Week Five: September 16 to September 22

Presidential Retreat: Day One


8am to 10pm

● Room Setup
○ Myself and the seven board of director members began room setup for the
beginning of the retreat. This involved rolling out the tables, placing chairs around
the tables, placing table linen, moving the podium to the center of the room, place
table decorations on the tables and placing the gift bags on the tables for the
student presidents.
● Rehearsal and Photography Setup
○ The board members went through rehearsal for their opening speeches. Some
asked me to provide feedback and critique regarding their speeches. Afterwards, I
was tasked with setting up the photography backdrop.
● Robert's Rules of Order Prep & Debate
○ I assisted with reading the legislation and asking questions to test the Robert’s
rules of order process such as making motions, amendments, voting and debating.
The board read through the pieces of mock legislation and then went through this
process to prep for the workshops that evening.
● Registration Setup
○ The registration table was set up outside the conference room and consisted of
T-shirts, registration confirmation with QR codes, social media advertisement that
I created weeks back and other OSGA information I had created. The table
consisted of table decoration that needed to be placed, also.
● Photography
○ This part consumed most of my time throughout the day. I was tasked with
capturing photos at every available moment and with every transition during the
event. From setup to takedown, I was tasked to assist with all aspects of the event
as well as take pictures thereof. Of Saturday, a sum of 243 pictures were taken. In
totality of the weekend, 336 pictures were taken.
● Group Facilitation
○ The participating members were separated into seven groups for each of the board
of directors. Each group were tasked to come up with ideas to propel each

organization to better their student governments at home. This involved doing the
stop-light game which includes the red, yellow and green lights. Red means
something completely wrong or ineffective that the organization is doing. Yellow
means something that works but needs improvement. Green means something that
is implemented and works excellently. The student leaders were tasked to identify
these key issues and find solutions for them by working together and
collaborating.
● Room Setup Takedown
○ After the event concluded, we all began taking down the equipment and the
decorations. I took down the photography backdrop and cleaned the area from
debris that accumulated throughout the event. I packed up the backdrop stand,
backdrop itself, table items and various advertisement items.
● Main Event Group Activity
○ After the organizational committees were adjourned around 8 p.m., the board
announced that there will be an activity for guests to participate in. This was at the
Main Event Arcade. Throughout this activity, I was tasked to capture pictures of
event guests bowling, playing laser tag, eating and talking amongst themselves.

8am to 2pm

● Board meeting at the Oklahoma State Regents for Higher Education


○ At the beginning of the day before the retreat guests arrive, there was a meeting
with the board of directors where we went through the tasks of the day and where
I was given instructions to photograph when not directly doing anything.
● Photography and Videography
○ This task consumed most of my time during the event that day. I went from room
to room taking pictures from various angles and from various perspectives in
order to capture every available moment. Of Sunday a sum of 123 pictures were
taken. In totality of the weekend, 336 pictures were taken.
● Assist with Media Communications workshop
○ During the communications workshop we were preparing for, communications
director and myself created questions to pose to the event guests to better their
experience regarding our department. We gathered data from over 40 various
sources and accumulated information regarding advertisement analysis and
communications channels from OSGA to their organization.
● Chancellor of the Oklahoma State Regents for Higher Education Q&A
○ At the end of the event for the day, myself, the board and the guests of the retreat
had an opportunity to speak and ask questions to the Chancellor of the Oklahoma
State Regents for Higher Education. We went around the room for introductions
and one by one each person was given the opportunity to ask the Chancellor a
question regarding higher education or anything else corresponding with student
governments across the state.
