Procedure 4

Question 1:

An employee has complained to you that some members of your team have not made any effort
to accommodate non-Christians in this year’s Christmas celebrations. The employee feels
excluded and disappointed that an opportunity to bring the team together has instead divided
the team along religious lines.

How would you address the employee’s complaint?

The scenario represents cultural diversity in the organization but lack of sensitivity among the
employees. As a leader, I would do a communication plan. I definitely would have an open-door
policy, to encourage everyone to come and talk about their problems. After that, I would arrange
a meeting altogether, so both of them will share their thoughts and feelings. I ask them if they
know the organization's legislation and laws about discrimination and explain that we need to
accept the cultural differences with each other.

In your written response to the above question:

● Describe at least two pieces of JKL Industries’ policy or procedure that conflict with the team’s behavior
towards the employee.

○ Code of Ethics – This policy stated that all employees should respect the core value of the
organization.

○ Anti-discrimination and equal opportunity policy – The purpose of this policy is to provide a
positive environment for everyone including workers and customers.
● Identify the relevance of one piece of relevant legislation.
Anti-discriminations law avoid any discrimination in the workplace and implements effective work
performance.
● Describe how policies and processes can help to promote cultural diversity, ethical values, and
relationship-building.
The benefits of cultural diversity from different cultures and ethical values bring different perspectives
from everyone, introducing new ideas, and personalities into strategic planning processes and
workplace activities. It can create a company culture of mutual respect and dignity, garnering a
reputation as a fair employer in the job market.
● Describe any changes or additions you would make to JKL Industries’ policies, processes or
communications to further promote cultural diversity and ethical values.
Organizations need to provide access to the facilities to all the employees regardless of cultural
differences. Also, all the employees must have equal access to the upcoming event.

 Describe how you would approach the team and any suggestion you would make to resolve the issue
fairly and consistent with organizational policy.
For resolving the current issue, as the manager, I should take initiative to accommodate the non-
Christians by making small get-together every month for making informal conversations and to
familiarise them with other colleagues.

Question 2:

To respond to the issue described in question one, you have decided to meet with the team to
directly address the behavior.

How would you prepare for and approach this meeting?

The bad behavior of employees has affected the team members and their unity with each other.
Being a manager, it is quite appropriate to resolve the issue through direct conversation with the
employees. Set up a meeting where issues can be directly communicated. They should discuss
the main issues about supportive behavior with non-Christians during Christmas celebrations,
having a lack of concern and togetherness rather rude and free care attitude. The situation
could be well-handled through acknowledging their opinions and concerns regarding the wrong
behavior without direct allegations. It is the best time to let them feel apologetic for the conduct
of wrong behavior.

In your written response to the above question:

● Describe what potential problems you anticipate from the team.

The main problem is how to support non-Christians during Christmas celebrations, lack of concern and
togetherness, and being a rude and carefree attitude.
● Describe how you would confront the team with their unacceptable behavior while maintaining trust and
avoiding the impression of taking sides.
I will set up a meeting for all the staff including non-Christians and I will discuss the problems and
issues. Also, the policies and procedures of the company so they are aware of the consequences of their
wrongdoing.

 Describe your standard or default communication style. What communication style would you consider
adopting for this scenario?
The communication style that I will use is facilitating sound, collaborative and decision making. First is I
will define the problem, gather information, create a solution and choose the best solution.
● Describe a previous situation in which you adapted your communication style to meet the needs of
others in the workplace or achieve a work goal.

During a hot discussion between me and another employee, due to some paper works that we need to
process with company procedure and not to do the shortcut. It was resolved by explaining my co-worker
there are rules that we need to follow although there is an easy and fast way to do it. I told him whats
the effect of it and why should we follow the rules. In the end, he follows my suggestion.

Question 3:

As a manager new to the Brisbane area, you feel that you need to develop contacts with people
internal to the organization, such as managers, and external people, such as suppliers, business
networks, managers’ networks and mentors.

How would you approach networking to achieve goals?

In the context of communication, networking refers to the building of relationships and contacts
with internal and external people within the organization. As a manager, it is important to build a
connection with internal as well as external people to achieve goals and for the improvement of
the organization. Being a new manager, a networking plan could be formed, which will include
networking objectives and activities to be conducted for networking. The best networking
methods would be one on one meetings, business gatherings, and social marketing. This would
help me as the manager to be in contact with internal and external people.

In your written response to the above question:

● Describe how networking with internal and external people could help you build positive relationships to
achieve organizational and professional goals. What networking or networks would you suggest?
o Networking with internal people - Networking with employees, managers, etc. would help in
accumulating past information about the company. These would familiarize the manager with
the previous suppliers, business environment. Networking can be done through meetings &
employees evaluation.
o Networking with external people - For organization growth, networking is immensely useful with
stakeholders like suppliers, business networks, etc. This could be achieved through the
formation of networking plans, business seminars, frequent meetings with big suppliers, social
platforms.

● Describe a situation in which you joined a network to achieve an organizational or professional

development goal. Describe the network. How did you build stronger relationships within the network?
What was the result of the networking for you and your organization?

Your sales team is relatively new and inexperienced. You feel that they would benefit from
networking. Sam and Alex need to build relationships with customers, suppliers and fellow
salespeople to achieve personal development and organizational goals.
● Sam: Has issues with internal and external suppliers who consistently miss delivery dates
and won’t cooperate in keeping costs down for customers. Consequently, he has issues
with his own customers; he feels suppliers don’t understand his needs as a client. Sam
finds conflict really hard and avoids getting angry, hoping the problem will resolve itself.
Sam feels he would benefit from hearing how others negotiate terms with suppliers. Right
now, however, he has very little respect for them as they’ve let him down.
● Alex: Has issues with customers who obviously don’t understand a good deal when they
see it. He’s also tired of chasing ‘deadbeats’ for settling accounts on credit. Alex would
like to know how others deal with such ‘fools’ and still maintain a sense of self-respect.

How would you lead Sam and Alex to realize their professional goals and related organizational
goals over the next three months?

The sales team of the organization faces different issues namely, issues with suppliers and
issues with customers. Sam has issues with suppliers mainly, relates to irregular delivery dates,
high costs, harsh relationships, etc. Alex, another team member, has issues with customers who
don’t understand the sales deal and increase credit terms. He also has harsh relationships.
These issues clearly, predict the lack of networking and professional relationship traits in the
sales team. The issues of Sam and Alex are described as in the scenario are provided with the
following professional plan.

Using the template provided in Appendix 3:

1. Prepare a plan to develop and maintain internal and external relationships, including a schedule for the
next three months.
2. Include at least two activities for each salesperson.
3. Provide a rationale for each activity.
