Chapter I

THE PROBLEM

Introduction

Motorcycle parts and accessories for every motorcycle are engineered,

manufactured and assembled in order to produce motorcycle models with desired

performance, aesthetics, and cost. There are different motorcycle parts in the market that

can make the motorcycle have better performance and appearance. .

Retailers provide the vital like between producers and consumers. Providing

Services, retailersThey provide services that make it easier for customers to buy and use

products. They can display products so that consumers can see and tests the items before

buying. The retailers can create value in providing assortments. Offering an assortment

enables the customers to choose from a wide selection of products, brands, sizes, prices at

one location. If each of these manufacturers had its own stores that sold only its own

products, consumers would have to go to many different stores to buy the motorcycle

parts needed.

According to BreakingKazi (2012) bulk, , to reduce transportation costs,

manufacturers and wholesalers typically ship cases of different motorcycle parts to

retailers, breaking bulk must be used. Retailers offer products in smaller quantities.

Breaking bulk is important to both manufacturers and consumers. Retailers offer

products in smaller quantities. It enables manufacturers to efficiently make and shop

merchandise in larger quantities and enables consumers to purchase merchandise smaller,

more useful quantities.

2

Holding inventory is a major value providing activity performed by retailers is

holding inventory so that the products will be available when consumers want them

(Kazi, 2012). Thus, consumers can keep a smaller inventory of products at home because

they know local retailers will hhave the products available when they need more. This

activity is particularly important to consumers with limited storage space.

An article by Villegas (2009) entitled “Inventory controls are key to dissuade

employees from stealing” states that: “Computers can only do much, but coupled with

inculcating honesty among staff and instituting the appropriate deterrence, they can work

very well in minimizing losses and pilferages. It is therefore highly advisable to do both

the manual and the computerized inventory system in a retail and wholesale business.”

Providing Services, retailers provide services that make it easier for customers to

buy and use products. They can display products so that consumers can see and tests the

items before buying.HTTOYBOX Motorcycle Parts and Accessories is a retail store that

offers high quality but affordable motorcycle parts and accessories. Most of the items

they sell are manufactured in Thailand. In HTTOY BOX Motorcycle PartsCurrently, the

store is still using the manual , method of managing their operations such as: buying

items directly form manufactures and wholesalers; marking up prices from what they

paid for to gain profit; selling items to customers; services are still in manual type of

processing the sales and inventory transactionsmonitoring and updating inventory; from

computing the daily, monthly, and yearly salesgenerating daily, monthly, and annual sales

report; and determining income/profit. Ensuring smooth operations in the retail store,

particularly, on managing sales and inventory, using the manual method is often a

rigorous and time consuming task.

3

“There are a lot of disadvantages of manual inventory system. It is labor

intensive, they can be highly labor-intensive to operate. They require continuous

monitoring to ensure that each transaction is accounted for and that products are

maintained at the appropriate stocking levels. It is also more difficult to share

inventory information throughout the business because the lack of

computerization makes accessing inventory records a more difficult process. The

time spent monitoring inventory levels could be used on more productive

activities for the business. There will always be a Human Error, a manual

inventory system relies heavily on the actions of people, which increases the

possibility of human error. People might forget to record a transaction or simply

miscount the number of goods. This results in needless additional orders that

increase the company’s inventory carrying costs and use up precious storage

space. Inaccurate physical counts could also result in not ordering enough of a

product, meaning the business could run out of a crucial item at the wrong time.

Another disadvantage of the manual point of sale inventory system is that it is

time-consuming and costly to produce reports, lack of security and there is a

chance of duplication in data” (Joseph, n.d.).

To address the current problems and difficulties experienced by the store,

HTTOYBOX Motorcycle Parts and Accessories Sales and Inventory System was

developed. The system would provide easier and faster processing of data, generate

accurate information such as inventory and sales report, and improve the quality of

service to the clientele resulting in increased profitability.

4

According to Decker (2019), a computerizedSo, the researchers decided to

develop a system, a sales and inventory system that would monitor the flow of the stocks

particularly in the aspect of a certain establishment. Sales and Inventory System provide

information with accurate records preferably the profitability of the establishment. With

the aid of this system, there would be an easier and faster processing of data in the

inventory and generation of sales report.

