THE SSMC SYSTEM

The SSMC System of Annual Physical Examination on site for industries with high number of
employees entails close coordination with the designated client representatives. Preparatory and exit
meetings are considered equally important along with the implementation stage. Use of an employee
feedback loop system also aid in the efficient conduct of the APE.

The main features of the SSMC System of APE are as follow:

1. Preparations.
a. SSMC Group coordinates closely with client’s APE group
b. Team leaders shall set up the area one day before the start of the APE. This will entail
tables, chairs, cubicles, power supply, mobile X-ray Vans delivery on site, familiarization
of the facilities (water supply, canteen, toilet, etc.).
c. Client shall, before the issuance of temporary pass/id’s, brief the team members about
their policies/procedures/code of conducts, etc. prior to the commencement of the APE.
d. SSMC can commence with the APE any day but recommends that for the very first day
of the entire schedule; it shall start at your most convenient time.
e. Employee APE database is set up using the program of SSMC.
f. Employee personalized APE forms are pre-printed prior to scheduled dates of
examination. No filling out of forms required from employee upon arrival at the
registration counter.
g. Assures smooth and fast flow of employees along the APE chain of procedures.

2. On – site processing.
a. SSMC Group can conveniently handle from 200 to 300 employees per day / 8 hours shift
.
b. Specimens are periodically batched to the processing technicians who are stationed in
the premises of the APE.
c. They are processed as received.
d. Process prevent technicians from being overwhelmed by volume
e. Results are encoded in the database on the same day to provide basis for summary
report and printing.
f. Ensures that employee specimens and results are secured/not lost and are handled
efficiently. Any mishandling in this regard can be disastrous and most unfair to the
employee and/or the company.

3. 24-hour report of results with notable findings.


a. Before the end of the following day, a list of those with notable findings is submitted to
the client team leader.
b. Allows appropriate action to be undertaken without further delay.
c. The SSMC system is differentiated from the other systems which submit results weeks
and even months after the end of their APE.

4. Submission of final results after final day of APE


a. Data will undergo double checking and refinements
b. Data will be analyzed by team of medical professionals to come up with appropriate
recommendations on wellness for the workforce.
c. Narrative report shall cover the submission of the results within 30 working days after
the final day of the APE.
d. An installation CD with database information individually for employees subjected to
the APE shall be submitted with the final report.

e. Major features of the program are as follows:


i. Create and Print individual APE Forms
ii. Print individual Laboratory results for CBC, Urinalysis and X-ray.
iii. Create, print and save query reports for types of diseases and physical
abnormalities for X-ray, urinalysis, CBC, Drug Tests, Complete PE, etc.
iv. Segregate employee diagnosis reports by department, tenure, age or sex.
f. Our staff shall brief user on the other features of the database CD.
