DFARS 252.227-7013 (OCT. 1988).”

Overview
The FluidScan 1000 Lubricant Condition Monitor is a hand-held fluid analyzer that delivers
instant fluid condition assessment based on ASTM Standard Practice D7889. It can be used
entirely as a stand-alone device or used in tandem with other Spectro Scientific devices.
It can also be connected to a computer and managed using Fluid Manager. Fluid Manager
software and documentation is provided on the disc shipped with the FluidScan.
Theory of Operation
FluidScan measures the oil absorbence spectrum in mid IR range of 2.5 μm –12 μm. Instead of
using FTIR technology, which was more widely used in oil analysis laboratories, a diffraction
grating based optics with detector arrangement was used for better portability and durability.
A patented flip top cell uses one drop of oil or a smear of grease, takes less than one minute and
does not require any chemicals or solvents to clean. There is an integral database with asset
information and preset alarm limits utilizing a traffic light color system so that maintenance
personnel can make immediate decisions right after the measurement.

Key infrared signatures of fluid condition, established by the Joint Oil Analysis Program Technical
Support Center (JOAP-TSC) and established norms for predictive maintenance and fluid quality
control are used to obtain fluid status in real time (see ASTM.org). Status and supporting fluid
condition parameters are determined and displayed and the information can be stored locally or
exported.
FluidScan has algorithms for many of the world’s most common lubricant types stored in
memory. These algorithms provide a calibration for most lubricant types so it is not necessary to
physically measure a sample of untainted fluid to provide a baseline for comparative analysis.
Analytical Units
Analytical results are given in physical units as follows:
• TAN (mg of KOH per g)
• TBN (mg of KOH per g)
• Water (parts per million)
• Glycol (percent by weight)
• Soot (percent by weight)
• Alien Fluid (percent by weight)
• Antioxidant Depletion (percent remaining)
• Anti-wear Depletion (percent remaining)
Application Libraries
The FluidScan oils and other lubricants database is organized into functional categories like high-
pressure gear oil, engine oil, and transmission fluid. Then these categories are grouped into one
or more libraries and licensed to customers based on their testing requirements.
Refer to Fluid Categories, Tests, and Libraries on page 115 for a table describing each category,
and which libraries are created from which categories. This table also describes what kind of
tests are appropriate for each fluid category. For example, fluids in the Hydraulic category are
routinely tested for Water, Oxidation and Total Acid Number (TAN).
The following individual libraries plus the FL360 - All Libraries option are available to all licensees.
FluidScan 1000 users select a library and have the opportunity to add the Comprehensive Water
Solution at the time of purchase (see below).
Grease is included with all libraries, but be aware that Oxidation and Water are measured in
Units of Absorbence rather than in Parts/Million (ppm).

2 Quick Reference Guide
Important: Disconnect all USB cables on power-up.
1. Measure Fluid is selected in the Main Menu by default.
Press the Select button.
2. Scroll down to highlight your fluid category, like this:
Important: Confirm the fluid category from the Fluid
Database on page 71 rather than the container.
3. Scroll down to your brand and press Next.
4. Optional: press Edit to open a keyboard and create an
ID using the Select button. Then press Done.
5. You might be prompted to take a new Background
measurement, like this:
If so, press OK; otherwise skip to Step 9.
6. The background measurement is taken with the cell
OUT of the slot. Remove the sample cell and press OK.
7. When you see "Spectrometer Windows are Clean"
press OK to start the Background timer:
8. Press OK to use this Background test result.
Important: Do NOT press OK again until after Steps 9
and 10; otherwise, the test will begin on the empty cell
and you must start over.
9. Using a clean pipette, smear a thin film of grease or
place 2 drops of oil on the bottom half of the test cell glass
until it is just covered:
10. Close the cell. Do not lift the cell so the halves meet
in the middle or the oil could run off the glass. Instead,
fold the top half of the cell over until it meets the bottom
half and let the magnets close the cell correctly.
11. Return the test cell to the slot and press OK to start
the sample measurement.