There are a lot of disadvantages of manual inventory system. It is labor intensive,

they can be highly labor-intensive to operate. They require continuous monitoring to

ensure that each transaction is accounted for and that products are maintained at the

appropriate stocking levels. It is also more difficult to share inventory information

throughout the business because the lack of computerization makes accessing inventory

manual point of sale inventory system is that it is time-consuming and costly to produce

reports, lack of security and there is a chance of duplication in data.

5

Therefore Computerized inventory system will be the solution. In computerize

POS, it is quick and accurate, one of the greatest advantages of a computerized inventory

system is that it makes for faster, more accurate counting. Better Inventory Management,

with a computerized inventory system, it will always know the inventory levels with just

a glance. It will be able to carry less inventory or even go to a full-blown, just in time

inventory system, with product arriving from the vendors as it’s needed. Real Time

Management Information, One of the crucial advantages of a computerized perpetual

inventory system is that it gives the management information it needs in real time. That

goes beyond current sales figures and inventory levels, to the heart of operation and be

able to correct problems as they occur.

Computerized Sales and Inventory systems are the best and most innovate solutions for

the business. In an aspect of a business, technology serves as one of the major tools for

entrepreneurs not only to develop new ideas and products for their business but also to

help them in dealing with the operations and supporting the flow of the transaction of

their business.

Computerized Sales and Inventorysales and inventory systems are the best and

In any aspect of a business, technology serves as one of the major tools for

entrepreneurs not only to develop new ideas and products for their business but also to

help them in dealing with the operations and supporting the flow of the transaction of

their business.

The researchers will develop a Computerized Sales and Inventory System for the

HTTOYBOX Motorcycle Parts and Accessories so that the business will have a better

management at it will help in planning for the future decision making in the near future.

According to Philippine Long Distance Telephone Company (2011), small and medium

enterprises, who long for a point-of-sale (POS) system that can track how much they sell

and how much they stock they have left at their stock room in real-time and from

anywhere, can now turn to PLDT SME Nation.

An article by Villegas (2009) entitled “Inventory controls are key to dissuade

employees from stealing” states that: “Computers can only do much, but coupled with

inculcating honesty among staff and instituting the appropriate deterrence, they can work

In HTTOY BOX Motorcycle Parts, services are still in manual type of processing

the sales and inventory transactions from computing the daily, monthly, and yearly sales.

So, the researchers decided to develop a system, a sales and inventory system that would

monitor the flow of the stocks particularly in the aspect of a certain establishment. Sales

and Inventory System provide information with accurate records preferably the

profitability of the establishment. With the aid of this system, there would be an easier

and faster processing of data in the inventory and generation of sales report.

Chapter II

RELATED LITERATURE AND METHODOLOGY

18

This chapter presents the writings and studies associated with sales and inventory

system, and the methodology used in the development of HTTOY BOX Motorcycle Parts

Sales and Inventory System is also presented.

Review of Related Literature

Also known as the point of service or POS, is the exact point in a transaction

when goods or services are provided to the customer and payment is rendered for those

customer and payment is rendered for those products. While the specifics of a point of

sale system will vary somewhat from one situation to another, the final outcome is always

the same (Tatum, 2010).

POS software is a type of software that retail store use to calculate their sales and

operate the cash drawer; it is computerized cash drawer. Point of sales add up the sales

total and calculate the change. When customer buy items from retail store, point of sales

will minus or debit the amount of item sold in the inventory system. At minimum, POS

should be able to handle sales and manage your inventory database (Harmon, 2010).

A point of sale system is a computer software and hardware networked together to

track sales and inventory as they occur. Point of Sale systems would solve a multitude of

problems in your business. It is one of the focal points of any retail or hospitality business

in the cash register. The ability to process transactions and tender cash are essential to the

efficient operation of the enterprise. If you have a lot of cash transactions, replacing the

cash registers with a Point of Sale system save you money (Carolina Barcode Inc., 2013).
19

Point of Sale system have replaced traditional cash registers, largely for

functionality reasons. POS systems, as they are sometimes called, are relatively easy to

use and help provide valuable data for important decision makers. In order to keep up

with the record keeping needs of small and midsized business, a good point of sale

system is necessary. Web-based point of sale system are preferred over software based

POS systems because they are easily upgradeable, and feature access from multiple

computers (Carter, 2012).

