IT POLICY 1

System usage:

1. Don't give out your password to anyone. It's your own and should be guarded carefully.

2. Don't install any extra software on your system from external sources such as the
Internet, or from your personal CDs and DVDs. This could have malicious code that
could destroy data on your system, or even spread it to other systems on the network.

3. If you find a-problem with your PC, don't try to fix it yourself. Call the System
Administrator and lodge a complaint.

4. Shut down your system and turn off your monitor when you're leaving for the day to save
power.

5. Don't store your personal data such as family photos, songs or videos in your home
directory on the file server or in the local drives.

6. In case you need to share files with somebody else on the network, then don't send it
by e-mail or share your directory. Put it in the common folder on the file server, and ask
the recipient to delete it after taking it or transfer the same through instant messenger.

7. Don't leave critical documents in the common folder of the file server.

8. Don’t save the documents in desktop or my documents folder.

9. Use of pin drives, external hardisk is prohibited.

Internet usage:

1. Download unnecessary software, songs or videos. These take up significant Intemet


bandwidth.

2. Use of public e-mail services such as Hotmail,Gmail,Yahoo and Face book is no


allowed.

3. Installing software such as download accelerators Internet download manager is not


allowed.

4. Don't visit objectionable Web sites containing bad language and pornography, Web
Site access is monitored centrally and anyone found to be doing so would be sent a
warning.

5. Visiting casual Web sites is not permitted.


E-mail Usage:

1. If you get a mail that's been forwarded to a long list, don't hit the 'Reply All' button.

2. Avoid sending huge attachments in e-mail, also, even if it's official, avoid sending it to a
colleague in the same office. If you must send a mail, then save the attachment on the
file server and send a plain mail intimating the recipient to pick it up.

3. Don’t be many news sites on the Web with your official mail id is restricted these are
a major cause of spam.

4. Don't reply to any spam mail, even if it gives instructions to do so. This will actually
Confirm your presence to the spammer and you could be spammed even more.

5. Beware of opening e-mail attachments, unless you're sure that it's from a reliable
source, and that you were expecting it.

Network Usage:

1. In case your system is not able to access the network, don't try to tamper with the
Network settings and cables. Call the support staff instead.

2. Trying to access areas that you're not authorized is strictly prohibited, and could have
Legal implications if you're caught doing it.

3. Don't send unnecessary traffic on the network, such as chain mails.

IT GOALS:
1. The pivotal purpose of applying IT policy within Teems India Towerlines Pvt Ltd. to
enhance the value provided to employees and to increase our own competitiveness.

2. To support and improve business processes.

3. To increase productivity of the employees at work place.

4. The purpose of the IT Policy is to ensure the effective protection and proper usage of
the computer systems within TEEMS INDIA TOWERLINES PRIVATE LIMITED.

services is high. The IT Policy will assist in maintaining systems at operational level.

TOWERLINES PRIVATE LIMITED and any breaches will be treated seriously.

Section One - Computer Systems (Hardware (PCs, Laptops,


Notebooks, Printers, Modems, etc)

Network:
1. Network management, administration and maintenance within TEEMS INDIA
TOWERLINES PRIVATE LIMITED is the responsibility of the System Administrator.

2. The requirement for IT equipment will normally be identified within the context of an
IT strategy for TEEMS INDIA TOWERLINES PRIVATE LIMITED and more
specifically within a planned programme of PC replacement.

3. The purchase, installation, configuration and maintenance of computer equipment is


the responsibility of System Administrator.

4. Computer equipment registers will be maintained by the System Administrator to


ensure full tracking of equipment

5. The deployment of new equipment or re-deployment of existing is undertaken by the


System Administrator after consultation and approval from management.

Software & Applications:


6. The purchase, installation, configuration and support of all software and software
applications used within TEEMS INDIA TOWERLINES PRIVATE LIMITED is the
responsibility of thr system administrator.

7. Software, including screensavers, must not be installed by users without prior


Authorization from system administrator. This includes programs downloaded from
the Internet.

8. Software license registers will be maintained by the system administrator to ensure


Compliance with legislation.

9. Software disks will be kept securely by the system administrator.

10. Requirements for new software/software applications should be discussed in


advance with the system administrator to assess the detailed specification and
implications.

11. Problems with software should be reported to the system administrator.

12. Requests for modifications, enhancements and upgrades of existing software


applications should be discussed with the system administrator.

Data/Electronic Information:
13. Department Managers/Heads are responsible for maintaining quality of the
Computer-held data processed by their staff.

14. The individual user is responsible to their line manager for the quality of the
Computer data they have personally processed.

15. Department Managers/Heads are responsible for ensuring compliance with Data
Protection legislation with regards to data processed within their Departments.

