TEST INSTRUCTIONS

STEP 1: CHECK FILES. Make sure you can view and download
all files in the box so that you can properly complete your
test. Send an email to hr@dailytranscription.com with any
questions or concerns.

STEP 2: SEND A CONFIRMATION EMAIL. Send a confirmation


email to hr@dailytranscription.com, include the name of the
video file sent to you and the anticipated completion date
of your test.
Please use the subject line: Confirming Test

STEP 3: COMPLETE TEST. Transcribe all dialogue from file


DT TEST 090618 according to the Style Guide (page 3).

MATERIALS NEEDED:
 A good set of headphones.
 Use Microsoft Word or comparable software such as
Open Office for final transcript. (Make sure the
format matches the sample if you don’t use MS WORD!)
 A transcription software such as Express Scribe
can be used for a faster transcribing method. It is a
free download. If you wish to use it, the download
link is below.
 If not using the Express Scribe method, you will
need a media player to play the file. You can use
Real Player, Windows Media, VLC, Quick Time.

STEP 4: SAVING TRANSCRIPT. Use Microsoft Word or


comparable software such as Open Office to get your
transcript client ready. Click on “save as” and save the
document as a “Word 97-2003 document (*.doc)” Don’t forget
to include your name in the file name, for example: DT TEST
072718 – Ceci Lardizabal.doc

We are in high demand for Weekenders: individuals who can


work anytime Thursday through Saturday. If this is you,
please label your test “_WEEKENDER” after your name. If
you are unable to work weekends only label test file with
your name.

STEP 5: PROOF YOUR WORK. Don’t forget to spellcheck your


file! Use the FINAL CHECKLIST.

STEP 6: EMAIL COMPLETED TRANSCRIPT. Please email your


completed transcript to Transcr.x46u094fmur0uqy6@u.box.com
with a cc to hr@dailytranscription.com

GUIDE FOR TEST


The Style Guide is intended to help provide information
on how to complete the Transcription Test. The test will
be an example of what type of files you will be assigned
for transcription with Daily Transcription.

 DOCUMENT TYPE: INTERVIEW & DIALOGUE STYLE

Use the SAMPLE PAGE provided with the test files as


a template. This will ensure proper format and
placement of margins, the DT header, and DT footer.

need to be in the range of 95 to 100% accurate to be
considered for work with Daily Transcription.

DIALOGUE.

FORMAT -> [00:00:00]/[hours:minutes:seconds]

LOCATION -> Use the burned in time code on the


video, not the actual video running
Time.

MAIN HEADER:
The main header shouldn’t be inserted using the header
feature, just include it in the first line of the
document. There should be 3 spaces between the main
header and the transcript. It should include the project
name, the description, file name, date and TRANSCRIBED BY
DAILY TRANSCRIPTION_YOUR INITIALS HERE

VERBATIM:
At Daily Transcription, our motto is “You Say It, We Type
It.”
So, when we ask for verbatim, we mean verbatim. You must
include, all, ums, uhs, stutters, interruptions, and
false starts. All, ums, and, uhs, should be offset by
commas.

SLANG WORDS:
Our clients expect every word of their video/audio to be
included in their client-ready transcript as it is being
spoken. There is also no need to use a tag to indicate a
slang word.

TIME CODE:
The timecode should be placed five spaces after the file
name in brackets. The timecode should be six digits and
contain the hour, minutes, and seconds, separated by
colons [00:00:00]. DT does not use the frames unless
explicitly asked for in your assignment’s Style Guide.

 EXAMPLE: FILE NAME [12:11:48]

NOTE: If you encounter a skip in the video due to video


being cut, you DO NOT need to tag this as a [PAUSE] or
[SKIP] as we DO NOT USE these tags. Just indicate it
with the new time code.

DASHES (-)
D-d-dashes are used for stu-stutters or stammers not for
pauses in speech. A stutter or stammer can occur with a
phrase-a phrase, a word, a part of the word, or one
letter of a word. Also, use them between letters when a
speaker is spelling something. Do not use spaces in
between dashes.
 EXAMPLE: RODNEY: So, my n-name is-my name is
Rodney, R-O-D-N-E-Y.

ELLIPSES (… )
Ellipses should be used when the speaker drifts off
without completing a sentence or finishing a thought.
They should also be used for pauses or false starts.
There should be a space after the ellipses.
 EXAMPLE: RODNEY: Often you might think you
know… please read the document before
answering.

[BACKGROUND NOISE]
If a sound or noise either interrupts or overlaps
dialogue, then you can use this comment instead of
specific sound comments. This would be used for a phone
ringing, airplane, etc. If you can transcribe what is
being said, then DO NOT use a tag.
 EXAMPLE: RODNEY: If you can understand and
transcribe the dialogue, do not use the
[BACKGROUND NOISE] tag.

[INAUDIBLE]
If you are unable to hear or understand the word or words
being said by a speaker, you may need to use the
[INAUDIBLE] tag. NOTE: Sometimes you will be able to
use the context and content to figure out what is being
said. ALWAYS run through the audio a minimum of three

times to try and transcribe all dialogue. If you can


understand and transcribe the dialogue, DO NOT use the
[INAUDIBLE] tag.
 EXAMPLE: RODNEY: Sometimes the audio isn’t top
quality or maybe the interviewer is conducting
their interview outside and there’s a lot of
background noise and you might not be able to
[INAUDIBLE] everything the speaker says.

