CHAPTER 1
1.0 EXECUTIVE SUMMARY
Kumasi Technical University (KsTU) is an institution of higher
learning institutions which enables its students to carry out their
internship in various organizations purposely to sustain them with
employment environment in the future and this concern the level 100
and 200 students have to conduct the internship attachment and make
a report on it after completion.
Then, it is in these views that as an undergraduate student in level 200,
AAIS department I have carried out my internship in SSNIT sector. It
is located in Kumasi Asafo near KsTU.

In my internship I got chance of getting experience in filing and


registering new members and establishments. Before going in my
internship I had purpose of matching theoretical skills learned in
classroom into field practices.

I would like to encourage parents, KsTU, private sectors and other


sponsors involving in education to perform their part accordingly so
that internship would be running in effective manner and provide the
greatest performance.

1.1 INTRODUCTION OF THE ORGANISATION

The Social Security and National Insurance Trust (SSNIT) is a statutory


public Trust charged with the administration of Ghana's National
Pension Scheme. The Trust is currently the biggest non-bank financial
institution in the country. It primary responsibility is to replace part of
lost income due to Old Age, Invalidity and payment of Survivors'
benefits to deceased dependents.

Selecting an establishment for attachment program was made with the


goals of, comparing the knowledge gained in the classroom to working
environment, as well as gaining good working experience and skills at
workplace. Before I started my attachment with SSNIT, I submitted my

attachment letter prepared by the Industrial Attachment Unit of Kumasi


Technical University to the Asafo branch in Kumasi. In a month time,
I was called to come for a letter of appointment in order to commence
my attachment program at the Asafo branch.

The Asafo branch constitutes four (4) main units namely, the Benefit
Department, Data Entry unit, Account unit and the Compliance and
prosecution unit with each unit with separate investigators. I was fully
assigned to the Compliance and prosecution unit. This department is
responsible for management of applications for new establishment
registration, customers file Identification and prosecution of customers
for non-payment of contributions. The reporting time of duty is 7:40am
and work commence at 8:00 o’clock am, while closing time is 4:00
o’clock pm.

During my period of internship, I performed various tasks which


includes;
a. Filling of Captured form for new contributions paid by new
customers.
b. Compiling and filing all relevant receipts and files.
c. Assisting customers with enquiries, minor complaints and
procedure for new member and establishment registration.
d. Typing documents and inputting data on the computer.

CHAPTER 2

2.1 NATURE AND BACKGROUND OF ORGANISATION SSNIT at Glance.


2.1.1. WHAT SSNIT IS
The Social Security and National Insurance Trust (SSNIT) is a
statutory public Trust charged under the National Pensions Act, 2008
Act 766 with the administration of Ghana’s Basic National Social
Security Scheme. Its mandate is to cater for the First Tier of the Three-
Tier Pension Scheme. The Trust is currently the largest non-bank
financial institution in Ghana.
The primary responsibility of the Trust is to replace part of lost
income of workers in Ghana due to Old Age, Invalidity or Death of a

member where dependants receive lump sum payment. It is also


responsible for the payment of Emigration benefit to a non-Ghanaian
member who is leaving Ghana permanently.
The Pension Scheme as administered by SSNIT has a registered
membership of over 1,471, 564 million as at June 2018 with over
190,079 pensioners who regularly receive their monthly pensions from
SSNIT.
2.1.2. WHAT SSNIT DOES
SSNIT is governed by the National Pensions Act 2008, (Act
766) which has a contributory 3-tier Pension Scheme with SSNIT
operating the mandatory First-Tier Scheme. It is also governed by
PNDC Law 247

WORKER 5.5% of basic salary 5.0%

TOTAL 18.5% of basic salary 17.5%

Under the Act 766, out of the 18.5%, the employer remits 13.5% to
SSNIT within 14 days of the ensuing month to the mandatory First-Tier
Basic Social Security Scheme-SSNIT.

