Preface
The images in this document have been captured from a Windows XP SP3 operating system. If you
are using a different operating system to the above, the screens detailed below may vary.

At H2O Satellite we understand that large manuals can be difficult to navigate. In order to get you up
and running as quickly as possible the first section of this guide covers how to install, configure and
make a connection for first time users.

For more detailed information on how to configure GTMailPlus please refer to the More Details
section of this manual.

How to install and Configure GTMailPlus


Before getting started, please check your computer meets the Minimum System Requirements:

 1GB RAM
 5GB free disk space
 1GHz processor
 Microsoft Windows XP SP3/Windows Server 2003 SP2 or later (32 and 64bit compatible)

If you have any queries regarding your system suitability, please contact our Support Centre prior to
install.

Pre-Configuration Check List


Before configuring your GTMailPlus account please ensure:

 Your internet/FBB connection is active


 Firewalls are set to allow traffic to: 46.37.176.205 and port 27641
 You have your GTMailPlus mailbox details available

GTMailPlus is downloadable from the H2O Web Dashboard in .zip format.


To access the dashboard go to: http://dashboard.h2osatellite.com and log in using the account
details provided. If you have not been supplied with login details please contact
support@gtmailplus.com

The download page is split into 3 sections:-

 GTMailPlus
This is the entire GTMailPlus installation package
The GTMailPlus download includes some additional options
 Silent Install
If selected, this option will include an additional file in the download package that is used
to launch the installer in Silent Mode.
Silent Mode means that the installer will not show up or prompt for any information,
instead opting for the default options.
 Initial Configuration
If selected, this option will include an additional file in the download package that is used

to automatically perform the initial configuration of the GTMailPlus software. When


selected, you will be asked which vessel to personalise the installer for and, upon
installation the relevant information, such as account details and licence key, will be
automatically entered into the GTMailPlus configuration
 Include Manual
If selected, a soft copy of the GTMailPlus manual will be included in the download

 GTMailPlus Dashboard
The GTMailPlus dashboard installation package for installation on networked computers to
access the GTMailPlus Dashboard

 Additional Items
This section contains additional software required by GTMailPlus.
GTMailPlus requires Microsoft .NET Framework 4.0 to be installed on your computer in order
to run.
This software is included as an option to download should your PC require it.
If you are unsure which version of the .NET framework is running on the machine please
refer to What Versions of .NET Do You Have on Your Computer? in the Additional Assistance
section of this manual

Starting the Installation


Once the software has been downloaded, unzip the file to a directory on your local C: drive.
The .zip file will contain the file gtmailplus.exe

Browse to the unzipped folder and double click the GTMailPlus.exe to start the installation.

Note: Microsoft .NET framework 4.0 is required for GTMailPlus.


If you do not have the required .NET framework installed on your PC and it was included in
the download package it will be installed automatically.
If you are unsure which version of the .NET framework is running on the machine please refer
to What Versions of .NET do You Have on Your Computer? in the Additional Assistance section
of this manual

If prompted, click ‘Yes’ to restart your computer (The installation will automatically continue when
logging back in)

GTMailPlus requires Microsoft .NET 4.0 to be installed. If your computer does not have .NET 4.0 it will
be installed automatically.

Click Next to continue with the installation.

Select ‘I accept the terms of the licence agreement’ and click Next.

Complete will be selected automatically. Please click Next to continue.

GTMailPlus will now be installed on your computer. This may take several minutes to complete.

GTMailPlus has been installed on your computer. Click Finish to start the configuration wizard.

Configuration Wizard
After installing GTMailPlus the configuration wizard window will display. Please refer to your
GTMailPlus account details before continuing. If you have not been supplied with account details
please contact support@gtmailplus.com

The Configuration Wizard window has the option to Restore from Backup. If you have an exported backup of
GTMailPlus you wish to restore, discard the initial configuration and go straight to the Restore Backup section
of this manual.

Four user accounts are created by default on installation:

Master
Bridge
Chief Officer
Chief Engineer

Enter the GTMailPlus account details as supplied.

Click the ‘Prefix Account Name to Display Name for user’ to automatically add the ‘Account Name’
to the beginning of the users Display Name. (When enabled this option will add the full Display Name
at the beginning of the users name when sending mails)

Select the Default User from the dropdown menu.


The Default User is the primary user account.
If you are unsure which account to set as the Default User please select ‘master’.

Select the Postmaster from the dropdown menu.


The Postmaster is the account used to send administrative and system messages to users on-board
and senders to the vessel.
If you are unsure which account to set as the Postmaster please select ‘master’.

Adding a New User

A new user account can be created from the Configuration Wizard or later on using the Settings
option from the GTMailPlus Dashboard.

To create a new user account from the Configuration Wizard click Add.

Enter the following information:


Username: The logon username for the user account (Entries must be in lowercase)
Password: The password for the user account
Display Name: The user account Display name

Once the details have been entered, click Save. The new user account will now display in the Users.

Editing a User
The Default user accounts can be edited from the Configuration Wizard. To edit an account select
the account from the list (by left clicking on the account in the Users list) and click Edit.

You can now specify a new Username, Password or the accounts Display Name.

Once your changes are complete, click Save.

To complete the account setup click Save. The configuration wizard will close.

The Account Configuration is now complete.

Getting Started – Email


Using the Webmail Client
GTMailPlus has an inbuilt Webmail client accessible from any networked PC or internet capable
device connected to the same network as the Client PC.

Webmail can be accessed by:

Clicking the Launch Webmail link from the GTMailPlus Dashboard

Or open a browser window (Internet Explorer, Firefox, Chrome, Safari etc.) and go to the following:
Using the Client PC: http://localhost:8080
Using a Networked PC: http://clientpcipaddress:8080

The login screen will appear after a few moments.

