JOB DESCRIPTION

DESIGNATION : DEPUTY MANAGER - WAREHOUSE


REPORTING TO : SENIOR PLANT MANAGER

1. AUTHORITIES:

1.1. To sign excise documents, material release gate pass, warehouse related documents.

1.2. To sign and file all government registers, records, returns.

1.3. To approve MIS reports related to warehouse.

2. RESPONSIBIITIES:

2.1. To prepare written procedures duly approved by QA describing the receipt,


storage, handling of raw materials including solvents, packing material,
finished goods, plant and engineering consumables, and ensure they are
followed.

2.2. To ensure that rejected materials are stored in separate areas under the control
of QA. (QA control for consumables of Maintenance, Production, and
Project not needed.)

2.3. To ensure API’s intermediates and rejected materials are transported in a


manner that does not adversely affect their quality.

2.4. To ensure materials are issued as per FIFO system.

2.5. To ensure that materials are stored in a manner clearly indicating its status of
“ON TEST,” “APPROVED,” “ REJECTED,” and to release material only
from approved stock.

2.6. To ensure that materials are stored under condition, and for a period that have
no adverse effect on its quality, to record the same, and to inform QA and
Operations in case of any deviation.

2.7. To ensure that materials are re-evaluated, as appropriate, to determine their


suitability for use on the basis of retest period provided by QA on the label.

2.8. To ensure that records are maintained for each shipment of labels, showing
“RECEIPT,” “RELEASE” or “REJECTED.”

2.9. To ensure that access to the label storage areas should be limited to authorized
personnel only.

2.10. To reconcile the quantity of labels issued, used, and returned, and to
evaluate discrepancies found between the number of containers labeled and
the number of labels issued, and the investigation of such discrepancies to
be approved by QA.

2.11. To ensure physical stock of materials (only class A of Engineering /


Production consumables and Project items) are tallied every month with
book stocks and deviations, if any, investigated and communicated to
superiors.

2.12. To ensure that physical stocks of consumables (Engineering / Production /


Project) are tallied with book stock as per the following schedule :-

2.12.1. Class B  once every quarter


2.12.2. Class C and others  at the year end.

2.13. To make sure that MSDS training is provided by Safety department to all
concerned in Stores department, for all materials handled by them which
are hazardous, flammable, and toxic in nature.

2.14. To make sure that training on QA SOP’s is provided by QA department to


all concerned in the stores department.

2.15. To make sure that requisite statutory licenses such as Explosive,


Prohibition, and Narcotics are available, as and when required.

2.16. To ensure that cleaning, maintenance, and house keeping procedures are
followed regularly.

2.17. To be responsible for the performance of the department and the persons
reporting to him.

2.18. To be responsive on tasks / assignments given, and be proactive in alerting the


concerned persons in advance of the likely delay with its reasons.

2.19. To ensure that each department staff and oneself clock minimum 52 hrs. of
training per year on various aspects of management , competency and skill
development areas as per training need analysis.

2.20. To carryout periodic appraisal of the group personnel for their merit rating and
participate in the recruitment, selection training and development of employees of
the department including preparation of job description.

2.21. To make sure that all staff working under you follow the laid down
systems and procedures and continuously stress on formalizing written
procedures to carry out all activities.

2.22. To ensure maintenance of record of Books, Files, Registers, Floppies, etc.


depending upon usage. List of such filing / records shall be prepared in
order of convenient identification. To give instructions to all staff to be
highly proficient in maintaining them up to date.

2.23. As Deputy Manager (Warehouse), carry out such jobs and other
connected or incidental jobs, which are necessary due to exigencies of
companies work and business requirements. Also to carry out such jobs
those are within capabilities and / or work in any other post that may be
temporarily assigned.
