EXECUTIVE SUMMARY
The report summarizes with an organization profile of Pearl Continental Hotel,
Lahore giving its introduction. Pearl Continental Hotels have positioned itself as an
extremely successful chain with fully owned five-star luxury Hotels and resorts in
Muzaffarabad and Gwadar. It have 607 rooms in the new Atrium Mall wing Lahore
Branch, and giving detail on Mission, Vision, its products and services, their all
and Organogram of the organization. Following that the next section contains
information about the job, which is just tasks and responsibilities during my

INTRODUCTION OF THE COMPANY
“Starting with Cotton trading, Hashoo Group of companies today boasts the only chain of
five star hotels in Pakistan namely the Pearl Continental hotels chain and the Karachi
Marriott and the Islamabad Marriott Hotels with presence in all the provincial capitals and
the federal capital except one. Today, Hashoo Group of Companies besides hotel industry
encompasses oil and gas exploration, mining, ceramics, pharmaceuticals, tourism and
travel. It also has considerable investment In real estate. Mr. Sadruddin Hashwani with his
keen eye on the future is now guiding the Group to enter the field of Information
Technology (IT). Towards that end a wholly owned subsidiary of the group known as Net
21 (Pvt) Ltd is currently operating as Internet Service Provider, which is planned to serve
as spring board to launch substantive IT projects”.
The oil and gas exploration is being done under the Orient Petroleum Inc, which has
recently met with successful find. The Group is constantly on its forward march. Some
examples of it are: The construction of Pearl Continental Hotel Bhurban in the Murree
Hills, Construction of new wing called Atrium Wing of the Pearl Continental Hotel Lahore
equipped with the most modern amenities, Continual up-gradation and modernization of
Pearl Continental Hotels and Islamabad as well as Karachi Marriott Hotels, Acquisitions of
the state-of-the-art Ceramics factory to design and produce crockery and a plant known as
Gel caps to manufacture halal gelatin capsules for the pharmaceutical industry according
to the most stringent quality standards. Mr. Hashwani’s Vision knows no bounds and it will
be difficult to predict as to what will be his focus of attention tomorrow. For him time is
short and the Art is long. Therefore, his philosophy is that each moment of life should go

The basic sales are concerned with reservation of rooms. The sales department works
under this consideration.

The marketing department is concerned with promotional activities, which includes:

It is concerned with general cleanliness and hosting services to the guests. It has a supply
section which ensured provision of accessories and valuables. Corporate level purchases
are made from Karachi section, while local level purchases include daily items.
Taipan
Dine in the splendor of South East Asia. Fun, fresh and surprisingly affordable, Taipan,
with its exciting and enticing open show kitchen, bridges the gap between fast food and
fine South East Asian dining. Exclusively Chinese, it serves the best Cuisine in Town, and
opens both for Lunch and Dinner. In Taipan Restaurant, people can have buffet lunch
from 12:00 PM onwards where the finest Chinese buffet is served. In the evening timings
are from 7:30 PM to 11:00 PM.
Marcopolo
Marcopolo features contemporary, cosmopolitan menu that unite influence from around
the world while honoring traditional Lahori favorites. The striking interior design of this
elegant restaurant is distinguished by its floral wood paneling, marbling in midnight brown
and deep fuchsia chandeliers. It serves Pakistani and Continental Buffet Cuisine, and is
open for Breakfast, Lunch, and Dinner. Breakfast starts in Marcopolo in the early hours of
the morning serving lavish buffet breakfast. Lunch timing in Marcopolo starts from 12:00
PM to 3:00 PM.

Bukhara, at Pearl Continental Hotel Lahore, is a branded cuisine reflecting Lahore’s rich
culinary heritage. This luxurious setting decorated with mughlai paintings, takes you back
to the royal mughlai kitchens, famous for the most exotic and finest food for royal families.
Opens to the lilting sounds of the local Ghazal Singer, and is most famous for its mouth
watering Pakistani cuisine, including live Bar–B–Que. It opens at 7:30 PM serving Bar-B-
Que. Buffet layout starts from Chicken Tikka, Seekh Kebab to endless number of Bar-B-
Que delicacies.