The best thing about having a computerized POS system in your business is: as

new stocks arrives and as it sold, it keeps the stock levels current and updated, hence

making it easier to identify which items are selling and which items are not. A POS

Systems is also good in checking for any obsolete or out of date stock that needs to be

disposed. If you are still counting your inventory manually on the shelves or in the

warehouse, you should think twice about your method, for there are many advantages in

using a POS system can also give you information such as weather forecasts, public

holidays and major sporting events, which can be of great help in determining the stock

level of seasonal products. You can now efficiently and effectively handle your stock

management accurately (Ganderton, 2010).

According to De Leon and Ferrer (2009) Under the Koread Red Ginseng

Enterprise Sales and inventory system, the researches came up with a computerized sales

and inventory system. The proponents used database to easy access of files and for easier

and faster processing of the selling and inventory transaction. The program was

designated to generate reports such as monthly reports, inventory reports, sales invoice

and list of items.

20

Averion, Gaela, and Libo (2009) stated that inventory system help to minimize the

difficulty of the manager in processing inventory because physical counting products,

stocks and computing inventory summary will be the system job. It will monitor the

availability of products, items to prevent under stocking, over stocking and running out of

stocks. The system will also simplify the transaction between dealer and supplier

relationship because of the updated supplier information and price list of times will

correspond to collaboration with other supplier.

Based on Henderson (2008), Inventory System Consist: An inventory control

system is used in many warehouse to track the quantity and status of goods that are to be

sold. Shipping and receiving of products are scheduled by and inventory control system.

An audit, or a physical count of inventory, is used to find out how many items are in an

inventory. Inventory taking is often required in order to get an accurate count for

accounting valuation purpose. Some inventory items have barcodes attached to them or

imprinted on them. These barcodes can be read during an audit by barcode reading

devices.

According to Henderson (2004), they have three major advantages by using

inventory system, there are: (Time savings, Accuracy, and Consistency) which helps a lot

for a businessman to increase the sales of their business. Time savings, as the old saying

gues, “time is money”. The amount of time that can be saved by a business, perhaps, the

biggest benefit of using a computerized inventory system. A great example of this benefit

is the retail industry. IN cases where a shop maintains all data manually, its manager

must reconcile each sales receipt with every pieces of physical inventory. Depending on

the size of the establishment and how many different products are sold, this can be a
21

daunting and time consuming task. If that same store, however, used a computerized

point of sale (POS) system, the master inventory list would be updated electronically

each time a sale is made. The only thing a manager would have to do each day is print out

the report highlighting the inventory to be restocked. Accuracy, an additional benefit of

using a computerized inventory system is the accuracy it ensures. Eighteenth century

English poet Alexander Pope is often quoted as having said, “To erros is human”. When

an inventory list is maintained by hand, the margin of error widens with each update. If

one mathematical calculation is wrong or one type is made, disaster may occur. For

instance, if a clerk accidentally adds a zero to the end of a purchase order, a business

could potentially end up paying for 10,000 units of merchandise as opposed to the 1,000

that is actually needed. Consistency, a small business operates most efficiently when its

processes are executed in a consistent manner. By using a computerized inventory

system, a business owner can ensure that all orders, reports, and other documents relating

to inventory are uniform In their presentation, regardless of who has created them. This

will allow ease of reading. In addition, uniformity creates a professional appearance,

which can go a long way to impress associates, such as potential investors.

On an article written by Sanders (2010), Computer based system is a complex

system wherein information technology plays a major role. It makes the work easier,

faster and more accurate. Due to that fact, the automated scheme has become essential to

small and big companies for they are expected to give the best servicers possible.

Nevertheless, some businesses still prefer sticking with the system that is not integrated

with technology. Profitable causes are computer illiterate staff and lack of funds.

Companies, especially the big ones are recommended to switch from manual to
22

automated systems because this will improve the efficiency and productivity of the

business which will up lift the industry’s reputation. One of the most sought after

automated systems of different companies is a purchasing and inventory system which

comes hand in hands. A purchasing and inventory system is very important in every

organization because a good and inventory system is very important in every organization

because a good and inventory management can create an excellent productivity.

Primarily, inventory work consist of input, output and restock. Input is a process of

buying new products into the inventory and replacing the old products with the new ones.