[OVERLAP]
Use this tag when you cannot understand the video/audio
due to overlapping voices. If you can understand and
transcribe the dialogue, DO NOT use the [OVERLAP] tag.
When transcribing overlapping parts, please be sure to
decipher what each person is saying and transcribe the
conversation identifying each speaker separately.
 EXAMPLE: JOE: I called you…
JANE: [OVERLAP]
JOE: on Monday

OTHER TAGS: [LAUGH], [COUGH], [CRYING], [MAKES NOISE],


[CLEARS THROAT]
Use these tags when the interviewee or speaker is
laughing, coughing, crying, making noise you are unsure
of or clearing their throat. DO NOT USE TAGS SUCH AS
[GIGGLES], [CHUCKLES], etc.
 EXAMPLE: RODNEY: Maybe the subject matter
might make me laugh [LAUGH] or I might just
laugh out of nervousness and not knowing what
to say. [LAUGH]

[PH] TAG
If you need to phonetically spell a name or word. Use the
[PH] tag after the word. The [PH] tag would be used for
words that aren’t pronounced properly or names that you
don’t know how to spell. You should always see if you can
research first: do a Google search, or use a hard
dictionary or online dictionary to check the correct
spelling of names and places before using the
[PH] tag.

 EXAMPLE: RODNEY: Sometimes you know what you’ve


heard but you just don’t know how to spell it.
Or sometimes someone might say something that
does not quite seem prop eristic [PH] word.

[?] – QUESTIONABLE WORD


There will be times when you may be unsure of a word
being said. It may be difficult to decipher the word as
it does not seem to match the context of the sentence or
thought. In this case, you would place the word in
brackets with a “?” [word in question?].
 EXAMPLE: RODNEY: The picture is [got?]
beautiful.

[END OF INTERVIEW] & [NEW INTERVIEW]


The End of Interview and the New Interview tags should be
included when there is more than one interview in a
transcript. You do not need to indicate the time code
for each tag. Note: sometimes the timecode at the start
of the new interview might jump.

[NON-INTERVIEW]
Use the “non-interview” tag when an interviewee talks off
subject from the question. USE THIS CAREFULLY AS YOU
COULD MISS A POSSIBLE ANSWER TO A QUESTION.
This could occur in the middle of dialogue. This tag does
not need a timecode.
• This tag NEVER gets its own line.
• This tag NEVER is in the beginning of a sentence
• DO NOT OVERUSE this tag

• Only use the “non-interview” tag when the flow of


the interview/dialogue is interrupted due to
“non-interview” dialogue, such as, shot being set
up, chit-chat before or after next interview.
Unless the client specifically states they want
it included we don’t transcribe it. Always check
the special instructions.
• When in doubt, transcribe the dialogue.
• DO NOT transcribe the non-interview dialogue when
using the tag. You either transcribe it or use
the tag.

NUMBERS:
• Spell Out Numbers one through nine BUT use numerals
for numbers 10 and over. (It is nine not 9 and 10
not ten.)
• If a speaker is spelling a telephone number or
social security number use numerals.
• If they are spelling a date it’s okay to use the
numbers as well, for example: “my date of birth is
03/25/83”
• For currency use the number rule above for one
through nine and numbers 10 and above with the
currency name. Such as 10 thousand dollars or one
dollar.
• When transcribing numbers that are decimals, it is
okay to use digits, for example 6.02 should not be
six point oh two.

Always place an “end of file tag” with the last time code
on the last page of the transcribed document. It should
be double spaced from the end of the transcript.
 EXAMPLE: RODNEY: This is the end of the file.

Final checklist

 CHECK THE MAIN HEADER:

 Did I use the Project Name from the guide?


 Did I include the correct description according to the guide with full
names of all speakers (main header only)?
 Did I include the file name of the video/audio assigned to me?
 Did I include the current date of transcription with the month spelled
out?
 Did I include “TRANSCRIBED BY DAILY TRANSCRIPTION_YOUR
INITIALS”?
 Is the main header in all CAPS?

 CHECK THE BODY OF THE TRANSCRIPT:


 Are there three blank lines between the main header and the body
of the transcript?
 Did I identify speakers by first name only in the body of the
transcript?
 Are the speaker’s names in all CAPS?
 Are there two spaces between the speaker’s name and the start of
the dialogue?
 Did I insert my time codes correctly according to the instructions?
 Is my time code formatted correctly [00:00:00]?
 Did I use the BITC (burned in timecode)?

before each timecode?
 Are there five spaces between the file name and timecode?
 Are there two spaces between sentences?
 Did I run spell check and double check my own spelling?
 Did I Google search any terms I am unsure of?
 Are my Left/Right margins 1.25”? Are my Top/Bottom margins
1.00”?
 No worries, if I used my sample page as a
template.
 Is the body of dialogue font in Courier New 12 pt.?
 Did I add the “end of file” tag after my transcript?
 Did I double space between the end of the dialogue and the “end of
file” tag?
 Is the DT page number header and DT Footer accurately placed?
 No worries if I used the sample page as a template.
 Did I save the file as a “.doc” document (Microsoft Word 2007 or
earlier)?

 CHECK TRANSCRIPT FOR DIALOGUE ACCURACY:


 Did I use the correct verbatim rules according to the guide?
 Did I give [INAUDIBLE]/[OVERLAP] tags three passes before
inserting them?
 Did I check the DT Style Guide for the appropriate usage of all
tags?
 Did I overuse tags or use unnecessary tags?
 Did I check the guide one last time for any special instructions?
