Ancillary Space Standards Within a Department

There are requirements needed to accommodate ancillary spaces that should be


considered in any space planning layout. The determination of the need should be
established by the Office Manager or the person responsible for establishing the
Departments space organization chart.

The following is a list of such spaces with a general guideline for the space requirement.
The final square foot allocation must be evaluated according to the actual need, the number
of employees using the space, and the function anticipated.

. Conference Room
15 to 20 SF per person
. Reception Area
10 SF per person (Avg. Visitor Load)

Note - One standard 4 drawer upright file provides 1,000 linear inches of filing space.
Standard - 7 SF per file - 15" x 18" & 15" x 29"
Legal - 8 SF per file - 18" x 29"
Lateral - 14 SF per file - 36" x 18" & 42" x 18"
Flat - 18 SF per file - 40" x 30" & 46" x 30"
Note: When planning filing areas, special attention should be given to the floor loading
capabilities of the spaces to be utilized.

Small Copier - 30 SF + storage cupboard for paper, side table and shelf.
Large Copier - 45 SF + as above
For other equipment and storage cabinet measure plan in accordance with Special
Equipment standards listed below.

Locate off an internal corridor if possible and near a conference room.
Equipment - Small refrigerator, microwave, small sink, toaster, storage cupboards, soap

Ancillary Space Standards Within a Department (continued)

. Workroom
Within a Departments' space plan, consideration should be given to a space that can be
designated "Workroom".
The size can vary according to demand, usage and program requirements but a minimum
of 144 Square Feet should be allowed.
Some of the special spaces mentioned in this section can be collectively grouped in such
a room together with other essential functions required by each Department ie. Mail
room, general storage and supplies, copy machines, shipping/receiving, recycling area,
coats, etc.
. Special Equipment and Spaces
Any special equipment, furniture or spaces not included in the list above must be
measured. In addition to the actual size of the item, the space required to use the item
must be included, which corresponds to three feet multiplied by the length of the side of
the item that is worked at. This may be reduced if the "working space" is common to two
or more items.
. Example: A storage cabinet measures 18" X 36" (4.5 SF). Its working side is 36"
long. Therefore its working space is 36" X 36" (9 SF). The total SF for the storage
cabinet, then is 13.5 SF (4.5 SF + 9 SF).

Special Spaces to be considered within a building (not part of a Department)

Smoking Room
Detail as required per current DSB and Personnel policy.
Provide for adequate ventilation ASHRAE standards.
Break Room - Food Service
10 SF/person using space plus kitchenette, vending machines and/or food service
Exercise Room
Detail as required per current DSB policy.
Average 70 SF per machine.
Bathrooms - 70 SF per 3 fixture layout ie. Shower, WC, and lavatory.
Lockers - 4 1/2 SF per 2 tier locker.
Make allowance for handicap accessibility.
Recycling Room
240 SF min. depending on building size and number of Departments using the Building.
Locate adjacent to loading dock and wash down area if possible.
Vending Machines
Space as required for equipment; allow 18 SF per machine.
Telephone and Data Room
Locate one per floor, stacked vertically, size as needed for equipment.
Include for work surface, shelf and plywood backer boards on walls.
A dedicated computer room may become necessary depending on equipment
requirements.
Electric Panel Space
64 SF per floor min.
Size to actual equipment required.
Include enouth space for card access equipment if utilized for building entry door lock
system.
Building Maintenance Space
Maintenance Managers Office, Work Room and Storage
Janitorial Closets
1 per floor - 8' X 8' minimum.
Public Telephone
Include if needed.

In planning a building which includes a food service or vending machines, the


Department of Aging and Disibilities, Business Enterprise Specialist should be contacted
at the earliest opportunity.