Enter either your username or full email address (ie master or master.vesselname@gtmailplus.com)
and Password for the client user account you are using and click Enter.

The webmail will now display the user’s folders, allowing them all the functionality of a Webmail
client for their GTMailPlus account.

Configuring an Alternative E-Mail client


As well as the built-in Webmail client, GTMailPlus also gives users the option to use any POP3/SMTP
or IMAP enabled mail client (Examples include Microsoft Outlook, Mozilla Thunderbird etc.).
Please see the relevant section below for information on configuring your email client.

POP3

Due to the number of POP3 clients available on the market the below screenshots are for configuring
Microsoft Outlook for POP3. For specifics on how to configure your mail client please consult the
vendor documentation.

Microsoft Office Outlook 2010

Open Outlook 2010 from Start> All program> Microsoft Office> Outlook 2010

To add a new account select the File menu and click Add Account
(Note: If this is a new installation the Outlook 2010 start-up wizard will appear automatically)

Click Next

On the next screen you will be informed that you can configure outlook to connect to the internet,
Select yes and then click on Next.

On the screen Auto Account Setup select the option manually configure server settings or additional
server type then select Next.

On the chose service screen, Outlook will prompt you to choose your E-mail Service. Select Internet
E-mail. Then click Next.

You are now asked to enter your email account details.

User Information:
Your Name: This is the users Display Name
Email Address: The users email address (e.g. Master.vessel-name@gtmailplus.com)

Server information:
Account Type: POP3

Configuring the Communication Server Configuring a Networked PC


Incoming mail server: 127.0.0.1 IP address of the Comms Server
Outgoing mail server: 127.0.0.1 IP address of the Comms Server

Login information
User Name: The user’s login (master, bridge, etc.)
Password: Mailbox password (Default: password)
Remember password: Make sure that this tick box is ticked.

Once the details have been entered in, click on the button ‘More Settings’

On the Internet E-mail Setting screen click on the tab called Outgoing Server and Tick the option My
Outgoing server (SMTP) requires authentication.
Make sure the option Use same settings as my incoming mail server is also selected.
Click on OK.

You will be taken back to the Add New Account screen click the button Test Account settings to test
the incoming and outgoing SMTP servers.

When the test statuses have come back completed, Click on Close.

Click on Finish to complete the setup.

IMAP

Due to the various number of IMAP clients available on the market the below screenshots are for
configuring Microsoft Outlook for IMAP.
For specifics on how to configure your mail client please consult the vendor documentation.

Follow the instructions above until reaching this screen.

Your Name: This is the users Display Name
Email Address: The users email address (e.g. Master.vessel-name@gtmailplus.com)

Server information:
Account Type: IMAP

Getting Started – Data Connection


Opens the Data Transfer window used for transmitting and receiving
messages

Connections
Once the GTMailPlus configuration has been completed a connection must be created to transmit
and receive mail.

Pre-Use Check List


Before setting up your connection please ensure:
For all IP based connection types:
Any firewall or trench rules allow traffic to 46.37.17.205 on port 27641 from your PC

For TCP/IP
• The antenna is in the best possible position with a strong and consistent signal
• The equipment is powered on and able to access the Internet
• The cabling connecting your satellite equipment to your PC is tight and secure

For Fleet Broadband


• The antenna is in the best possible position with a strong and consistent signal
• The equipment is powered on and able to make reliable voice calls
• The cabling connecting your satellite equipment to your PC is tight and secure

For VSat
 The antenna is in the best possible position
 Vessel is within VSat coverage zone with a strong and consistent signal
 The equipment is powered on and able to make reliable voice calls
 The cabling connecting your satellite equipment to your PC is tight and secure

For E&E
 Ensure antenna is in best possible position with a strong and consistent signal
 The terminal is powered on and locked on to correct Ocean Region and LES
 Ensure voice calls can be made from the terminal
 Check serial cables between PC and terminal are securely connected

To create a new connection click Data Transfer from the GTMailPlus Dashboard screen.

When starting GTMailPlus for the first time a connection must be created.
To add a new connection click the Add button.

The wizard lists the available connection types that can be used.
GTMailPlus supports a wide range of E&E terminals and IP connection types.

Creating a TCP/IP Connection


This connection type is used for vessels with an ‘Always on’ connection (VSAT equipment or
equivalent) or for manually established connections (3G/Wireless internet access or equivalent).

Select ‘Internet’ from the connection type list. Internet TCP is the only option available in the
terminal list. Click Next.

You will need to specify the following:

Properties
Name: The name of your connection as it appears in the list (Names must be unique)
Type: The type of connection (only Internet TCP can be selected for Internet)
Auto Collect (Message Preview Only): When using ‘Preview messages’ start collecting messages
automatically, instead of waiting for the user selection.

Use the following Tariff: If a tariff file has been created (estimated cost for the connection) apply it
to this connection.
Use the following Mailbag: If a mailbag has been created (custom mail transmission rules) apply it to
this connection.

Remote Connection
Remote Address: The IP address of the GTMailPlus server (default: 46.37.176.205)
Remote Port: The port number of the GTMailPlus server (default: 27641)
Gateway Address: Used to specify TCP/IP routing information if the Client has more than one TCP/IP
type connected (E.g. VSAT and FBB)

Once the connection information has been entered, click Save.

The connection can now be selected from the Connection drop down menu on the Data Transfer
page.

Creating a Fleet Broadband Connection

Note: Terminal types (e.g. for Fleet Broadband a Thrane&Thrane FBB 250 or JRC 250) must match
the equipment on board. Selecting the wrong terminal type may result in failed connections.

