SMART Messaging Suite Help Manual

The SMART Message Suite is a full-featured web-based messaging platform that aims to cater to your
organization's communication channel needs through regular and scheduled bulk messaging, feedback
and content management. It is a reliable, high performing mobile messaging platform for enterprise and
government organizations in the Philippines.

This Manual will provide as a user’s guide to navigate through the application.

Getting Started and Setup
SIGN UP:
 The first user provisioned with a SMART Messaging Suite account is usually assigned a Customer
Administrator license. This allows them to access and edit company-wide settings, create other
users, and assign licenses.
 If necessary, more than one user can be licensed as a Customer Administrator.
 Once account has been provisioned by a Customer Administrator or operator's provisioning
team, an email is sent containing a temporary password and instructions for changing this. Once
registration is completed, users can log into the SMART Messaging Suite web portal.

LOGGING IN:
1. Go to SMART Messaging Suite Login page in web browser.
 https://messagingsuite.smart.com.ph/
2. Login with the provided Username and password.

Note:
 Javascript: Javascript is essential to the proper operation of the SMART Messaging Suite platform. If a user
tries to log in with Javascript disabled in their browser, a warning message will be displayed.
 Session Restrictions: If there is no activity by the user for an extended period (default: 30 minutes), a
'Session Timeout' prompt will appear.

 Click 'Continue' to stay logged in or 'Log out now' to terminate the session.
 The system will not allow more than one concurrent session for the same user. In the event that the same
user logs in twice, the first session is logged out automatically.
 For security purposes, the password is encrypted within the platform, and cannot be extracted in plain text
by anyone. Administrators can reset the password, which triggers the new password process for the user.
 If login fails 6+ successive times due to an inaccurate username/password combination, the user will be
locked out for 10 minutes.

PASSWORD RESET:
1. Click the “Forgot Your Password?” link in the login screen.

2. The 'Password Recovery' panel will be displayed. Enter your username/email and click continue.

An email will be sent to 'Username' email address.


3. Go to email inbox and open recovery email (subject will be 'Password Recovery Confirmation').
4. Click the supplied link.

A second email will be sent to 'Username' email address, and a confirmation message will be
displayed.
5. Go to email inbox and open the second email.
6. Select the password provided, and copy it.
7. Click the supplied 'Login' link.

The 'Login' page will be displayed again.


8. Type or paste username and temporary password copied earlier.
9. Click 'Log in'.
10. The 'Change Password' screen will be displayed. Complete the mandatory fields.
Password Restrictions:
 Minimum length: 8 characters
 Maximum length: 16 characters (for SMPP API users, password must be 8 characters)
 Cannot have 3 or more single characters repeating (i.e. the password cannot contain 'aaa' or '111').
 Must contain 1 or more of the following:
o 1 digit (e.g. 0-9);
o 1 upper-case alphabetic character (e.g. A-Z);
o 1 lower-case alphabetic character (e.g. a-z);
11. Click Save. A confirmation will be displayed. Click 'OK' to continue using SMART Messaging Suite.
NAVIGATION:
You can navigate between pages and select options using standard text and button links. On individual
pages, you can also edit or update information using standard text fields, drop-down lists, radio buttons
and pop-up menus.

 Section 1: Quick Menu


o Located in the top right-hand corner; includes Setup, Online Help, Bookmark and Logout
links.
 Section 2: Horizontal Bar
o Applications bar. Click the desired tab to display a drop-down menu containing the
application's available functions. From the main page of each application, you can create
new orders and edit, clone or delete existing orders.
 Section 3: Vertical Bar
o Contains your account message balance, last login time, useful links relating to setup,
and recent items. The 'Setup' links allow you to manage users, licenses, contacts, lists,
message settings, product settings and personal information. The recent items are the
most recent orders or settings that you have created/modified. The menu boxes are
collapsible.
 Section 4: Main Body
o Quick links to common functions. This section is customized depending on your user
level.
 Section 5: Privacy and Terms of Use Statements
o Click link(s) to view.
PERSONAL SETUP
'Personal Setup' is available to all users. You can change your personal account information, access your address
book, and manage templates or message replies from here.