• There is a power connector and LED for the power supply/battery charger. A two-color
LED shows green when charged.
• There is a USB connector to connect a data stick, a printer, a USB keyboard or mouse
(not supplied) and a USB connector used to connect the FluidScan to a PC for
synchronizing with Fluid Manager.
Device Underside
• Serial Number Label - Contains permanent identification information for the specific
FluidScan; also linked to the Certificate of Conformance.
• Battery Compartment - Holds the rechargeable Li-Ion battery.
1. Plug the 18 VDC connector from the power supply/battery charger into the connector on
the bottom connector panel.
Use the power supply/battery charger that was provided with the FluidScan. If you
do not, you risk blowing the internal fuse.

2. Plug the AC connector from the power supply/battery charger into a utility outlet and turn
on the power to charge the battery. A two-color LED shows green when charged.
3. Disconnect the power supply/battery charger.
4. Press the Power button on top of the FluidScan to boot the device to the Main Menu:
A 3-segment battery condition meter will display three green bars when fully charged:
Power-Down Procedure
Do not simply power down a FluidScan with the power button. Follow these steps to shut down a
FluidScan properly:
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to Shut Down Device and press Select; then press Shut Down.
You can also connect a USB keyboard (not supplied) to the USB port on the device.
Scroll around the keyboard using the directional pad and press Select to enter a character. When
you are finished, press Done to continue to the next screen.
Some screens have multiple fields in which you can enter new or edit existing text or numbers, as
in this example of two Wave Number (WN) fields:

In this example, press the Tab button to jump between the WN From and WN To fields.
To change characters in a field, use Left and Right on the directional pad to highlight the
character, then use Up and Down to change it.
Wherever operational circumstances allow it, we recommend that you connect your device to a
laptop using the USB cable (supplied) and manage your device using Fluid Manager.
Fluid Manager is a free tool that can be used to:
• Manage Descriptor Levels, Asset Descriptors and Assets
• View Test Results
• Maintain Databases
• Update FluidScan software

2. From the Main Menu, scroll to Utilities and press Select to open the Utilities Menu.
3. Scroll down to License Key and press Select.
4. Press Edit to open a keyboard and enter the license key. Press OK.
If you enable this option, viscosity results can be displayed with fluids from all
categories. However, fuel dilution results can only be presented if you are testing
fluids found in the Engine, Engine - Heavy Duty, Engine-HFO, and Engine -
Natural Gas categories.
5. Use the Toggle button to check the check-box to be prompted to enter the viscosity test
results.

6. Press the Tab button to select the Allow Dilution Entry field.
7. Use the Toggle button to check the check-box to be prompted to enter the fuel dilution
test results.
8. Press the Update button to return to the User Settings menu.
If you elect to enable this feature, after you have measured a sample, but before the res-
ults are displayed, you will be able to enter the viscosity test result at 40C and/or the fuel
dilution result.
The results are then displayed along with the fluid chemistry results similar to this
example:

6. Press the Uncheck All button; then use the directional pad and the Check button to select
only categories that you will use. For this example, select only the engine oil categories,
then press OK:

6. Press the Uncheck All button to clear all the check-boxes. Then use the directional pad
and the Check button to scroll down the list to check off only the oils you will use.
7. Repeat the process for each of the Engine categories, then press OK.
You can only print to a special printer available from Spectro Scientific.
1. Connect a USB printer directly to the USB connector on the bottom of the FluidScan with
a USB-A to USB-A cable (not supplied).
2. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
3. From the Main Menu, scroll down to Utilities and press Select to open the Utilities Menu.
4. Scroll down to User Settings and press Select.
5. Scroll down to Enable Printing and press Select.
6. Press the Toggle button to place a check mark in the Enable Printing check-box.
7. Press Update.
8. Whenever test results display, press the << button to begin printing.
Creating Passwords
You can enable a password for the following features:
• Slope adjustment
• Fluid management
1. If the device is not already at the Main Menu, press the Back, Cancel, or Main Menu
button from any screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. From the Utilities Menu scroll down to User Settings.
4. From the User Settings Menu, scroll down to Set Password and press OK.
5. Press the Edit button to open a keyboard and enter the password, confirm, and press
OK.

