Dear Ms. Bhavana,

Further to your recent interview and discussions, I am pleased to offer you a position with the Vision
Foundation of India (VFI), Mumbai under the following terms & conditions:

1. Date of Joining : Thursday, 1st June, 2017. Please report to the undersigned at 09:00am

2. Designation : Secretary General

3. Reporting : You will be reporting to the undersigned.

4. Broad Responsibilities :

Your prime responsibility will be to undertake/ manage/ achieve all objectives of VFI.

Management:

- Develop and manage all projects of VFI


- Facilitate the development of annual plans, budgets and targets
-Collaborate with existing Associate Hospitals on effective implementation to project Rashtriya
Netra Yagna
- Conduct detailed analysis of regular reports received from associate hospitals for
senior management review
- Manage/ pro actively participate in all events/ Fund Raising programs
- Proactively propose new activities or projects to achieve VFI objectives

Compliance:

- Ensure Compliance of statutory requirements of all Government & regulatory institutes


(including Charity Commissioner, Income Tax, DBCS, Vision 2020 etc.)
- Monitor income and expenditure against budgets and targets
- Ensure receipt of monthly surgery reports by the Associate Hospitals with photographs,
written/ video testimonials, pre-post photographs etc. analysis of monthly reports’
- Liaise with Associate Hospitals for any discrepancies in the monthly reports and suggest
corrective measures
- Ensure dispatch of detailed reports to all donors

Development / Promotion :

- Build and maintain effective relations with existing donors, prospective donors, sponsors and
all VFI teams
- Communicate with all present and prospective donors to promote VFI Activities with effective
use of technology
- Apply for donations under CSR to various corporates/ conglomerates
- Continue to develop/ expand the network of associate hospitals across India
Communication :

- Design and prepare fund raising material, newsletters, annual reports etc.
- Use of social media (Facebook, Twitter, YouTube, Instagram etc.) to continuously update all
related parties (present and prospective donors, management teams, local audience and
society in general)
-Organize all meetings including booking, communication to attendees and ensuring smooth
conduct of meeting. Prepare formal Minutes of all meeting/s written down and ensure its
distribution to all in the next 2 working days.

General :

- Be a VFI ‘Brand Ambassador’


- Work closely with BCEI to ensure meeting of the overall objectives
- Work cohesively particularly with the accounts department for all accounting details
including donations, sponsorship to associate hospitals, balance sheet etc.
- Undertake frequent travel, extended and weekend working as required. This may be to
attend various eye camps (including Associate Hospitals) to ensure they are properly
conducted or any VFI activities/ meetings.
- Flexible to undertake any additional VFI responsibility
- Arrange for any/ all purchase/s and maintenance of VFI vehicle/s.

5. Compensation:

Your remuneration - Total Cost (CTC) will be Rs. 10.0 Lakhs per annum.

This includes mobile expenses, conveyance charges for commuting within Mumbai/ Navi Mumbai/
Thane.

TDS and other government taxes, as applicable, will be deducted as per the rules. The remuneration
cheques will be issued on the 7th of the subsequent month, as per the policy of the organisation.

The company will undertake an annual review of salaries, normally in April, and will notify all staff of
any amendments, which are to be applied. Such reviews will take into consideration the staff
performance during the year, market conditions etc.

6. Annual Leave :

The company’s holiday year runs as per the financial year i.e. from 01April to 31March in the
subsequent year.

You will be eligible for a total of 25 days paid leave per financial year. For the current year you will be
entitled for leave on a pro-rata basis. Balance leave if any, will be eligible for encashment at the end
of the financial year.

You are expected to get your leaves sanctioned from your Reporting Line in advance giving an
adequate notice period. Further information on the rules applicable to the granting or taking annual
leave is available at your place of work.

7. Absence From Work


No salary will be paid for period/s of unauthorised absence.

8. Probation Period:

You will be placed on probation for a period of 6 months. Exceptionally, this initial period may be
extended. During this period, your services are liable to be terminated without any notice period and
reason of termination. Once your performance is deemed to be satisfactory, you will be confirmed in
writing as a member of the established staff of the company. You will continue to be on probation till
you are advised of your confirmation in writing.

9. Notice Period:

During your probation, you are required to give the company at least one calendar week’s notice in
writing for your resignation. Post your confirmation, you will be required to give the company at least
one month’s notice in writing for your resignation. In case the notice period is not served as per the
terms of employment, pay in lieu of the un served notice period would be reduced from the final
settlement dues to yourself.

Similarly, the company, post confirmation will give you one month’s notice period in writing or pay in
lieu of the notice period. The company reserves the right to ask that you no longer attend your place
of work for the duration of the notice period.

In case your employment is terminated on grounds of indiscipline or misconduct, you will not be
entitled to any notice period and any compensation in lieu of the notice period.

10. Duty Timings :

Your normal work timing will be from 8:00 am to 5:00 pm, Monday to Saturday. However, occasions
may arise when you may be required to work beyond your normal hours. as per the need of the
company. The compensation for this requirement is well factored into your salary and as such there
will be no additional/ separate compensation paid for working extra hours.

11. Mobile Phone No.:

You will be required to subscribe a mobile phone number that will be allotted to you from a series of
numbers, blocked specifically for the purpose by the company. The allotted number will remain the
property of the company, will need to be activated immediately after it is allotted to you.
You are required to be contactable all the time (24/7) for any urgent work and accordingly also keep
your mobile phone switched on / operable at all times.
You are expected to operate only one mobile number which will be allocated to you by the company
for all official dealings.

12. Confidentiality:

In accordance with the standard practice, you will at all times maintain strict confidentiality with
regards to the all matters pertaining to the company and its customers.

You are also required to deliver/ return to the company any/ all records in any medium that you may
hold at the end of your employment with the company.
13. Documentation Required :

The following documents are required for our records. Please arrange to submit to the Administration
Department by/ on 01June 2017:
a. Proof of age – either School Leaving Certificate, or Birth Certificate.
b. Relieving Certificate or Service Certificate from your previous employers.
c. Educational Certificates including your Mark Sheets.
e. Two copies of your recent photograph in passport size and address proof.

14. Outside Assignment :

You will not accept/ undertake any outside assignment, either paid or unpaid even after your working
hours or on holidays.

15. Alteration of Terms & Conditions :

The organisation reserves the right to alter, amend or modify any of the above conditions of service
as and when required, with or without notice to the professional.