Meanwhile output is a procedure of taking out the products for the inventory for sales or

usage and refill the insufficient products or escalating demands. Most of the retailing

market is using traditional way in the inventory management system where a person is

assigned to check and record the stock by hand using pen and paper. It is where

operations with regards to all the stock will be archived.

Based on Kaizer (2008) Inventory control systems maintain Information about

activites within firms that ensure the delivery of products to customers. The subsystems

that perform these functions include sales, manufacturing, warehousing, ordering and

receiving, IN different firms the activities associated with each of these areas may not be

strictly contained within separate subsystems, but these functions must be performed in

sequence in order to have a well0run inventory control system. In today’s business

environment, even small and mid-sized businesses have come to rely on computerized

inventory management systems. Certainly, there are plenty of small retail outlets,

manufacturers, and other businesses that continue to rely on manual means of inventory

tracking. Indeed, for some small businesses, like convenience stores, shoe stores, or
23

nurseries, purchase of an electronic inventory tracking system might constitute a wasteful

use of financial resources. But for other firms operating in industries that feature high

volume turnover of raw material and/or finished products, computerized tracking system

have emerged as a key component of business strategies as aimed at increasing

productivity and maintaining competitiveness. Moreover, the recent development of

powerful computer programs capable of addressing a wide variety of record keeping

needs including inventory management in one integrated system have also contributed to

the growing popularity of electronic inventory control options. Given such developments,

it is little wonder that business experts commonly cite inventory management as vital

element that can spell the difference between success and failure in today’s keenly

competitive business world.

According to Philippine Long Distance Telephone Company (2011), small and

medium enterprises, who long for a point-of-sale (POS) system that can track how much

they sell and how much they stock they have left at their stock room in real-time and

from anywhere, can now turn to PLDT SME Nation.

An article by Villegas (2009) entitled “Inventory controls are key to dissuade

employees from stealing” statesargued that: “Computers can only do much, but coupled

with inculcating honesty among staff and instituting the appropriate deterrence, they can

work very well in minimizing losses and pilferages. It is therefore highly advisable to do

both the manual and the computerized inventory system in a retail and wholesale

business.”

Methodology

To be able to conduct the studyIn the conduct of this study, certain tools and

techniques were used and procedures and techniques were followed in the for the

researchers to achieve the development of the systemattainment of its goal and

objectives.

Identification of the Existing Problems in the Current System.

The researchers have used the Descriptive Research Design wherein the study is

focused only for Grade Nine studentsin the identification of existing problems in the

current system. Descriptive research design is a scientific method which involves

observing and describing the behavior of a subject without influencing in any way. Many

scientific social science and psychology use this method to obtain a general overview of

the subject. Descriptive design is alsoIt is useful where it iswhen it is not possible to test

and measure the large number of samples needed for more quantitative types of

experimentation (Shuttlework, 201808).. The most common descriptive research method

is the survey, which includes questionnaires, personal interviews, phone surveys, and

normative surveys.
27

The researchers interviewed Mr. Jayson Calibuso, the manager of HTTOYBOX,

using the interview guide (see Appendix B), in order to identify the problems

encountered in the existing system.

Identification of the Functional Requirements of the Proposed System.

Document analysis, another method used in descriptive research was used

to identify the functional requirements of the proposed system. Document analysis as

defined by Heffernan (2001) refers to the different procedures involved in analyzing and

interpreting data generated from the examination of relevant documents and records for a

particular study. Triad (as cited by Bowen, 2009) asserts is often used because of the

many different ways it can support and strengthen research. Document that it analysis can

be used in many different fields of research, as either a primary method of data collection

or as a compliment to other methods. This study made use of the descriptive and

developmental research designs. The function of a research design is to ensure that the

evidence obtained enables it to effectively address the research problem as definitely as

possible. This case study is focused on the different academic problems of a student and

learning how to solve this problem. The researchers gathered information on what is the

problem and its corresponding solutions. The researchers gathered data from a number of

sources utilizing multiple methods.

Descriptive research design is a scientific method which involves observing and

describing the behavior of a subject without influencing in any way. Many scientific

social science and psychology use this method to obtain a general overview of the

subject. Descriptive design is also useful where it is not possible to test and measure the
28

large number of samples needed for more quantitative types of experimentation

(Shuttlework, 2018).