Fleet Broadband terminals have several different manufacturers. Please check the device type on
board and select it from the terminal list.

You will need to specify the following:

Description
Name: The name of your connection as it appears in the list (Names must be unique)
Type: The FBB Terminal model
Auto Collect (Message Preview Only): When using ‘Preview messages’ start collecting messages
automatically, instead of waiting for the user selection.
Use the following Tariff: If a tariff file has been created (estimated cost for the connection) apply it
to this connection.
Use the following Mailbag: If a mailbag has been created (custom mail transmission rules) apply it to
this connection.

Remote Connection
Remote Address: The IP address of the GTMailPlus server (default: 46.37.176.205)
Remote Port: The port number of the GTMailPlus server (default: 27641)
Gateway Address: Used to specify TCP/IP routing information if the Client has more than one TCP/IP
terminal type connected (E.g. VSAT and FBB)

Fleet Broadband
IP Address: The IP address of your Fleet Broadband terminal (The default address is populated based
on your Type selection. If the IP address of your terminal has been changed from the manufacturers
default enter the new IP address here)
IP Port: The IP port of your Fleet Broadband terminal (As above, the default address is populated
based on your Type selection.)
Context ID: The context ID used by the FBB terminal to start a data connection. (The default ID is
populated based on your Type selection.)

APN: The access point name. This is the name of your FBB airtime service provider. Select the
appropriate provider from the dropdown menu. (If you are unsure on the APN, Username or
Password consult your FBB vendor documentation or service provider for information)
Username: If a username is required for starting a Standard data session on your FBB terminal
specify it here.
Password: If a password is required for starting a Standard data session on your FBB terminal specify
it here.
Always De-activate connection: After GTMailPlus has finished transmitting and receiving data close
the Standard Data session (Note: Strongly recommended for systems without a firewall installed)

Once the connection information has been entered, click Save.

The connection can now be selected from the Connection drop down menu on the Data Transfer
page.

Creating a VSat Connection

Intellian is currently the only VSat terminal available for selection in this section. If the vessel has a different
VSat terminal on board please refer to Creating a TCP/IP Connection section of this manual and set the Gateway
Address (Fig 8e.) as the IP address of the VSAT

You will need to specify the following:

Description
Name: The name of your connection as it will appear in the Connections list (Names must be unique)
Type: The VSat Terminal model
Auto Collect (Message Preview Only): When using ‘Preview messages’ start collecting messages
automatically, instead of waiting for the user selection.
Use the following Tariff: If a tariff file has been created (estimated cost for the connection) apply it
to this connection.

Select the Connection from the Dropdown menu.

There are two types of Data Transfer available:

Collect All Connection connects to the GTMailPlus server transmitting and receiving all messages
sent to or from your account.

Message Preview Connection allows the user to see a list of messages waiting to be received and
choose which messages to be receive on-board during the connection.

In this section we shall cover the Collect All Connection. For more information on the configuration
and use of the Message Preview Connection please see Data Transfer section.

Collect All Connection


After selecting your connection, click the Collect All Connection button to open up the Data Transfer
window.

1. Control Buttons: Allows the user to Start or Stop a Data Transfer session, or go Back to the
previous screen.
2. Connection: Shows the name of the Connection and Connection Type being used.
3. Status: The current Status of the Connection session (Offline: No data being transmitted or
received. Online: Data currently being transferred).
4. Sending Statistics: Shows the statistics for the messages being sent from the vessel in the
current session.
5. Receive Statistics: Shows the statistics for the messages being received by the vessel in the
current session.
6. Outbound Mailbag Summary: Shows a breakdown of the Outbound (Sent messages)
mailbag contents.
7. Connection progress: Displays the current action being performed by GTMailPlus during the
Data Transfer session.
8. Inbound Mailbag Summary: Shows a breakdown of the Inbound (Received messages)
mailbag contents.
9. Show Log: Displays the Log for the current Data Transfer session (Displaying more detailed
information on the current Data Transfer session).
10. Session Summary: Displays overall summary of the current Data Transfer session statistics.

Click on START to begin the Data Transfer session.


The software will start transmitting messages currently in the Outbound Messages queue and
receiving all messages currently waiting onshore for the vessel.

When the Data Transfer Session is completed all messages received will be delivered to the on board

messages waiting to be transferred from the vessel in the next Data

Webmail
GTMailPlus has an inbuilt Webmail client accessible from any networked PC or internet capable
device connected to the same network as the Client PC.

Webmail can be accessed by:

Clicking the Launch Webmail link from the GTMailPlus Dashboard

Or open a browser window (Internet Explorer, Firefox, Chrome, Safari etc.) and go to the following:
Using the Client PC: http://localhost:8080
Using a Networked PC: http://clientpcipaddress:8080

The login screen will appear after a few moments. Enter the user ID or full Email address and
Password for the client user account you are using (Example, master or
master.vesselname@gtmailplus.com) and click Enter.

The webmail will now display the user’s folders, allowing them all the functionality of a Webmail
client for their GTMailPlus account.

Displays the contents of the folder currently selected from the menu bar.
Check Mail: Query the local GTMailPlus server for new messages.
Mark as Read: Allows message management with the following options:

Outbound Messages

The Outbound Messages tab allows the user to view and control messages sent from the users on-
board. When selecting Outbound Messages a summary of messages waiting to be sent during the
next Data Transfer session will display.

Summary
From: The E-mail address of the Sender.
To: The E-Mail address of the Recipient.
Subject: The subject of the sent E-mail message.
Sent: The date and time the message was sent in DD/MM/YYYY HH:MM:SS format.
Size: The total size of the E-Mail message.
Compressed: The compressed size of the E-mail message (Actual data transmitted during a Data
Transfer session)

Mailbox States
There are many mailbag states in GTMailPlus, each are used when the system is performing a specific
action. The user can manually change the mailbag state by using the Mailbox: <option> button.