16. AII information/data held on the organization’s systems is deemed the property of
TEEMS INDIA TOWERLINES PRIVATE LIMITED.

17. As a condition of employment, staff consent to the examination of the use and
content of all data/information processed and/or stored by the staff member on the
Organization’s systems as required.

Back Up:

18. The system administrator is responsible for ensuring the implementation of an


effective back-up strategy for server-held software and data.

19. Users of networked desktop PCs should avoid storing data on their local hard drives.
Data so stored may be lost if a problem develops with the PC, and the system
administrator may not be able to assist in its recovery. Data should be stored within
the file directory (folder) structure used by the office.
20. Remote and laptop/notebook PC users must ensure they back up their data
regularly. The system administrator will provide advice and assistance.

Anti-Virus Protection:

21. The system administrator is responsible for the implantation of an effective virus
security strategy. All machines, networked and standalone, will have up-to-date anti-
virus protection.

22. The installation of anti-virus software on all machines is the responsibility of the
system administrator. i

23. The system administrator will ensure the upgrade of the anti-virus software on
networked desk-top PCs.

24. Remote users and users of portable machines will assist in the upgrade of anti-virus
software in accordance with specified mechanisms agreed with the system
Administrator, ex: internet updates

25. On detection of a virus staff should notify the system administrator who will provide
Assistance.

26. Under no circumstances should staff attempt to disable or interfere with the virus
scanning software.

Section Two - Computer Users:

Train ing:

1. It is the responsibility of Department Managers/Heads to ensure appropriate


computer training for their staff is identified. The system administrator can advise on
Computer-related training issues.

User Accounts:

2. Department Managers/Heads should notify the system administrator of new


members of staff in advance to allow the creation of network and e-mail accounts
and system permissions.

3. Department Managers/Heads should notify the system administrator of the


departure of staff to allow the deletion of network and e-mail accounts.
Passwords:

4. The system administrator will ensure passwording is part of the security strategy of
the TEEMS INDIA TOWERLINES PRIVATE LIMITED IT system.

5. Users should change their passwords when prompted by the system in the case of
networked machines or on a regular basis for standalone machines.

6. Staff is responsible for the security of their password which they should not divulge,
even to colleagues.

7. Problems with passwords should be reported to the system administrator.

System Usage:

8. Users should ensure their computers are fully shut down and tumed off at end of
day.

9. Computers should be locked or shut down when left unattended for any significant
period of time.

10. With regards to file management, Department Managers/Heads will determine the
top-level folders/directories and associated permissions for their department and
inform the system administrator. The system administrator will create or modify the
folders accordingly.

11. Within their respective top-level folders, staff should create sub-folders in
accordance with their own departmental guidelines but cannot create new top-level
folders . .

Section Three - E-mail/internet

E-Mail:
1. The TEEMS INDIA TOWERLINES PRIVATE LIMITED e-mail system is a core
business application. It should not be used for political, business or commercial
purposes not related to TEEMS INDIA TOWERLINES PRIVATE LIMITED.

2. The TEEMS INDIA TOWERLINES PRIVATE LIMITED e-mail system must not be
used to send illegal or inappropriate material.

3. It is a condition of employment that all staff consent to the examination of the use
and content of their email accounts as required.

4. Global distribution lists should be used appropriately. Email to all staff (spamming)
should be used only when appropriate.
5. Staff should minimize the number of messages in their email in-box to ensure
maximum efficiency of the delivery system. Folders should be set up and messages
filed accordingly.

Internet:

6. Staff should not make inappropriate use of their access to the Internet. They must
not use TEEMS INDIA TOWERLINES PRIVATE LIMITED systems to access
pornographic, illegal or other improper material.

7. Staff should not subscribe to chat rooms, dating agencies, messaging services or
other on-line subscription Internet sites unless they pertain to work duties.

8. Programs, including screensavers, must not be downloaded from the Internet


without authorization from the system administrator.

9. TEEMS INDIA TOWERLINES PRIVATE LIMITED retains the right to monitor


Internet usage by staff. This right is exercised solely through the system
administrator and, where relating to a specific member of staff, only on instructions
from a member of management.

10. lt is a condition of employment that all staff consent to the examination of the use
and content of their Internet activity as required.

11. Abuse of Internet access will be dealt with severely relative to seriousness. Minor
abuse will lead to removal of the privilege of access from an individual's workstation.

Section Four - Contravention of the IT Policy

1. Staff should be aware of their responsibilities under the Data Protection Act,
Computer Misuse Act and the Copyright Design and Patents Act.

2. Contravention of the TEEMS INDIA TOWERLINES PRIVATE LIMITED IT Policy or


any act of deliberate sabotage to TEEMS INDIA TOWERLINES PRIVATE LIMITED
computer systems may be considered a disciplinary offence.