1. Personal Information
a. Personal Information

 The 'Personal Information' screen enables the user to set up their own details.
These details are also associated with their contact information under the
'Contacts' section.
 Click the 'Personal Information' link in 'Personal Setup > Personal Information'
to open the 'Personal Information' screen.
 View or edit your personal user information here.
b. Change Password

 Change the password you use to log into SMART Messaging Suite.
 Click the 'Change Password' link in 'Personal Setup > Personal Information' to
open the 'Change Password' screen.
2. Message Settings
a. Personal SMS Preference

 SMS Preferences are used to manage your default 'Reply To' destination for
web-based orders that you set up from the portal. This is not used for any API-
based traffic.
 Click the 'Personal SMS Preference' link in SMS tab drop-down menu (also
accessible via 'Setup' menu on left-hand side).
 View or edit personal SMS settings here.
3. Contacts/Groups/Lists
a. Show Contacts

 The 'Contacts' section allows you to store the details of intended


order/broadcast/message recipients for future use.
 Contacts can be customers, employees, and/or users. Once created, they can be
collated into Groups for the purpose of targeted mass-messaging or creating
hierarchies.
1. Contact Summary
 The 'Contact Summary' screen displays a summary of existing
contacts, which can be viewed, edited, deleted or cloned as required.

2. Search Contacts
 The 'Search Contacts' feature is located on the Contact Summary
screen.
3. Send SMS to a Contact
 Click icon in the 'Action' column of the 'Summary' table in the
Contact Summary screen (if visible)

OR

 Click on the desired contact name in the Contact Summary to display


the contact details.

 Click button on the 'Contact Details' screen for the contact (if
available)

 A pop-up window will appear. Type/paste the message and click


'Send'.
4. New Contact
 Click the 'Address Book' tab at the top of the interface to open the
Address Book drop-down menu.
 Choose 'Add a new shared contact' or 'Add a new personal contact'.

 'Shared' contacts can be accessed by any users belonging to the


parent customer, while 'personal' contacts belong to the current user.
5. Create a Contact Import File
 Open new Excel file
 Fill in the excel file with the mandatory values: Mobile Number, First
Name, and Last Name.
 Click 'Save'. The file is now ready to be imported.

6. Import Contacts

 Click the 'Address Book' tab at the top of the interface to open the
Address Book drop-down menu.
 Click 'Import Your Contacts' to upload a list of contacts into SMART
Messaging Suite.
OR

 From the Contact Summary tab, click on Import button.

 Follow the guidelines and upload the excel file.

7. Clone Contact
 Existing contact attributes can be duplicated using the 'Clone' function
on the Contact Summary screen.
 Click icon (if visible) in the 'Action' column of the Summary table,
next to the contact you wish to duplicate.

 The following prompt will appear:


 Click the desired 'Owner Type' for the new group - 'Personal' or
'Shared'.
 The New Contact screen will be displayed, allowing you to amend the
duplicated attributes as required.
 Click 'OK' to create a clone of the contact. This will now appear in the
Contact Summary.
8. Delete Contact
 Click icon (if visible) in the 'Action' column of the 'Summary' table
in the Contact Summary screen (to ensure the desired contact is
visible, ensure 'All Contacts' view is selected in the header's drop-
down box).

OR

 Click on the desired contact name in the Contact Summary to display


the contact details.

 Click button on the 'Contact Details' screen for the desired


contact (if available).

 A pop-up confirmation window will appear. Click to confirm.

b. Show Groups
 The 'Groups' section allows you to sort contacts into groups, so that broadcasts
can be targeted toward specific audiences.
1. Group Summary
 The 'Group Summary' screen displays a summary of existing groups,
which can be viewed, edited, deleted, exported or cloned as required.
2. New Group
 Click the 'Address Book' tab at the top of the interface to open the
Address Book drop-down menu.
 Choose 'Add a new shared group or 'Add a new personal group'.

OR

 Click the New button in the Group Summary tab.

 'Shared' groups can be accessed by any users belonging to the parent


customer, while 'personal' groups belong to the current user.

 GROUP DELIVERY SCHEDULE

 SETTINGS
o This section will not appear if user has selected 'NONE' in the
'Delivery Frequency' drop-down menu in 'Delivery Schedule' section.
o The delivery destination email address (if Delivery Method is
'EMAIL') or URL (if 'Delivery Method' is 'FTP', 'FTPS', 'HTTP' or 'SFTP').
3. Add Contacts to a Group
 Add contacts so you can begin sending orders using a group.
 Choose a group by clicking its name in the Group Summary screen.
 The 'Group Details' screen will be displayed. Click

 Click icon in the 'Action' column of the 'Summary' table in the Group
Summary screen.