Lock: Lock the mailbox to make changes to the current queued messages.

Commit Changes: Confirm any changes made to the mailbox since locking.
Revert Changes: Undo any changes made to the mailbox since locking.

When the Mailbox has been placed in a Locked state the user can then make changes to the E-Mail
messages in the Outbound Messages queue as detailed in Message Control Options.

Message Control Options


The Message menu allows the user to control the outbound messages waiting for transfer. Selecting
a message from the queue and either Right Clicking the message or clicking the Message dropdown
menu will present the following options:

There are two states for messages:

Holding: The message will not be transmitted until it is manually changed into the queued state.

Reject
The user can reject messages queued for transmission with the following message options:

Silently: The message will be deleted from the outbound queue. No message will be generated to
the sender.

With NDR: The message will be rejected back to the sender with the system standard NDR (Non
delivery report sent from the Postmaster user selected during setup).

the message was rejected. This is returned to the sender.

Any messages rejected from the message queue will move into a ‘Deleted’ category. These messages
are deleted when clicking the ‘Commit Changes’ button.
Changes can be undone by clicking the ‘Revert Changes’ button.

Mailbox Status
The Mailbox Status shows the following:

Mailbag Size: The total size of the current messages in the queue after compression.
Pending Messages: New messages that are sent when the Mailbox is in a ‘Locked’ state will not be
added to the queue.

When the mailbox state is changed to ‘Available’ any pending messages will be automatically added
to the message queue.
State: The current mailbox state

Please Note: The mailbox will remain locked until the changes are Committed or Reverted. Users will
be unable to start a Data Transfer session if the Mailbox is not in a locked state.

When the mailbox state is changed a notification will display in your System Tray (bottom right of
your screen)

Any changes made to the Mailbox will only be saved when clicking ‘Commit’.

Data Transfer

There are two types of Data Transfer available:

Collect All Connection connects to the GTMailPlus server transmitting and receiving all messages
sent to or from your account.

Message Preview Connection allows the user to see a list of messages waiting to be received and
choose which messages to be downloaded on-board.

Message Preview allows the user to see what messages are currently waiting to be transmitted to
the vessel and allows them to control what is received before starting to download messages.
When starting a Message Preview Connection the Inbound Message Preview window will appear

This allows the user greater control of the emails received on board, able to Collect messages
individually, Collect All pending messages, Hold or Reject any pending messages without receiving
them first.

Selecting the message gives the user the following options:


Collect: Receive the selected message.
Collect All: Receive all pending inbound messages.
Hold: Do not collect the message during this session, but leave it in the message queue to be
collected later.
Reject: Reject the message Silently, With NDR or With a Note.
Auto Collect (Message preview only) option will start to collect the messages individually in the
order they are received, allowing the user to view and control the inbound messages whilst they are
being received on-board.

Note: The user can stop the session at any time or will be automatically disconnected after 60
seconds of inactivity.

Users are the individual accounts created on the vessel for the sending and receipt of mail.
Each user has their own Username, Password and Email address.

System users are accounts created by GTMailPlus or other H2OSatellite applications used to send
data from ship to shore. These accounts will be flagged with a Policy of <SYSTEM> and cannot be
edited or deleted.

After installation all standard users are configured with a Gateway and Policy of Default.
For more information on Policies and Gateways please click on the required link.

Creating a New User


To create a new user either Right Click in the User window or click the ‘New’ button on the User
section. When creating a new user you must enter the following information:

Username: The username for the account. It is used to authenticate a POP3/IMAP client account for
the sending and receiving of email. (All usernames are lowercase)
Password: Minimum of six alphanumeric characters (A-Z, 0-9)
Display Name: The name displayed on outgoing emails sent by the user.

Primary Email: The Primary email address for the user. (E-Mail addresses must be added before they
can be selected from the menu).
Gateway: If GTMailPlus is configured to relay messages to an external delivery server it can be
selected from the dropdown menu. (See Section ## for further information)
Policy: The user policy applied to the user account. (See section ## for further information)
E-Mails: The E-Mail addresses for the user (Users can have multiple E-Mail addresses associated to
their account)

To add an E-Mail address to a User click the Add button.

When entering a Username the system will automatically suggest a default E-Mail address when
clicking Add.

any custom policy or gateway.
Note: The username cannot be changed once the user has been created.

Note: Once deleted user accounts are removed from the system and cannot be restored. A new
user must be created.

Shared Folders

Shared folders are used to share the contents of a user’s mail folder or subfolder to all the other
users configured on board, allowing them to view, reply, move or delete the messages within.
The folder to be shared must already exist in a user’s mail store.

Any folder created by webmail or an IMAP client can be used. To share a folder select the ‘Shared
Folders’ button and click the ‘New’ button or Right click in the Shared Folders window.

From the Username menu select the user account the folder is in. From the folder menu select the
specific folder to be shared.
By default the folder will appear in the users email client as ‘Shared username.folder’
The Override folder name option allows the default name (‘Shared username.folder’) to be changed
for other users accessing the folder. In this example the folder would appear as ‘~example. Example
reports’.

Note: When sharing a folder all configured users on board will be able to access, move, delete and
edit its contents. It is possible to share any existing folder we recommended that key folders
(Inbox, Drafts, and Sent Items) are not shared.

Mail Gateways

A Mail Gateway is used to connect GTMailPlus to a 3rd party mail server. This allows GTMailPlus to
route messages to an external server for delivery.

Note: Mail Gateways are used in advanced configurations, linking GTMailPlus to an external mail
server. Standard users do not need to configure a Gateway for normal use.