Marketing department is responsible for all activities which are necessary to promote PC
Hotel in market. They also make an effort for formulating marketing strategies, market
research and find new opportunities in market. Industrial marketing and sales department
is also responsible the sales of PC Hotel services and build a profitable customer

also use Public relations as a tool to promote their business like sponsorships.
Income Auditing
The working of the income auditor is to check the overall income of the PC hotel from all
kind of sources, i.e. from sales, Rental money, banquet sales and other services that the
PC hotel is providing and also check the proper functioning of the income of the hotel free
from any blunders.
Daily income report states the daily income earned in a day from all the sales, services
given etc. It mentions incomes of all the individual restaurants, banquets, room service
etc.
General Cashier Summary
The General Cashier Summary includes all kinds of cash that a hotel received in a day.
Firstly all the cashiers drop all the cash in to the front office where the GSO (General sales
officer) and the Chief cashier counts it and made a cross tally it with the receipts and then
deposits it to the bank.
City Ledger Register
In City ledger cheques number is noted down of the cheques which have been paid
through the credit cards. There serial numbers are marked down and a record of is made
of daily cheque paid through credit cards.
Store Department
The store department stores the items and makes a record of the items that has been
received and issued. Store department offices use two methods for inventory control,
which are:

2. FIFO
LIFO method is used for engineering and general store items which have a longer expiry
and FIFO method is used for food and Beverages which have a shorter expiry.
Cost Department
Main Working of the cost department is to check the overall costs of all things the Hotel is
using and coming through the receiving department. And also to maintain a record of all
the costs that has incurred on all the products and services.

Firstly all the concerned departments if they need something issue a purchase requisition
approved by the director finance, Department head and Cost controller. Then the
purchase officer held an auction of that good on the internet by mentioning the specific
requirements of the good needed. Then after the close of the auction the parties which
give fewer rates at the discussed quality are short listed and then the purchase manager
selects the vendor to whom the order to be given. And then the party selected for the
purchase is informed and required order is confirmed.
Closed Purchase Order
IT is made for only time purchase.
Standard purchase Order
It is made for long time purchase. It’s done by contracting the party for supply of
that product for a contracted time period.
Central Purchase Order
It is as same as SPO. But it is made by the head office if the order requires heavy
amount or bulk purchase.

Interpretation
The above results of current ratio shows that company has enough current assets to pay
off its current liabilities in current year and as well as its previous years. The company‘s
current assets are 1.89 times more than its current liabilities in 2015, 1.24 times more than
its current liabilities in 2016 and 2.49 times more than its current liabilities in 2017 which is
highest amongst previous years

Interpretation
The above result of gross profit margin ratio shows that company did well in managing the
costs of sales. In all above three years company’s performance is good in terms of
managing the cost of sales. It may be improved by increasing sales price or decreasing
the cost of sales.

Interpretation
The result of above operating margin ratio shows that PC hotel made a profit of 26.23%
after paying the variable costs in 2015. It means remaining profit is used to pay the
variable cost. PC hotel made a profit of 20.69% after paying the variable costs in 2016.
PC hotel made a profit of 26.29% after paying the variable costs in 2017. It shows
company’s ability to use its variable cost is not good.

Interpretation
The above results of net profit margin ratio shows that company had not well managed its
profitability in 2016 as compared to 2015 and 2017. Although these years also have less
percentage amount of profitability.

The above result of capital employed ratio shows that Company’s percentage of capital
employed is decreasing from year 2015 to 2017. It means company had small short term
liabilities in 2015 and in 2016 it had higher amount of short term liabilities.

Interpretation
The results of above ratio of Return on equity show that company’s percentage of return
on equity decreasing from 2015 to 2017. Company has higher percentage of return in
2015. It means company has higher profitable assets in 2015 as compared to 2016.
Company has less percentage of return in 2016 as this shows company not used its
assets well to make more profit.
Interpretation
The above results of total asset turnover ratio shows that in all three years company’s has

same ability to convert its assets into sales which is around 0.25 times. This results shows
that Company has weak ability of managing its assets so that company could generate
more sales.