Documents such as sample forms (see Appendix “ “), sample sales and inventory

reports, and other pertinent business reports are were gathered and analyzed which were

used in helpingto help the researchers determine the problems in developing the

applicationthe functional requirements of the proposed system. Internet research and

library research were also used to further investigate the functional requirements to be

included in the proposed system.

Development of HTTOYBOX Motorcycle Parts and Accessories Sales and

Inventory System.

On the other hand, The researcher used the developmental Developmental

research Research design in the development of HTTOYBOX Motorcycle Parts and

Accessories Sales and Inventory System. Developmental research design is a systematic

study of designing, developing, and evaluating instructional programs, processes, and

product that must meet the criteria of internal consistency and effectiveness.

Developmental researchIt is an interactive, cyclic process of development, and research

in which theoretical ideas of the designer feed the development of products that are tested

in classroom tastings, eventually leading to theoretically and empirically founded

products, learning process of the developer and (local) instruction theory (Ibrahim, 2016).

The researcher used Agile as the software methodology in the

development of the HTTOYBOX Motorcycle Parts and Accessories Sales and Inventory

System MOTORCYCLE PARTS. Agile Methodologies are models used in the system

development arena. The agile methodology has evolved in the mid-1990s as a part of
29

reaction against traditional waterfall methods. That the Agile Methodologies were

originating resulted from the use of the waterfall model were seen as bureaucratic,

inflexible, slow, and inconsistent with the ways that software developers actually perform

effective work. Agile development methods mark a return to development practice from

early in the history of software development. Agile method is a software development

method that is people-focused communications-oriented, flexible (ready to adapt to

expected change at any time), speedy (encourage rapid and iterative development of the

product in small releases), lean (focuses on shortening timeframe and cost and on

improved quality), responsive (reacts appropriately to expected and unexpected changes),

and learning. Agile methods are a response to the drastic degree of change in the modern

business and IT environments. There highly dynamic environments demand software

development teams that can respond to change and continuously deliver business

value.Agile methods generally promote a disciplined project management process that

encourages frequent inspection and adaptation, a leadership philosophy that encourages

teamwork, self-organization and accountability, a set of engineering best practices that

allow for rapid delivery of high-quality software, and a business approach that aligns

development with customer needs and company goals.

Agile Methodology is the system model used in development of HT-TOY BOX

Motorcycle Parts Sales and Inventory System.

ISTQB (2016) said that “tThis approach allows the customer to interact and work

with functioning software at the end of each iteration and provide feedback on it.

This approach allows teams to take up changes more easily and make course

corrections if needed. In the Agile approach, software is developed and released

incrementally in the iterations. Agile methodology gives more importance to

collaboration within the team, collaboration with the customer, responding to

change and delivering working software” (ISTQB, 2016).

The methodology consists of five stages: requirements analysis, planning,

designing, developing, and testing and release. The agile methodology Extreme

programming (XP) is intended to improve software quality and responsiveness to

changing customer requirements. As a type of agile software development, it advocates

frequent “releases” in short development cycles, to improve productivity and introduce

checkpoints at which new customer requirements can be adopted. (Tutorials Point, 2016)

Don Wells (2009) emphasizes teamwork in extreme programming. Managers,

customers, and developers are all equal partners in a collaborative team. Extreme

Programming implements a simple, yet effective environment enabling teams to become

31

highly productive. The team self-organizes around the problem to solve it as efficiently as

possible.

According to Don Wells(2009), Extreme Programming was first used on the

Chrysler Comprehensive Compensation (C3) program which was initiated in the mid 90’s

and switched to an Extreme Programming project when Kent Beck was brought on to the

project to improve the performance of the system. This project helped to bring the

Extreme Programming methodology into focus and the several books written by people

who were on the project helped spread knowledge about and adaptation of this approach.

In sum, Extreme Programming is a discipline of software development based on values of

simplicity, communication, feedback, courage, and respect. It works by bringing the

whole team together in the presence of simple practices, with enough feedback to enable

the team to see where they are and to tune the practices to their unique situation (Jeffries,

201is presented in Figure 3.

Requirement Analysis. Requirements Analysis. This phase Requirements

analysis is the first stage in the agile method which involves many meetings with

managers, and users to identify business requirements. The team needs to gather

information like who will use the product and how they will use it. These requirements

must be quantifiable, relevant, and detailed.

