Dear Mr Martin,

I am writing on behalf of the manager of the H4 GROUP consulting

Engineering, Mr Samuel Fernandez. This letter is in reference of the email you
sent him last week regarding the new organization software you developed. I
am writing to inform you that the company is interested on it as we want to
improve the efficiency in this area. We would be grateful if you could provide us
the details of this new software to see if the product meets with our needs.

We are looking for a solution to our efficiency problems in terms of organization.

We need to manage a lot of different tasks such as, working start and end time,
arrange meetings in the office and in customer offices, employees’ locations,
assign tasks… and we are looking for an intuitive tool which can integrate all
these topics and simplify the management of them. For this reason, we would
like to know first which are all the functionalities your software offers, how does
it work and how it could help us to optimize and be more efficient.
We are also interested to know if this tool can be use via web page and via
Android App. As our workers don’t have fix office it would be useful for all of us
to have access to it via phone. Because of this, it is also important for us to
know if the program can be used offline and synchronize the data afterwards. It
would be also important for us the possibility of simultaneous users, as there is
more than one person in charge of the management.
Regarding the usage of the software, we would appreciate if you could give us
information about how the knowledge is transmitted, if there is any training

session with all our employees or if only the software is given with the
instructions. In our case, we would prefer to do a training to give the employees
the opportunity to solve any doubts they could have.
Regarding the price, we would like to know if there is a possibility to buy the tool
per functionality or if there is any discount if we buy all of them. Also, if the
software is installed in our servers or in yours and if the support is included in
the price or if we have to train employees to take care of this task.
It would be also from our interest to know if the software can be personalized
and if it is possible to insert our company logo on it.