Adding a New Mail Gateway


To add a Mail Gateway select the ‘Mail Gateways’ button and click the ‘New’ button or Right click in
the Mail Gateways window.

Name: The name for the connection.


Forward SMTP Host: The IPV4 address or Host name of the 3rd party mail server.
Forward SMTP Host: The SMTP Port number used to communicate to the server.
Requires Authentication: If the 3rd party mail server requires SMTP authentication
Username: The SMTP username required to authenticate

Password: The SMTP password required to authenticate

When the details have been entered, click Save. The Gateway is now available to be applied to a
User.

Editing a Mail Gateway

Note: Mail Gateway names cannot be edited. To change a Mail Gateway name the entry must be

Applying Mail Gateway Settings to a User


Once your Mail Gateway has been created it can be applied to a User. To do so, click the Users
button from the Settings window. Select the User and select Edit from the Top menu or the Right
click menu.

Polices control access to functions such as configuration settings and mail transfers as well as
allowing restrictions on outbound email.

GTMailPlus has example policies upon installation that can be edited or copied to create custom
policies. New installations of GTMailPlus automatically set all users to the policy of Default.
Note: The ‘default’ policy values can be edited but the name cannot be changed.

Name: Alphanumeric format (A-Z, 0-9). Must not match any existing configured policies.

Access:
Allow Remote Communications: Allows the user to log into the Dashboard and start a Data Transfer
session.
Allow Message Preview Sessions: Only available when Allow Remote Communications option is
enabled. Gives the user access to Message Preview Connection option.

Allow Configuration: Allows the user to log into the GTMailPlus Client Dashboard in order to change
the system configuration.

Allow Viewing of Outbound Message List: Allows the user to access to Outbound Messages window
Allow Viewing of Outbound Message Content: Only available when Allow Viewing of Outbound
Message List option is enabled. Allows the user to view the contents of emails in the Outbound
Messages window.

Email:
Request ‘Delivery Receipt’: Force enabling of Delivery Receipts for email messages
Request ‘Read Receipt’: Force enabling of Read Receipts for email messages
External Mail Allowed: If the user is allowed to send mail externally (Mails to other users on board
are still permitted)
Limit external mail size (kB): Specify a size restriction for mails from that user in kB (1024 kB = 1 MB).
Allow Attachments: If the user is allowed to send attachments on their email.
Limit external attachment size (kB): Specify a size restriction for attachments from that user in kB
(1024 kB = 1 MB) (This is total attachment size for a message).

After setting the values for the policy click Save.

Outbound Filters

Outbound Filters are one or more rules that can be configured to regulate mail sent to specific
addresses or domains. These rules block mail before it can be queued for transmission from the
vessel, returning an NDR to the sender.

Adding an Outbound Filter


To add an Outbound Filter select the ‘Outbound Filters’ button and click the ‘New’ button or Right
click in the Outbound Filters window.

You will need to specify the following:

The email address or domain for the filter. Individual email addresses can be entered in full.
Domains can be specified by using a wildcard * (e.g. to block all email to abc.com addresses enter:
*@abc.com into the window and select will be blocked.)

Will be blocked: Block all messages to this domain/address


Are allowed: Allow messages to this domain/address
For messages under: Specify a kB size limit for the messages sent to this address/domain

When you have configured the outbound filter click Save to apply the filter.
Note: Outbound filters only control messages being sent from the vessel, they do not affect
messages sent to the vessel

All configured filters will be displayed in the Outbound Filters page


Outbound filters operate on a ‘Best Match’ principle. This gives the ability to block all messages to a
domain whilst still permitting email to individual address within that domain.

In the example above, the rules currently block all messages from delivering to @example.com
domain addresses. (Using a wildcard * before the @domain address specifies all addresses at that
domain).
By adding a new rule to allow messages to allow bob@example.com means all messages sent to this
address are allowed, but no other @example.com addresses can be sent to.
Individual size limits can be specified for any ‘Allow action’ rule, enabling the vessel to have a client
side approved recipient list.

Checking Outbound Filters


The Filter Check feature allows you to test whether the configured Outbound Filters will accept an
email for transmission.

Enter the email address and the size of the message to be sent and click the Check button.
GTMailPlus will check the existing rule setup and advise if the message will be transmitted from the
system.
Any blocked messages will display the filter it has been restricted by, allowing the user to edit the
rule if required.

Edit an Outbound Filter

To edit an existing Outbound Filter select the entry from the Outbound Filter list and click the ‘Edit’
button

To remove an Outbound Filter select the entry from the Outbound Filter list and click the ‘Delete’

Tracking

The Tracking section is used to configure GTMailPlus to obtain GPS position from an on board GPS
device or compatible satellite equipment (VSAT or FBB)

Master can view GPS information in linear format in the Tracking window (as per Fig 41a above) and
the position reports are automatically exported and transmitted to shore.

The position reports are then imported into our shore-side tracking system where owners can get a
visual representation of the vessels current position and position history.

The drop-down button in the top right corner of the Tracking window gives options to filter the GPS
positions displayed.

Configuring Tracking

To configure tracking in GTMailPlus, click on the SETUP button at the top of the page

This will open the Tracking Setup window.

On this page you can configure primary and an optional secondary GPS device for the software to
collect data from.

3. Select this option if using an external serial GPS device as your primary source instead of your
satellite terminal

Alerts
The GTMailPlus software can be configured to alert the Master, or any other on board user, of
important system information

Enabling and Disabling Alerts


The Enable Alerts option must be activated in the System Configuration menu before the alerts
feature of GTMailPlus will function.