The above results of fixed asset turnover ratio shows that in all three years company’s has
somehow same ability to used its fixed assets so that it generated sales which is around
0.30 times. This results shows that Company has weak ability of managing its fixed assets
so that company could generate more sales.
Market Ratios
The earnings per share ratio are the amount of earnings per each share of the company’s
stock.
Interpretation
The results of above earnings per share ratio shows that company’s earnings per share
are increasing from 2015 to 2017. Currently, company has greater earnings per share

rupees of 35.23. Company has very low earnings in 2016 because it generate rupees
19.78 per share which is very low as compared to other years.
2. Debt Equity Ratio equals the total debt divided by equity. It tells how much debt is
being used to finance the firm.
Interpretation
The above results of debt to equity ratio shows that company used less debt to financed
its firm in all three years. If value would greater than one then company will use more debt
in financing of the firm. In these results, company finances its firm more from other
sources of financing than debt or loan. In 2017, company gets more debt as compared to

Orientation
14th of May, 2018, was my first day at Pearl Continental Hotel. Before joining the Pearl
Continental Hotel Lahore, HR Manager Miss Siddiqa Jabeen told me about the Standard
Operating Procedures (SOP) of the Pearl Continental Hotel. She asked me why you
choose Pearl Continental Hotel for internship during this meeting. She sent me to the
training manager for further procedures. The training manager took small interview as he
asked about Pivot table which is used in Microsoft Excel and then he sent me in finance
department according to my area of specialization. As my internship was starting from
accounts department in payable section so, my first meeting was with Assistant Director
Finance (ADF). He welcomed me warmly. He gave me a brief introduction about the whole
company, its goals, missions, objectives, etc. Then he told me about accounts and
finance department and its sub-departments. He also took my interview before joining. He
also asked about a brief introduction about me, including my studies, my university, my
family, my purpose of doing internship, past experiences, etc.
Some rules and regulations, which must be followed by all employees, were also
discussed during this interview. Then he told me that I will start from Payable section.
Give briefing about that section, introduce me with the supervisor that will supervise me in
that section and give me under the supervision of him.
Income Auditing
The working of the income auditor is to check the overall income of the PC hotel
from all kind of sources, i.e. from sales, Rental money, banquet sales and other
services that the PC hotel is providing and also check the proper functioning of the

income of the hotel free from any blunders. Proper record is kept which marked any
kind of retrieval easy. In order to do that many reports are made and maintained on
daily bases and monthly and yearly bases.
General Cashier Summary
The General Cashier Summary includes all kinds of cash that a hotel received in a
day. Firstly all the cashiers drop all the cash in to the front office where the GSO
(General sales officer) and the Chief cashier counts it and made a cross tally it with
the receipts and then deposits it to the bank. Bank deposits this amount in to the
PC Hotel account and sends a report of that deposit to the income auditor where
the income auditor note down all cash receipts of all cash cashier in the computer
and makes a summary of it.
Discount
Those customers who hold a privilege membership card are given special
discounts depending on number of persons using a facility such as:
1 Person = 15 % discount
2 Persons = 50 % discount
3-10 Persons = 20 % discount
11-20 Persons = 15 % discount
All kind of purchase orders comes along with the bill of the purchase to the Payable from
the Purchase Department. We first verify that the concerned people such as Cost

Controller and the Receiving officer has signed it and posted in computer in the Receiving
Report. After verification we made two vouchers such as:
1. Payable Voucher
2. Payment Voucher
Payable voucher is made at the receiving of the Purchase Order (PO) and when the
payment is going to be made then Payment voucher is made.
Payment is made in two forms:
1. Cash
2. Cheque
Cash payment of the amount which is less than 5000 is made by the Chief Cashier. All
other payments of Rs. 5000 and over are made in Cheque. As the payment voucher is
made the balance from payable voucher is automatically deducted.
In this job Accounts payable officer was responsible for the processing of invoices
After knowing the some functions of finance department and working of payable