During this phase, the researchers have gathered necessary information that is

needed in the design and development of the system such as the business needs,

processes, and rules. The researchers conducted series of interviews with the manager of

HT-TOYBOX Motorcycle Parts.

32

Planning. PlanningThe planning is the second stage in which. Once an idea is

deemed viable and feasible, the project team comes together and work to identify

features. The goal of this phase is to break down the idea into smaller pieces of work (the

features) then to prioritize each feature and assign it to iteration.

In this phasestage, the researchers conducted a small meeting on how to speed up

the business processes and operations of HT-TOY BOX Motorcycle Parts. The

researchers arrived with a solution, that is, through developingthe development of a web-

based Point of Sale Systemcomputerized sales and inventory. It is also in this stage

where in the researches created the Gantt Chart (see Appendix “__”) and PERT Chart

(see Appendix “__”).

Design. Design is the third stage in which the Design. The system and software

design is prepared from the requirements identified from the previous stage in the

previous phase. The team needs to think about what the product or solution will look

like. The test team also must comes come up with a test strategy or plan to proceed.

In this phasestage, the researchers have designed the user interface using

HTML, CSS, and JavaScript based on the Hierarchical Input Process Output (HIPO)

shown Figure “__”. HIPO illustrates the flow of process in the proposed system. It

consists of a hierarchical chart that represents the control structure of the proposed

system.

and the It is also in this stage where the logical design of the database was modeled

using the Entity-Relationship Diagrams (ERD) shown in Figure “__” database. The

Entity-Relationship Diagram (ERD) illustrates the interrelationships between entities in

33

the database. It shows how the information was, or should be stored and used within the

system.

Development. DevelopmentDevelopment is the fourth stage. This phase is all

which is all about creating and testing features, and scheduling iterations for deployment

(following the iterative and incremental development approach [IID]). . The

development phase stage starts with iteration 0, because there are no features being

delivered. This iteration lays down the foundation for development, with tasks like

finalizing contracts, preparing the environments, and funding.

During this phasestage, the researchers started the implementation of the

system based on the Data Flow Diagram (DFD) shown in Figure “__” and the Input

Process Output (IPO) shown in Figure “__”. A DFD shows the flow of the application,

divided in to two parts namely the Context Diagram which shows the simpler view of the

entire system and Top-Level Diagram which is the expanded illustration of the context

diagram. On the other hand, IPO identifies the input which is the data flowing in to the

system from outside, process which is the action taken that manipulates the input, and

output which is the processed information flowing outside the system

PHP, a popular server side scripting language as well as MySQL a powerful

database server were used to code the system following well defined web development

standardsused PHP in coding the project. As for the database, the programmers used

MySQL. The project was carefully programmed to meet the standards and requirements

of the end-users.
34

Testing and Released. Testing and ReleaseTesting and released is the fifth

stage in which the developed system . Once the code has been developed, it is tested

against the requirements to make sure the product is actually solving customer needs and

matching user stories.

During In this phasestage, the researchers performed, unit testing, integration

testing, system testing, and acceptance testing are done.

The Data Flow Diagram shows the flow of the application. It was divided in to

two parts namely the Context Diagram which shows the simpler view of the entire system

and Top-Level Diagram which is the expanded illustration of the context diagram.

The Entity-Relationship Diagram (ERD) illustrates the interrelationships between entities

in the database. It shows how the information was, or should be stored and used within

the system.

The Input Process Output (IPO) identifies the input which is the data flowing in to the

system from outside, process which is the action taken that manipulates the input, and

output which is the processed information flowing outside the system, while the

Hierarchical Input Process Output (HIPO) illustrates the flow of process in the proposed

system. It consists of a hierarchical chart that represents the control structure of the

proposed system.

In this phase, the researchers tested the flexibility of the design and the

compatibility its functions in different browsers. While the in administrator side, the

researchers installed the application into the client’s desktop. to ensure that all

components are working properly and runtime error free. The system was tested and
35

evaluated by potential end-user such as the manager of HT-TOY BOX Motorcycle Parts,

Information Technology students, Computer Science students, and teachers. The

proposed system was tested along six (6) areas: Functionality, Reliability, Usability,

Efficiency, Maintainability, and Portability. The general rating of the system was

determined by computing the mean scores given by the evaluator. The researchers used

the following norm to interpret the mean rating of the system:

Range Descriptive Rating

4.26-5.00 Excellent

3.46-4.25 Very Good

2.56-3.45 Good

1.76-2.55 Fair

1.00-1.75 Needs Improvement

The evaluators commended the system and congratulated the researchers for a

good work.