 Click on GTMailPlus TOOLS menu


 Select System Configuration
 Click in the box to ENABLE ALERTS
 Click on SAVE

Disabling alert will stop all configured alerts from being sent.

Configuring Alerts
 In GTMailPlus Dashboard click on Settings
 In the System section on the left hand side click on Alerts

When viewing the Alerts window a message is displayed advising the current status of Alerts
(Enabled or Disabled).

When Mailbag Size Exceeds

This Alert will send a notification to the specified address when the outbound mailbag reaches a
certain size (kB)

 Click on the NEW button in the Alerts window


 Click on ENABLED to enable this Alert
 Select ‘When Mailbag Size Exceeds’ from the drop-down menu

 In the kB in size box you enter the size the outbound mailbag needs to reach (in kilobytes)
before the alert is sent. In the example in Fig 42e above, the user will be notified when the
mailbag reaches 1Megabyte in size.
 The Send alert every x hours drop-down list allows you to configure the intervals at which
the user will be notified. Available options are every 1, 4, 8, 12, 24 or 48 hours. In the
example in Fig 42e above, the user will be notified every 4 hours

 To the following recipient(s) is where you specify which user(s) are to receive the alert.
Click on the ADD button and you will be prompted to enter a valid email address. In the
example in Fig 42e, the user specified to receive this alert is MASTER

When a High Priority Message has been Queued

This Alert will send a notification to the specified address when the software detects a message sent
with a ‘High Priority’ flag is queued in Outbound Messages

 Click on the NEW button in the Alerts window


 Click on ENABLED to enable this Alert
 Select ‘When a high priority message has been queued’ from the drop-down menu

When Last Successful Connection was More Than

This Alert will send a notification to the specified address when the software detects a successful
connection has not been made for a user defined amount of time.
This is particularly useful if the vessel is using Schedules rather than manual connections as it alerts
the shipboard user of a potential satellite issue

the example in Fig 42j above, the user(s) will be notified every hour
 To the following recipient(s) is where you specify which user(s) are to receive the alert.

 Type the recipients address or select it from the drop-down list. In the example in Fig 42j
above, the user specified to receive this alert is MASTER
 Click on OK to confirm

When Not All Messages are Transferred Due to Mailbag Settings

This Alert will send a notification to the specified address when the software detects that messages
remain in the Outbound Messages following a successful connection because of Mailbag settings.

This is particularly useful if the vessel’s primary satellite connection is unavailable and message
transfer is restricted over more expensive backup routes. The user is alerted and can check the
messages that have not been transmitted to ensure there are no business critical emails remaining

 Click on the NEW button in the Alerts window


 Click on ENABLED to enable this Alert
 Select ‘When not all messages are transferred due to mailbag settings’ from the drop-down
menu

 The Send alert every x hours is NOT a configurable option as this alert will be triggered
each time all outbound emails are not transferred due to Mailbag settings
 To the following recipient(s) is where you specify which user(s) are to receive the alert.

 Type the recipients address or select it from the drop-down list. In the example in Fig 42l
above, the user specified to receive this alert is MASTER
 Click on OK to confirm

When a Message is Queued From

This Alert will send a notification to the specified address when the software detects an outbound
message has been queued from a particular user on board

 Click on the NEW button in the Alerts window


 Click on ENABLED to enable this Alert
 Select ‘When a message is queued from’ from the drop-down menu

 Use the next drop-down menu to select the on board email whose outbound message will
trigger the alert

 To the following recipient(s) is where you specify which user(s) are to receive the alert.

 Type the recipients address or select it from the drop-down list. In the example in Fig 42n
above, MASTER will be notified each time user CHENG queues and outbound message

Edit an Existing Alert

If you need to disable or otherwise alter any of the configured Alert settings in GTMaiPlus, you can
edit the Alerts from the Alerts window.
To edit an existing alert, click once to select the alert you wish to edit from the Alerts list, then Right
click on the entry and select Edit Alert from the pop-up menu or click on the ‘Edit’ button.

Copy an Existing Alert

To copy an existing alert, click once to select the alert you wish to copy from the Alerts list, then
Right click on the entry and select Copy Alert from the pop-up menu or click on the ‘Copy’ button.

This will create a copy of the selected Alert for editing. Make the necessary changes to the Alert and
click SAVE.

Deleting an Alert

To delete an existing alert, click once to select the alert you wish to delete from the Alerts list, then
Right click on the entry and select Delete Alert from the pop-up menu or click on the ‘Delete’
button.

Communications
Connections
Connections can be managed from this page. Multiple connection profiles can be specified for
connection to the GTMailPlus server depending on the type of Satellite Terminal installed on-board.
Details of creating connection profiles can be found in the Getting Started section.

Adding a new Connection


To create new Connection select the Connections button. You can either create a New connection or
Copy an existing connection for modification.

Edit an Existing connection


To edit an existing Connection select the entry from the Connections list and click the ‘Edit’ button or

Note: All settings apart from the connection NAME can be changed. To change a Connection name
the entry must be Deleted and re-entered with the new name.

Schedules
Schedules are automatic connections which can be setup to allow GTMailPlus to automatically
connect for sending and receiving of mail.

Enabling and Disabling Scheduler


The Enable Scheduler option must be activated in the System Configuration menu before the
Scheduler feature of GTMailPlus will function

 Click on GTMailPlus TOOLS menu


 Select System Configuration
 Click in the box to ENABLE SCHEDULER
 Click on SAVE

Disabling the scheduler will stop all configured scheduled connections from dialling.
When enabling the scheduler GTMailPlus will attempt to connect with the configured settings.

