Project- Scaling Up Early Reading Intervention (SERI)

Room to Read India approach towards early literacy involves a focus on both reading skills (through explicit reading and
writing instruction) and reading habits(through school library) in order to improve reading outcomes among children. A
mutually supportive relationship between reading habits and reading skills in needed to help children become lifelong,
Independent reader, both must be supported together in the same schools with the same children. Room to Read has
entered into an agreement with the United State Agency for International Development (USAID) for implementing an
innovative early grade reading program at scale, benefiting children in government primary school in the state of
Chhattisgarh, Uttarakhand, Uttar -Pradesh, Madhya Pradesh.

The Admin & Accounts Associate will assist and report to State Manager and on need basis to Accounting and Finance
officer. Primary responsibilities include assisting in maintaining all aspects of the organization’s finances and
accounting and administrative initiatives at State Level.

Job Profile of Finance:-

 Maintenance of Books of Accounts. (Vouchers, Day Book, Cash Book &Bank Book).
 Preparing Bank Reconciliation Statement (BRS).
 Recording of All Business Transactions through Tally.ERP9 Software.
 Process of Payments of Vendors.
 Reconciliation of advances and outstanding of Staff & Vendors and follow up actions.
 Pay Roll Process.
 Prepare form 16A of consultants and form 16 for employees against their their tax deduction.
 Entered expenses through Tally.ERP9 Software
 Preparation of Budget vs utilization report.
 Petty Cash Management.
 Preparation of Cheques and other banking related work.
Job Profile of Admin /Logistics:-

 Responsible for office upkeep including pantry supplies, office supplies and stationery.
 Make all travel arrangements including train & flight tickets, hotel booking & taxi for staff, partners, consultants
and International visitors.
 Provide logistical support during meetings/workshops/conferences/ staff retreats at State as well as district levels.
 Support the procurement process by identifying potential vendors and inviting quotations, preparing bidding
comparison, organizing bidding committee’s meeting and drafting Purchase order for the approved/selected
vendors.
 Maintain updated database of Staff, Stakeholders (government agencies and consultants etc), vendors and
development partners.
 Conduct inventory verification by updating inventory list regularly and assigning inventory number to newly added
assets and sharing the updated list with headquarter on a quarterly basis.
 Maintenance of fixed assets register.
 Keep record of leave of staff’s, travel authorizations and travel expense reports. Prepare time sheets of support
staff and verify other staff’s timesheets, getting approvals and submitting them timely at Headquarter.
 Maintenance of personal files of the staff.
 Stock management of material.
 Maintenance of office equipment and follow-up on regular servicing/maintenance jobs including AMC visits

Accounting Functions
 Implementing systems, procedures & manuals for preparation & maintenance of statutory books of accounts & financial
statements, ensuring compliance with statutory requirements.
 Performing comprehensive evaluation of reconciled bank statements as well as agency and direct bill commissions.
 Handling accounts payable and receivable functions - purchase requisitions processing and disbursement of amounts
owed, credits and collections, service agreement, and EPFO.
 Monitoring order processing, credit clearance as per company’s credit policy; scrutinizing vouchers before payment as
