LOGGING ON TO SAP:

On the desktop or task bar, double-click on the SAP icon:

OR

In the following pop-up window, double-click on Production.

Type in your username and password in small case and leave the Language field blank.
Click on the green check mark or hit enter on your keyboard to proceed to the main SAP screen.

MAIN SAP SCREEN:

On the main screen, you navigate through a series of folders located vertically on the left side of the
screen.

Click once on the arrows to expand the folder, or double click on the word.

Once the folders have expanded, your screen will look like this.

HINT: To keep the screen manageable, close the folders once you are done using them. .

Items with a cube next to them are the final transaction. Double click on the cube to go to that
transaction.

SHORT CUTS:

Short cuts exist for each transaction. This method is a fast easy way to navigate through your
transactions. As you work within SAP, you will become familiar with the short cut and can enter it in the
SAP main screen to go directly to that transaction.

1. Type the transaction code in the top left section of the screen, for example VA03

2. Press the ENTER Key


3. You are now in the transaction

HINT: It is possible to HIDE the short cut box by accident (or intentionally).
If you cannot see the short cut box on your screen, click the arrow to the right of the green check box.

There are 2 commonly used methods to find the short cuts for the transactions you are working with.

1. Change the information window


a. On the bottom right corner on your screen, there is an informational tool window. This
can be hidden or viewed by clicking the grey arrow

The information from right to left is:


a. OVR = Overwrite or INS = Insert
b. bearpaws = server name. In our production system, this will read either “bearpaws” or
“cinnamon”
c. = system your are logged into. Click on the down arrow to select what
is displayed. Choose Transaction to display the transaction code.

d. When you run a transaction that has a shortcut, it will now appear in that box. Here is
what Display Sales Order looks like

The second method is to show all the shortcuts next to the description in the menu tree. To turn this
option on (or off) follow these steps.

1. From the main SAP screen, follow the menu bar (the one on the top of the screen).
2. EXTRAS – SETTINGS
3. The following window appears.
4. Select “Display technical names” and click on the green check mark

With this option selected, your menu tree will now include the shortcut as illustrated below.

FAVORITES:

You are also able to personalize your menu by creating folders and assigning shortcuts to the folders.
Favorites are located as the first folder in the menu. By default, this folder is blank unless your SAP
ID has been created by copying it from another user with a similar profile.

Create Folder:
1. Right click on Favorites and select Insert folder

2. A new window will appear, enter the name of the folder; ie: Reports

3. Press ENTER or the green check icon


4. The folder is now ready to add any transactions.

Adding a Shortcut Method 1:


1. Find the transaction in the Menu Tree
2. Either Drag the Item into your Favorites Folder or a folder that you have created, or Click the
“Add to Favorites” Icon
a. Please take note that when you use the “Add to Favorites” Icon, it will place the
transaction in the main Favorites Folder. You will still need to drag it into the folder you
want.
Your favorites now include this transaction.
You can create as many folders or transactions as you need.

To delete a short cut from your list, right click on the short cut and select Delete favorite.

Adding a Shortcut Method 2:

Clck on the menu Favorites  Insert Transaction:

Type the short cut into the transaction code box and click on the green check mark

It will place the transaction in the main Favorites Folder.


You will still need to drag it into the folder you want.

STOP TRANSACTION

SAP allows you to stop a report at any time. If you execute a report in error, or the report is taking too
long, follow the steps to STOP the transaction.

In the top left corner there is an icon that looks like this:

Click on the icon for the following menu:

Choose “Stop Transaction” to stop the transaction, or you can Create Session to continue on another
activity while you wait for the report to retrieve your information.

ICONS:

Using your mouse, hover over SAP icons to see a description of what the icon does and its equivalent
keyboard strokes. For example:

Execute (F8)
Click on the icon to execute the report or use F8 on your keyboard to execute the report.

Depending on the screen, this will be Save or Save as variant…

Green arrow back steps out of a transaction one screen at a time. Yellow=Exit; Red= Cancel
Execute and Print, or Print
Frist page; Previous page; Next page; Last page

Creates New Session. You can have up to a maximum of 6 SAP sessions running at once.

LOGGING OFF OF SAP:

The safest way to log off of SAP is to hover over the SAP icon on your toolbar and review
each open session to ensure that you have saved all of your work.

Click on the Green arrow back in each session until the green arrow is no longer lit up.

Click on the yellow arrow to close that session.

When you have reached your last open session, you will get the following pop up box on your screen:

Click on Yes to log off of SAP.