Deployment and Monitor. The last stage of the agile method is

Deployment and Monitor. After testing, the product is delivered to customers for them

to use. However, deployment is not the end of the project. Once customers start using the

product, they may run into new problems that the project team will need to address.

Evaluation of the Proposed System Oon ISO 25010

The system was evaluated by potential end-user such as the owner, manager and

staff, customers, and IT experts using the ISO/IEC 25010 which is the cornerstone for
36

evaluating the quality of a software product. The proposed system was tested and

evaluated along six (6) areas: Functionality, Reliability, Usability, Efficiency,

Maintainability, and Portability using the Likert Scale as a measurement tool shown

below.

Range Descriptive Rating

4.26-5.00 Excellent

3.46-4.25 Very Good

2.56-3.45 Good

1.76-2.55 Fair

CHAPTER III
RESULTS AND DISCUSSION

The Problems in the Current System

The researchers were able to identify problems encountered in the current system

by conducting interviews to the manager and staff of HTTOYBOX Motorcycle Parts and

Accessories. One of the problem is the tedious and time consuming task of manual

inventory. . Every items that were sold are manually recorded. To conduct the

inventory, the will count the remaining items in the store per category. After that, they

will consolidate the sold items by category and for each category they will compute the

number of items sold. They conduct the inventory on a weekly and monthly basis.

Another problem is the rigorous and time consuming task of generating accurate

managerial reports such as daily, monthly, and annual sales reports. In order to generate

the sales report, they need to retrieve the records of all the sales transactions manually

within a specified period and consolidate it according to category. Then for each

category they will compute the sub total amount sold per category and then compute the

grand total sales by combining all the sub total amounts. This manual process of

performing such tasks is prone to errors and inconsistencies.

Managing customer records is another problem in the current system. The

records of the customer are manually recorded and retrieved and are not well organized,

thus, retrieving records takes a lot of time. In addition, the records allare not well kept

and secured, thus, are prone to lost.

The Functional Requirements Aamong the Stakeholders

39

The researchers were able to identify the functional requirements of the system

among stakeholders through the conduct of interviews and document reviews.

For the customer, the system should be able to automatically determine and

provide discounts to regular/valued customers. It should also provide an efficient

mechanism for product returns and warranty which is a tedious task when done manually.

In addition, it should be able to informed customers regarding new arrivals, special

offers, and discount promos.

For the manager, the system should be able to manage efficiently the records of

customers, products, categories, suppliers, location, and users. It should also be able to

log purchases and can monitor the warranty days, from the purchase date until the

warranty due. In addition, the system should be able to generate managerial reports such

as sales and inventory reports, frequently bought items, as well as low selling items.

For the owner, the system should also be able to record and analyzse sales data to

make inform business plans and decisions. It should also be able to determine when and

how often a product is reordered. Furthermore, the system should provide the owner a

complete access to the entire system. The researchers conducted an interview with Mr.

Hung Tah Wei, the Owner of the HTTOYBOX motorcycle parts and accessories and

Mr. Jason Calibuso, the cashier of the HTTOYBOX motorcycle parts and

accessories, to gather information about the different problems of the store. Based

from the conducted document analysis and interview, the following are the different

problems of system: Manual Inventory, Product Organizing, Sales Record, and

Listing the number of stocks remaining. Manual Inventory is a big problem in the

store because it is time consuming and it is inaccurate. Product organizing is one of

40

the problems on the store that keeps the owner busy. Sales Record on the manual

inventory system is a big problem because it is hard to understand and sometimes

missed located. Listing the number of stocks remaining on the store is time

consuming wherein if they have the POS they will just look at the dashboard in the

system and locate the list of items remaining.

The Proposed SystemThe Developed HTTOYBOX Sales and Inventory System

This chapter discusses theThe researchers utilized various models and diagrams in

the development of HTTOYBOX Sales and Inventory System. The Data Flow Diagram

(DFD) which represents the flow of data through an information system, Entity

relationship Diagram (ERD) which that illustrates the relationships between entities in

the database, and Input Process Output (IPO) which represents all the factors in the

system that make up a process. The summary of evaluation of the proposed system are

also presented in this chapter.

