1. Purpose of the document


This document has been prepared in consideration that the target audience is the Institutes and colleges
who are looking forward for registration and accreditation with NBA. Only those functionalities that the
target audience would come across have been explained in this document. The objective of eNBA
application is to go paperless and consequently save time.

4. e-NBA Application Overview


National Board of Accreditation (NBA) in its present form has come into existence as an autonomous
body with effect from 7th January 2010, under the aegis of AICTE, with the objective of Assurance of
Quality and Relevance of Education, especially in technical disciplines, i.e., Engineering and Technology,
Management, Architecture, Pharmacy, Hospitality and Mass Communication, through the mechanism of
accreditation of programs offered by technical institutions. NBA is in the process of introducing an
improved Accreditation Framework in the country, which is in line with the international processes. The
broad objective of frameworks for different disciplines is to ensure high quality standards for technical
education in the country to meet the national and global requirements .

5. Accessing NBA website


 Double-click the browser on visible on your desktop
 Enter the website addresshttp://www.nbaind.org/views/Home.aspx. NBA website opens.

 Click on college/institute link for initial registration.

6. Registration Phase I
6.1. Initial Registration
To participate in any of the NBA programs, the first step is to register the institution.

 Click colleges and institutes link visible on the NBA website. Log in screen opens.

Note: All fields marked in * are mandatory

 Click on any of the options to select an Institute Type. In the above image, ‘Government
Institute’ is selected
 Type the Institute/college name in the Institute Name field
 Type the name of the organization to which the institute or college is affiliated to
 Type year in which the institute was established in the Year of Establishment field
 Type the year in which the institute/college has obtained 1st approval Letter From AICTE

Note: This field is not visible if the user chooses University, Deemed University or NIT
 Type the complete mailing address for communication through postal/courier
 Type the name of the State to which the institute/college is based in
 Type the name of the District to which it belongs
 Type the area Pin Code
 Type the Phone number with STD code of institute in the first box and rest of the
number in the second box
 Type the Mobile no. of the institute/college
 Type the Fax number of the institute
 Type the TAN/PAN No. of institute
 Type the Website if it exists
 Type the Email address through which online communication can be conducted
 Type the same email ID in the Re enter Email field for confirmation
 Identify the letters shown in red and type the same in the Enter text from Image field
 Click Submit button to confirm else click Close to exit from this page

No sooner the initial registration request has been sent, user views the following message on the screen.

 Check the email inbox/Spam. Username (same email ID that is used during registration) and
Password to access the NBA application has been sent.

 Click Close to proceed further. Log in screen appears.

 Enter credentials and click Log In. Change password screen opens

Note: This is the password that had been sent to email ID after initial registration. This needs to be
changed for security purposes.

 Type the Old Password provided by the NBA


 Type New Password maintaining the password rules as can be seen in the above screen
 Retype the same in Confirm Password field to confirm
 Click the Submit button to submit the new password
 Click the Reset button to clear the text field.

Note: Click Forgot Password in the log in screen if the login password is lost/forgotten. A new
screen opens where user enters the email ID and click Submit. The log in details are again sent in
the given email ID.

6.2 Partial Completion of Registration


After changing password user will be taken to the complete the registration form. The screen has been
divided into parts for better understanding.

General Info

The above part of the form is already populated with data based on the information user has filled
during initial registration. The mandatory fields cannot be modified.

Key person’s details:

 Type the Name of Key person who heads the organization.


 Type the Designation of the key Person.
 Type the Phone No. of the person

 Type the Website of the key person if any
 Type the Fax of the key person
 Enter the Pin Code of the area where the key Person resides
 Enter the Email address of the key Person
 Click Save to confirm

Note: After filling each section, user has to click on corresponding SAVE.

Attention! Please fill this section carefully


 Type the Bank Name through which transaction is to be done
 Type the Branch name of the bank
 Type the City name where the mentioned branch is
 Type the Account No.
 Type the IFSC code of Bank

 Click on any of the options to select the Promoter Type.


 Type the Name of the Society/Trust
 Type the Mailing Address of the society/trust.
 Type the State where the Society/Trust is located.
 Type the City where the Society/Trust is based on
 Type the area Pin Code
 Type the Phone number
 Type the Website of Society/Trust if any.
 Type Fax number
 Type the Email ID of Society/Trust.

Key Person’s Details of Promoter:


In this section enter the details of the key person of the Society/Trust whom NBA correspond as and
when required.
 Type the Name of key person
 Type the Mailing Address
 Type the State, City, PinCode, Phone, Website, Fax, and Email as done previously

 Click any of the boxes to select the Level of Programme institute/college wants to get accredited.

Note: To reapply for another level edit the existing profile.

 Click if the institute/college is accredited by AICTE.

Detail of AICTE’S Letter of approval:


 This section is required to attach the proof of accreditation and its validity
 Click Choose file and browse the AICTE letter from desktop. The format and size of the file
should be as mentioned in the instruction.
 Type the Date of Approval of AICTE letter.
 Type the date up to which the letter is valid in the Valid Upto field
 Click Submit button.

Check the boxes if any of it is applicable for you, else ignore.

