Position Title: Communications Specialist: Proposals and Grants

Department: Advancement

Reports to: Dana James, Director of Major Gifts

Date: November 2010

PRIMARY OBJECTIVE OF POSITION:


To research, write and design creative and compelling proposals for the purpose of raising major gifts for
the Richard Ivey School of Business. To research, write and design related fundraising materials
including customized fundraising letters, cases for support, backgrounders, and presentations. In
conjunction with the Director, Major Gifts to establish a Foundations grant writing program to support the
School’s fundraising priorities.

JOB RESPONSIBILITIES:
1. Develop strategies that enable Ivey leadership to present fully developed, donor-ready
proposals that reflect the unique points of common interest between donors and Ivey.
Evaluate the need for additional information, undertaking research on specific fundraising
priorities and strategic initiatives, coordinating with Advancement and Ivey faculty and staff to
ensure the accuracy and comprehensiveness of information in proposals and related
materials. Act as a resource for Advancement by providing comprehensive, up-to-date
information about fundraising priorities and strategic initiatives.

2. Research, write and design major gift funding proposals and related materials including
customized fundraising letters, cases for support, backgrounders, and presentations.

3. With the Director of Major Gifts, develop and execute a foundations grant writing program for
the purposes of soliciting funds from Foundations whose funding priorities align with activities
at Ivey.

Activities with Primary Decision-Making Authority:


1. Design, develop and produce sophisticated proposals and related fundraising materials within
exceptionally tight deadline environments.
2. Consult with, interview, and incorporate feedback from Development staff and faculty members
on proposals and related materials.
3. Disseminate within Development information on funding priorities and key strategy initiatives.
4. Prioritize and manage production schedule for proposals and related materials; disseminate
timing and status of materials within Development.

Activities Requiring Consultation and/or Co-operation:


1. Participate in and attend department and committee meetings that enhance and contribute to
major gift fundraising activities.
2. Collaborate with Senior Communications Specialist on the creation of development materials as
required.
3. In consultation with Director of Major Gifts identify Foundation prospects and develop grant
proposals
4. Continually innovate. Seek ways to improve the quality of fundraising materials.

JOB COMPLEXITIES AND SKILLS AND KNOWLEDGE REQUIRED:
This position requires an incumbent possessing a university degree in business, communications,
journalism, arts or a related field plus five years of work experience writing in a business or fundraising
environment, or equivalent combination of education and work experience. The incumbent must also
possess:
Advanced writing skills
Excellent organizational, planning and time management skills, attention to detail and an ability to
manage multiple priorities effectively. Demonstrated project management skills.
Extremely effective interpersonal skills with a professional presence and manner; capable of
exercising independent judgment and flexibility.
Superior interviewing and listening skills as well as excellent oral and written communication
skills. An ability to write effectively and persuasively and to converse easily with alumni, major
gift donors and faculty.
Ability to organize and manage a diverse range of assignments and projects with high efficiency,
yet thorough attention to detail and follow through
Competent advanced function computer skills using Microsoft Office Suite Components, plus an
aptitude to quickly adapt to new technologies; demonstrated ability to enhance the professional
presentation of materials produced.
Ability to work in teams or independently with minimal administrative support.
Ability to take initiative and work co-operatively with academic and administrative staff as well as
other Ivey community members.
The ability to manage unexpected communications needs effectively and successfully.
Knowledge of the administrative procedures of University and the Richard Ivey School of
Business would be beneficial.
An understanding of corporate structures and knowledge of the Canadian business environment
would be beneficial.