Chapter IV

FINDINGS, CONCLUSIONS, AND RECOMMENDATIONS

This chapter presents the significant findings and conclusions of the developed

HTTOYBOX motorcycle parts and accessories. Further, recommendations were

formulated based on the conclusions of the study.

Findings

The researchers were able to design and develop a computerized Sales and

Inventory System for HT-TOY BOX Motorcycle Parts and have a comecame up with the

following findings:

1. Problems met in the current system in terms of:

a. Inventory

One of the problem is the tedious and time consuming task of manual

inventory. Every items that were sold are manually recorded. To conduct the

inventory, the will count the remaining items in the store per category. After that,

they will consolidate the sold items by category and for each category they will

compute the number of items sold. They conduct the inventory on a weekly and

monthly basis.

The manager manually checked the products whether it is on stock or not.

They required continuous monitoring to ensure that each transaction is accounted

for and that products are maintained at the appropriate stocking levels.

b. Sales
58

Another problem is the rigorous and time consuming task of generating

accurate managerial reports such as daily, monthly, and annual sales reports. In

order to generate the sales report, they need to retrieve the records of all the sales

transactions manually within a specified period and consolidate it according to

category. Then for each category they will compute the sub total amount sold per

category and then compute the grand total sales by combining all the sub total

amounts. This manual process of performing such tasks is prone to errors and

inconsistencies.

c. Managing Customer

For every sale in the store it would be recorded using a record book. The staff have
difficulty recording the sales. Thus, the process consumes a lot of time. This also leads to
erroneous entry of records that may consequently produce an inaccurate sales report.
Managing Customers

The records are not well organized, thus, retrieving records takes a lot of

time. In addition, the records allare not well kept and secured, thus, are prone to

lost.

2. Identify the functional requirements among the stakeholders:

a. a. Customer

The customer willl have a receipt of the sales transaction and have a

record for every transaction on the store so that the cashier will identify the

customer record so that it can apply a discount if necessary. The system could

automatically determine and provide discounts to regular/valued customers. It

59

could also provide an efficient mechanism for product returns and warranty which

is a tedious task when done manually. In addition, it could inform customers

regarding new arrivals, special offers, and discount promos.

b. b. SupplierManager

The system could manage efficiently the records of customers, products,

category, suppliers, location, and users. It could also log purchases and could

monitor the warranty days, from the purchase date until the warranty due. In

addition, the system could generate managerial reports such as sales and inventory

reports, frequently bought items, as well as low selling items. The supplier is the

one that the owner gets the products that are being sold in the store. Must be

qualified on the standard of the buyer such as low price but high in quality.

c. c. Owner

The system could record and analyse sales data to make inform business

plans and decisions. It could also determine when and how often a product is

reordered. In addition, the system could provide the owner a complete access to

the entire system.

3. Develop the HTTOYBOX Motorcycle Parts and Accessories Using Agile

Methodology

The owner is the one that manages the admin account of the system and he will view
the daily sales record and also the sales analytics of the store so that he can detect the
things to improve on the store and to help on the decision making on the future.
3. Develop the HTTOYBOX Motorcycle parts and accessories using Agile
methodology:
The Agile software process methodology allowed the users to interact and

work with functioning software at the end of each iteration, and provides
60

feedback on it. This approach allowed researchers to address changes more easily

and make course corrections if needed. It was found to be effective and efficient

in development of the system, that is, it allowed the researchers to see where they

are and to adjust the practices to their unique situation with sufficient feedback.

As a result, Extreme Programming is effective and helpful in developing the

system. Tthe quality of the system improved and reduced the incurred in the

development using the said modelthe resources required to finish the application

were reduced, that is, the application was finished ahead of the projected

schedule.

4. Evaluation of the Proposed System

The researchers used the agile methodology because it allows the

customer to interact and work with functioning software at the end of each iteration

and provide feedback on it. This approach allows teams to take up changes more

easily and make course corrections if needed. In the Agile approach, software is

developed and released incrementally in the iterations. Agile methodology gives more

importance to collaboration within the team, collaboration with the customer,

responding to change and delivering working software.
