Payments Officer

Job Description

Job Title: Payments Officer


Reports to: Financial Controller

The post is part-time, term-time (23 hours per week) plus the last 3 weeks in July. The
Payments Officer will be responsible for managing the School’s purchase ledger and sundry
payments system on a daily basis. The School is seeking a proactive, skilled individual who
will ensure that payments are made accurately and efficiently.

The job-holder should be in sympathy with the aims of the School, as part of the School
community take general responsibility for promoting and safeguarding the welfare of
children and young persons, and be a positive and helpful member of the School support
team.

Main responsibilities:

Purchase Ledger

1. To take overall responsibility for ensuring the School has effective purchase ledger
procedures and that supplier payments are made in a timely and accurate manner.

This will include:

 Maintaining a Purchase Order monitoring system.


 Checking, coding, recording and inputting invoice details prior to payment.
 Automating and streamlining procedures e.g. the authorisation process.
 Completing supplier statement reconciliations.
 Processing invoices for payment by BACs.
 Coding and inputting staff expenses and supply staff timesheets and arranging BACS
payment via the payroll system.
 Ordering foreign currency, arranging payment and collection.
 Dealing with all telephone and email queries.
 Working with the Finance Controller to review, revise and automate all working
practices as required, in the spirit of continuous improvement.

Sundry payments

2. Managing and operating the School’s petty cash system.


3. Managing and operating credit card purchasing.
4. Supporting the Senior Operations Manager with furniture orders.

Other responsibilities

5. Maintaining the fixed asset register on a monthly basis.


6. Supporting the Financial Controller by preparing and sending monthly expenditure
reports to Department Heads.
7. Providing cover for the Payroll Administrator.
General

8. Undertaking additional duties as reasonably requested by the Financial Controller


and the Chief Operating Officer.

This is not an exhaustive list, and will vary as the School’s requirements change.
Flexibility regarding working hours may be expected from time to time, in consultation
with the employee.

Person Specification – Payments Officer

Requirement

Qualifications/Education/Training
 GCSE grade C or above in 5 subjects including Maths and English
 SAGE Line 50, or equivalent, training
 relevant IT skills to include:
Microsoft Office applications – Word; Excel; Outlook Calendar; PowerPoint

Experience
 experience of purchase ledger and sundry payment systems
 experience of SAGE or similar accounts packages

The Appointment:

Cheadle Hulme School is seeking to appoint an experienced part-time Payments Officer to


join the Finance Office from September 2017, working term-time only plus the last 3 weeks
in July each year.

The post holder will work 23 hours each week as follows:

Monday: 9.15 – 3.00


Tuesday: 9.15 – 3.00
Wednesday: 9.15 – 5.00
Friday: 9.15 – 3.00
