Guide in Using the eFunDMEA Tool

The Tool:
1. eFunDMEA.exe

– is an executable by double-clicking, it can be installed in a Folder named eFunDMEA in the root directory C:\

(C:\eFunDMEA) Fig. 1

2. C:\eFunDMEA directory
- Shall consist the following
Files and Folders: (Fig. 1)

 SF1 Folder – where


the School Form 1
shall be placed after downloading from the online application Learner Information System (LIS)

 1 FunDMEA eCDGT – a Macro-enabled Microsoft Excel File (MS Excel) data gathering tool used
by Teachers in collecting important classroom data for monitoring, evaluation and adjustments
which assists education managers in creating strategic plans and interventions to improve
quality of education

 3 eFunDMEA 2019.accdb – a system that consolidates FunDMEA eCDGT accomplished by


classroom teachers into School Data Gathering Template (SDGT) for a much easier data
collection used by School Heads

 eSDGT (2 SchoolID eSDGT) – a hidden SDGT used by School Heads in data gathering, analyses
and evaluation to determine the school status and situation. It is automatically generated upon
proper execution of the application (3 eFunDMEA Consolidator)

 Nutritional Status Summary Report – a consolidated report generated automatically by the


SDGT (in one click) that determines the Class nutritional status.

 Reading Status Summary Report – a consolidated report generated automatically by the SDGT
(in one click) that determine the reading ability of a class

 Numeracy Status Summary Report – a summary report generated by a single click in SDGT to
determine the numeracy status of a class

INSTRUCTIONS

1. Download the eFunDMEA Tool.rar file
– a compressed file that consists of eFunDMEA.exe to be used by
Teachers/Advisers and School Heads, and ALS SDGT to be used by ALS
Teachers (Fig. 1a)
2. Extract the downloaded file (eFunDMEA Tool.rar) using WinRAR or other
application that decompresses or unzips compressed
filed (display may vary depending on the location of the
downloaded file)

3. Install the eFunDMEA.exe by double-clicking it (Fig. 1b).

4. Locate the installed eFundMEA Tool in C:\eFunDMEA


(Fig. 1c). Do not change the location or any Fig. 1c
folder/filename to avoid flaws or errors in using it)

5. Provide a copy to the ALS teacher in your respective district the “2 ALS eSDGT.xlsm” file (Fig. 1b)

As CLASS ADVISER, do the INSTRUCTIONS 1-4 (it is highly
recommended to use the DCP computers in school, if any, to make it
accessible for the teachers.)

6. Place to the SF1 folder, a copy of all the SF1s downloaded


from the online LIS (Fig. 2)

7. Double-click, to execute, the “1 FunDMEA eCDGT.xlsm file (Fig. 3 & 4).

8. As Class Adviser, you own this template. Provide


data on the White-color and Green-color cells (partial data has been provided by default, replace it if necessary)
a. Green-color cells are teacher’s attributes. Each teacher shall replace it and provide correct information
(i.e. Contextualized Lesson Plan, Major Subject, TA received, etc.
b. White-color cells are important class information (i.e. Class type, if Multigrade/Monograde, etc.

9. Click button if the required data has been entered. The Import SF1 shall
be activated (Fig. 5).

10. Click button to import School Form 1. Locate your SF1
collections in SF1 Folder, Select one SF1 file, and click Open (Fig. 6).
Wait for a while and a message will display. Click OK (Fig. 7).

11. At this time, you can modify the SF1’s Fig. 7


information uploaded. In case of a
combined Classes in TLE Grade 9 and 10 (or
Senior High), remove those Learners
information which are not included in the Class, by selecting the Cells and pressing Delete key in the Keyboard,
and add those who are enrolled from the other SF1/s (Class/es) by Copy-Pasting them on the spaces provided
for each corresponding data element. (DO NOT DELETE Columns or Rows, it shall remove some formulas which
shall be the cause of template malfunctions which will lead to providing wrong results (Fig. 8).

12. You can click to repeat the process if you want to


replace the uploaded SF1’s information into the template (Fig. 8).

13. Type/Input the rest of the names of teachers who shall handle
the other Class’ subjects to make it selectable at the Teacher’s
Name at the document Footer (Fig. 9). Fig. 8

14. BEFORE CLICKING the button, make sure that every


information is correct. Editing of SF1’s information shall be
DISABLED after clicking the said button.