from month July 2017 to April 2018. Then I put these vouchers with invoices in files
monthly wise. For each month one file is must be used but for some months more
than one files are used according to the payables data of month. It takes 2 days of
Accounts payable officer was asked me to find the invoices of one company. I
found all invoices of that company from the bags which provided by purchase
department. Then I made working of this company in excel. I have to put info all
invoices in excel working like invoice number, invoice date and invoice amount.
After that I checked the total amount with Fidelio Material Control. If there is
difference of amount between total invoices amount and Fidelio Materials Control
then I would write difference in excel working if no difference then write zero. Fidelio
Materials Control is software where purchase department put all invoices amount
so we have to verify this. I printed this excel working for further use.
At Pearl Continental Hotel, I came to know that all utility bills are paid through
cheque. I made a cheque of United Bank Limited Pearl Continental Hotel for
payment of LESCO bill. I printed cheque from computer and made entry of payment
in SunSystems software. After that I made payment and payable voucher. Then I
attached this payment and payable voucher to the bill and cheque also been
attached. Later I visited United Bank branch in Pearl Continental Hotel for payment
of LESCO bill.

After knowing the whole working of payable section, I was assigned a work to issue
the payment with all required procedures. For this purpose, firstly I gathered all
invoices of the company for a given month and made excel working after putting
invoices information in excel. Before cheque is going for signing I have to do certain
Verify Vendor’s sales tax status and income tax status from Federal Board of
Revenue website.

Most of the times vendors call us for asking about their payments. They asked
when they will receive their payments. So I picked calls so many times and respond
them after asking from my supervisors when they will receive payments.

I visited Banks in Pearl Continental Hotel so many times for payment of Pearl
Accounts payable job requires dedication towards your work. We had to issue
payments on time which we assure our vendors. In Pearl Continental Hotel, There
is larger number of Vendors for different things like for fruits Pearl Continental Hotel
has Natural Foods Limited which located in Badami Bhagh Lahore. So that this job
needed.
Credit Department
During my 4th week at Internship I was transferred to the Credit department of Pearl
Continental Hotel Lahore. I got three weeks training at there. Before starting my activities
at there, Assistant Credit Manager Adnan Nawaz gave me introduction of Credit
Department and main working of Credit department which I described as follows:
The main working of the credit department is of two things
1. Billing
2. Recovery
Billing
Firstly all the cheques which have been pain by credit cards or if they charged to the
company or charged to the individual, they are posted in the computer and report is made
of it. Then all of the advances that have come so far are posted in the computer and a tally
is made of receivables with debit and advances with the credit side of a report prepared to
check it. Then the bills which are charged to individuals or charged to companies are
separated and all the bills named against each company etc are gathered and the original

copy of the bill along with the vouchers attached are send to the concerned
company/individual.
The tips given on credit card payment are not taken at that time rather they are sent to the
banks for collections. United Bank adds this amount in the account of Pearl Continental
Hotel Lahore and the Standard Chartered issue cheque against it.
Trial Balance Report
It is the main report made by the Credit Executive which displays how many
receivables the hotel possesses and how many payables hotel has to pay.
Recovery
Recovery is the main part of the Credit department. It means taken back the money which
the companies or individuals owes to the Hotel such that when they use a facility and then
charge that amount of service to the company or individual.

I visited so many times at different places of Pearl Continental Hotel Lahore where
credit card swipe machine is located like front desk office and all restaurants and
health club etc for the closing of daily batches.
Special Tasks
In Public Relations department, public relation officer gave me a special task of FIFA
World Cup 2018 publicity in Marcopolo restaurant which is main restaurant of the Pearl
Continental Hotel Lahore. Before giving this task he asked me about the football players
and to whom I have known. He told me to choose best 16 football players in the world and
selects their good images of these players from the internet. All banners of these players
are printed after 2 days so I and my fellow internee Mr. Arslan post these banners on the
walls of the Marcopolo restaurant with the help of workers. We are asked to do a publicity
of best football players with perfect way in terms of their location on the Wall and Margins
on Wall of Marcopolo restaurant etc.
In Appendix A this sample work I made the excel working of the Bashir Sons company
which is vendor or supplier of pearl continental hotel. Pear continental hotel Lahore has to
pay some amount to Bashir Sons against some items which was bought by Pearl
Continental Hotel Lahore. While during internship at Payable section I made this working
for issuing the payment to the Vendor by putting invoices information into excel sheet.