Compacting, Exporting, and Importing Databases
Compacting a Database
Storage space on a FluidScan is limited. You may want to compact the database occasionally to
create more space.
Follow these steps to compact the database:
1. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
2. Scroll down to Utilities and press Select to open the Utilities Menu.
3. Scroll down to Device Maintenance and press Select.
4. From the Device Maintenance Menu, scroll down to Compact Database and press
Select.
An hour glass icon will display while the database is being compacted - which may take
some time.
5. When the process is complete, the device will reset to the Main Menu - there is no other
confirmation that the process is finished.
Exporting a Database
Follow these steps to export the database:
1. Plug a data stick into an available USB port.
2. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
3. Scroll down to Utilities and press Select to open the Utilities Menu.
4. Scroll down to Device Maintenance and press Select.
5. From the Device Maintenance Menu, Export Database is the default - press Select. An
hour glass icon will display while the database is being exported - which may take some
time.
6. When the process is complete, the device will reset to the Main Menu - there is no other
confirmation that the process is finished.
Importing a Database
Follow these steps to import a database:
1. Plug the data stick with the database into an available USB port.
2. If the device is not already at the Main Menu, press the Main Menu button from any
screen.
3. Scroll down to Utilities and press Select to open the Utilities Menu.
4. Scroll down to Device Maintenance and press Select.
5. From the Device Maintenance Menu, scroll to Import Database. Press Select.
An hour glass icon will display while the database is being imported.
6. When the process is complete, the device will reset to the Main Menu - there is no other
confirmation.

Updating FluidScan Software
You can only update FluidScan software with Fluid Manager. Refer to the "Fluid Manager User's
Guide" on the CD accompanying the FluidScan for more information.
After the update is over and synchronization is finished, you will be prompted to delete the old
measurements. We recommend you choose Yes to free up storage space internally.
The first time you are prompted for a Background measurement after a
software update, you will be prompted to run a measurement first with the
test cell in the sampling head slot, then again, but this time with the cell out of
the sampling head slot.

4 Measuring Fluid Samples
Follow these steps to establish the condition of an oil sample as a "snapshot" of its condition in the
moment. If you are interested in using fluid analysis to help establish the running condition of the
machinery from which the sample came, or if you want to measure a series of samples to monitor
developing trends over elapsed time, refer to Testing Samples Within an Asset Structure on
page 21 for details.
You must validate the analyzer every month as part of a regular maintenance
program by running the Check Cell Integrity test from the Main Menu.
Additionally, you will be prompted to run the test after every 100 samples.
See Cell Integrity Test Required Message on page 60 for details.
If you are testing grease samples, be aware that the results for Oxidation and
Water are given in Absorbence Units and not in Parts/Million (ppm).
Measuring a Sample
1. Return to the Main Menu from any FluidScan screen by pressing the Back button, the
Cancel button or the Main Menu button.
1. Measure Fluid is selected by default. Press Select to open the Select Fluid screen:

2. Use the directional pad to scroll down to the category to which your fluid belongs; for
example, Gear Oil.
You must always check the fluid database because there are oils that are
marketed with a lubricant type on the bottle when the actual chemical properties
identified in the FluidScan database are those of a different type of lubricant.
For example, something marketed as engine oil could have the chemical
properties of a gear oil.

5. Optional: you can create a Sample ID for this sample by pressing the Edit button. This
will open a keyboard. Use the directional pad to scroll around the software keyboard and
use the Select button to select letters and numbers.
Press the Tab button to jump to the Sample Date field. The date defaults to today’s date
or use the arrows to enter a new date, and then press Tab.
Leave the Calculate Using Subtraction Method box blank.
6. Press Next. Depending on how much time has elapsed since the last sample, you may be
prompted to run a new Background measurement as shown below; otherwise skip to
Step 8:

Do not prepare a pipette (Step 9) until you are ready to use it in order to

9. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:
10. Fold the top half of the cell over until it meets the bottom half and let the magnets close
and seal the cell correctly. Never lift both halves of the test cell to meet in the middle as
there is a high likelihood of the oil running off the cell glass before the cell closes.

The previous results were obtained from a test on a sample of Mobil Terrestic,
which is from the Turbine Oil category. All oils in this category are routinely tested
for Oxidation, Total Acid Number (TAN) and Water. You can check which tests
are run for fluids in any fluid category by referring to Fluid Categories, Tests, and
Libraries on page 115.
Optional: Press Save. Saves results to review and possibly re-measure (if previous
measurements exist).
Optional: Press Discard. Discards the result and returns to the Main Menu.
Optional: Press << to open a sub-menu where you can add notes or view a graph of the
absorbence spectrum.