15. By clicking the button means saving the file, (with a warning message)
into another automatically named file, depending on the information provided in
the template (i.e. [Year]-[Quarter]-[SchoolID]-[GradeLevel]-[Section]-[Subject]
(2019-Q3-122540-G6-MG3-EsP + -[Adv] for a file to be used by the Adviser) NOTE: Only one (1) Subject Area
shall be declared “Yes” in Class Advisory, regardless of the number of subjects being handled for a Class
16. To save to another file/s for other Special Subject Teachers, change the Subject and other information in Green-
color Cells as to Class/Subject/Teacher’s attributes. Section name can be changed if necessary based on the
availability of Subjects described in the Subject field for Senior Highs’ Specializations and Applied Subjects (i.e.
“Rose-Cookery”, “Rose” as Section and “Cookery” as specific Specialization)

17. Upon saving the file, some other templates shall be made available (Nutritional Status, Reading and Numeracy
Templates in Fig. 10) for the teachers’ ease of use. Those templates are automatically created and provided for
the respective Teacher/Adviser. All Worksheets that correspond to the Class and Subject shall also be made
available. For instance, in Advisory Class Subject file, “Access-Nutrition” shall be ready for the Adviser to import
and for the Language and Math Teachers, Reading and Numeracy templates respectively.

18. Hierarchically organized folders are also


provided for proper organization of files
(Fig. 11).

19. School Form 2 information on
Attendance shall also be inputted before
saving for the Adviser (i.e. Absences,
Repeaters, and the Learners’ current
status whether NLS, Failed and No Test
for those who did not take the Periodical
Test). Other Subject Teachers shall not
be able to input such for it shall be
darkened indicating that it is not his/her
concern except for the Status (Fig. 12).

20. Close the last saved file. Distribute to the Teachers


concerned the Folder named after each respective
teacher (Fig. 13).

21. Automatically generated CSV Class file (Fig. 14) created


for/by the Adviser shall be submitted to the District M&E
Coordinator and uploaded to a designated Google Drive for
the preparation of the implementation of Pro-ACUTe
(Project-Automated Checking of Unified Test) and for ease
of use of eFunDMEA Tool in importing accurate Unified Fig. 14
Test results to eCDGT.
AS TEACHER:

22. Fill up the designated file templates to make
them ready for importing (Nutritional, Reading
and Numeracy Individual Report). These
templates are generated automatically for
ease of use (Fig. 15, 16 & 17).

23. Import buttons are made available to populate


data coming from other user-friendly
templates (Fig. 18 & 19).

24. After accomplishing all eCDGTs of eFunDMEA tool,


submit them to Adviser/s, and the Adviser/s shall
validate and submit them to School Heads.

25. Ensure the 100% submission of eFunDMEA eCDGT from all
Advisers/Teachers by subject areas and classes and, organize
them in a folder named after the School ID located inside the
file/folder directory (C:\eFunDMEA\[Year]-[Quarter]\[Region]\
[Division]\ [District]\[SchoolID])

26. Locate the “3 eFunDMEA Consolidator”, execute by


double-clicking the file (Fig. 21)

27. Provide needed information in the shown application


window (Fig. 22).

28. Click “Create Summary File” (Fig. 22).

29. Although, there are messages and instructions which shall


appear during the whole process, the eSDGT shall be
generated automatically with
the other Summary Templates.
They shall be placed on the
same Folder directory beside
the School ID Folder to locate
them easily.

30. Follow instructions until the
consolidation is done and, the
Summary template shall be
opened to be validated and
evaluated in preparation of
Dashboard crafting

31. The 3 buttons that create


summary files are already available. Click

each one to create corresponding school
summary file located in a to be submitted to
respective program coordinator

32. The CDGTs shall be printed as well as the consolidated


SDGT for signature of the concerned and submission as
MOVs during the District MEA activity

33. All CDGT and SDGTs shall be validated for accuracy and
correctness of data before submitting them to the
District and Division M&E by uploading to a designated
Google Drive

34. Other Templates generated shall also be submitted to


the coordinators of the program Fig. 24
concerned in the Division
(Nutritional Status Summary to the
Nurses, Reading Filipino-English and
Numeracy Summary Report to the
EPS concerned)
