2 Purpose and Scope
2.1 Purpose
This document describes the requirements for the handling of Initial Samples by the
supplier. It is used to achieve the most rapid and effective integration of new products into
Baumer and it is clearly directing the responsibility for the quality of the products directly
at the beginning to the supplier.
Furthermore, this is the first step to implement the common quality targets and a
cooperative relationship. If there is a deviation between a purchase order for samples and
this BWI, the purchase order has higher priority.

2.2 Scope
This Guideline is valid for all suppliers delivering to the Baumer Group.

3 ISIR Guideline
3.1 Terms

3.1.1 Initial Samples:


Products which are produced by the respective supplier for Baumer for the first time under serial conditions.
3.1.2 Modification Samples:
Products, where a technical change, at the product itself, has caused a drawing change etc..
3.1.3 Other Samples:
Products which are ordered for testing purposes, research, installation or something else.

3.2 Responsibility/ Process


The supplier takes the full responsibility for implementing all specifications, which was submitted to him by
Baumer in subject of the Initial sample request.
The specified processes have to be followed and the supplier has to lead an active dialogue with Baumer.

3.3 General Requirements


Initial samples and modification samples have to be produced under series- production conditions.
For any deviation the supplier has to inform Baumer and have to document this.
In addition to the Initial Sample Report and depending on the complexity of the part and by arrangement
between the supplier and Baumer, a process inspection / audit at the supplier can be agreed and conducted

3.4 Initial Sample Ordering


Initial Samples will be ordered by Baumer with a purchase order.
The lot size of the Initial Sample is, unless otherwise agreed, 5 pieces and submission level B1
(see Table 1). If there the purchasing order differs from the submission level B1, the specific requirements for
the initial sample are defined by the ISIR cover sheet, which will be provided to the supplier. At the
submission level "B", there are no documents defined with the identifier "D". In this case the supplier has to
ensure the normal industrial standards and quality assurance measurements.

3.5 Initial Sample Delivery


At Initial Sample delivery, the supplier has to mark the packaging & delivery note with a corresponding note,
like “Attention, Initial Sample Delivery” or equivalent.

All samples must be clearly marked (for example: with a red label), also outside of the packaging. If Initial
Sample parts will be delivered with other materials in one shipment, the sample parts have to be separated
clearly from the other materials.
A complete filled out Initial Sample report (e.g. Baumer Template *81131619*) or a similar report according
to VDA and all other necessary documents for review (drawings, specifications, etc.) must be enclosed to the
delivery. The assignment of samples to the Initial Sample report must be clearly visible (Sample Number on
the part have to match with the sample number within the report).
Independent on the chosen ISIR- Template, the Coversheet of the Baumer ISIR TPL *81131619* (which be
delivered enclosed to the purchase order) has to be filled out, to be attached to the delivery and has to be
sent advanced to the email- address mentioned in the Baumer ISIR Template.

3.6 Initial Sample Inspection Report


In the Initial Sample Inspection Report all requested/defined parameters like dimensions, materials, surface
coatings, function, appearance and weight have to be documented by the supplier as nominal dimensions
and tolerances, including actual dimensions. The features have to be clearly identified and must
attributed to the nominal values listed, limit values and actual values.

A properly completed Initial Sample Inspection Report, combined with the performance of the tests, offers
Baumer the assurance, that all necessary steps to prove the quality capability of the product were
conducted.

3.7 Results
After complete Initial Sample testing, the supplier and the internal functions within Baumer will be
informed immediately of the decision. Following decisions can be made:

Released:
The complete release of the initial samples means that the sample parts and/or documentations meets all
our requirements and the required/ related documentation is complete. The supplier is now authorized to
deliver series parts based on a coming Baumer purchase order.

Condionally Released – ReSampling required:


This decision allows the delivery of production material for a defined quantity or a limited time period. The
production lot will be accepted by Baumer, if this part can be used by Baumer without any difficulty. The
limited release can be approved by Baumer, if the supplier
 has identified the root cause of the deviation
 has sent an agreed action plan to Baumer to eliminate the deviation

Rejected – ReSampling required:


Rejected means, that the initial samples and the related supplier production lot does NOT meet the
requirements. A revised product and corrected documentation must be submitted before supplying series
parts. The actions to repeat the Initial Sampling will be agreed separately between Baumer and the supplier.

3.8 Initial Sample Inspection result


The approval/ release of the Initial sample parts does NOT automatically means an order for serial deliveries.
The delivery of series parts will be ordered by a separate Baumer purchase order.