Spectra displays are primarily used by expert users to "eyeball" different fluid
signatures and confirm if fluid identities look similar or not. Spectrum plots by
FluidScan are low resolution and therefore not provided for very close
analysis.
Press the Graph button to open a graph similar to this one. Measurements are in cm^-1.
To zoom in on any area of interest, press the Tab button to place the cursor in the WN From field
and change the start position anywhere above 750 nm.
Then press Tab again to shift to the WN To field and adjust that number for the end position
anywhere below 4000 nm. Then press Refresh to zoom in on the area you just selected.

Other than Level 1 - a monolithic company - each asset descriptor can support many entries. For
example, there could be more than one location at Level 2, and there are many different
equipment types at Level 3: bulldozers, cranes, trucks, excavators, pumps, centrifuges etc.
Level 4 is where you identify excavator model, bulldozer model, etc. You need to come up with a
unique identifier for each piece of equipment you have in each model. For example, an identifier
for a vehicle could be a VIN number.
Level 5 is where bulldozers and excavators break down into smaller sub-assemblies: engines,
gearboxes, transfer cases etc, These are the all-important hard assets from where the used fluid
samples are taken. For this example, the identifier for an engine will be a serial number.
Level 6 is a sample port; a drain plug in a truck oil reservoir for example.

8. Allow ~2 seconds for the magnets to properly close the cell and form a seal. Lift the cell
vertically and lower it into the housing.
9. Press OK to start the test.
You will see a progress bar display telling you how the measurement is progressing.
When the measurement is complete, the FluidScan starts to analyze the results.
10. Based on your license(s), the fluid category, and other configured options, results will
display similar to this example:

(Wavenumber) parameters and recalculate the graph to zoom in on a particular peak by
widening the display.
Peaks of interest in the above example are at about 950 -1840 and 2590 - 3810 cm^-1. To adjust
the WN, press Tab to move the cursor between fields and use the directional button to adjust the
digit values.
Then press Refresh to display the adjusted plot.

Retiring an Asset
You can retire an asset instead of deleting it in case you want to reuse the asset later.

6 Validating Commercial Fluids
For this example, a user has a quantity of what he believes to be Mobil Super 2000 5W-40 engine
oil, but has no way to know for sure. The validate fluid feature allows users to test a fluid to
establish a match score:
• 7.0 -10.0 means the fluid is highly likely to be what it is believed to be.
• 5.0 - 6.9 means the fluid is likely to be what it is believed to be.
• Below 4.9 means the fluid is not what it is believed to be
FluidScan forms matches based on chemistry and class of product (engine or gear oil for
example) and cannot differentiate brand from brand, but the information gleaned from the
sample test can help the user decide how to proceed.
Identifying a Fluid
1. Refer to the Fluid Database on page 71 and scroll down to the entry for Mobil Super 2000
5W-40. The database confirms that this fluid belongs in the Engine category.
You must always check the database because there are fluids that are
marketed with one fluid type on the bottle when the actual chemical properties
identified in the FluidScan database are of a different fluid type - a gear splash
oil for example.
2. From the Main Menu, scroll down to Identify Fluid and press Select.
Depending on how much time has elapsed since the last sample, you may be prompted
to run a new Background measurement as shown below. Otherwise, skip to Step 4.
You must remove the test cell from the slot in the sampling head before you
press OK to start the Background measurement.

The match is based on a “score” but it is not necessary to get a “perfect 10” to be a
strong match.
A different sample from the same tank might come up with a different score, or it
might match 5W-40 oils from Shell and Texaco with a higher score than Mobil. Oil
formulations change regularly, even though it is marketed as the same brand. The
match may differ due to formulation change, or if the new oil is adulterated or mixed
with another fluid, or contaminated in some other way.
Probable Match
A score between 5.0 and 6.9 is considered a “probable” match, and it is up to the user to decide if
a result within this band is suitable.
You could also opt to use the Subtractive Method for results in this range -
see Measuring a Fluid Using the Subtraction Method on page 53 for details.
For results in this band, the user can consider these two options:
1. Will the FluidScan find a match with another fluid in the database. The database
is being updated all the time, but not all fluids are in there yet. If there is no match for any
other fluid based on chemistry, there is the option to add it as a custom User Fluid (see
Customizing User Fluids on page 40 for details).
Users may find it preferable to create a new User Fluid because it allows them
to customize some parameters and alarms. They are also encouraged to send
clean samples to us for a full laboratory analysis as a User Fluid.
A customized User fluid would be expected to return consistently very high
match scores of ~10.0.
2. Can you use the match as the base chemistry for a new User Fluid. This depends
on the test parameters for the matched fluid. For example, suppose FluidScan finds a
match in the database, but it is not in the Engine category - it is in the Engine - Heavy Duty
category.
If so, the match is acceptable because all engine oils include the TBN parameter regard-
less of category. If you are measuring for TAN, then you can’t use any engine oil,
because none of them measure the TAN parameter.
See Fluid Categories, Tests, and Libraries on page 115 if you need to know
which tests are appropriate for each category.

