Development of Automated Payroll System in Estrella Ice Plant

Project Description:
Estrella Ice Plant was established in August 22, 1968 by Mr. Francisco Isip. It was
a family business that is still managed by his grandson Aaron Isip. The Estrella Ice Plant
has 2 other branches, the main branch is located at Roosevelt Ave., Quezon City near
Fisher mall while the other branches are located at Valenzuela Malinta 1 & 2. Corporation
is the type of their business.
In the past, Estrella Ice Plant uses an Automated Payroll System on their company,
but after using it for more than 20 years and with the IT Company that provided the payroll
system shutting down. Estrella Ice Plant uses a Microsoft Excel to compute the salary of
their employee's. The HR department first records and counts the attendance of each
employee on their log book. After getting the total of their hours of work, HR will multiply
hours to the rate per hour of the employee and add it to the allowance and bonuses
getting the gross salary. They will then subtract the taxes and loans of the employee to
the gross salary and then to get the net pay. After computing the net pay, the computation
of the salary will be transferred from Microsoft Excel to Microsoft Word to produce a
printable pay slip.
The Estrella Ice Plant’s Payroll System shutdown and became unusable on year
2013 and the company starts using Microsoft Excel to compute their payroll since then.
Now, the HR staffs of the company are reportedly experiencing two times slower
processing the payroll. The company also experiences miscalculation of attendance
because of their manual log book. Few staffs of the company also experiences
miscalculation of their salary at times. The Microsoft Excel calculation of the payroll also
needs to be transferred to another program to produce a decent pay slip.
To address the problem of the HR department of Estrella Ice Plant. The
researchers will make an automated Payroll System. The Payroll System will first contain
a cloud-based database backup to solve the company’s problem for a crashing system.
The Payroll System will also have an employee searching function to easily browse on
each employee record for a faster computation. The Payroll System will also have a fixed
and stable computation of taxes based from the tax table and other saved deductions on
the database to produce an accurate computation of salary. The Payroll System will then
have an easy print button that can easily print the pay slip of employee's after the
computation.

Objectives of the Study:

General Objective:
The general objective of this study is to develop a Payroll System for Estrella Ice
Plant that can monitor attendance of the employee, produce accurate computations,
have a cloud-based information back-up and print a pay slip.

Specific Objectives:
1. To develop a user-friendly Payroll System that have shortcut buttons for
computations and have an easy access on printing a pay slip.
2. To develop an Attendance System that can automatically monitor the time-in
and time-out of employees by using biometrics.
3. To develop a Payroll System that will generate and print a pay slip.
4. To develop cloud-based Database System to back-up information.
5. To develop a Payroll System that can record, search and display employee
information and salary.
6. To develop a Payroll System that can generate report about the employee’s
performance using bar graph presentation.

Scope:
• User level access. HR which have access to all the employee information and
modify each information. Users, which have access to individual schedule,
individual pay slip and the recording of attendance a day.
• Cloud-based backup and restore of information on the database for unexpected
system crash and retrieval of employee information.
• Computation and display of weekly, and monthly salary through a display table
showing the employee hours per day, rate per hour, tax and loan deduction and
bonuses.
• Computation of tax such as SSS, Pag-Ibig, Medicare by referencing government
tax table.
• Automatic monitoring of attendance through biometrics.
• Recording and modifying employee information by having an option to add, delete
and update of employee record.
• Search and display employee records easily by assigning them employee numbers
and displaying the information of the employee on a table.
• Generate employee report weekly, monthly, and yearly by showing their
attendance and time at work.
• Printing of pay slip including the computation of gross pay, deductions, and
bonuses

Delimitations:
• Does not include online access on the Payroll System.
• Does not perform cloud-based backup when the work is not yet properly saved.
• Does not include actual authentication of employee on the biometrics.