Out of the 13.5% with SSNIT, 2.5% is remitted to the National Health
Insurance (NHIS) towards the member Health Insurance. Employer
pays the 5% to the Mandatory Second Tier Occupational Scheme
which is privately managed by Trustees approved and licensed by the
Board of National Pension Regulatory Authority (NPRA).
2.1.3. CORE FUNCTIONS OF THE TRUST

 Collect contributions
 Manage records on members
 Invest the funds of the Scheme
 Process and pay benefits to eligible members and nominated
dependants.
2.1.4. HOW THE TRUST WORKS
SSNIT has a decentralized operational system made up of the Area,
Branch, and Day Offices. An Operations Coordinator at the Head
Office co-ordinates all operational activities and reports to the General
Manager, Operations.
There are eight (8) Area Offices, fifty (50) Branches, twenty-three (23)
Day Offices and an Agency spread throughout the country.
2.1.5. FINANCING
The scheme is self-financing through the contributions of members and
returns on the investments of the funds. The new SSNIT Scheme (Act
766) is now referred to as the Basic National Pension Scheme (or Tier-
1 Pension Fund). It is a Defined-Benefit, partially funded scheme and
uses a scaled-premium method of financing. It is financed through the
combined contributions of the employees and employers as well as
investment income.
A significant portion of the benefits are derived from investment
income.
2.1.6. AFFILIATION
The Trust is a member of the International Social Security Association
(ISSA), an affiliate of the International Labour Organisation (ILO).
SSNIT is the first ISSA member south of the Sahara to convert its
Provident Fund scheme into a pension scheme in 1991.

Millennium Excellence Awards, Ghana.

2.1.8. OPERARTIONS
The day-to-day administration of the Trust is headed by the Director
General who is assisted by three (3) Deputy Director Generals. There
is the Deputy Director General for the Investment and Development
Division, Deputy Director General in charge of Finance and
Administration and Deputy Director General responsible for
Operations and Benefits. The Director General and the Deputy Director
Generals are assisted by nine (9) General Managers who are in charge
of the following functions in the Trust.

The core business of the Trust is managed by Heads of Department,


Area and Branch managers.

The Board of Trustees are the Trustees of the scheme and they are
responsible for the policy direction of SSNIT. The Trustees have
representation from government, employers and workers. It is
constituted as follows:

2. Two persons nominated by the President, at least one of whom is
a woman
3. Two representatives of Employers' Associations,
4. Four representatives of Organised Labour
5. One representative of National Pension Association
6. One representative of the Ministry responsible for Finance not
below the rank of a Director
7. One representative of the Security Services who is not a member
of the Ghana Armed Forces and
8. The Director General of the Trust

2.2. AT THE UNIT I WAS ASSIGNED TO;


The Asafo branch has four (4) main units namely, the Benefit
Department, Data Entry unit, Account unit and the Compliance and

prosecution unit with each unit with separate investigators. I was fully
assigned to the Compliance and prosecution unit.
The unit has two distinct units, the prosecution unit and the compliance
unit which are both supervised by a supervisor. The compliance unit is
responsible for management of applications for new establishment
registration, conducts inspections to ensure customers (employers) are
paying their contributions, customers file Identification and
prosecution of customers for non-payment of contributions. Whereas
the prosecution unit also arranges all prosecution cases and ensures that
all defaulters are dealt with in accordance with the law.

3.1.0 JOB DESCRIPTION
The SSNIT Asafo branch, the place where I conducted my IA, has a
number of different departments; however I carried out my practical
training in benefit department.

In my internship I have many tasks and responsibilities that I supposed


to carry out, I was supposed to look and try to work hard so I could
come up with great experience gain from my hosting institution.
Concern my job as I have said in the report I have working as
compliance officer.
3.1.1. Objectives:
Our main objective was to ensure that files are complete and kept
properly so that it can be easy to get them.
Those are my specifics objective under compliance officer;
 Confirming information
 Performing managerial tasks including filing.
 Documentation
 Maintaining files
 Entering information in electronic files.

 Helping out other workers in copying, typing, filing and other


duties.
3.1.2. My responsibilities:
 Entering different data in the computer
 Preparing clearance certificate.

