MIDTERM -FIRST SEMESTER 2019-2020

SEATWORK:

1. Create a handoff process in paying your service provider. (base it on your business
contract or engagement – under Module 3 activity).

A daily rate of five hundred pesos (Php 500.00) for eight (8) hours of work payable
in two parts (15th and end of month) is what the cashier will receive. The salary will be
paid either in ATM, in cash, by a bank or check, or by a bank or postal transfer, from
which shall be deducted, where applicable, the social security contributions,
withholding taxes and other government mandated deductions. The cashier will be
granted other miscellaneous benefits such as meal subsidy, transportation, and other
similar fringe benefits. These benefits, once granted, should not be construed in nature
of application and the Company reserves the right to withhold, cancel and discontinue
future release thereof.

2. What are the pitfalls or risks that your business may encounter during the transition
period? Explain your answer.

 Training shortcuts
- Establishing unclear goals and strategic priorities against competitors.

 Unclear scope of work


- Keeping the organization focused on the inappropriate objectives.
- Product and services offering has not expanded to meet the needs of an
expanded market.

 Unclear roles and responsibilities


- Unrecognizing the on-going dynamics of the customer relationships
- Not responding to continuously evolving set customers’ requirements and
support.

 Inadequate investment and sponsorship


- Conflict between the need for stability and standardization on operations
and customer demands for customization, variety and responsiveness.
- Lack of careful planning and flexibility to ensure that staffing and structure
are align with strategy and the needs of the business and management team
that will lead to poor quality decision making.

 Not retaining the experts


- Lack of new systems for adapting the changing environment.
ASSIGNMENT:

1. Interview your classmate/team mate about change in his/her life. The change could be
either positive or negative. Examples include moving to a new country, a new city, new
school or any major life event. Your question should include, but should not be limited
to the following:

a. Describe the change


b. What was the reason for the change?
c. Describe the transition.
d. How difficult was the transition?
e. How did you adjust?
f. What feeling or emotions did you feel over the course of the change?
g. How long did it take before you finally accepted the change?

As an interviewer, what lessons have you learned from your interviewee?

 I interviewed someone who has recently moved to Japan. He said “The change was
drastic. It was all fun but when the excitement fades, what is left is often loneliness
and feeling out of place. A couple of weeks ago I moved to Japan for good,
everything about this country is far different from my homeland. From my country
the streets are rubbish but it’s loud all day long, in Japan the streets are neat but it’s
quiet. From my homeland we can always break the law but in Japan you have to
abide it. The change was far from what I expected, I was expecting a little change
but it was the opposite. Philippines and Japan are completely opposites in every
aspect. I can say that change is always inevitable but you have to deal with it even
if that change completely shifting you to a person you don’t know.”

 I learned that change, most of the time, is a lot more than what we expect. We tend
to get ready with this change that we are about to face but when we are already in
that state of change, it feels like we haven’t prepared at all. As for him, he wasn’t
able to answer how long he adjusted and accepted the change, because he recently
moved there. But I learned that whatever that change might be, it can always bring
the better or the worst in us, we just have to choose the right mindset, so the we can
be better, in whatever situation we face, or will be facing.

2. Suppose you were a project manager of an IT company and you hired a new college
graduate. This person just graduated and has moved from a distant city or province to
work for your firm. You are not only providing decent salary and benefits package, but
have paid for moving expenses and four weeks of IT boot camp training.

a. What feeling or emotions might this person have?

This person might feel intimidated and challenged at the same time because if it
was me, I would feel the same thing. I’d feel intimidated because I’d be working with
people who definitely have lots of experience, and if I make just one wrong move, it
could possibly give a big impact on what we are doing. I also think that this person
would feel challenged because he/she was lucky enough to be hired and that he/she will
prove her/himself.

b. What could you do to help this person adjust and become a valued member of your
team?

Don’t be scared to ask questions or ask for help whenever he/she doesn’t really
understand something and when he/she makes mistakes, don’t get stuck in that mistake,
do something about it and make it right, because with those mistakes, we will learn and
become a better person, which made me a project manager of this IT company. And
also not to get too high of him/herself when he/she is already at the top.

This is based on my experiences with work.

 Re- engineer and migrate

At first, I was assigned as the bookkeeper of the restaurant. The cashier is the one
who records the daily sales and expenses which is prone to tampering of records
and fraud actions. I started up auditing the records at that time and found some
malicious records. To fix the problem, the newly hired manager and I built a system
where there will be a transparent and just records that be beneficial to the company.
We invested to buy a computer desktop so that all of the records that are hand
written on record books were to be transferred.

 Lift and shift

Previous hand written records were transferred now to the computer. We use
Windows Excel to generally record daily transactions, receivables, payables, and
tracking of the cash inflows and outflows of the company.

2. What are the two transition critical success factors? Cite situational examples if these
critical success factors are missing in a transition.

 Manpower readiness

In transition process, manpower readiness includes the human resource of a


company. They must consider their employees skills, knowledge and capability
in doing a work to maintain good quality of performance in company’s
production. Production of a company depends on the performance of the team
which was has an impact to the company because manpower readiness includes
the qualification of an employee and skills in performing a task and their
capability in executing the responsibilities. If the manpower readiness was
missing in the transition, they will not perform well their delegation of duties
and assigned task because of lack of knowledge and skills in performing the
process.

 Technological readiness

In transition process, it is important to consider the technological readiness of a


company to ensure the good quality of a hardware and software in production
process. This will lead to the successful of migrating if the transfer of
technology to client was executed properly. We must consider how effective
this technology in company’s process to make it effective and efficient in
transition in transferring all the data needed by the clients. If this technological
readiness was missing in a transition, we cannot executed and transfer properly
the needs of information and data of our clients.