No Match
A score below 5.0 is not considered a match at all. In this case, you have the option to see if
FluidScan can find any kind of match based on chemistry.
1. Press the Match button in the Validate Fluid screen. FluidScan will search the database
for the closest match to any other fluid. This might take a while to complete.
2. For this example, FluidScan comes up with a match for the test fluid, but it finds the
sample is not engine oil - the chemistry places it in the Gear - Splash category:
You have been able to establish that what you thought was Mobil engine oil turns out to be a gear
oil with a chemistry that closely matches product from several companies. If this is all you wanted
to know for a quality control test, press Cancel to return to the Main Menu.
Otherwise, you may want to know if you can use this fluid as the basic chemistry for a customized
User Fluid.
1. Click the top-scoring fluid (or click any brand if there are multiple top-scoring fluids) and
press Select for full parameter details:
You cannot use this fluid as the chemical basis for a User Fluid based on an
engine oil, because it is from the Gear-Splash category and no gear oils
measure the TBN parameter.

Overview
A "User fluid" is one where a user can take a fluid in the FluidScan database and customize the
default alarms and properties and/or apply calibration offsets so the fluid becomes a more
accurate fit for the user's particular application.
For example, the default water alarm limit for Synlube WS 460 gear oil might be fine when used
in a locomotive, but you might want to raise the water alarm limit for use in a marine environment
where you might reasonably expect a higher level of water contamination before protection
breaks down.
The FluidScan fluid database is divided into categories. The device has the ability to match your
lubricant sample with the chemistry of fluids in the database and identify it by category.
For example, there are fluids in the database that clearly market themselves as "engine oil" when
proper chemical analysis clearly shows they are formulated as light gear oils with parameters
unsuited to the user's projected application for an engine oil - although it might work perfectly well
as an "engine oil" in a different application: a 3-hp trolling motor, for example.
Users are also encouraged to send us a clean sample of any lubricant they are
contemplating using and we will analyze it in our laboratory and apply any
calibration and offset parameters.

In this example, it comes up with a “highly probable” (9.0) match for Terpel Marino TBN 70:
A check of the Fluid Database on page 71 confirms that this is a heavy duty engine oil, so it will be
OK to use this as the basic formula for the User fluid.
The FluidScan matches on chemistry only, so you should always select the
fluid that has the best score as long as it has the appropriate properties. If
there are multiple top scores with the same properties, you can pick any of
them, because the brand makes no difference.
You also need to be aware of the application. An oil in the Engine - Natural
Gas category will return a measurement for TBN, but it would not be
formulated for protection against soot buildup. This would make it unsuitable
as the User fluid base for an engine oil used in a heavy diesel engine running
24/7.
7. Press Terpel Marino to highlight it and press Select to open the Matching Substance
screen.
8. Press Select to open the Specify New Fluid Name screen:
Substance ID field: This is generated automatically. If you need this Substance ID later - to
search for a fluid in the table Fluid Database Sorted by Substance ID on page 89 you can retrieve
it later; see Editing the User Fluid Name on page 44 for details.
9. Press the Edit button to open the software keyboard and create a fluid name. For this
example, call the fluid Copco Mining #1.
10. Press Next to open the Select Properties screen:
We recommend you leave all properties in this screen checked as you may not
want to edit them now, but you might well want to later.

11. Press Next to open the Alarm Limits - Specify screen.
This shows the default alarm settings for all properties similar to this screen. For this
example, edit the TBN property, as follows:

It is strongly recommended you have a certificate of analysis for the new oil in
question with the test value in question and consistent with the ASTM test
method used by Spectro to develop the FluidScan algorithm. Call your
technical sales representative with any questions.
Do not rely entirely on oil supplier product data sheets as official references for
modifying this value. These are usually nominal specfications. For this
example, use 9.2 mg KOH/g.
4. Select TBN and press Next to open the Edit Property screen.