3.1.3. Technical details


For this task I have acquired different skills on how I can arrange
different staff documents in order to make someone else to get it easily
and to avoid any subsequently loss of documents.
Know how to offer service with different people of different attitudes
and behaviors. Creating good relationship between the sector and its
stakeholders and preparing and keeping documents.
3.1.4. Scientific/professional skills required
In my task professional skills required depends on structure of work
given and its content where I have elaborate above how the task was
structured, it requires having communication skills and listening skills,
computer literacy skills because we need to enter given data in the
system. It requires providing a solid foundation of critical analytical
skills, promotes ethical awareness, and enhances communication and
networking skills. Briefly the required skills needed under data entry
can be summarized as below;

 Skilled to write and speak English.


 Strong interpersonal and communication skills.
 Expert to make use of MS-Office.
 Hardworking
 Ability to learn from mistake.
 Outstanding skill to keep data privacy.
 Excellent ability to provide good customer service.

3.2.0. WORK-BASED LEARNING EXPERIENCE


3.2.1 EXPERIENCES; through my attachment, I have gained some new
experiences in how to record data. I also gained experiences in how to

file, I have also learnt how court sitting and prosecution process is done.
Also how register members and establishment onto SSNIT. Data
capturing was also one key experience I have gained from this training.
3.2.2 MORAL EDUCATION; Working in SSNIT exposes one to various risks
or conditions that could happen if he/she does not take care in recording
data. It has thereby inculcated in me sympathy for SSNIT staff when
customers (SSNIT pensioners) do not receive their pay on time as
expected. Their task demands more time and carefulness.

3.3.0 PROBLEMS AND CHALLENGES


3.3.1. HAND WRTNG; the first and foremost problem I encountered was my
hand writing I was warned of my hand writing because it was not big
as require.

3.3.2. SIZE OF THE OPERATION DEPARTMENT; the size of the operation


department’s makes filing and retrieval of information very tedious.

3.3.3. ORINTATION FOR STUDENTS; There is no form of orientation for


students coming for attachment which makes it difficult for students to
get well acquainted with the environment.

3.4.0. METHODOLOGY
In order to ensure the success and effectiveness of this work I adopted
the following methods.
3.4.1. OBSERVATION
This method was used to study some of the activities that goes on at
operation room such as; worker-worker relation, worker entering data
in system, working responding to and preparing of CC, workers
attitudes towards work and the monitoring of staff.

3.4.2. PARTICIPATION
This method was used to acquire knowledge on the use of computer
software, data entry and analysis, filling of claim documents.
3.4.3. UNSTRUCTURED INTERVIEWS
Through interaction with the staff of SSNIT; important information
about their activities, services, historical background and the
organizational structure were obtained.
3.4.4. DISCUSSION
This method was employed to gather some of the activities going on in
the branch.
3.4.5. RESEARCH LIMITATIONS
Busy schedules of the staff made it difficult for discussions and
explanations to be asked for. Inadequate number of computers at the
unit was also a hindrance.

CHAPTER 4
4.0. KNOWLEDGE AND SKILLS APPLIED AND GAIN
It has broadened my knowledge in the field of SSNIT operations. The
training introduced me into the practical aspect of data entry.
It has improved my inter–personal relation skills especially working
with people with high level of education and with different background
and ethics. The new skill is not limited to that, but to know the
procedures of registering an establishment under SSNIT and
prosecuting defaulters.
4.1. CONCLUSION
The above mentioned work is what I did during the period of the IA
and I must say it has been worth undertaking since it has helped me a
lot both academically and socially. Through the help of my supervisor
and the other staffs of the SSNIT, I learnt a lot and it has broadened my
knowledge in the field of work environment. I will therefore thank the

department for allowing me to undertake this industrial attachment


since it has partially ushered my feet into the profession.

5.1. RECOMMENDATION
5.1.1. To SSNIT
 Easy access to the internet.
 Provision of adequate modern computers to foster faster
processing of data.

5.1.2. To KsTU
 Easy access to the internet.
 Attachment student should always be assign to the offices of
KsTU to help in the Departments and administration of the
school.
 To the students, they have to be serious and follow well their
training because the training will help them in their future
working life.
 I recommend that for students to know much in the field of
accounting, the computerized accounting programme should be
enroll in four (4) years for the award of BTech.
 And lastly when it is time for student to go out on industrial
attachment, students should be given notice at the beginning of
the semester for students to be aware and planned their time well
for the program.
