Enclosed, you will find, Inshaa Allah, the different roles and responsibilities for the Project
Coordinator (PCo) and the Project Manager (PM).
Please print it, and hang it on the wall to refer to it frequently. This will keep us in check as to
what we need to develop as our goals.
Work with the project team to help manage the project (H/R, Stakeholders)
Help the PM manage the project’s issues, actions, risks, and decisions (Scope,
Communication, Risks)
Take meeting minutes for the different project team meetings (Communication)
Help the PM gather information for status reports by following up on team members’ work
(H/R, Stakeholders)
Help the PM maintain the Communication plan for the project (Communication)
If asked by the PM, help the PM set up Budget and track expenditures on the project (Cost)
Follow up on the completion and quality of the project deliverables, per the PM instructions
(Quality)
Follow the PM lead and be open to being coached and mentored (Quality, H/R)
Escalate issues that he/she has no control over to the Project Manager (Communication,
Integration, Scope)
Help collect information (per the PM directions) that will help in making decisions
regarding the project (Communication, Integration)
Help the PM facilitate meetings to the best of his/her ability (Communication, Integration)
Help the PM identify the key Core team and Extended team members (H/R)
Get involved with setting up Change Management process and implementing Changes
Keep the project sponsor and the Stakeholders informed of the project status
Help the project Sponsor establish a budget early on in the life of a project
Work with the Project Management authority (if there is one in the company) or the Executives
to manage any interdependencies with other projects and programs
Establish and manage Changes to the project through establishing a Change Management
process
Get involved with Procurement, as much as it is allowed within the company, to understand the
status of bids, and contracts
Understand the project contract terms and if possible, get involved in writing the contract to
make sure it aligns with the project scope
Assures completion and the quality to project deliverables, through supervising team members,
and asking for quality measures to their work
Define and manage scope to the project working with the project sponsor
Define a Work Breakdown Structure for the project (working with the team), and use it to define
a project’s Schedule
Construct and manage the project’s schedule, identify critical path and changes to the schedule
as a result of managing the project
Escalate major issues that he/she has no control over to the Project Sponsor
Make decisions regarding the project, OR help the Sponsor make decisions (for major items)