Optional: You can zoom into specific regions of interest by using the Tab button and the up and
down buttons on the directional pad to change the Wavenumber scale and zoom in.

directional pad Left and Right to select the necessary digit, and use Up and Down to
change the values to 1200.
12. Press Done to return to the Edit Properties screen and confirm the new value is in effect.

You also need a comparative sample of the deteriorating fluid over time measured by both the
FluidScan and lab titration. A minimum of five samples is required.
For this example, use the comparative test results from the following table:
1. Titrate a new, unused sample in the laboratory to determine the TBN. For this example,
make this value 7.6 as indicated by the table.

Overview
Oil condition analysis by IR spectroscopy has two methods for trending, both of which are
supported by Spectro Scientific.
The first is direct trend analysis, where values are recorded directly from absorption spectra and
reported in units of absorbence per 0.1 mm pathlength - the default method for FluidScan and the
most widely used by JOAP, Caterpillar and oil analysis laboratories worldwide.
The second is differential trend analysis, or the subtraction method. In this approach, values are
recorded from the differential spectra (i.e. the spectrum obtained by subtraction of the absorption
spectrum of the reference oil from that of the in-service oil) and reported in units of
100*absorbence per 0.1 mm pathlength (or the equivalent absorbence units per centimeter).
This approach is sometime used by oil companies who have access to new oil references.
The spectrum from a clean, uncontaminated sample of the in-service fluid is then subtracted from
that of the used fluid and the resulting graph shows the difference(s) between the two spectra.
There is no guarantee that the clean sample used to derive the new spectrum
is not contaminated. For example, if the "clean" fluid contains 300 ppm of
water, then the zero point for water for all subsequent tests will be 300 ppm -
not 0 ppm.
Follow these steps to update the spectrum for an existing fluid; for example, Mobil 1 10W-30:
1. From the Main Menu, scroll down to Utilities and press Select.
1. Select Manage Fluids, and then press Select.
2. Select Update Fluid Spectra and press Select.
3. Scroll down to the appropriate fluid category. For this example, scroll to Engine and press
Select.
4. Scroll down to the fluid you want to update. For this example, scroll to Mobil 1 10W-30
and press Select.
5. Remove the test cell from the head and press OK. Depending on how much time has
elapsed since the last sample, you may be prompted to run a new Background
measurement as shown below; otherwise skip to Step 7:

spectrometer windows are still dirty. If you wait a few seconds, the message will change

the FluidScan body and clean it with a fresh wipe.
Do not prepare a pipette (Step 8) until you are ready to use it in order to
minimize the amount of time the lubricant is in contact with the plastic. This
applies to both disposable pipettes and plastic PDP tips.
8. Using a disposable pipette (supplied) add two drops of oil or a thin film of grease to the
bottom half of the cell window:

and seal the cell correctly. Never lift both halves of the test cell to meet in the middle as
there is a high likelihood of the oil running off the cell glass before the cell closes.

Low and high limits are 750 and 4000 cm^-1 by default. If necessary you can adjust the WN
(Wavenumber) parameters and recalculate the graph to zoom in on a particular peak by
widening the display. Peaks of interest are at about 950 -1840 and 2590 - 3810 cm^-1.
To adjust the WN, press Tab to move the cursor between fields and use the directional button to
adjust the digit values.

If the battery fails to charge, fails to hold a charge, or fails in any other way it will need to be
replaced. Contact Spectro Scientific to obtain a replacement.
Follow these steps to replace the battery:
1. Flip the device over; take care that the test cell stays in the housing.
2. Remove the three screws securing the battery compartment cover.
3. Lift the cover to expose the battery.
4. Lift the battery out of the compartment and pull the plug straight up to disconnect it.
5. Replacement is the reverse of removal.

1. Make sure the battery charger is plugged into a utility outlet that is "live" and that is turned
on.

3. If the charger appears to be working, and there is no reason to suspect that the battery is
defective, you need to check the on-board fuse and replace it if necessary.

