DCS Personal Workspace


A personal intranet space that allows you to upload and share documents that may be too
large to send via email. It also allows you to co-edit documents, working collaboratively with
colleagues across agencies, eliminating the need to compile changes from multiple versions of
a document

TASKS

Use GrabPic to insert a picture into Powerpoint slide


1. Create a new Presentation on Microsoft Powerpoint on your laptop
2. Look for a GrabPic icon near the top of your Powerpoint window
3. Search for "teamwork" and insert any picture into the Powerpoint slide
4. Save the Powerpoint file with your name

Upload the Powerpoint file to your Personal Workspace


1. Open your web browser on your laptop and go to your Personal Workspace at
https://my-sgdcs.sgnet.gov.sg (add this link to favourites for easy access in future!
2. Select and upload your Powerpoint file

Share your Powerpoint file with the facilitator


1. Share your Powerpoint file from your Personal Workspace by clicking "Only you" under
Sharing > Invite people > In the 'Enter names, email addresses' textbox, Search for Li
Yiyang (PSD)
2. Ensure the permission is set to "Can edit"
3. Click 'Share'
4. Inform the facilitator once all team members are done

edited it without clicking "track changes"?

Ensure that all changes made on the Word document will be automatically tracked without
having colleagues to click on 'Track Changes'

TASKS

Create a Word doc with "Track changes" automatically enforced


1. Create a new Word document
2. Click on Review tab > Restrict Editing > Tick the box under 2. Editing restrictions > Select
Tracked changes from the dropdown box > Click "Yes, Start Enforcing Protection" under
3. Start enforcement and click 'OK'

Upload & Share the Word doc to your Personal Workspace


1. Open your intranet and go to your Personal Workspace at https://my-sgdcs.sgnet.gov.sg
(add this link to favourites easy access in future!)
2. Select and upload your Word document
3. Share the Word doc with the facilitator by clicking "Only you" under Sharing > Invite
People > Search for Li Yiyang (PSD)
4. Ensure the permission is set to 'Can edit'
5. Click 'Share'

Collaborate on a Word doc that the facilitator will share with you
1. The facilitator will share another Word doc with you
2. Check your Outlook inbox for the link to the shared Word doc
3. Open the Word doc and complete the rest of the words to "Twinkle Twinkle Little Star"
4. Inform the facilitator once all team members are done

Outlook Calendar
Outlook Calendar allows you to view the calendars of public officers to arrange for an
appointment at a free time slot

TASKS

Pre-check for common free time slots among colleagues using Outlook Calendar
1. Open your Outlook Calendar
2. Click on 'Open Calendar' near the top of the window
3. Select from Address Book > Look for Li Yiyang (PSD)
4. Double click on Li Yiyang (PSD) and click 'OK'
5. Click on the arrow beside the top tab on Yiyang's calendar
6. Look for an available time slot for a 1-hour meeting
7. Proceed to open the proposed appointment
8. Set the appointment as "Private" (look for a yellow lockpad icon on the top-right hand side
of the window) and set your "Show As" to "Out of Office"
9. Inform the facilitator once you're done

FYI
You can also choose to show all your appointment and
meeting details with selected colleagues. Just look for
the "Share Calendar" button on your Outlook Calendar

Setting an appointment as "Private" will not allow


anyone to see the details of the selected appointment,
even to those you have shared your Calendar with

It is useful to set your "Show As" options

government authentication systems such as SingPass, CorpPass and MyInfo

TASKS

Sign into FormSG and create a survey


1. Open FormSG on your mobile phone's Internet browser at https://form.gov.sg (internet
link)
2. Sign in to FormSG using your work email address
3. Key in the OTP sent to your Outlook inbox into your mobile phone
4. Tap 'Create New Form' and name the survey

Create 3 survey questions

1. Name (Short Text; Optional)

2. How would you rate this workshop? (Radio; Compulsory)

Great

3. Please explain your rating (Long text; Optional)

1. Add element > Short Text > Title: Name > Turn off 'required' > Save
2. Add element > Radio (MCQ) > Title: How would you rate this workshop? > Add options
(Poor, Ok, Great)
3. Add element > Long Text > Title: Please explain your rating > Turn off 'required' > Save

Make the survey go ' live' and share it


1. Settings > Activate Survey
2. Share > Copy Link
3. Send the survey link to the facilitator via SMS to Yiyang at 92294247
