1 Module Description
The Human Resources Management System (HRMS) module is a part of Enterprise Information
Management System (EIMS) that makes the online management of Human Resources Management
possible.
As the HR process has many steps the whole process is split into various components. The
modules/component definitions are listed below:
Office Setup: This is a sub module of Human Resource Management System which maintains
the record of registered offices for example head office, sub offices, status, contact details and all
necessary details. Employee Information: It maintains the record of employee‟s for example
employee personal details, employee official details, nomination details etc. and it has facility to
update all records of employee.
Establishment Schedule: It is used to maintain office wise historical details of employee with the
help of this we can check all the previous office details and number of employee in office and
vacant positions.
Transfer: It maintains all the transfer related information of employee and keeps history of all
transferred employee records.
Promotion: It maintains all the promotion related information of employee and keeps history of all
promoted employee records.
Training: Maintain record of all trainings, nominated employees and attended employee.
Leave and Attendance: It contains employee leave records and also maintains employee daily
attendance records.
Travel: Maintain record of employee travelling information and all necessary details.
ACR: Annual confidential report (ACR) maintains the records of all employees ACR.

The HRMS module has been designed keeping in mind of giving WRD a tool that shall allow
standardized data collection, quicker data processing and allow smooth and easy flow of information
across the whole organization
4 Module Features
The module has login based permissions and access. It means one user can‟t access or remove/update
the information created by EIMS user. Also some of the screens or facilities in the modules are extended
as per the roles.

The Master data is the key or basic information that needs to be entered into EIMS, the information may
include Pay Scale, Copy to, GPF Interest, Designation Master, Office Type and Other Office etc. The
following masters are used in Human Resource Management System module:
Pay Scale Master: If any changes in the present pay scales then pay scale master helps user to
create new pay scale, edit pay scale and remove facility.
Copy to Master: As name implies copy to master helps user to add new copy to authority for
letters which can populate in HRMS sub module automatically.
GPF Interest Application: GPF master is use to add the GPF Interest Rate for particular
financial year.
Designation Master: Add New Designation for employee and edit facility provided to update any
existing designation.
Office Type: Office Type master is use to add new other office type.
Other Office: This master is use to register other office in EIMS and maintain the required
information.
4.3 Search
EIMS gives search facilities for retrieval of data. On the search screen the user is required to enter key
phrases to enable search. The various search screens available in Human Resource Management
System modules are as follows:
Search by Office Name: Facility to search office by office name.
Search by Office ID: Facilities to search office by its unique office ID
Search by Employee ID: Facility to search employee details by unique employee ID
Search by Employee Name: Facility to search employee details by employee name.
Search by Designation: Facility to search employee by designations.
Search Training Circular: Facility to search training circular by given parameters circular code,
date of circular, topic, last date of nomination, from date, to date, and status these all are the
search parameters to search registered training circulars in EIMS.
Search Travel Details: Facility to search travel bill which are added by employees in HRMS
provides search by given parameters are year, month, and employee name.
Search Employee Leave: Leave sub module provides facility to search employee leave by
employee ID, employee name, leave type, office name, designation, and leave status.
Search Employee Attendance: Attendance sub module provides facilities to search employee
attendance by given parameters are employee ID, employee name, designation, office name,
year, and month.

Search ACR: Facility to search ACR for particular employee by given parameters are employee
ID, employee name, office name, designation.
Search Transfer, Promotion and Suspension Details: HRMS sub module provides facility to
search and employee transfer promotion and suspension related information by given parameters
are employee ID, employee name, designation and office name.
Search Deputation Details: Facility to search deputation circular and employee by employee ID,
employee name, office name, circular ID.
For Importing of data please ensure that the excel sheet in required format is used and the data is verified
before upload. Wrong data or erroneous entries in the import excel sheet will cause the application to
throw an error. In such a case, please ensure correctness of excel fields, excel format.
The module has provision to switch between Hindi and English. For data entry forms, the data entry is
possible in English only. The form fields can toggle between Hindi and English.

These are customized reports and are available. The module has the following public reports.
Office Setup: It shows the office details and class wise employee count.
Incumbency Report: It generates office wise employee count, class wise count of sanctioned,
vacant and filled number of posts.
Annual Property Returns (APR) Report: This report displays the employee count that how
many employees are there in the office and how many has uploaded the APR for particular
financial year.
Services Book Report: This report displays the employee count that how many employees are
there in the office and how many has uploaded the service book documents.
Training Calendar: This is a training circular report which displays a calendar with the trainings
which are scheduled for the employees on a particular date and time.

2. Click on Manpower Estimation > Create New button.

Select approver and click on „Forward‟ button to forward request to selected approving authority after
that request forwarded successfully.

7.1.4 Promotion
Primary Role: Promotion Admin
Operations:
1. Login as Promotion Admin
2. Click on „Eligibility List‟ menu to create promotion list.
3. Click on „Add Employee‟ button to add employee in promotion list.

8. After approving click on Create Promotion Order >> View >> Create/Reject
9. Click on “Create” and fill all required details and click on “Save” button.
Create order for all employee then click on “Confirm” button for promotion of the selected employee.

7.1.5 Transfer
Primary Role: Admin
Operations:
1. Login as Admin
2. Click on “Create Transfer List” menu to create transfer list.
