Before you travel: Visas & Documents

You will be traveling into Norway, so all personnel need to be aware that they may require an entry Visa. If you
have any doubt about your eligibility, please view the following web page www.udi.no and click on appropriate
link for visa information or contact Gemma Rogers (VIC Coordinator), Monday to Friday 0900hrs to 1600hrs GMT
(only) for any specific query.

Please ensure you have with you the relevant documents required for your Trip. (Hard copy of flight details, copies
of medicals, HUET, survival certificates, Seaman’s books, Passports etc, – if in doubt, bring it with you.)

Travel: Correct Procedure

When you receive your flight details, please check your details carefully via the airline website with the PNR
provided. If there is a problem with the booking then please liaise with the travel agency. Either ring them (+47
220 08050) or email them (bestilling@berg-hansen.no), in all correspondence provide your name, your vessel and
where possible your PNR.

If you miss your flight call the Travel Agent FIRST on their normal business telephone number
+47 220 08050 if out of office hours this will be directed to the 24 Hours desk.

Missed Flights/changes to itinerary:

If your arrival time changes please contact any of the following: Amundsen, James Brown or Paul Reid, Denise
Miller or if all else fails the vessel manager Antonio Stempel (PEM & AMU), Chris Rollings (ACO) & Sergey
Devyatov (QSB). They will pass on this information, so you will be picked up when you arrive. Please advise if you
are still be able to make crew change so alternate arrangements can be put in place.

Baggage:
Crew change will be conducted alongside but this may not be the case when signing off. Most airlines will not accept
Individual baggage pieces over 23kg per bag and helicopters will not accept anything over 10kg and it must be in a soft
sided bag no bigger than the following dimensions: 50 x 60 x 30 centimetres. You are allowed more than one piece.

Try to confirm that your checked bags were loaded on to all flights. If they have not made it on to the flight continue with
your journey. In case of missing luggage, please ensure you file a claim at the respective airline desk – and give the
Agent’s address. (GAC Bergen, Skoltegrunnskaien 1, 5003 Bergen, Norway Contact: Per Bolstad ) Please ensure that you
hand over a copy of the claim form to our company representative or Agent Representative and inform the Party
Manager. Please note International transit through Oslo (arrival), you must collect baggage and recheck for internal
connection.

To help you with baggage try and put everything you require for your trip in a bag that is suitable for carry-on luggage,
this way there is little chance that it will go missing.

Meet & Assist:

Non-EU nationals will be brought to the airport police for Schengen exit stamping upon arrival.

Upon arrival in Bergen Airport, you will be met by the Agent or their representative Jim Brown or Paul Reid. They
should be holding a sign “Amundsen’’ / “Amazon Conqueror” / “SW Cook” / “SW Tasman” / “SW Emerald”
depending on the vessel you are joining, and have some ID. You will be transported to the Hotel upon

arrival if required. In the event of an emergency or failure to be collected at the airport by a Company
representative, the agent should be contacted without hesitation. Airport Hotel will be booked for Shearwater
crew, contractors and Client reps . Please have your passport and seamans book ready to give to the agent for
immigration processing if needed.

Accommodation

- Due to the volume of guests, hotel requests that everyone planning to have dinner in the hotel pre-
book their table and meals at the reception or restaurant as early as possible.
- JOINERS WILL GO DIRECTLY FROM AIRPORT BGO to Scandic Flesland Airport Hotel .
- All joiners will attend Workshop at the Hotel morning of 23 rd at 8am. This will be held in the Circle
and Golden Room on the ground floor.

As usual, please ensure that all hotel services are paid for prior to your departure from the hotel. Any expenses
incurred that are to the company’s cost should then be claimed through a personal expense statement (PES).
Meals & Mini bar charges & pay TV are at your own cost. Hotel telephone charges can be expensive and as
usual, Alcohol is not allowed on the Bill. This rule applies to all contractors, Visitors or Crew regardless.

Standard check-out time is 1200 hrs. Baggage can be set aside at a room provided by the hotel.

QHSE Notices:

The Shearwater drug and alcohol policy clearly states the companies’ standpoint regarding the use of drugs and
alcohol when at work or traveling to & from the work place. It is a SW policy that Seat Belts MUST be worn all
employees, contractors or visitors when traveling on company time. Disciplinary action will be taken towards
anyone behaving in an incorrect manner, regardless of rank or experience relating to both of these Policies.

As in all places of the world, thieves like to operate at international airports, bus and railway stations. Passport
theft is common. You should carry photocopies of your passport with you. Try to keep your baggage with you at
all times. Avoid carrying large amounts of money, expensive jewelry, cameras and keep cell phones out of sight.
If you encounter an attack for your personal belongings please do not resist as this will probably lead to further
possible complications. It is advised that your personal effects insurance should be increased to cover any
valuables / belongings that you carry. Basic company insurance does not cover you for loss of personal valuables
/ belongings. Please respect all local laws & customs, dress sensibly - avoid camouflage or “patriotic” clothing,
remain Sober, do not take photographs near, military or other official installations or photograph individuals
without their permission. Be sensible, stay safe.

Please Note that it is forbidden to take aerosols on the vessel.

This is a multi-vessel use TA so please note the Crew Change port, The Dates and the vessel you are joining
