CHAPTER I

Introduction

The Guidance Office purpose is to deliver high quality service to students, potential students and

staff in an accessible user-friendly way with a single point of contact. It emphasizes providing

comprehensive, student-focused service, and ensuring that each student’s experience of student

administration and support is positive and effective Guidance Management System is a new

developed system that would compute and detect the data transactions of students automatically

and accurately. The system is consisting of different forms that would help the admin for recording

different kinds of offense or violation. The recorded information would be stored in secure areas

like databases that would ensure safety of records. Also this software would generate reports that

would help admin in monitoring violation or offense done. Additionally, history of the students

can be access easily in the program. This would help not only the counselor but also the students

to be more aware committing violation in the school. Guidance Management System is a must

have tool for it would help the counselor to save time and financial expenses like logbook, pen,

ink and etc.


Statement of the Problem

The study aims to answer the following questions.

1. How the system would record the problem and violation of a students in guidance office?

2. How the system would track the past records of students by using this program?

3. How the system would minimize a paper works?

Objectives of the study

General Objectives
The main purpose of this study is to help guidance counselor do the task easily, productively and

neatly with a computer based system. Making college life productive, meaningful and pleasant

cannot be overstated by means of the system that would use as an easy and user-friendly system.

Specific Objectives

The following are the specific objectives of the proposed system:

 The system would record the problem and violations of a students in guidance office.

 The system would track the past records of students by using this program

 The system would minimize paper works, retrieve records easily and create reports.
Background of the Study

The study aims to develop a Student Guidance Management System for the College of

Information System to guide the students through the counselors that can help them make

intelligent, career choices and wise decisions by the counselor to operate the system and to

provide students with educational and occupational information. Its Main Module Includes: Drop

out

Significance of the Study

The proposed system is economically friendly Because it would not cost too much money to use.

the system is absolutely compatible to different system. It does not require new technology. the

system would be a significant endeavor in promoting good work environment in the workplace

and motivations of is guidance counselors and students. the system is very usable and there are no

conflicts during the testing of the system. The system is genuine, the design, codes and

documentation was made and studied thoroughly by the researchers with the help of team work

and concentration. The guidance counselor I strategic management of student’s behaviors by

understanding the needs of the students and benefits of quality education. This system would

provide recommendations on how to evaluate the performance of a certain students in accordance

to ZDSPGC Guidance Management System. The researchers would gain more knowledge. It

would serve as a guide in their future study.


Scope and Limitation

The study aims to develop a student guidance management system for the ZDSPGC to guide the

students through the counselors that can help them make intelligent, career choices and wise

decisions by the counselor to operate the system and to provide students with educational and

occupational information. Its main module includes: drop out students/form and student

information. Its features update the student records, viewing of student information, and speed-up

processing.

CHAPTER II
REVIEW OF RELATED LITERATURE

Review of Related Literature in guidance and counselling, these two words generally take on

different meanings. The former refers to helping students’ whole-person development, while the

latter is frequently targeted at helping students with problems. In other words, guidance work is

preventive and developmental in nature whereas counselling is more of supportive, remedial work

(Lai-Yeung, 2014). The global trend seems to have moved from a casework and remedial

approach to a preventive, developmental approach in providing guidance and counselling (Gysbers

& Henderson, 1994; Yuen, 2002; Lai-Yeung, 2014). Hence guidance and counselling is a very

necessary therapy to school children. Guidance in schools is that area of the schools provision that

is specifically directed towards helping pupils realise their full potential in preparing for adult

and working life, (O’Concubhair, 1981). Akinade (2012) defines guidance and counselling

as a process of helping an individual become fully aware of his/her self and the ways in

which he is responding to the influences of his/her environment. It further assists him to

establish some personal meaning for this behaviour and to develop and classify a set of goals and

values for future behavior. According to Oviogbodu (2015) counselling can be defined as a
number of procedures in assisting an individual to solve his problems. Counselling is more

involved emotionally in the affective realm personalized learning, that is, emotions and

feelings, values, attitudes. Counselling is an interaction or relationship between two or few

individuals, the client counsellor relationship of trust (Geshinde 1991; Adebowale, 2012;

cited in Oviogbodu, 2015). Counselling is a learning process in which a counsellor helps an

individual or individuals learn, understand themselves and their environment and be in a

position to choose the right type of behaviors that will help them develop, grow, progress,

ascend, mature and step up, educationally, vocationally and socio personally, (Egbo, 2013). In

other words, counselling is a transformative process of helping people to learn all that are to be

learnt both in and outside the School. Counselling is a person-to-person process in which one

person is helped by another to develop, increase in understanding and ability to solve his

or her problems.
CHAPTER III
METHODOLOGY

This article discussed all methods used by the researchers, which includes the selection of software

development life cycle model, software development procedures and methods being used

including the requirements phase, design phase, initial testing phase and the final testing of the

program to successfully come up with the developed system.

Using a survey questionnaire, the method used by the researchers was the descriptive type of study.

This method used to discuss the actual condition, situation and practice in the Guidance Office.

The focused of this type of study is to seek the respondents’ perspective and experience. It also

calculates the mean and interpretation of the questionnaire which contain the various functions

that deal on how Students’ Profiling System is in demand to be implemented. System Development

Life Cycle Model

The waterfall model is a sequential, software development process, in which progress is seen as

flowing steadily downwards (like waterfall) through the phases of System Requirements, System

Design, System Implementation, System Verification and System Maintenance.

Requirements Phase

These are the needed requirements in developing the Students’ Profiling System. It includes the

respondents of the study which are the Guidance Office Personnel and students taken from the 5%

of the overall population of students. It also includes the validated research questionnaires used by

the researchers in conducting a survey and gathering the needed data for the development of the

Students’ Profiling System.


Software Requirement

The following were the software used for the development and for the implementation of the

system.

Microsoft Visual Basic 6.0 – Was the chosen programming language for software development

primarily because it is an ideal programming language for developing sophisticated professional

applications for Microsoft Windows. It makes use of Graphical User Interface for creating robust

and powerful applications. The Graphical User Interface as the name suggests, uses illustrations

for text, which enable users to interact with an application. This feature makes it easier to

comprehend things in a quicker and easier way. MySQL ODBC Connector – is a driver for

connecting to a MySQL database server through the Open Database Connectivity (ODBC)

MySQL – Is a Relational Database Management System (RDBMS) that runs as a server providing

multi-user access to a number of databases.

These are the people who are responsible in developing and accountable if there are problems

encountered in implementing the Students’ Profiling System.

Implementation

Guidance Office Personnel


Being the people who are in-charge in managing and keeping the confidential information of the

students, they must be trained and oriented on how to use the system properly.

Working Scholar

They are working scholars who help or assist the Guidance Office Personnel. They must also be

oriented with regards to the use of the system and its intended functions.

Design Phase

The researchers created a design based on the result of the survey and user’s suggestions for the

system to be developed. All the requirements of the first stage contributed a very important role

with the successful preparation in creating the Students’ Profiling Systems design. It includes the

necessary hardware and software requirement in designing the developed system.

Implementation Phase

This phase discussed the implementation of Students’ Profiling System where in (3) experts

evaluate the developed system. This phase also discussed if the recommended functions and

suggestions of the respondents and users are met.

Initial Testing Phase. The pre-installation of the Students’ Profiling System, three system

developers evaluated the system. The evaluators were professionals who have broad knowledge

on a computer-oriented application.