Direction to reach the Institution:


This section is used to enter the direction to reach the institute/college:

 Type the name of the Nearest Airport


 Type the name of the Nearest Railway Station
 Type the name of the nearest or the Major Town (With population of 1lac or above) to which it
belongs
 Type direction to reach from nearest Airport to Institute (e.g. Right, North-eastwards)
 Type the Direction to reach from nearest Airport to Institute.
 Type Direction from Airport which should be clear and vivid
 Type the Major Transport available to reach the institution (e.g. Metro, Taxi etc)
 Click the ownership message box at the bottom
 Click Submit button or click Save to submit later. A message appears confirming registration.

 Click Ok for further process.

Note: NBA official will scrutinize the registration details.

7. Registration Phase II
This is the institute welcome page.

Note: The Accreditation workflow shown in the diagram enables colleges/institutes to complete
the stages of accreditation within the defined time period.

7.1 Dashboard components:


Change Password:
When the user is able to view the dashboard, it is considered that the first time change password is
already done. But if he/she wants to change the password further, then this link can be used.

Log out : User can log out its account.

Profile: This displays the details of the college/institution. The data shown here is same as that which
have been filled during the registration process.

Messaging:
 Outbox stores all the sent messages.
 Write to NBA allows user to write any query to NBA if required.
 Inbox contains the emails related to NBA. Institute will receive an acknowledgment from Office
admin regarding Registration.

 Reply Button: Click this button to reply if required.


 Forward Button- Click this button to forward this mail to someone if required.

 Go to Dashboard.

Note: The Dashboard displays the timeframe to complete each action and it is advised to follow
the same.

The Office Admin of NBA will verify the registration details. After his/her approval of the same, another
email will be sent to the institute/college.

In Pending Action user can find that acceptance of Phase I of registration has come from NBA.

Note: After acceptance, the fee has to be paid within 15 days, failing which the user ID and
password will be disabled. The user will then have to re- initiate registration.

Click on the link. Fee payment screen opens. User can also view this link at Inbox>>Open the
email>>click for action as shown below:

This screen offers three types of payment modes:

Demand Draft:
 Enter the amount required for registration
 Enter the Bank Draft Number

 Enter the Date mentioned in the date
 Specify the bank name
 Courier through which the draft is to be sent
 Tracking number given by the courier company
 When was the courier dispatched
 Check in the box if you agree with the terms and condition

Click Debit and Credit card as payment option

 Institute Name appears by default


 Enter the amount
 Click Terms and Conditions if you agree to it
 Click Pay. Merchant service screen opens.
 Make your payment through it

Netbanking
The first screen that appears on selecting Netbanking is same as shown in figure 19.b but the
amount field might differ.

Message appears confirming the successful submission.

Click OK to get redirected to the dashbord.

Acknowdlegement mail appears in the inbox.

After the admin and finance department of NBA validates the fee received, another email comes
confirming the verification of the fee. If it is not accepted, then refer back email can also come with
some comments from NBA. In that case user will have to make corrections as stated in the comment and
again make the payment.

Another email comes from the NBA office admin confirming registration and issuing a file name.

Now that the college or institution is registered completely, the left hand pane of the dashboard will
display all the necessary links for it and change password request will appear again.

8. Application for Accreditation


In this page,the college will fill up the application form for accreditation.

 Click the dropdown to select the Discipline in which accreditation is sought


 Click to select the format type
 Click to select a Level from the dropdown menu
 Click the Programme dropdown to select a program for accreditation
 Click on the Add to list button, to save the information

On clicking Add to List, a new section appears in the screen called Applied Program List.

Here the college will submit the final application for Accreditation and If User wants to change the
programme for accreditation then they can click the remove button.
On clicking Submit a confirmation message appears.

Click OK to proceed further. Dashboard opens.


Go to Inbox. An acknowledgement mail has been received by institute:

A mail will be received by the institute from MS-admin regarding the acknowledgement of application.

The Institute Head who has been described as the Key Person during the time of registration will also
receives the same acknowledgement mail.

User will receive a pending action alert in the Dashboard requesting to complete the fee payment
process for accreditation.

Click here

Note: The accreditation request can be either approved, referred back or rejected. If NBA refers
back the application, the user will get an alert to make the necessary changes. In case the application is
rejected, the corresponding message will be received by the user. All these communications will be
available in the Inbox

The accreditation screen opens. User can modify and resubmit.

Rejected:
If user gets a rejected message, then he/she will have to submit a fresh accreditation.

Payment screen opens. User can open the payment screen through inbox as shown before.

 Fill the payment details as already explained earlier. The amount would vary based on the
number of programs selected.

 Click Pay.

A confirmation message appears.

Accreditation fee has been submitted successfully.


 Click Ok for progress further.
 Go to inbox

Here the college receives the acknowledgment regarding the fee submission and fill up SAR in respect for
each program for further process.

9. Self Assessment Report


Click the pending action link in the dashboard which is asking to upload SAR.

9.1 Proposed Visit Dates


College/institute can propose a visit date for NBA against the applications made. About 5 dates can be
proposed out of which NBA needs to make its selection.

 Click Proposed Visit Dates under Accreditation.


 Select Application Number from the dropdown menu. Rest of the details appear automatically
 Click on Date 1 box to select the first proposed date. Calendar appears.
 Select other proposed dated similarly