There are five connectors on the board (circled in red). One of them is empty by design;
take care that the connectors or the wiring for the other four do not get damaged or dis-
connected:
6. Test the fuse with a continuity tester. If it fails, install a replacement fuse.
7. Re-assemble the device in reverse order and power it back on.
The purpose is to confirm that the cell is still capable of giving good results. If the cell is found to
be significantly scratched or the pathlength has changed compared to the last time the baseline
information was collected, the cell integrity check may fail.

In addition, the cell integrity check updates the baseline information stored in the device to
account for gradual cell changes over time.
1. Remove the test cell and clean both sides thoroughly.
2. If the FluidScan is not already at the Main Menu, press the Cancel, the Back or the Main
Menu button from any screen to return to the Main Menu.
3. Scroll down to Check Cell Integrity and press Select.
4. Remove the test cell from the slot in the head and press OK to start the spectrometer
window cleanliness check. Do not put the cell back in the slot.
The first dialog box will probably tell you the windows are still dirty. If you wait for a few
seconds, this will change to the Clean message.
5. Press OK to start the Background measurement.
6. Using a disposable pipette, put two drops of FL-310 check fluid on the cell glass, close the
cell, return it to the slot and press OK to start the test measurement timer.
7. After the test, the Validate Fluid window will open briefly. This screen is quickly replaced
with a message that the test has either passed or failed.
If the test passed, press OK to return to the Main Menu and continue testing fluid samples.
If the test failed, press OK and follow the prompts to run three complete background
measurements, this time with the cell in and the cell out. Then retry the test with fresh FL310
Check fluid.
If the test still fails after this, contact Technical Support.

A normal, clean cell graph would look very similar to this. The intensity of the y axis may vary from
unit to unit:
A persistent Cell is Dirty error message even after multiple cleanings would have a graph similar
to this:
This indicates that the pre-amp version setting is not where it is supposed to be (often cause by
updating an older unit to newer software version). You will need to contact Technical Support for
assistance.
A cell cleanliness graph like this, with jagged peaks, is due a chipped optic. You will need to
contact Technical Support for assistance.
If you experience a Measurement Exceeds the Noise Threshold error, there are two possible
graphs.
This graph indicates that one of the lamps is no longer working properly - the device may have
been dropped, for example. When this occurs this will require a bench repair as the unit will need

to be opened up and the lamp replaced.
The next graph is very similar to the graph for a clean cell measurement shown above, except it
has very jagged peaks. You will need to contact Technical Support for assistance, as this graph is
usually caused by a bad preamp cable.
You should also plan on performing a regular check fluid test based on how
heavily you use the device, but at least weekly is highly recommended. See
Cell Integrity Test Required Message on page 60 for details.
1. From the Main Menu select Measure Fluid. If you need to update the Background
measurement, you will be prompted. Remove the test cell from the slot and press OK to
continue the background measurement.
2. When you see the Spectrometer window is Clean message, press OK.

7. PressOK. An elapsed time indicator shows the measurement progress - analysis time is

This is a simple pass/fail test. If it passes, the result is displayed in a green bar similar to

stitutes a fail.
9. If the check fluid measurement fails, run the check fluid test again. If it fails repeatedly,
refer to Backing up the FluidScan Database on page 65 and send the database to
Technical Support for analysis.

A Comprehensive Water Solution
The lubrication systems in industrial machinery typically run above the saturation point of water,
meaning free water can accumulate in the oil reservoir. This licensed option (available to
FluidScan 1000 users at the time of purchase) extends the range of measuring water
contamination beyond the traditional dissolved water measurement for industrial machinery
lubricants. It provides a quantitative measurement of free water present in key classes of
lubricants, including turbine, gearbox, pump, hydraulic and compressor oils.
The standard FluidScan range provides a dissolved water measurement from 50 - 100 ppm up to
the point of saturation.
The extended range takes the dissolved measurement and adds a free water measurement from
300 ppm to 65,000 ppm for turbine fluid categories, and 1,000 ppm to 65,000 ppm for other
industrial fluid categories like gear oil.
This is an improvement over the regular test results for FluidScan because without the extended
option, the device just reports the dissolved water peak.
For example, with some very hydrophobic fluids, the dissolved water might be zero ppm, but
there could be significant amounts of free water in the reservoir, which would appear in the
output similar to this:
Method
Sample preparation for the test requires the precision high-speed homogenizer that is provided
by Spectro Scientific. The homogenizer has been specified to ensure a uniform distribution and
size of water droplets.
Shaking the sample will not ensure uniform distribution, nor will it create the small (<10 micron)
droplet size required to repeatably measure free water even though the samples might outwardly
look the same.