Note: When using Manual and Scheduled connections together, the Schedule will base its times
from the previous successful connection (provided a previous manual connection was not in
preview mode)
E.g. A Schedule is set to dial every 30 minutes. A manual connection is made at 11:07, the next
scheduled connection will be at 11:37

You will need to specify the following:


Name: The name of the scheduled connection (Names must be unique)
Enabled: Enable or Disable the scheduled connection

Triggers
Triggers are a set of values specifying when GTMailPlus will automatically attempt a Data Transfer
session.
Triggers are configured to be every X number of minutes or hours (e.g. every 10 minutes) or once per
day at a specified time. Triggers can be Added, Edited or Deleted from a Schedule. A single Schedule
can have multiple Triggers.

Connect:
Trigger: Specify the times that GTMailPlus will use to automatically connect to send/receive mail.
Add: Add a new trigger.
Edit: Edit an existing trigger.
Delete: Delete an existing trigger.
Using connection (As primary): Specify an existing connection profile to be used as the primary
circuit.
And connection (As backup): Specify an existing connection profile to be used as the backup circuit.
(If the primary circuit fails GTMailPlus will automatically attempt to dial the backup connection and
complete the Data Transfer session)

Once your schedule has been specified click Save.


GTMailPlus will automatically connect once the specified trigger conditions are met.

Mailbags

Mailbags are sets of rules that can be applied to outbound mail, specifying the total size a single
transmission can be.
Mailbags are assigned to Circuits, allowing users to limit the amount of data sent over a configured
circuit and reduce the communication cost.

Mailbag Name: The name of the Mailbag (Names must be unique)
Maximum Size (kB): The size limit of the combined mailbag contents (1024kB = 1MB)
Maximum Messages: The maximum number of emails that can be added to the Mailbag

Mailbag Criteria:
Limit Message size (kB) to: Size limit of Individual messages (1024kB = 1MB)
High Priority Messages: Only include messages flagged as High Priority

Assigning a Mailbag to a Circuit


Mailbags are assigned to circuits through the Connections screen.

To assign a mailbag to a circuit click the ‘Connections’ button, select the circuit you wish to apply the
Mailbag to and click ‘Edit’ or Right click on the entry.

Tick the ‘Use the following mailbag’ box and select the named mailbag from the drop down menu.
Click Save.

The assigned Mailbag will be shown in the Connections window and can be selected before making a
connection from the Data Transfer window.
Note: When selecting the mailbag from the Data Transfer screen the mailbag will only be used for
the dialled Data Transfer session and will return to the applied setting after the session is
completed.

Tariffs are sets of costs you can apply to a connection. When selecting the circuit from the Data
Transfer window or using the Quick Dial bar, GTMailPlus will display an estimated cost for
transmitting the data over the selected circuit.

airtime provider charges for connections.

‘online’ (used for time charged connections)
Overhead (%): How much (in percent) of the total transmission size is used for ensuring the data is
transmitted correctly
Average Speed (kB/Minute): How much data (In kB) is transferred per minute (used for time charged
connections)

This will create a Copy of the existing Tariff which can be edited.
Once the details for the Tariff have been entered, click Save.

Deleting a Tariff

To remove a Tariff select the entry from the Tariffs list and click the ‘Delete’ button or Right click on
the entry.

You will be prompted to confirm the deletion.

Tariffs are assigned to circuits through the Connections screen.

Assigning a Tariff to a Connection


To assign a Tariff to a circuit click the ‘Connections’ button, select the circuit you wish to apply the
Tariff to and click ‘Edit’.

Tick the ‘Use the following Tariff’ box and select the named tariff from the drop down menu.
Click Save.

The assigned Tariff will be shown in the Connections section main screen.

GTMailPlus will use the information provided in the Tariff to estimate a cost of the connection based
on the contents of the Mailbox. This will be displayed on the Data Transfer screen when selecting the
Connection.

Help

The Help window contains telephone contact information for GTMailPlus Support and an at-a-glance
view of all GTMailPlus services states. Any element unable to run properly will display a red X.

The Help window can also be used to generate an email message straight to the GTMailPlus Support
team with an option to include important information about your installation that will aid in the
quick diagnosis and resolution of any issues with the system

The ‘Tools’ menu bar gives the user the option to view and change configuration settings, create,
schedule and restore backups and change the password for the current user

System Configuration
The System Configuration option allows the user to view and change basic GTMailPlus configuration
settings. For a more comprehensive view of Settings please select the Settings option from the
GTMailPlus Dashboard

General
Default Username: The ‘Default User’ is the account where messages are automatically delivered if
the recipient email address is not configured on board. The suggested Default is the Master account.
Postmaster: The Postmaster is the account used to send system messages (Such as Non deliverable
reports (NDR’s)) to other users on board the vessel or to external senders. The suggested default is
the Master account.
Enable SMTP Authentication: SMTP Authentication is required for certain email clients in order for
them to communicate with GTMailPlus (Please check your email client documentation or Help
section for more information)
SMTP Maximum message Size (MB): Set the maximum individual message size permitted (Default
10MB)
Enable Scheduler: Enable or Disable all configured schedules
Enable Alerts: Enable or Disable all configured alerts

Account
Account ID: Username for communication with the GTMailPlus Server
Password: Password for communication with the GTMailPlus Server
Licence Key: Individual licence key for the account
Account Name: The name that appears on correspondence sent from the vessel.
Email Address: The primary email address for the account.

Note: Account details are available from the H2ODashboard (shore) or by contacting your office.

The ports menu is where the communication ports used for GTMailPlus are specified

POP3: POP3 Communication port (default: 110)


IMAP: IMAP Communication port (default: 143)
SMTP: SMTP Communication port (default: 25)

Create Backup
The Create Backup option can be used to take an immediate backup of the GTMailPlus configuration
and emails stored in Webmail. The backups are always stored within GTMailPlus (see Restore
Backup) and there is the additional option to Export a Copy of the Backup to a location of your
choice.

