SALES CAPTURE A CAPTURE SOFTWARE SALES AND INVENTORY FOR
NEIGHBORHOOD SHOPS.

Design and implementation of a monitoring tool that allows


neighborhood storekeepers real-time record sales transactions, inventory
and accounts receivable product of their daily operations

PROBLEM OR NEED THAT AIMS TO


SOLVE

According to figures thrown by the company Servinformación in the census of


georeferenced commercial establishments, known as Infocomercio 2011 threw the
neighborhood store is one of the business with greater presence in the capital and
in Colombia
Aware of this, the producers have been responsible for training the
shopkeepers on issues concerning merchandising, quality and distribution of
products, this effort seeks to strengthen supplier relationship - Grocer
considering that approximately
60% of sales from producers of food and grocery focuses on purchases made by
the TAT channel.

Despite the importance of this distribution channel for large companies producing
live and groceries and their efforts to strengthen this business model,
the processes of modernization in neighborhood stores are not apparent in bulk.

Another important factor in the consolidation of this business model in the


Colombian economy element is customer financing, in addition to selling
small quantities of products that cater to the daily life of families, neighborhood
shops offer credit to their customers, unfortunately the registration of these
obligations is crudely and logging tools used do not guarantee proper
treatment of the information provided.

Today many stores in neighborhoods do not have tools that enable them to lead
an orderly registration and consolidated credit sales and cash of food and
groceries, also take control inventory levels which rotates in the line of business.

That is why we ask, is it possible to develop a tool to capture sales data, accounts
receivable and inventory for neighborhood shops?

We believe that it is possible to develop a comprehensive solution that contributes


to the modernization of local shops and systematization of sensitive data
generated daily and are of vital utility for decision-making.

It wants to offer as a solution a product that is responsible for capturing


sales records that are recorded daily, this system also capture inventory of
merchandise for sale, its value costing and selling prices to establish by reports
gross margin operating in the time period by the end user set
PROJECT JUSTIFICATION

According to recent studies Fenalco, in Colombia 54% of people prefer to buy in a


store, not a supermarket. The director of economic studies Fenalco Rafael Spain
responds to Money magazine as follows: "There are several reasons why
Colombians still prefer neighborhood stores are psychologists of the poor, because
he listens to all problems for consumers, act police because they realize the
strange people in the neighborhoods, bankers remain poor because trust and pay
".

This is largely due to the adaptability that has this format business that has
managed to survive crisis, openings and other adverse movements in the economy
in recent years adapting to the needs of its customers.

records, creating risks regarding the quality and reliability of the data, this
situation creates an obvious advantage from a neighborhood store and
supermarkets seeking to enter the local market.

Empiricism that usually prevails in the business district reduces their real
competitiveness and growth chances against a phenomenon that is becoming
widespread in the country as it is the entry of large surface areas popular
with small but well-organized stores.
In order to reduce somewhat the gap between local businesses and supermarkets
in the management of product information from their daily operations is proposed
to create software that capture credit sales and cash and inventory for
neighborhood shops with this tool it is intended that the storekeeper to systematize
their operations and can meet real-time operating margins product of exploitation
corporate purpose of your business.

By being able to systematize the data generated by your business, the storekeeper
neighborhood is better able to compete against models of larger and more
technically advanced business, we believe that if adequate data management with
the characteristics of each business comparative advantages combined, the

GENERAL OBJECTIVES

 Provide neighborhood store owners a comprehensive software solution that


allows the storekeeper organize and control strategic areas of your business
such as sales records, inventories and accounts receivable.

SPECIFIC OBJECTIVES

 Design and implement a model of control and registration of business sales


in real time
 Design and implement a model of control and recording of inventory inputs
and outputs
 Design and implement a model identification, control and recording
of accounts receivable
 Integrate modules described above that allow business management to
assess business performance and make decisions when so warranted by
management reports.

PROJECT SCOPE

The proposed solution aims to provide the storekeeper neighborhood a web


solution that allows recording real-time operations selling food and groceries on
credit and cash, this module will be deducted from inventories registered units sold
in order to validate real-time stock levels available for sale.

Likewise, the system must register at the time of sale if the transaction was
on credit or cash, this in order to record in detail the accounts receivable.

This software can be implemented by small shops and grocery stores, tobacco
shops, bars, bakeries, drug stores and ice cream shops, is not designed to be
implemented in processed food businesses like restaurants, grills and fast food.
Project Management will make available the sponsor and stakeholders an
interdisciplinary team of professional engineers and administrative professionals
for the development of the Project

This project involves developing the following modules required for the
implementation of Capture Software sales and inventory for neighborhood shops.

 RECORD SALES MODULE

It understands the relationship of items for sale with its selling price to
the customer, by capturing a unique identification code that the system will
recognize to record the respective daily movements.

 MODULE INVENTORY RECORD

Understands the relationship of items ready in stock and on the shelves of the
store with their cost, the module must be able to recognize the inputs and outputs
of merchandise to quantify the value of inventory at the end of the evaluated
period.

 CUSTOMER REGISTRATION MODULE AND ACCOUNTS RECEIVABLE

Understands the relationship of customers requesting credit to the storekeeper, the


software recorded credit sales that are made daily and accumulate balances to be
consulted by the storekeeper at the time the account is settled receivable

 REPORTING SYSTEM SALES, STOCK AVAILABLE FOR SALE AND


OPERATING MARGIN

The reporting module enables check at the time required by the user results daily
operations running within queries to visualize this: sales reports, stock inventory,
operating margin business.

This software is focused on the registration of small commercial operations, is not


an ERP tool that integrates additional processes to those described above