Note: Although you can use the homogenizer hand-held, we recommend you use a stand.
1. Collect an oil sample and shake it well for 30 seconds.
2. Fill a 20 ml bottle (supplied) to a depth of 4 cm (1.5 in). The bottle geometry has been
selected to provide the most uniform sample homogenization to ensure the best
measurement repeatability.
3. Insert the homogenizer tip into the sample maintaining a 5 mm (3/16 in) gap between the
tip and the bottom of the bottle:
The hole in the tip (arrowed in the above picture) must remain below the fluid
level during homogenization.
Do not remove the probe from the sample bottle during homogenization.
5. Turn the homogenizer off, remove the tip from the sample, and dry it with a lint-free pad.
If you are testing samples of a similar oil type, wiping the tip and blotting it
dry with a lint-free pad is sufficient cleaning.
If you are testing different oil types, or if you are storing the homogenizer
(even if only overnight) rinse the tip with alcohol before blotting it dry.
If the sample viscosity is ≥320 cSt, or it has a lot of particulate, insert the
probe tip into an empty bottle and run the homogenizer dry for 3 seconds.

6. Let the sample sit for ~1 minute but not more than 30 minutes before analysis. Samples
left over 30 minutes must be homogenized again.

B FluidScan USB Isolation
When the FluidScan was originally designed, it was it was intended to be a portable device
powered by an internal battery. The power supply was to charge the battery and USB connection
was to synchronize the result onto PC at the end of the session.
There are still good portion of our customer base use FluidScan as a desktop device – that the
FluidScan is plugged in and charged all the time, and the USB is connected to PC all the time.
Although this is not recommended, this section describes a reliable setup to avoid any potential
FluidScan failure due to noisy ground.
It is always a good practice to plug the FluidScan power supply and the PC
power supply into the same power strip.
Always use high quality USB cables. If in doubt, measure the shield resistance
from one end of the cable to the other end and it should be very small (< 1
Ohm).
In an industrial environment, it is possible that there will be a big load difference between day time
power usage and night time power usage, the power ground might not be very clean, and the PC
power supply might be noisy. In these environments, it is highly recommended to add additional
protection to the FluidScan USB port.
We recommend is a USB isolator from Spectro Scientific (Part Number 200-00204). It isolates
the grounding between the USB host and slave device and protect both the host and slave from
damages due to ESD, ground loop, and other electrical shocks. It is recommended for USB
communication in an industrial environment:
The USB cable is normally connected directly to the computer. You need to unplug the USB
cable from the PC, and plug the isolator into the USB port on the PC.

fluids used for hydraulic (Abs/mm2) Industrial
applications. Predominantly made TAN (mgKOH/g) Marine
up of mineral oil base stocks, all
these oils share similar Railroad
characteristics, with similar
additive packages for long life and
reduced wear on cylinders and
pumps.
Heat Transfer Heat transfer fluids are designed Water (ppm) Industrial
specifically to absorb heat, and Oxidation

650F. Water ingression inhibits TAN (mgKOH/g)
heat transfer, and as the fluids
degrade, sludges and
polymerized oil coats cooling

used to determine serviceability
for further use.
Turbine- General oils used in turbine and Water (ppm) Industrial
Steam bearing applications. These oils Oxidation Marine
are highly refined, API Group I (Abs/mm2)
and hybrid Group II oils with TAN (mgKOH/g)
additives designed for full film
bearing lubrication. Water and
Acidity are closely monitored in
these products.
Turbine- This category focuses on oils used Water (ppm) Industrial
CCGT in high temperature, geared Oxidation Marine
turbine applications. These are (Abs/mm2)
typically composed of Group 11 TAN (mgKOH/g)
and Group 111 with an
antioxidant. These turbines often
have additive packages for Water,
TAN and oxidation.
Turbine-Aero These synthetic fluids (polyol Water (ppm) Aviation
esters, disaster blends) have TAN (mgKOH/g) Industrial
exceptionally high resistance to AntiOxidant (%) Military
oxidation, and do not form sludge