To Export a Copy of the Backup to another location, click in the Export a Copy of the Backup box to
enable the option, then click on the ellipsis button on the right of the Create New Backup window to
select the alternate location to store the backup

Browse to the location you wish to store the backup or click on Make New Folder to create a new
location

Click on OK and the location of the exported backup is displayed

Click on Create Backup to begin the backup process

The Backup procedure will then begin. You can go to Restore Backup section to view the progress of
the backup.
Once completed the local backup will be available for selection from the Restore Backup menu of
GTMailPlus and the exported copy of the files will be stored in the location you chose.

Backup Scheduler
As well as immediate backups you can set GTMailPlus to automatically perform backups on a fixed
schedule between 1 and 14 days.

Like the immediate backup, the scheduled backups are always stored within GTMailPlus and there is
the additional option to Export a Copy of the scheduled Backup to a location of your choice.

To create a Backup Schedule select the Backup Scheduler option from the Tools menu

Ensure ENABLED is checked and set the frequency (in days between 1 and 14) of the scheduled
backups.

If applicable, enable the option to Export a Copy of the Backup and select the location you wish to
store the backup

Click on the SAVE SCHEDULE button – a backup will be performed immediately and repeated at the
frequency specified

To check on the progress of the backup check the Restore Backup menu

Note: While pending status is showing YES the backup is in progress.


You will not be able to restore from a backup while Pending status is YES

Restore Backup
Backup points are stored locally in GTMailPlus and in the exported location of your choice and can be
used to restore configuration and emails back to the point where the backup was taken.

Note: Any emails received since the backup was taken will be lost when the system is restored!

Restoring from a Locally Stored Backup


To restore from a locally saved backup select Restore Backup from the Tools menu and from the
Source dropdown menu select Local Backups

The window shows all locally stored backups in Date/Time order.


Click on the Date/Time you wish to restore GTMailPlus back to then click on Restore button

User will be warned that existing data will be cleared upon restore and prompted to confirm. Select
Yes to proceed with the restore or No to cancel

Upon selecting Yes from the restore confirmation window the GTMailPlus configuration settings and
emails will be restored to the point when the backup was taken

When restore is complete the user will need to ensure the GTMailPlus Dashboard is restarted.
The software will prompt the user to do so and also attempt to restart the dashboard itself.

Click on OK and RUN to complete the Restore

Restoring from an Exported Backup


To Restore GTMailPlus from a previously exported backup, select Backup File from the Source
dropdown menu of the Restore Backup window and click on RESTORE

A Windows browser will open for the to navigate to the folder the backup was exported to

Double-click on the required ‘.BCK’ file


Note:

- When the Backup is exported, 2 files are created – a ‘.BCK’ file and a ‘.DAT’ file (refer to
Create Backup Fig 67g.). Both files are required by the system to complete the restore,
but only the ‘.BCK’ file will be listed in the browser when restoring
- The ‘.BCK’ filename begins with the date and time the backup was created – in the
example in Fig x above the backup date/time is 20131223163842 this is year, month,
day, hour, minute, second and equates to 16:38:42 on 23rd December 2013

User will then be prompted to and advised that the GTMailPlus configuration settings and emails will
be restored to the point when the backup was taken.

Upon selecting YES the restore will begin.

When restore is complete the user will need to ensure the GTMailPlus Dashboard is restarted.
The software will prompt the user to do so and also attempt to restart the dashboard itself.

Click on OK and RUN to complete the Restore

Change Password
The Change Password menu allows the currently logged in user to change their password.
When changing passwords the user is prompted with 3 boxes to complete.

Your Old Password: User needs to enter current password for authentication
Your New Password: User enters their new chosen password
Confirm Password: User re-enters their new chosen password

Help
The Dashboard Help menu contains 2 options, Check for Updates and About.

Check for Updates


The Check for Updates option work in conjunction with the Over the Air Update feature of the
GTMailPlus Dashboard.

Subscription to receive Over the Air Updates is at owner’s discretion.

If subscribed, the vessel will receive GTMailPlus software updates as soon as they are released via
email.

If Over the Air Updates are enabled on shore there are 2 available options:-

1- Ask Vessel Before Sending Updates


2- Always Send Updates to Vessel

Ask Vessel Before Sending Updates


If ‘Ask Vessel Before Sending Updates’ is selected onshore, vessel will receive a pop-up notification in
GTMailPlus advising there is an update available

If you do not wish to receive the update at that time click on Not Now to clear the pop-up box.
To download the software at a later time go back to the Dashboard Help menu and select Check for
Updates.

The pop-up box (Fig 73a) will reappear – Select Yes

A small confirmation email will automatically be queued to send back to the shore on your next
connection

Once the confirmation is received by the shore server, the GTMailPlus software update will be sent
to the ships mailbag.

After next scheduled data connection the GTMailPlus software update will be downloaded

After Receiving an Over the Air Update


When an Over the Air update has been received, you will be prompted with the below pop-up
notification

The upgrade can be deferred to a later time by selecting Not Now


To install the upgrade at a later time go back to the Dashboard Help menu and select Check for
Updates.

The pop-up box (Fig 74a) will reappear – Select Yes

You will also be reminded of the pending upgrade every 15 minutes up to a maximum of 10 times at
which point the software will automatically install

Upon Selecting YES (or Not Now 10 times) the software will automatically update

Once complete, restart GTMailPlus and the software is updated

You can check your installed versions of .NET by navigating to Microsoft.NET\Framework under your
Windows folders. The complete path is usually C:\Windows\Microsoft.NET\Framework

Each of the installed .NET versions will have its own folder.