OR

 Click on the desired group name in the Group Summary to display its
'Group Details' screen.

 Click button.
5. Create Group Import File
 Open new Excel file
 Fill in the excel file with the mandatory values: Mobile Number, First
Name, and Last Name.
 Click 'Save'. The file is now ready to be imported.
6. Import Group
 Click the 'Address Book' tab at the top of the interface to open the
Address Book drop-down menu.
 Click 'Import a Group' to upload a group of contacts into SMART
Messaging Suite.
 To use this feature, a file containing all the details you want to import
must be prepared.
 Follow the guidelines and upload the excel file.

7. Clone a Group
 Click icon in the 'Action' column of the summary table, next to the
group you wish to duplicate. The 'Group Details' screen will be
displayed, allowing you to amend attributes as required.

 Click 'OK' to create a clone of the group. This will now appear in
the Group Summary.
8. Delete a Group
 Click icon in the 'Action' column of the 'Summary' table in
the Group Summary screen.

OR

 Click on the desired group name in the Group Summary to display its
'Group Details' screen.

 Click button on the 'Group Details' screen for the desired


group.

 A pop-up confirmation window will appear. Click 'OK' to confirm.


9. Export a Group
 Click icon in the 'Action' column of the 'Summary' table in
the Group Summary screen.

OR

 Click on the desired group name in the Group Summary to display its
'Group Details' screen.

 Click button on the 'Group Details' screen for the desired


group.
 A window will appear prompting you to open or save the file (note:
Export functionality is not available as standard. Please contact your
Account Executive if you would like to enable this functionality). Click
'OK' to confirm.
10. View Broadcasts Associated with a Group
 View statistics about a past broadcast.
 Click on the desired group name in the Group Summary to display the
'Group Details' screen.

 Click
 Click icon in the 'Action' column of the summary table to view
individual broadcast details.
c. Show Lists
 The 'Lists' section allows you to collate a set of data (e.g. mobile
numbers/names) for intended message recipients, then send messages.
 Lists differ from groups in that they do not consist of stored contacts - only the
raw information needed to transmit messages. For this reason, lists are an ideal
way to quickly transmit broadcasts to a large target audience where the
minimum of information is required. They can also be used to trigger messages
automatically at regular intervals.
 This feature also enables the use of whitelists and blacklists, which can be used
to manage subscribe/unsubscribe requests automatically.
1. List Summary
 This page displays a summary of existing lists, which can be viewed,
edited, deleted or cloned as required. You can also create new lists
from here.
2. New List
 Click the 'Address Book' tab at the top of the interface to open the
Address Book drop-down menu.
 Choose 'Add a new shared list' or 'Add a new personal list'.
 'Shared' lists can be accessed by any users belonging to the parent
customer, while 'personal' lists belong to the current user.

3. List Item Summary


 View, add and remove items which belong to a list (i.e. mobile
numbers, email addresses, names). An 'Item' represents everything
which is on a single row in a list.
 Choose a list by clicking its name in the List Summary screen.
 The 'List Details' screen will be displayed. Click on Content and

click.

4. New List Item


 From the List Item Summary, Click the button. The
'New List Item' screen will be displayed.
 Type/paste row(s), separated by commas.
5. New Draw
 Randomly select a contest winner or winners by drawing items from
an existing list. Useful for running competitions in a fair and efficient
manner.
6. Clone a List
 Existing list attributes can be duplicated using the 'Clone' function on
the List Summary screen.
 Click icon in the 'Action' column of the summary table, next to the
list you wish to duplicate. The 'New List' screen will be displayed, and
the existing details from the original list will be populated.

 Make any adjustments and click save the list. This will now
appear in the List Summary.
7. Delete a List
 Click icon in the 'Action' column of the 'Summary' table in
the List Summary screen.

 Click on the desired group name in the List Summary to display


its 'List Details' screen.
 Click button.

 A pop-up confirmation window will appear. Click 'OK' to


confirm.
8. Export a List
 Click icon in the 'Action' column of the 'Summary' table in List
Summary screen.

OR

 Click on the desired list name in the List Summary to display its 'List
Details' screen.

 Click button
 A window will appear prompting you to open or save the file (note:
Export functionality is not available as standard. Please contact your
Account Executive if you would like to enable this functionality). Click
'OK' to confirm.
